FreeFlow Accxes Client Tools (ACT) & the Account Management Tool (AMT) Overview of ACT The ACT application runs on a PC or Solaris workstation. The tools enable a user to send print jobs from a PC, to retrieve scanned files over the network, and to save images. Selections made in the Client Tools will temporarily override the default settings of the FreeFlow Accxes Wide Format printers and Scan Systems.

Document sets can be created and saved as a single document. The printer queue can be viewed and submitted print jobs can be cancelled. Media usage data can be tracked, when job accounting is enabled, by assigning a User ID and Account ID to the scanned and copied documents. A Scan Directory is also specified before scanning documents. Each of the Client Tools is on a separate tab: Document Submit, Printer Queue, Accounting, Document Retrieve, and Device Manager tabs.

NOTE: The Accounting Tab is no longer functional. It has been replaced by an External Print Server, such as the FreeFlow Accxes Account Management Tool.

The Client Tools and the Account Management Tool (AMT) are installed using the Install Anywhere software. The AMT should be installed on a dedicated workstation without other applications being present.

After installation, go to the Overview and Quick Start help files to get started using this software.

Go to the latest copy of Release Notes to see a description of the new ACT & AMT features. (The ACT-AMT release notes come on the same “Accxes Client Tool & Account Management Tool” CD, which has the ACT-AMT install on it. If you download the ACT-AMT software from the www.xerox.com website, the Release Notes come with the downloaded install zip file.)

Overview of the Account Management Tool The AMT application is used to retrieve job accounting data from multiple printers that use FreeFlow Accxes firmware, version 7.0, or greater. The AMT Administrator will issue an AMT command to each printer to retrieve a copy of the media usage data and scanner usage data, which is in the job log file in the printer's controller. The data is defined by Printer ID, Account ID and User ID. The AMT then sends a command to each printer to purge the original data. This application replaces the Accounting Tab functionality of the Client Tools.

Warning: The AMT software should be loaded on only one workstation that is password protected, with no other applications loaded on the same workstation.

The AMT and the ACT software are installed during the same installation process. The installation can be done from the www.xerox.com website, or from a CD.

Drivers & Client Software Installation Guide 9

Page 14: Drivers & Client Software Installation Guidedownload.support.xerox.com/pub/docs/XRIP_AccXES_HFT/userdocs/… · See the instructions that are on page 2 ... A Windows 2000 or 2003

Note: After installation, go to the Overview and Tutorial help file to help you get started using the AMT.

Check your protocol before installing ACT and/or AMT: Before installing the Client Tools software, you should make sure that you are using the TCP/IP protocol at BOTH your workstation and the printer. (See NOTE below.) Check the protocols that are currently enabled at your workstation.

Windows 2000/XP: Right mouse click on My Network Places. Select Properties. Right mouse click on Local Area Connection. Select Properties.

If you will be changing protocols from an existing working setup, or setting up a new protocol, you should refer to the instructions provided in the Xerox FreeFlow Accxes System & Web Printer Manager Tool Setup Guide.

NOTE: External print servers (such as the Xerox External Print Server), that do not have bi-directional communications, are used for the submission of print jobs only. The other Client Tool features, such as job accounting, the printer queue, and document retrieval will not function. These print servers are recommended for support of non-TCP/IP networking environments only.

Configure your network connections: At the printer user interface, or Web Printer Manager Tool, check that the Subnet Mask, IP Address, and Gateway settings are correct. These are needed so that your workstation will be able to communicate with your FreeFlow Accxes compliant scanner and printer.

On the Web Printer Manager Tool: select Printer Defaults > Network > TCP/IP.

On the printer user interface: select Setup IO Ports > Ethernet TCP/IP > TCP/IP Address, Gateway, and Mask.

NOTES:

If you are going to install the Client Tools on a network, be sure that the specific drive is mapped (for example, G:\) to which you are going to install the software. Otherwise ACT will be installed to the C drive where an Accxes folder will be created in the Program Files.

If more that one computer will be using the same Client Tools software, each computer must be mapped to the same drive.

Both ACT and AMT can be installed from the same installation software. Both are uninstalled at the same time.

