• 3:00am Call Time – NHS Auditorium – school busses to airport

• Lunch ($10 cash allotment given) at Grand Central Station

• 6:00am & 6:45am - Depart by (2) 737 private charter aircraft VPS to Newark, NJ

• 9:00am–12:00 PM EST on NBC – Thursday, Nov 22nd 2012

• NEW 2012 ROUTE

– The Parade will kick off at 77th Street and Central Park West, and

then march down to Columbus Circle where it will turn onto

Central Park South. At 6th Avenue, the Parade veers south and

marches from 59th Street to 34th Street, where it will make its

final turn and stop in front of Macy's Herald Square

• Only 6 High School Bands from the US in 2012 Parade:

– Father Ryan High School Marching Band, Nashville, Tennessee

– Kenton Ridge High School Marching Band, Springfield, Ohio

– Niceville High School Marching Band, Niceville, Florida

– Oak Ridge High School Marching Band, Conroe, Texas

Departure Day - Students

• Call Time for Students and F&F traveling on Charter aircraft, in seat no later than 3:00 a.m. - NHS Auditorium

• Parents say your “good-byes” in the parking lot – no parents in auditorium

• Roll-call for students in auditorium at 3:00 a.m.

– Sit by day group with assigned Chaperone as we will practice on Nov 15th

– Will give lanyard and airplane boarding pass at that time

• Shuttle by Bus from School to Airport in 10 minute intervals

– Off-load to TSA screening

Return Day

• Landing scheduled for 7:50 and 8:35 p.m.

• Students/F&F on charter aircraft – Bussed from plane to school for pickup at school

– Luggage and instruments taken directly to school but not there til probably about 9:30 as trucks will wait for both planes to land and load before leaving

– Students to help unload please – maybe parents who are fresh from not being on trip would be great too!

– Hopefully efficient, but be patient…

• 11/20 - Tuesday – Statue, Ellis, 9/11, Theatre – Dress warm – long day and could be very cold on boat especially early in the

morning (lots of history there!)

• Boys: Dress slacks/khaki’s, belt, dress or Polo shirt, comfortable shoes

• Girls: Dress slacks/khaki’s with blouse, comfortable shoes – NO HEELS, NO DRESSES!

• TSA Restrictions Reminder: – Carry-on luggage will have to be placed on belt to be x-rayed

• No liquids – this includes hand lotion or eye drops

– If there is a medical necessity to carry a liquid, it needs to be in plastic bag and in it’s original labeled bottle

Life On The Road – The Hotel

• Room Keys

– We will distribute room keys in the ballroom the first night

– Room captains will get them and give them to you

– Make sure you keep it in your wallet and take with you at all times

– Don’t put your key in pocket with cell phone

• If you need extra towels or are missing something in your room

• Notify your chaperone

• Do not call the front desk

• Do not try to order movies or room service

• Do not call anyone to have food delivered to your room at any time

• If for any reason there are bottles of water in your room – DO NOT DRINK THEM – YOU WILL BE CHARGED A LOT!

• Getting Up

– You need to stagger in the morning

– Couple to breakfast, couple taking showers – early breakfast can then come back up and take showers, late breakfast- dress and bring your stuff with you and be prepared to leave from downstairs

• When traveling in Day Groups

• There are several times we are in Day Groups - YOU MUST REMAIN WITH YOUR

DAY GROUP when we are moving from one place to another!!!

• Once we enter places like GCS, Liberty Island, Museum, Top of The Rock, etc…

you will be given free run and you can go with whomever you wish

• You will be given a time/place to report back

• YOU MUST BE BACK ON TIME!!– OTHERWISE YOU WILL BE WITH YOUR

CHAPERONE FOR THE REST OF THE TRIP

• You must always be in groups of at least 2 and one of you must have a cell

phone!

• Cell Phones Charged every night – NOT ON VIBRATE DURING THE DAY!

• Be on time for all departures

Ahhh the smell of Axe, potato chips, and

dirty clothes in the morning…

• Your rooms should not look like your rooms at home please

• There are 4 of you that have to live in a very small space for 5 days – be considerate

– Dirty clothes all in one pile for each person, use bottom of closet for a couple of

people

– Use drawers to put your clean clothes in for at least 3 of you and then use your

suitcases for dirty clothes.

– Don’t leave anything on the beds when you leave so the attendants can change

and remake them

• Bring toiletry bag to keep your stuff in, not room for 4 people’s stuff on sink

• DO SHOWER EVERY DAY – NO EXCEPTIONS!!!

