Earth Day Texas (EDTx) promotes conservation
education and provides a forum for the exchange of
information about innovative products, technologies,
and causes that will help us leave a cleaner, safer
world to future generations.
In 2015, EDTx will expand on its success in becoming
the largest annual public environmental event in theworld by opening on Friday with its inaugural Eco-
Conference.
A very important part of the Eco-Conference will be
the events and meetings held by leaders in Texas’
myriad professional, government, non-profit, and
academic communities.
It is our hope that you will take the initiative tohold an event or meeting during the Eco-
Conference to i) further your organization’s
mission, and ii) expose your constituency to
information and ideas that will help us create a

EDTx’s Eco-Conference will not only expose its attendees to many of today’s current environmental
challenges, it will also showcase ideas, innovations, strategies, and solutions that can help individuals and
organizations make more sustainable choices.

It is our belief that by providingan annual forum for leaders in
conservation, business,government, and academia todiscuss today’s challenges andsolutions, we can facilitate thepromotion of sustainable
decision making in many of ourcountry’s largest organizations.

The Eco-Conference will be held on Friday, April 24, 2015 from 10:00 a.m to 6:00 p.m. (Banquets can be
scheduled during morning and evening hours).
EDTx will determine suitable locations for your organization’s event or meeting by completing a needs
assessment. Needs assessments will cover event or meeting format, time, estimated attendance and any
special needs.
Potential venues for meetings and events at Fair Park currently include:

HOW
In order to ensure that any meeting or event that you host during the Eco-Conference is well-organized
and runs smoothly, EDTx will pair your organization with one of its staff event planners who have expert
knowledge of Fair Park.
EDTx staff members have decades of trade-show and event planning experience and will ensure that you
have access to the information, expertise, and third-party contractors (e.g., catering, furniture, tables,
signs, chairs, audio, video, floral, etc.) necessary to create the experience you are looking to deliver to
your attendees.
At it’s own discretion, EDTx may elect to provide the following services to organizations with events that
are compatible with the objectives of its Eco-Conference:

! Dedicated event planner to answer venuequestions, help determine needs, andintroduce third-party contractors that will beon hand to provide event services.
! Maps and written instructions for yourattendees that cover directions and parking.
! Event space with electricity.
! Water and coffee stations.
! Inclusion of your event or meeting on Eco- Conference directional signage.
! Security and janitorial services.
! Select furnishing packages for non-profit,academic, and government organizations.

HOW
Please review the following checklist that covers hosting a meeting or event at the Eco-Conference
and reach out to your contact at EDTx to discuss opportunities:

1. Work with your organization’s leadership to create a one pagesummary of your proposed meeting or event that describes itspurpose, estimated number of attendees, and preliminary scheduleof needs (e.g., tables, chairs, microphone, etc.)
2. Collaborate with your dedicated EDTx staff member to find alocation at the Eco-Conference that is suited to your event ormeeting.
3. If applicable, work with your dedicated EDTx staff member to quoteand reserve services that EDTx does not provide (e.g., catering andaudio / video equipment).
4. Market your event or meeting to your organization’s attendees and
register interested parties.
5. Forward your attendees a copy of your organization’s attendeeinformation sheet (template to be provided by EDTx).
6. Host your event or meeting and enjoy exploring the Eco-Expo andEco-Conference with your guests!
