The use of OLAF visual identity –IntroductionTwo graphical charters are currently in use by OLAF depending on the nature of the documents:
1. The OLAF graphical charter; 2. The European Commission visual identity.
1. The following documents require the OLAF graphical charter/logo:
a. Investigation related documents: ISIP, investigative training, handbooks, guidelines on investigations, forensics, data gathering and analysis, data protection;
b. External relations related to OLAF’s investigative function: Inter-institutional relations, Communicators’ Network, Joint Customs Operations, mutual administrative assistance, AFIS, Administrative Cooperation Arrangements;
c. External communication related to OLAF’s Investigative function: Annual OLAF report, OLAF press-releases;
d. OLAF internal communication: Intranet, communication to OLAF staff;e. OLAF organised and/or OLAF financed conferences and seminars.

2. The following documents require the European Commission visual identity/logo (with OLAF’s name spelled out in full - “The European Anti-Fraud Office” - in the footer box):

Eurolook, which is available on all OLAF computers, should be used for the notes.

The OLAF logoThe OLAF logo is a key element of the visual identity. It is an integral part of OLAF’s graphic identity and must appear on all publications. Several versions are available according to specific needs.
Positive version
The positive version of the logo is to be used on white or very light backgrounds not exceeding 15 % of black.
Colours used: C:0; M:0, Y:100, K:0 C:100; M:80, Y:0, K:0 C:60; M:30, Y:0, K:0
Negative version
The negative version of the logo is to be used on bright coloured backgrounds. In this version the logo appears on a white block with a hole in it.

All versions of the logo (including text) exist in the 23 official languages of the EU.

2. Place the ‘o’ shapeHere again we make a distinction between creating a cover with a photo, or, simply with a coloured background. Both alternatives use different shapes.

For DIN formats, the width of the shape corresponds to 1.3 times the width of the document. This rule does not apply to CDs or leaflets, for which the shape has specific measurements (see table below). The ‘ai’ document is based on an A4 cover.

How to proceed
� Create a specific layer for the ‘o’ shape. � Place the appropriate Adobe Illustrator file on this layer. � Change the width measurement of the Adobe Illustrator file according to your document size. � Fix the Adobe Illustrator file to your top margin. � Align it centred to artwork.

In case you need to reconstruct the ‘o’ (A4)
� Create 4 circles following illustration below.
� In Adobe Illustrator use ‘Pathinder’ > ‘Divide’. You will obtain new individual shapes as a result of the division.
� Delete shapes displayed in red in illustration below. � Combine the shapes displayed in blue in the illustration below with ‘Pathfinder’.
� Colour the three shapes. � Rotate to -80°. � Add a white rectangle behind bottom half circle.
� For the shape used on covers with a photo delete the upper part of the circle (displayed in red in the illustration below).

3. Place the photo or the coloured surfaceThe cover design only allows for one single visual. It is placed behind the ‘o’ shape. The visuals selected should relate to the issue addressed by the publication.
How to proceed
� Create a new layer for the visual. � Place the layer behind the ‘o’ shape layer. � Draw a box on this layer. Take care that this box is completely covered by the ‘o’ shape. � Colour it or import a picture into the box. Use landscape pictures. Make sure that important information in the picture is not hidden by the ‘o’ shape.

4. Place the oLAF logoThe OLAF logo must appear on all publications.
When importing the logo choose ‘Crop to ART’ in the ‘Place’ dialogue box. This is important because even the positive version of the logo has been designed surrounded by a block which in this case is transparent. The logo will be positioned according to this block
It must be positioned on right bottom margin as shown below.
How to proceed
� Create a new layer for the logo. � Place the layer above the ‘o’ shape layer. � Import the logo in the required language version. When importing the logo choose ‘Crop to ArT’ in the ‘Place’ dialogue box. This is important because even the positive version of the logo has been designed surrounded by a block (cf negative logo version). When we mention the logo size in the guide it refers to the logo surrounded by the block.

5. Place and format textThe title on a cover page is always left aligned. It is composed in KievitPro Light and KievitPro Bold for words to be emphasized. Subtitles are to be displayed in KievtiPro Bold.
How to proceed
� Create a new layer for the text. Make sure the layer is placed above the ‘o’ shape layer. � Create a text box and type title and subtitle. � Format them according to the table below.

� Align box on left margin. � Title and subtitle should always be displayed inside the white back-ground. If it happens that the title is too long, use a smaller font size. The ratio between leading and font size should be 1.15.
� Ex: font size is 18 pt. > leading = 18 × 1.15 � Align box vertically so that the ‘x’-height and the tip of the loop of the ‘o’ shape are aligned (see illustration).

4. body styles
Depending on format and type of publication you can choose between three different body styles: light, regular or medium. Medium should be used especially in panels or other text you want to emphasise. Light and regular body styles can be justified or left aligned. If you choose to align it left, don’t hyphenate words. The medium body style should always be left aligned and therefore not hyphenated.

The circles and half circles are used in the header of a publication. They can also be used as a rhythm element in a page layout or in a leaflet, for example. When used inside a layout they can be of any size.

rounded corners
Use rounded corners on two diagonally opposite ends when placing a box or a picture. If two boxes are placed directly beside one another, the diagonally opposite rounded corners should be applied to the group rather than the individual boxes.
See below possible variants:
Use a text inset equal to your rounded corner value for text boxes. For example, if your rounded corner is 5mm then the text inset should also be 5 mm.