Clean Installation To perform a clean installation of the Client Tools or the Account Management Tool, the applications must be uninstalled and the XES preferences folder must be manually removed. The preferences directory was created while using the previously installed ACT and AMT. The uninstaller does not remove it. The following table describes where the XES preferences directory is located on various platforms.

Type of Platform Location of Act Preferences Directory

Windows 2000/XP C:\Documents and Settings\<User Name>\XES\Act

Solaris 2.6-2.8 <home directory>/.XES/Act

NOTE: Removal of the directory will cause loss of all ACT user device settings.

WARNING: Uninstalling the Account Management Tool will leave the saved AMT data files. However, if you manually delete files, create a backup copy of the saved AMT data files first. It is important to do a manual backup of the AMT database files on a regular basis. The names of the AMTdatabase files are: Accxesjadb.backup, Accxesjadb.data, Accxesjadb.script, Accxesjadb.properties. In the Windows environment, the default location of these data files is C:\Program Files\Accxes\AMTdatabase. In UNIX, the files are located inside the "AMTdatabase" folder that is found in the install directory (i.e. usually the "AccXES" folder.) If you accidentally corrupt or delete the saved AMT data files, they cannot be recovered. Your manually backed up files would then need to be copied into the AMT database folder.

The InstallAnywhere Uninstaller screen will come up. Click the Uninstall button.

An “Uninstall Complete” message will appear when the uninstall is complete. Click the Exit button. NOTE: Uninstaller deletes the current working directory, the Client Tools, and the Account Management Tool software from your PC.

You may also want to delete the Act folder, where your files were stored, if you do not need to access them anymore. (See the table in the “Clean Installation section of this document.)

UNIX Always run the uninstaller from outside the install directories. If you run the Uninstall_Accxes program within the Accxes/UninstallerData directory in Unix, the current Accxes work directory, and the subdirectory that you are in, will get deleted. Normal directory functions also will not work (i.e., ls or cd).

To uninstall the Client Tools software:

In a command (shell) window, execute the following command: cd <application install directory>/Uninstaller Data/ where <application install directory> is the directory in which you originally placed the ACT application. Then type the command: ./Uninstall_Accxes This will launch the uninstaller.

NOTE: Uninstaller deletes the current working directory, the Client Tools, and the Account Management Tool software from your work station.

You may also want to delete the Act folder where your files were stored if you do not need to access them anymore (<Users Home Directory>/.XES/Act).

Enabling Selection of Finisher Options A .FIN file is only required when bi-directional communication does not exist to FreeFlow Accxes Client and driver software.

IMPORTANT NOTE: The printer, controller, and PC need to be on the same network and turned on. The FreeFlow Accxes Client Tools need to be installed. The finisher must be connected to the printer and on so that the executable file can access the folder to create the correct .FIN file.

Creating a .FIN file for your FreeFlow Accxes Client Tools to connect to the finisher:

Go to http://www.xerox.com. Choose Support & Drivers. Go to the Wide Format section. Select the hyperlink that refers to your printer type. Under your type of driver, select Drivers & Downloads. Select your Operating System and Language. Press the Go button. In the Utilities & Applications section, choose the “Finisher File Creator”. Save the zip file to

your PC. Open the downloaded .zip file and extract the xesfin.exe file. Save it in the same place

where your ACT files are installed. On your PC, start a Command Prompt window by selecting Start > Run > cmd. In the Command Prompt window, change the current directory to be the same as the

location of xesfin.exe. The following screen illustrates this (see the arrows).

Enter the following command: xesfin.exe IP_Address folder.fin, replacing "IP_Address"

with the IP Address of your printer (in this example, 13.142.199.2). A “successfully created” message will be displayed when the .FIN file is created.

Start the FreeFlow Accxes Client Tools.

Go to Document Submit Tab > Job Options button > Finishing Tab.

Select “Add Folder” in the Folder Type list.

On the “Select a Finisher” dialog, locate the .FIN file that you just created and click “OK”.

The folder will be added to the Folder Type list and can now be selected. The appropriate folder methods for that folder type will be listed in the Folder Method drop down menu.

NOTE: Only the last folder that has been added will remain in the Folder Type list between sessions of using the Client Tools. It will also remain after you uninstall and install ACT.
