Training for e-Cert offers a step-by-step guide to the student of practical use of the computer for everyday purpose.

Learning Outcomes- Microsoft Word- File Management- Internet- Accessories At the end of the course you will be familiar with the computer and be able to access and use a number of programs, use e-mail and navigate the Internet. There is no exam at the end of the course. Instead during each section you will complete interesting and straightforward exercises which are contained in your workbook and will be explained by your tutor. Your tutor will help and guide you and answer all of your questions. By completing the exercises throughout the course you will demonstrate your understanding of the computer program e.g. Microsoft Word, email, Internet, and the accessories on the computer.

On completion of the course you will receive an e-Cert certificate and your achievement will be put on record. The most important thing is that you will be able to use the computer, to go on the Internet and to send emails.

Overview Desktop

Introduction

All PC’s both old and new work in principle the same way. Some may perform tasks quicker than others, and some can look slightly different at first glance, but the differences are usually quite minor.

The steps and explanations in this guide are relevant to all PC’s that use Microsoft Windows.

Turn on and Desktop.

Switch on Power Button on both Monitor & CPU.

Password may be required – the tutor will give help with this if necessary.

The pictures above show examples of start buttons and icons on an older PC (left) and on the latest PC version (right). There is no real difference except visually they look different. We will use images from the most commonly used computer at the moment (the older PC), throughout this manual.

The desktop is the first and last screen you see when you switch on and before you turn off the computer.Icons are the images on the desktop.

Double click (left) the mouse on an icon or shortcut program activates the program.

Start Menu

Click (left) the mouse once on the Start button to show what programs are on the computer. Click all programs and Double click on the program e.g. Microsoft Wordto open it.

KeyboardThe keyboard is similar in principal to the old typewriter and is used to input information into the computer. The advantages are you can run a spell-check and erase your mistakes easily before you print a hard copy on paper.

This the blank word Screen presented when Microsoft Word is opened. Study the toolbars and menus by hovering your cursor over them.

Keyboard Awareness Practice clicking the arrow keys to move cursor up, down, left and right. Use backspace to erase mistakes.Use the enter key to come down a line when required.Use shift key on left side or right side of keyboard for Capital Letters. Use Caps lock for all CAPITAL LETTERS.

MouseThe mouse is used to point the cursor at files, folders and Programs. The mouse has a left button and a right button near the end with the wire which you can push with your finger. This is called ‘clicking’.Double click on left side of mouse to open a file, folder, or programs. Double Click to open or Highlight.

Holding down the left button will allow you to click and drag to move objects around the screen.

Right-clicking on mouse will give a short-cut menu to whichever application you are using, for more in-depth menu use toolbar.

Menu and toolbar options Text style and sizeTo change the text to different fonts go to the format menu and click on the font you want to choose from the list given. You can then choose the type, size, and style of your text.

This can also be done using the toolbars at the top of your word screen, see the picture below.

Highlight font click bold to change, click italic to change font slant and to underline click on underline from toolbar.

To make changes to a document you always have to highlight where you want the changes to be made and if you want to make changes to the whole document you have to highlight the whole document.

To highlight one word double click (left) with the mouse on the word.

To change an area of words drag the mouse with the left side button held down over it.

To highlight the whole page go to Edit and click Select All.

Delete/Copy/Paste

To delete a line, paragraph or full page highlight the area you want to delete and press the delete button on the keyboard.

Highlight the area that you want to remove permanently and click cut on the toolbar to remove a word, sentence, or paragraph etc and click cursor on area you want to paste. Click paste.

To copy a word the same action applies; highlight the word, click on copy from toolbar or right click mouse for shortcut menu. Choose copy.

To paste you right-click the mouse for the shortcut menu. Click cursor where you want to paste and left click paste (remember you copy once and paste as many times as you like).

Inserting date To insert date, choose Insert from the toolbar and choose Format. Then click OK.

BordersTo insert a border on page, click Format on toolbar, click Borders and Shading and choose Page Border from Style. Click on choice and click OK. This will apply a border around the page.

Undo a mistakeTo undo a mistake, click on Undo icon on toolbar and it will undo the last move you made.

Spelling and grammar

Inserting a pictureTo insert a picture, click Insert on toolbar, choose Picture, Clip Art and select clip art of you choice.

Saving a documentTo SAVE a document go to file Save as and choose where you want to save the document. Choose Drive (A) (C) (D) etc E.g. My Documents, Desktop folder, 3.5 inch floppy disk.

Choose a File Name to suit document and type the name in the File name box.Choose a File Type (Default type is usually recommended).

Page Set-up and Printing Click mouse on File, click Page Set-up as required, and then Close.Click mouse on File, click Print. Choose the number of copies you require and click OK.

