Introductions & Placement Planning
Background
Once the matching has been approved and the legal position allows it, the family finder will convene a Placement Planning Meeting to draw up an Adoption Placement Plan, confirming the details of the introductions, placement and post-placement work. The Adoption Service Manager or his/her nominee will chair the meeting.
Once the decision to progress on to the placement planning stage has been agreed then a task to notify the parents and notify Adopter(s) of decision will be generated. Pre-designed letters will be generated by the system to be posted to the parents.
Notifying Parents of ADM Decision
The child's social worker will convey the decision orally to the parents within 2 working days. The Panel Administrator will prepare written notification of the decision to be signed by the Agency Decision Maker and once signed, sent to the child's social worker for sending by recorded or hand delivery to the parents within 5 working days.
The task of notifying parents of ADM decision is the CLA Social Worker’s. When the ADM has approved then a task will automatically go to the allocated CLA Social Worker tray.

Make the relevant changes and print letter and send to parent(s), save word document to required file location and upload to system.
Notifying Adopter(s) of ADM Decision
The prospective adopters' link worker will convey the decision orally to the prospective adopters within 2 working days. The Panel Administrator will send the written notification, signed by the Agency Decision Maker, to the prospective adopters' link worker for sending to the adopters within 5 working days. Copies of this letter will also be sent to the family finder and the child's social worker.

The task of notifying Adopter(s) of ADM decision is the responsibility of the Adoption Panel Team. When the ADM has approved then a task will automatically go to the Adoption Group Tray.
Follow the same process in Notifying Parents of ADM Decision.
Placement Planning Meeting – Adoption Team
The purpose of the first Placement Planning Meeting is to draw up a proposed Adoption Placement Plan. The family finder will be responsible for coordinating Placement Planning Meetings. However, all workers involved must be clear about their respective roles and responsibilities in the implementation of the plan, and what should happen in the event of difficulties. The Adoption Admin would organise the Placement Planning Meeting and type minutes.

Introduction Plan – Adoption Social Worker
An Introduction Plan should be discussed within the Placement Planning Meeting; gradual introductory programme should involve visits increasing in length, progressing to an overnight stay, a weekend stay and in exceptional circumstances with an older child, a longer period prior to the final move.
Two tasks will now sit in the Adoption Social Worker’s tray Introduction Plan and Organising Midway Review. A Midway Review date should have been set at the Placement Planning Meeting

Organise Midway Review – Adoption Admin
At the mid-point of the introductions, a second Placement Planning Meeting will be held, at which the following areas will be addressed:
• The progress of the introductions - has the necessary action identified at the previous meeting been taken, and the plan been followed? - If not, why not?
• The views of each participant as to the above;
• The identification of the positives;
• The identification of any difficulties;
• The development of the next stage of the plan;
• The finalisation of the arrangements for the placement.
Adoption Admin can pick up the task from the Adoption Social Worker or the Adoption Social Worker can reassign the task to the Adoption Admin