Charts
Here are some basic rules to follow when making a chart.
� Charts should always be displayed on a coloured background (dark gray or main layout colour). The coloured background will help to fix the chart in the page as it avoids floating.
� Chart elements referring to the data in the graph (histogram bars or doughnut part) should have a stroke of 1.5 pt using the background colour. These elements should also be displayed with a light shadow.
� To display captions and numbers: compose the table with paragraph styles. � To display pie charts: use the doughnut format in order to echo the circle graphical element. � Use colours harmonised with the main layout colour and logo colour palette. � Avoid 3-D effects.

Letter and note layoutLetter and note layout are divided in three parts:
1. The OLAF logo surrounded by 2 lines. It consists of one single image in the document back-ground. Each language version requires a specific image.

IMPORTANT: before using the templates
1. When you click on a link, do not open the document but save it first.
2. If the document is in ‘view/reading layout’, choose the ‘view/print layout’ before working on it.
3. Customize the footer with your office number, telephone number and e-mail of the sender.
Note concerning the footer: Due to Microsoft Word instability while editing, it may happen that the footer format automatically changes while you are personalising it. In that case use the footer paragraph and character style (for light characters) style to reformat it.

Specific guidelines on the preparation of documents for the Director-General’s signature

Preparation of circulation sheets:
� The Director-General’s Assistant should, as a general rule, always be placed in the circulation sheet for visa directly before the Director-General in Ares. She should not be included in the circulation sheet for investigative matters in Thor, except for documents that do not originate directly from the ISIP (such as non-standard letters to other institutions);
� The Director-General’s Advisor should not be automatically included on any circulation sheet, unless the matter specifically requires her contribution or advice. This means that for investiga-tive matters that do not pass by unit 0.1 the Director-General’s name will appear directly after the relevant Director.
Preparation of letters/notes:
� The font of all letters/notes should be Verdana throughout the letter; � Letters/notes for the Director-General’s signature should only have a footer of one line with the
general contact details of OLAF. The contact details of the author of the note should not appear in the footer (but may appear in the main text if appropriate);
� There should be no date on a letter/note while it is still in circulation; the date will be stamped by the registering person. Also, the words “signed” or “е-signed” may not appear on the docu-ment until it is actually signed by the Director-General.
Preparation and follow-up of paper signataires:
� All documents requiring the Director-General’s signature that are circulated electronically in Ares should be printed, put in a signataire and brought to Director-General’s secretariat before the visa of his Assistant/Advisor (unless there is prior agreement not to do so);
� If a letter/note requires the Director-General’s signature as a reply to incoming correspondence, this correspondence should always be printed and put in the signataire;
� If the background of a letter/note cannot be assumed to be known by the Director-General, a short explanation should be added to the signataire. The author of the document should be available to give an explanation, or provide the name of his/her back-up in the case of absence;
� To speed up the processing of urgent signataires, it is advisable to alert the Director-General’s Assistant or Director-General’s secretariat prior to its arrival in our office.

e-signatureFor the sake of consistency, the OLAF graphical charter also provides a common signature for e-mail. You can find it on the OLAF intranet at http://olaf-intranet.net1.cec.eu.int/e-signature/
It consists of a Word document from which you need to copy the content into Outlook in order to personalise it. The e-signature is set in Verdana 9 pt.
how to proceed in Outlook � Click ‘Tools’ menu. � Click ‘Options’ submenu. � Click ‘Mail format’ tab. � Click’ Signatures’ button. � Click ‘New’ button. � Enter a name for your new signature. � Click ‘start with a blank signature’ and then click on ‘next’ button. � Copy the content of the signature template and customize it. Concerning job title, each colleague inserts his/hers following the nomenclature used for OLAF visiting cards, under the Head of Units’ supervision.
� If the new signature is correct, click on the ‘finish’ button. You will come back to the previous win-dow where you should click on ‘ok’.
� To insert your signature in all new messages or replies, select your new signature in both drop-down lists above the ‘signature’ button (Signature for replies and forwards and Signature for new messages). Your new signature will now be ready for use.

PowerPoint presentationsThe OLAF graphical style guide offers 2 different PowerPoint template alternatives:
� White background: to be used especially if you know that you’re going to print the presentation, because it’s less ink consuming.
� Blue background: to be used for screen projection as it offers better readability when used as a slideshow.
Each template uses Verdana typeface as advised by the European Commission graphical style guide. All styles to use are defined in the template. You just need to edit your text in the PowerPoint predefined text boxes. Each template also has its own colour scheme, which you should use when creating tables or charts.

If you need to update an old PowerPoint presentation with the new design:
� Open your document. � In the ‘Format’ menu choose ‘Slide Design’. � In the ‘Slide Design’ window which appears on the left of your
screen, click on browse (bottom). � Select the new template and click the ‘Apply’ button. This will
automatically apply the new template to your presentation, provided the old presentation has been edited with the PowerPoint default text boxes and styles.
� Tick ‘Slide layout’ in the slide design dropdown list (top of ‘Slide Design’ window) and reapply correct layout to each slide by selecting the appropriate layout (see picture on the right).
