    New Graduate Student Welcoming Packet

    January 2012

    The Biology Graduate Student Association welcoming committee has put together the following

    packet to accommodate you as you transition into the graduate student life, and contains

    information that your advisor may or may not know. It includes information such as how to

    navigate K-States website,where to pick up your keys and get your office, what apartments are

    worth the fees they charge, and notable places in and around Manhattan. This information is

    combined from biology graduate student experiences, and we hope that it will help youimmensely!

    Welcome!

    To the new KSU graduate students of the Division of Biology,

    We would like to be the first to welcome you into the Biology Graduate Student Association (BGSA). Our

    organization is comprised of all of our excellent graduate students located in the Division of Biology. For

    many years the BGSA has fostered the means to provide graduate students of the Division of Biology

    with exceptional research and learning experiences. We strive to make our academic lives the best that

    they can be while having fun and enjoying the company of our biology family. We are glad that you will

    be joining us!

    In the following weeks you will be leaving your homes to join us here at KSU. This time period can be

    extremely exciting (but also tiring), and the BGSA would like to help you. We will be hosting one or more

    social events to meet fellow graduate students, and we will email you the specifics as the dates

    approach. We arent just an organization of all work and no play; we like to have fun as well!

    Your transition to graduate school can be tough, especially during the first few weeks to months. Rest

    assured that you are not alone, so talk to other new and seasoned graduate students for support! Here

    What is the Biology Graduate Student Association (BGSA)?

    TheBGSAconsists of all the Division of Biology graduate students. Once you become a graduate student,

    you are automatically a member of the BGSA and are invited to attend our monthly meetings. We

    promote professional development of graduate students by providing a forum to keep members

    informed of university policies, discuss academic concerns, and share ideas to further enrich our

    professional development. To support the graduate student body, the BGSA awards travel and finishing

    grants, invites and hosts seminar speakers and training seminars, coordinates lab manual sales, and

    plans social events for incoming and current graduate students.

    Graduate Research Assistant (GRA) vs. Graduate Teaching Assistant (GTA)If you are a GRA that generally means that the Division of Biology is not providing your stipend. Instead,

    money for your stipend may be taken from a grant of your advisor. If you are a GTA, that means that the

    Division of Biology is providing your stipend. No matter your designation, the teaching responsibilities

    are still the same; you have to teach one class during the fall and spring semesters. For tuition

    reimbursement, GRAs receive an extra check a couple of weeks into the fall and spring semesters. GRAs

    must then use that money to pay their tuition. Unfortunately this money is taxed, so depending on your

    tax status, being a GRA can mean getting less money for tuition (and you will have to come up with the

    remainder out of your own pocket). Fortunately, you can get most of this money back on your tax

    return the following year. GTAs on the other hand never see a tuition check and so the money is not

    taxed. Both GRAs and GTAs are responsible for summer tuition (See Campus Fees below).

    Teaching assignments

    Before the semester begins,Dr. David Rintoulwill e-mail you a teaching assignment form. This form will

    list which courses are in need of teaching assistants, and you will list your top choices and also the

    classes you would prefer not to be assigned to. Teaching assignments will be based on your requests

    and the needs of the Division. Many new graduate students choose to teach K-State s introductory

    biology course, Principles of Biology, or a course that is closely related to their own research interests.

    Be prepared to spend 4-6 hours per week preparing for and teaching your assigned course. Once youhave received your TA assignment, the coordinator or main professor will provide further information.

    International Students

    A great resource for International students is theInternational Student and Scholar Serviceslocated in

    the International Student Center on campus.

    K-State Website Information

    You can access your student information through four important links on the K-State homepage. Each

    page requires an eid (electronic id), which is the same as your e-mail address. You will create your eid

    and password upon entrance to K-State. Your eid is not your wildcat id number.

    ISIS: Browse the course catalog, enroll in classes, view academic records, transfer credits,update personal information, access campus finances (pay and view tuition and fees), etc.

    K-State Online: View and post information on the courses you are taking and TAing* KSOLallows you to view/post assignments, announcements, readings and grades for the class that

    you TA. Here you can also take/post online quizzes, submit assignments via electronic drop box,

    and view class rosters for the courses you are taking.

    *Note: For the classes you TA, instructors must grant you access to the course site before you

    can view or edit it.