– Maybe 2 at night and 2 in the morning

– Short showers

– Mornings are rushed

• Lights out means TVs off too, cell phones away

– You need some sleep to be able to keep up with the schedule we have

• Security guards will be on the floors throughout the evening for your protection. DO NOT LEAVE ROOMS!

Meals

• Breakfasts include lots of choices, both hot and cold

– You must eat something! We know it is early.

• Lunches are your choice (GCS, Ellis Island, Rockefeller Center, Museum)

– Lunch at GCS, we are providing $10.00 cash given at the station

– You need to bring $10-$15 x 3 lunches = ~$40.00- $50.00 for lunches

– Will be at food court types of places

– Exception is deli lunch at hotel on thanksgiving

• Dinners at 3 different restaurants – limited menu selections or buffets

– Vegetarian or Gluten Free available only if notified in advance

• You are not in Niceville any more!

• Gentlemen: – Carry your wallets in your front pockets

– Do not open your wallets on the streets to show people how many thousands of dollars you have in there

• Ladies: – Keep your purses strapped around and in front

• Keep back packs closed tightly

• Do not walk backwards down the busy streets

Tips for not getting sick

• This trip is a marathon

• Lots of long days, lots of walking, and cold weather

• DO

– Eat at every meal

– Drink at every meal and drink plenty of water throughout the day

– Many of the times we have had a problem with someone being sick – lack of

eating and drinking is the cause of it

– Dress right – no t-shirts without coat when it is 30 degrees outside – yes we had

that in Chicago with our seniors…

• If you have a problem with one of the meals, make sure to tell your chaperone so they can try to get something arranged for you – YOU MUST EAT!!!

• DON’T

– Energy drinks – NO – problems with hyper over-energized kids!

– Too many Starbucks! - The chocolate, iced mocha cappuccinos are not really

coffee – limit yourself – there is one on every corner (that goes for Mr. Wooten

too – tough to find bathrooms in the middle of the city, trust us we know…)

Student Medications

• Update Band Med Form if necessary (just submit a new one)

• Meds must be in Original Package

• Bring one week supply to luggage check-in day and give to Brenda Hopkins or Sara Vazquez – Place in zip lock bag, labeled with Student’s Name and

filled out med dispense form

• Do Not Send Vitamins

Student Medications

• Day group chaperones will only carry student meds if need to be taken during the day

– Room group chaperones will have remainder in their hotel room

• Exceptions: Inhalers, epi-pens, topical acne products, and birth control pills will be held by students

• Day Group chaperones will carry Advil® and Tylenol® if needed and will have sheet indicating if it is OK to give to students in their day group

• Chaperones will make every attempt to give medication at night, but 50% of the responsibility of taking the meds is with the student – remind your chaperone you need to take your meds each night

Band Travel Policies and Procedures

• What NOT to Take

– Game Systems – no PS3 or X-BOX

– Drugs, Alcohol, Tobacco (Luggage will be screened for drugs, etc. with dogs in band room)

– Pocket Knives

• Any electronic device you take is at your own risk! – Chaperones/NHS Band are not responsible for anything

that the kids bring with them

• For anything that makes noise – Must use with headphones

Band Travel Policies and Procedures

• Family members in the NY Area (below is for safety/security of kids)

– There are No“Check Outs” during the trip • Exception – If student is not returning to Niceville with the band, they can

be checked out at 4 separate times after we return from the parade to the hotel – HOWEVER there is no checking back in – they will no longer be on the band trip – Notarized Form was already due

• Only time for non F&F to visit with band members will be in the hotel on Thursday afternoon during their down time – CANNOT LEAVE!!!

– Visits Require Advance Notice – Notarized Note BEFORE Departure to Craig Ewing

– All of our dinners/breakfasts are in private dining rooms – No one except the band can be with the band for dinners or breakfasts except those on the Grueninger F&F tour for Thanksgiving dinner only

– No F&F or non-F&F family member will be permitted to be in the band meetings or on the student floors in the hotel at any time – security guards will be in place for student protection

Band Travel Policies and Procedures

• No use of the pool in the hotel

• Cell phone usage – Permitted during non-curfew hours and when not participating in an

organized activity

– Never permitted when in uniform

– Students will be provided with chaperone’s cell phone numbers

– Will be confiscated if causes a disruption at any time

• Consequences of Poor Student Choices – Immediate Principal Referral – On Site

– May be placed under the constant supervision of a chaperone for remaining trip activities

– May be sent home at the student’s expense

– May be held out of parade at discretion of Director
