Job Creation & Planning

Multi-level Product Workflow

The Monarch Mailing workflow provides an easy-to-understand, visual representation of complex multi-level mailing products. The solution eliminates the manually-typed notes associated with most complicated assembly and construction descriptions of the final mailed product. By using structured, user-friendly tools to describe complex mailings, consistency increases across multiple CSR’s as errors are reduced and time savings are realized.

Multiple Product Versions

Monarch Mailing provides a simple method to build multiple versions of a mailing and a quick way to identify which components go into each version, as well as the insertion order (sequencing) of those components. A simple grid-like matrix on the work tickets illustrates the multiple versions, eliminating the need for typing lots of complex notes to explain each version and eliminating the need for stand-alone spreadsheets or inserting grids.

Multiple Component Versions

Monarch Mailing contains easy-to-use tools for quickly creating multiple versions of a single component and efficiently configuring the ink or plate changes for each version. Visual representations of the versions on the screen provide easy recognition and comprehension for the viewer.

Drag-and-drop Job Building

The intuitive Mailing software speeds up the job creation process by allowing an “expert” to build and maintain a Virtual Parts Library that can then be easily used by staff with less experience. Consistency of information across multiple CSR’s reduces errors and increases comprehension by others involved in the project.

Data Processing Instructions

All data processing instructions can be provided within the job creation screens. This eliminates the need for external systems or off-line forms or spreadsheets, again providing consistency, accuracy, and completeness of job related information.

Proofing Instructions

Purpose driven screens for this information eliminates the need for using general notes to describe proofing requirements. Proofs can be emailed directly from the job screen and progress/status of proofs can be tracked within the system. Proofs can be viewed at any time within the job.

Attachments on Jobs

All job related documents can be attached to the job and viewed within the job screens. This eliminates the chance of losing documents in miscellaneous folders and saves time having to find documents associated with a job. All users can easily locate job documents with a common method, eliminating tribal knowledge held by individual CSR’s of where job-related documents are stored. Increased security allows only users with access to the job to see documents and all documents are backed up as part of the system database.

Intelligent Inserter Pocket Planning

CSRs and operations planners no longer need to manually calculate the planned sequence of packages on inserting equipment. The system plans the most efficient sequencing based on the combinations of components included in each package. This information is printed on the work ticket so no separate offline processes or spreadsheets are needed.

Work Tickets Include Mailing Specifications

Mailing will generate work tickets for production that include all mailing and postage specifications along with visual inserting diagrams for each version/package. One system houses all of the information needed for a job involving printing, data processing, and mailing.

Presort Workflow Integration

Integration with BCC Presort for Manual Workflow

With BCC integration, Monarch Mailing can import a presorted mail list file into Monarch to update all job mailing counts. This presents a significant time savings and increases accuracy of data transfers. The process also includes automatic calculations of new planned hours for production and inventory requirements for the mailing project.

Auto Creation of Drop Shipment Distribution

Users no longer have to manually enter advanced shipment information into Monarch for all of the shipments to various post offices for the mailing. This also provides the ability to proactively use shipping reports to foresee shipments for each day.

Postage Management

Postage Fund Reservations

Monarch Mailing users can reserve the estimated amount of postage funds needed for a job. This can be done either as an automated reservation from an escrow as an automated reservation from an advanced postage deposit or via a manual request for a postage deposit for a specifi c job.

It provides real-time insight into available postage funds and ensures that there is enough postage on account to fund the postage required for a job.

Import Postage Usage

Postage cost generation can be accelerated and re-keying of data can be eliminated as users can import postage usage via a fi le from a digital meter or presort equipment.

Inventory Management

Inventory Commitments and Reservations

By automatically generating reservations/allocations for fi nished goods and customer-owned inventory, users gain real-time insight into demand for mailing inventory items. They can foresee potential shortfalls and trigger the replenishment process when necessary. This reduces the likelihood of running out of inventory for a mailing project at the last minute.

Billing

Auto Create Invoice Lines for Postage Usage

Monarch will automatically generate the lines on the invoice for the postage usage on the job, leading to time savings for CSRs, and highly accurate fi nal customer-facing documents. As part of the integrated workfl ow, complete postage reconciliation is achieved.
