User Types 3User Type Description
Vendor
The Time Management Vendor is responsible for the purchase order management by connecting vendor employees to the appropriate purchase order numbers.
The Time Management Vendor can create timesheets through the use of the Time Management and Approval Steps
Time Management Supervisor
The Time Management Supervisor manages the times regarding the hours that the vendor employees has worked.
Time Manager
The Time Manager is responsible for the approval / rejection of vendor employee’s timesheets on the Time Management and Approval Steps.

Manage Time Allocations
Times regarding the hours that the vendor employees has worked
needs to be allocated and managed through approval / rejection of
times.
Await Time Manager When a timesheet is created, the Time Manager must approve the
timesheet.
Create Timesheet A timesheet of the Purchase Order number needs to be created after
all hours are approved and correct.
Timesheet Created After the timesheet has been approved by the Time Manager the status
will change to Timesheet created.
GRV Created The timesheets are sent to SAP and a GRV is created to confirm
timesheets have been submitted to SAP.

General Information 5
5.1 Register
1. When the webpage of the Vendor Employee Management system opens, click on the “ ”
button.
2. After the Registration option has been clicked, the following screen will display:
3. The information on the Registration page needs to be completed:
3.1 Select the appropriate “User Type”, in this case select “Vendor”:
3.2 After “Vendor” has been selected as User Type, the following screen will display:

3.3 Next, the “General Information” needs to be completed, this includes: First Name, Surname,
Company Represented, Telephone Number and Role (the Roles that needs to be selected is
“Time Management Vendor”, see below:
3.4 The next section of the Registration to be completed is the “Requested Vendor Access”, this
includes: the Site and the Vendor Number.
To add the vendor click on the “ ” button.
To delete the Vendor, tick the vendor and click on the “ ” button.
3.5 The last section of the Registration to be completed is “Security Details”, this includes: User
Name, Password, Confirm Password, E-mail, Security Question and Security Answer, see below:

3.6 When all the sections of Registration are completed, click on the “ ” button to submit the
registration:
4. A message will show that the Request for Access was successful:
5. An e-mail will be send to the user to verify the user’s e-mail address after registration, click on the “
” link to verify the e-mail address.

6. After verification of the user’s e-mail, another e-mail will be received by the user to provide the user
with login details.
7. To cancel the Registration, click on the “ ” button.

5.2 Login
1. When the webpage of the Vendor Employee Management system opens, the “Login” option will
display see below:
2. Provide login credentials, and click on the “ ” button.
3. After the user has logged into the Vendor Employee Management System , the following page will
display:

5.3 Change Password
1. When the webpage of the Vendor Employee Management system opens, the “Change” option
will display, click on the “ ” button, see below:
2. The following page will open, see below:
3. Password Criteria Information is required to change the user’s password, complete the
information and click on the “ ” button.
4. After the password change was successful, the message below will display, click on the “ ”
button to login with the new password.

5.4 Forgot Password
1. When the webpage of the Vendor Employee Management system opens, the “Forgot” option will
display, click on the “ ” button, see below:
2. The screen below will display requiring the user’s User Name, complete the field and click on the
“ ” button.
3. Next the Vendor Employee Management System will request the answer to the security question
given when the user registered, complete the question and click on the “ ” button.
4. A message will display that the new password has been sent to the user via e-mail.

6. To prevent confusion regarding the complicated password, use the “Change” option to change the
user’s password to a simpler password (see section 5.3).

6.1 Clock Event Management
The Clock Event Management function is used by the Vendor to view clock events of Vendor employees
on the Vendor Employee Management System.
1. Navigate to System Functions > Time Management > Clock Event Management:
2. When the “Clock Event Management” option is selected, the page below will display:
3. To retrieve a specific Vendor Employee’s clock events, the information requested must be
completed, this information includes the Vendor Employee, Begin Date and End Date:
3.1 Vendor Employee:

After the Vendor Employee ID and Display Name has been completed click on the “
” button and then on the “ ” selection to select the Vendor Employee.
Complete the Begin Date and End Date, then click on the “ ” button to retrieve
clock events for Vendor Employee set in the date range.
The retrieved data will display in a table, see below (when clock event times are shown in
red the clock times were added manually):

6.2 Purchase Order Management
The Purchase Order Management function is used by the Vendor to manage Purchase Orders on the
Vendor Employee Management System. (TO NOTE: PO is an abbreviation for Purchase Order)
1. Navigate to System Functions > Time Management > Purchase Order Management:
2. When the “Purchase Order Management” option is selected, the page below will display:
3. An e-mail will be generated as soon as PO Numbers are available for Purchase Order
Management, see below example of e-mail:
4. Complete the filters as needed, and click on the “ ” button.

