Terminology
For the purposes o f th i s cont rac t , you the exh ib i tor shal l be re fer red to as ‘ YOU’ and th i s i s an agreement be t ween YOU and Par ik iak i L imi ted/CyWineFes t , re fer red to as the Organis ing Company.
The area YOU as an exh ib i tor are h i r ing f rom the Organis ing Company shal l be re fer red to as your p i tch .
Dates and Times CyWineFes t wi l l be f rom Fr iday 5th June – Monday 8th June 2020•Fr iday 5th June – Cater ing exh ib i tors
wi l l se t up f rom 09:00 – 20:001 •Saturday 6th June – YOU wi l l have
4 hours and 45 minu tes for se t up, f rom 07:30 – 12:15 (doors wi l l open to the publ ic a t 12:30) .
•Sunday 7th June – YOU wi l l have 1 hour and 45 minu tes for t idy up and f ina l adjus tments , f rom 10:00 – 11:45 (doors wi l l open to the publ ic a t 12:00) .
•Monday 8th June – YOU wi l l have access to the premises f rom 09:00 – 14:00 to co l lec t any of your proper t y.
1Some heavy-duty goods exhibi tors may be permit ted to set up on Friday between 17:00 – 20:00 on an exception basis. I f this applies to YOU, YOU wil l be noti f ied in your Exhibi tor ’s Pack issued prior to the event.
This sec t ion refers to general setup and breakdown t imescales, YOU wi l l be issued with speci f ic set up t imes which wi l l be out l ined in an Exhibi tor Pack issued to YOU by the Organis ing Company in advance of the event .
Payment
1.YOU wi l l be requi red to g ive a s tand depos i t and to pay the fu l l re fundable depos i t to secure your booking. •This wi l l be re fundable up un t i l Monday
15th Apr i l 2020, thereaf ter your s tand depos i t wi l l be non-re fundable .
•If YOU wish to change the p i tch , the depos i t sum wi l l be t rans ferable prov ided your requi red p i tch i s no t occupied.
•Stand depos i t sha l l be ca lcu la ted a t 25% of the to ta l cos t inc luding any ex t ras reques ted and VAT.
•The re fundable depos i t taken as secur i t y for any breaches to the Cont rac t needs to be paid in fu l l a t the t ime of book ing. VAT i s no t appl icable to th i s payment .
2 .Fu l l payment i s due by Wednesday 18th May 2020. •YOU wi l l be suppl ied wi th an invoice
less the depos i t pa id , which you may pay by cash , card or by cheque payable to the Organis ing Company.

the Organis ing Company ’s bank account , taken in fu l l by debi t/credi t card by the Sales and Market ing team or i f se t t led by cash or cheque, make sure the monies have been rece ived by the above date .

Refuse disposal
I t is your responsibili ty as an exhibitor to ensure that YOU dispose of your rubbish (discarded stock, leaflets, boxes etc.) and have adequate cleaning equipment and refuse bags prior to entering the grounds. If you are dealing with perishable goods you must ensure that they are disposed of hygienically and any organic mat ter does not leave any stains in and around your pitch.
