Sub: Providing & installation of Imported Variable Refrigerate volume Air-condition, Ductable split AC & Cassette AC in Chankaya GF at MDI Campus , Gurgaon

Dear Sir, 1. Quotations are invited for providing and installation of Imported Variable Refrigerate

volume Air-condition in GF, Ductable split AC & Cassette AC in Chankaya GF at MDI Campus, Gurgaon. Please submit your Technical & Commercial bids in a two separate envelopes. The envelop should be clearly marked separately as Commercial Bid and Technical Bid. The tenders should be submitted in a sealed cover addressed to:-

The quotes should reach on or before 1500 hours on 14 April 2017. Schedule of quantities and drawing attached as Annexure 1 & 2. The terms and conditions are given below:-

2. Terms and Conditions

(a) The prices quoted shall include the supply and installation at site for all equipment’s, ancillary material and other items required for carrying out the complete job.

(b) All taxes shall be indicated separately. Service tax on Supply & installation heads shall be paid extra as per rules, however the details of taxes be worked out and given in the quote.

(c) Secured advance not exceeding 75% of the value of materials brought at site can also be considered and the recovery of the same shall be done on pro-rata basis of progress achieved at site.

(d) No form C & D for shall be supplied. The rates should be quoted inclusive of LST/CST and excise duty, if applicable.

(e) TDS and WCT shall be deducted from the bills as per rules.

(f) The contractor shall submit an EMD of Rs.25,000/- by way of demand draft or banker cheque drawn in favour of Management Development Institute payable either at

Gurgaon or Delhi. The quotation shall not be considered without EMD. Once the offer is accepted, the EMD shall be treated as Security Deposit.

(g) Quotations shall be valid for acceptance for 90 days from the date of submission.

(h) Time of completion is one month from the date of receipt of Letter of Intent (LOI) from the Institute.

(i) Extra work, if executed, shall be analyzed and paid based on market rate added with 15% contractor’s profit and overhead. Vouchers/bills in support of the claim shall also be enclosed.

(j) Contractor shall arrange to provide at no extra cost necessary personnel and material to carry out all routine and special maintenance of the plant regularly for a period of 12 months from the date of completion.

(k) All works executed under the contract shall be guaranteed for a period of 12 months from the date of commissioning and handing over of the complete systems to the Institute. Any or all components found defective shall be replaced or repaired free of charge and any short comings found in the system shall be removed at no extra cost. The guarantee does not include refrigerant and oil.

(l) Terms of Payment :-

(i) 75% pro-rata payment against supply of equipment, component etc. (ii) 15% of the contract value on erection/installation. (iii) 10% of the contract value against testing and commissioning

(m) Defect and liability period would be 12 months from the date of completion. 5%

retention amount will be retained for a period of Six month.

(n) The air conditioning work shall be carried out at our Chankaya building GF.

(o) Routing, testing, pressure testing of fabricated components and performance testing shall be carried out at site.

(p) The AC units proposed are:-

(i) Imported Variable Refrigerant Volume-Air-conditioning System 22 TR x 1 No. (ii) Ductable Split AC 2.65 TR x 1 No. (iii) Cassette AC 2.65 TR x 8 No.

(q) If any cutting/opening is made for passing the ducts or pipe line etc. the same shall be

rectified at no extra cost.

(r) Conditioned air from the units shall be distributed using insulated GI ducting and good quantity of aluminum powder coated grills / diffusers and each indoor unit shall have individual control system.

(s) Acceptable makes are as under:-

(i) Imported Variable Refrigerant Vol. –Air conditioners system - Daikin, Mitsubishi, Toshiba, Blue star.

(ii) Ductable Split AC - Scroll Compressor (Copper condenser) (iii) GI Sheet - SAIL/National/NIPPON/TATA (iv) Insulation - Paramount /Trocellence/ (v) Grills/ diffusers - MAPRO/CARYAIRE/SERVAX/RAVISTAR (vi) Cables - CCI /Delton/Gloster/ECKO.

(t) The price quoted and accepted by the Institute shall be firm throughout the currency of

the contract.

(u) The contractor is expected to use best material and good workmanship and defects /discrepancy, if any, shall be rejected and no payment for such work shall be made.

(v) Electricity and water shall be provided free of cost.

3. The letter of intent (LOI) for the machines shall be placed with the principal supplier and low side components and execution with the dealer. If desired. Declaration to the effect that the units ordered are for the use of the Institute and not for resale shall also be given.

4. Contractor has to make own arrangement for storing materials and its watch and ward shall also be their responsibility. However we may consider to provide some temporary storage within the building which has to be vacated immediately after the completion of the work.

5. Above terms and conditions supersedes the general terms and conditions and technical specifications enclosed separately with the quotation.

6. MDI reserves the right to accept or reject any or all the quotations without assigning any reason whatsoever. No conditional quotation shall be considered.
