Session Introduction(Allow 10 minutes)

Welcome everyone, introduce yourself, and provide an overview of what you do in your organization, if appropriate.

Provide an overview of topics to be covered during the session and describe what you would like your audience to gain from today’s session.

Ask what additional topics they would like to learn from the training and note all suggestions on a whiteboard or the following outline, for your reference.

Mention that, later in the session, you will cover the EBSCO Support Site, a valuable, easy-to-use source of information for future reference.

Distribute the exercises provided at the end of this guide and tell the group they will have time to practice what they have learned.

Mention that you will ask them to complete a short evaluation form at the end of the session, encourage their candid feedback, and thank them in advance.

Overview(Allow 5 minutes)

EBSCOadmin is the administrative tool for EBSCOhost that allows users to manage and control users’ EBSCOhost search experience, view database title lists, generate usage statistic reports, and update authentication information.

Some of the topics covered in this guide include: EBSCOadmin Security Become familiar with the Customize Services main tab and general settings Authentication Local Collections Creating Groups and Profiles Generating Reports and Statistics

Briefly review the functionality of the 5 key tabs:1. Customize Services – customize the features and functionality of the user interface. 2. Authentication – create and update authentication, such as User ID and Password or IP addresses.3. Local Collection – provides the ability to upload the library print holdings or online collection which can

be used to provide linking functionality to other online resources or provide a message to users on the result list.

4. Reports and Statistics – provides usage statistics, such as session, database and COUNTER reports. Link activity reports are also available.

5. Database Title Lists – lists the current publications available in the database.

Training Content(Allow 60 minutes)

EBSCOadmin Security

Through EBSCOadmin security, a library administrator can change their EBSCOadmin password as well as create additional administrators.

Roles refer to the top 5 tabs: Customize Services, Authentication, Local Collections, Reports & Statistics and Database Title Lists

Read (only) – provides administrator access to view selected settings

Write (full rights) – provides read and write access to the available tabs

None (not visible when user logs in) – tabs will not be visible to administrator

Change Password

Update or add secret question

EBSCOadmin password is valid for 365 days

Strong password requirements—a password must include:

at least 6 characters

upper and lower case letters

a number or character

Customizing Services

Point out the different profiles within the account by selecting the down arrow next to Choose Profile.

Profiles provide the ability to:

group databases or interfaces

apply customized limiters, search screens, and other features

Through Profile Maintenance, an administrator can create and reorder profiles.

New Features

When enabled, the link will appear in the top right on EBSCOhost.

Users can visit the New Features Screen, try out selected features for their current session, learn about additional features, and read about features that will be “coming soon.”

c. Rearrange the Order of Limiters as they appear on the search screen.

Local Message Collection – select a collection of titles uploaded in EBSCOadmin to display a note on the result list if the title is available.

Message for Titles Outside of Local Collection – displays a message on the result list for titles outside the local collection selected for the “Local Message Collection.”

Enhance Catalog Records – option available for imported custom catalogs

Related Information

Select in Show column to view associated keyword results.

Select Yes in the Default to Open column to automatically display results.

Options will vary by database subscription, the follow are some examples:

Setup/Maintain Proxies – defining a proxy and enabling the proxy for a persistent link will prompt the user for proxy information when accessing a persistent link or links from alerts.

Allow user to change languages dynamically during session – this setting will enable the user to change the language dynamically for the interface only.

Language Translation for Full Text – this setting will enable translation for HTML full text. Full text translation options include: Spanish, French, German, Portuguese, Norwegian, Italian, Chinese, Japanese, Russian.

ColorZilla (http://www.colorzilla.com ) – plug-in for FireFox and Chrome assists in determining website colors

View examples of how customers are using custom colors, visit EBSCO Discovery Service Support Center (http://support.ebsco.com/eds/), select the Branding tab.

Preview screen will show color transition.

Custom Color Best Practices (for optimal usability):

a. Suggestion: Each color should be lighter than the previous shade (i.e., color three should be a lighter version of color two).

b. Avoid choosing white for Color Three Text and Links. Choosing white will cause the Sort By dropdown menu to appear empty.

c. Avoid choosing white for Color Four Text and Links color. Choosing white will cause the Alert/Save/Share text to appear empty.

d. Avoid choosing blue for Color Four Text and Links color. Choosing blue will cause the page navigation text and links to all be the same color. Users may think the page navigation text is hyperlinked.

Local Collections

Administrators can upload a list of titles (either print or online). Local collection files can be used to add a message on the result list informing users a title is available in a library collection. A local collection file can also be used to provide a link on the result list to another online resource.