To log onto the Internet, you need a computer and a modem, which enables computers to exchange information via telephone lines. You’ll need a telephone line and service provider to set up an account.

Once you have selected an Internet Service Provider (ISP), which can often be your local phone company, they will provide you with all the software you need to use the Internet. This is usually supplied on a CD. The software should include instructions about how to install it, which means put it on your computer.

BrowserA browser should be installed on your computer and is necessary to surf the Internet.

BrowsingThe Internet, or net, is a huge network that links together millions of smaller networks. Telephone lines and cables connect networks all over the world to form the net. This means it’s possible to send information and messages worldwide via the net.

Double click mouse on Browsers e.g. Internet ExplorerHome Page is the first page shown on screen. To set the home page of your choice click on Tools on toolbar, select Internet Options and type the address e.g. www.google.com. Click Apply.

Tabbed browsing lets you load Web pages in separate tabs of a single browser window, so you can jump between them quickly and easily. With tabbed browsing, you can open new web pages in the same window without filling your desktop with new, unorganised browser windows.

Search Engines:A search engine is an Internet program that searches for the information you are looking for by just typing in words or phrases associated with that information. The search engine goes on to the web and brings back everything there possibly is that would be relevant to the word or phrase you typed in. Some of the most common search engines used today are:

Tool Bar

Address barTo go directly to a known website like Yahoo.com type their URL address www.yahoo.com directly into the address bar and press Enter. Other search engines can be used e.g. www.google.com to search for information.

FavouritesSites you visit frequently can be saved to Favourites for speed and convenience.You can create folders for organizing the sites e.g. Holidays, Property, IT sites. Sometimes your tutor will have saved web sites in your Favourites folder e.g. Sports sites, football teams, shopping, government sites etc

Internet

Before two computers can exchange information, they need to have a set of rules, which determines how the information is sent. A set of rules like this is called a protocol. Internet Protocol (IP) is the most important protocol used on the net. An email message sent from one computer to another via the net is broken into small chunks. When the chunks arrive at their destination, they are put back together to form the email message.

Email is a popular way of keeping in touch with others by exchanging messages using a computer that is attached to a network. Here is how it works in practice.

You type an email message on your computer. You give the message an address, so that it can be sent directly to the person you want to get the message. It is a bit like putting a postal address on an envelope. The message is sent to a server, another name for a computer, which is connected to the Internet. If you like you can think of the server as the Post Office sorting department except it all happens automatically with no people involved – only computers!

The server reads the address and passes the email message to the computer used by the person you want to get your message. The person can see on his computer that he has new email messages, can read your message and even send you back a reply!

Email

Email AddressEverybody has a unique email address which they normally get to choose themselves. The difficulty is finding a name that has not been taken by someone else!

You may have to choose an unusual version of your name or a nickname for yourself such as “franksie456”. This will be followed by the “@” sign and then by the name of the email service provider you have chosen such as “hotmail.com”.

Your full email address could then be something like: [email protected]

Ensure there are no spaces or commas in your address.

Here are some examples of web sites that you can use to send and receive emails. They are free and simple to use.For example Hotmail at http://www.hotmail.com

Send message When sending a message the screen will look something like the picture below. Fill in the boxes as follows:To: Enter the email address of person receiving emailCC: Enter the email addresses of other people if you want to send them a copy of the email. The person you sent the email to and the people listed in CC: will know who else was sent your message.Bcc: Add peoples addresses here if you want them to get a copy of the email but you do not want anyone else to know they are getting a copy.Subject: Write a phrase on what your email is aboutThe large white box below this is where you type in your message.

Received EmailsEach received email is shown in a list. To access mail double click on the one you want opened. To delete a message tick the box beside the message. Then on the bar above click delete. Never open emails you don’t trust as emails can carry viruses which are like bugs that mess up your computer!

CalculatorClick Start > Programs > Accessories > Calculator.Standard and help menu gives explanation of topics e.g. adding, subtraction.

GamesGames can be accessed through the Accessories menu.

Address BookTo save an address to the address book, click Address from choices at the side of email, double click on address on email received and click on Add.

To send an email using Address book, click Address book, click on name and the saved address will enter address bar.

AttachmentsTo send an attachment, compose your email and then click the Attachments icon. You will have to browse the computer and drives for the document or photograph you want to attach. Click Attach. Return to your email and send message. A reply should come to say that the email has been sent.

Internet SafetySafety procedures should always be adhered to when using the Internet e.g. never arrange to meet someone in person who you have only corresponded with via email. They may not be honest and may not be telling the truth.

To shut down the computer follow the instructions below. They are different depending on whether your computer has a Windows Vista, Windows XP, or a Windows 98 operating system. This is usually shown on a sticker on the computer.