    HRIS: View paychecks, update direct deposit information, order parking permits (student permitonly), change tax information, view/change personal data, etc.

    Webmail: Your campus email account. (http://www.webmail.ksu.edu )Course Enrollment

    You can browse the course catalog and enroll in classes through the ISIS link on the K-state homepage.

    ISIS shows you detailed class information (dates, times, section, instructor, units, and status) and allows

    you to enroll, add classes, drop classes and view your class schedule. If you are not able to enroll in

    classes due to a hold on your records, check the campus personal information section to see the details

    of the hold. Most likely, as a new student, you will need to update your personal information in either

    ISIS or HRIS (ethnicity, marital status, emergency contacts etc.).

    Both the Division of Biology and the larger KSU Graduate School have coursework requirements for

    graduate students. The Division of Biology requirements are on the Graduate Studieswebsite, and the

    KSU Graduate School requirements are in theGraduate Handbook.

    Coursework requirements vary depending on your degree. In general, course numbers 700-799 are

    undergraduate upper-division or graduate courses. 800-899 are masters-level graduate courses. 900-

    999 are doctoral-level graduate courses. When searching for classes, dont forget to look under BIOL 890

    Advanced Topics in Biology, which is where specialized biology graduate courses are posted. Your

    adviser and fellow graduate students can assist you in choosing classes if you need help.

    Health Insurance

    As a graduate student, we have access togeneral healthanddental and visioninsurance. F1 and J1

    International students havemandatory health insurance. Insurance must be renewed every semester

    (fall, spring, and summer). Every fall,Becki Bohnenblustwill place the new insurance enrollment form inyour mailbox; you must fill this out and turn it into Edwards Hall. For spring and summer, you will

    receive a renewal notice in the mail.

    Office Space

    If your advisor has not arranged office space for you, talk toBecki Bohnenblustin the Biology Main

    Office located in 116 Ackert Hall.

    Mailboxes

    Located in 104 Ackert Hall, the mailboxes are arranged in alphabetical order by last name. The mailbox

    order usually changes at the beginning of each semester, so double check that your box is still yours!

    Keys

    To obtain keys for the building, lab, or office, talk toDiane Ukenain the Biology Main Office Located in

    116 Ackert Hall. You will have to sign a key card and drop it off at Dykstra Hall. In a day or two, you pick

    up your keys from the same location in Dykstra Hall. You must bring your student ID.

    Tuition Fee Removal

    If you are a GRA, you may end up receiving the check to pay for tuition after the tuition has become past

    due and late fees have accrued. To remove late fees visitwww.ksu.edu/pay, click on the Forms-cashiers office link, then click the document titled Petition for Default Charge Waiver.Becki

    Bohnenblustin the main office can provide a letter explaining the situation to be turned in with the

    Petition.

    Campus fees

    We are responsible for our campus privilege fees throughout the year, but we are only responsible for

    tuition during the summer semester. GTAs have tuition waived during the fall and spring semester, and

    GRAs receive a check reimbursing them for the cost of tuition (See GRA vs. GTA above). We must be

    enrolled in at least one credit in the summer and at least 9 credits during the fall and spring semester.

    Parking Permits

    If you plan to park a vehicle on campus, you need to get a parking permit. You can get either a faculty

    (W) or student (O) permit, and you can get a permit for a semester or entire year. If you get a faculty

    permit, you need to get a proof of employment form fromBecki Bohnenblustand take it to the parking

    permit office located in the parking garage. If you get a student permit, you can order it online.

    Graduate students in the past have found getting a faculty permit is a better option for our schedules

    and convenience of location on campus. However, you may want to checkparking lot zonesto see what

    is best for you.

    Seminars and Journal Clubs

    Everyone is required to attend the weeklyDivision seminar, which is currently at 4 pm on Friday in 221

    Ackert during the fall and spring semesters. Journal club and additional seminar participation depends

    on your advisor and the program you are involved in. For a list of all the current journal clubs and

    seminars click on the link above and click on the Journal Club Schedule tab.

    Listservs

    You will automatically be added to the Biology listserv, but if you have not been added contactDiane

    Ukena. Other listservs that you may want to join are the BGSA (BGSA-L) and Konza (KONZA-L). To join

    the BGSA listserv, email the person designated on the contacts tabhere. To join all other listservs and/or

    see available listservs, follow the instructionshere, using the name in parentheses above.