5. The following table will display, click on the PO Number displayed in red:
6. The Purchase Order Management page will display for the selected PO Number.
7. Purchase Order Items are material codes that are linked to a specific PO Number that is being
managed; this will be mainly used to view material code types that exist for the PO Number.
8. The Plant/Cost Center Detail gives an overview of the plant and cost code connected to the PO
Number being managed.

9. Vendor Employee Detail is used to connect Vendor Employees to the PO Number being
managed.
9.1 To begin the process of connecting a Vendor Employee to the PO Number, select the Type of
Purchase Order (Month, Week or Shutdown) and then click the “ ” button:
9.2 Click on the “ ” button to connect the Vendor Employees to the PO Number:
9.3 The following screen will display, requiring information in order to connect a Vendor
Employee to the PO Number:
9.3.1 The first section that needs to be completed in the “Working Criteria”, this includes the Start
Date, End Date, Job Name, Shift Worker Status, Shift and the Shift Day:
9.3.2 The next section to be completed is the “Vendor Employee Search Criteria”; this includes the
Vendor Employee ID, Display Name and a feature to copy a Vendor Employee from another
PO Number.

9.3.3 Click on the “ ” button to retrieve the Vendor Employee details and click on the “ ”
selection to select and save the Vendor Employee from the list:
9.3.4 After the Vendor Employee has been selected and saved to the PO Number, the details of
the connected Vendor Employee will display in a table, click on the “ ” button to
proceed.
9.3.5 On the Purchase Order Management page the Vendor Employees connected to the PO
Number can be viewed in the table.
9.3.6 To adjust the End Date of the Vendor Employee connected to the PO Number click on the
“ ” button
The screen below will display where the End Date can be changed.

After the End Date is completed, click on the “ ” icon next to the appropriate Vendor
Employee to assign the new End Date, and then click on “ ” button to continue.
9.3.7 Icons:
Edit icon ( ) is used to edit the Vendor Employee details connected to the PO Number
being managed, when selected the screen below will display:
Delete icon ( ) is used to delete the Vendor Employee connected to the PO Number
being managed.
Show Clock Information icon ( ) is used to display the hours worked by the employee
connected to the PO Number being managed, the screen below is an example of hours
worked:
10. Breakdown Order (703) Detail is mainly used when the date that the PO Number was created is
after the date when the Vendor employees started to work on the PO Number.
11. Click on the “ ” button to navigate back to the previous page.

6.3 Time Management and Approval
The purpose of Time Management & Approval is to review the hours worked per PO Number, and
complete certain actions according to certain statuses to be able to create timesheets.
1. Navigate to System Functions > Time Management > Time Management & Approval:
2. When the “Time Management & Approval” option is selected, the page below will display:

4. Time Management & Approval Step 1 will be displayed, see below:
5. Click on the Vendor (in red) for the appropriate Month for which time must be managed and
approved.
6. Click on the “ ” button, at the bottom of the page, to navigate to Time Management &
Approval Step1.

8. Select the appropriate PO Number (in red) for Time Management & Approval Step 3.
8.1 The timesheets of Vendor Employees connected to the PO Number selected will display:
8.2 Use the “ ” icon to view the specific day’s detail regarding the hours worked by the Vendor
Employee.

8.3 The Vendor Employee Details screen will display.
9. Click on the “ ” icon to view a report for the specific PO Number in the same row as the icon
selected.

10. Creating a Timesheet:
10.1 Select a PONumber (in red) where a Timesheet needs to be created, click on the “ ” icon
10.2 The Timesheet Detail window will display.
10.3 Click on the “ ” icon that correlates with the “Create Timesheet “status.
10.4 Provide a “Delivery Note” number and click on the “ ” button to save the details, after this the
status will change to “Awaiting Time Manager” where approval is needed from the Time Manager.
