A well-written thank you letter can have apositive affect on one's candidacy.Despite this, many job seekers do notwrite one. Prepare a note — it just mightsave your candidacy.
Experienced job seekers take an hour ormore to prepare a brief, tailored thankyou note for each interviewer. Butbeware: a poorly written note with justone spelling error will almost certainly killa good interview.
Take your time, be clear, to the point,and use spelling and grammar check.The contents denote your social andcommunications skills.
The purpose of the note, apart fromthanking the interviewer for taking time tomeet with you, is to stand out from thecrowd and to strengthen your candidacy.
Examples of a conservative approachand contents for an effective thank youletter follow:
• Thank the interviewer for taking thetime to meet with you.
• Reiterate your interest and excitementin the position and the company.
• Help the interviewer to remember youby identifying a personal connectionmade during the interview.
• Remind the interviewer of one or twokey strengths you believe are relevant andlikely not possessed by competingcandidates. This should be very brief andis optional. A lengthy repetition of your
résumé and what was discussed duringthe interview could be viewed negatively.
• Include a key experience oraccomplishment you forgot to mention ifyou believe that it is relevant to theposition requirements.
• Keep the note brief and less than halfa page.
• Attach personal or professionalinformation requested by an intervieweror volunteered by you during theinterview. Material can include a favoriterestaurant, an extract of a report youpreviously prepared, or other supportinginformation.
A separate note should be sent to eachperson met. If for some reason all namesor contact information were not obtained,send the note to a key person whosecontact information you know, and askthat person to pass along yourappreciation to the other members of theinterview team.
Your thank you note should be sent withinone day after the interview to achievemaximum effectiveness. Timely and well-written notes may influence the decisionto invite a job seeker back for anotherround of interviews and they areexpected by interviewers.
A delay in receiving one can gnaw at aninterviewer. Some job seekers prefer tosend a handwritten note to make it morepersonal, even though it may take three to
five days to reach the recipient.
In today's environment, speed is criticaland that makes e-mail the fastest and mosteffective means of delivery. If youreceived the e-mail address of aninterviewer, send the note via e-mail. Ifyour interview was on a Friday, a papernote could be acceptable if it arrives byMonday.
If you are risk-averse or believe that youdid well during your interview, thenremain in conservative mode. Susanbelieved that she established a greatrapport with Scott and conveyed withconvincing vignettes that she possessedthe required experience for the position.
Based on that assumption, she sent afriendly thank-you note, including areminder of the Paris connection and aclear statement of excitement.
A Risky Thank You Note
There is another approach that falls intothe high-risk, high-reward category. If thehiring manager described a majorproblem, such as a need to develop abusiness plan or to train a project team,you may wish to take the time and attacha draft solution with your thank-you note.
Let's say the hiring manager complainedabout a business problem; you can attacha description of the problem as youunderstood it and provide a well-thought-out approach to its solution.
