As you read this guide, you will see that there is a list of actions that you need to take prior to commencement on your programme of study. For your benefit, the list below has been prepared to assist you with the actions:

DIRECTIONS TO CAMPUS Heriot-Watt University's Dubai Campus is located in Dubai International Academic City (DIAC), 20
minutes from Dubai city centre by car or taxi, and 30 minutes from Dubai International Airport.
From Dubai and Abu Dhabi
- E311: Take the Sheikh Mohammed Bin Zayed Road (E311) and exit (44) taking the direction of Al-Ain
Road (E66) - E66: Continue in the direction of Al Ain until Junction 16 where you will see signs directing you to turn
right onto Academic City Road (D54). (You will pass the Nad al Sheba Armed Forces Camp on your right hand side also).
- D54: Continue along Academic City Road, passing Sheikh Zayed University and The Higher College of Technology on your right. Go straight at the first roundabout, staying on Academic City Road.
- At the second roundabout, keep driving straight and you will see Heriot-Watt University Dubai Campus on your right (there is no entrance from this road and therefore you must keep driving straight)
- Before the traffic signal, enter the slip road on the right. - Drive straight and then take the first right. Go straight at the small roundabout and you would reach a
T-junction. At the T-junction take a left and keep driving along the road. Take the second left and drive straight.
- You will now see Heriot-Watt University Dubai Campus on your right. Enter through the first gate.
From Sharjah and Northern Emirates - E311: Take the Sheikh Mohammed Bin Zayed Road (E311) and exit (50) onto Manama Street (D67) - Keep driving straight and you will reach a traffic signal. Go straight from the signal and then take the
first right. - Go straight at the small roundabout and you will reach a T-junction. At the T-junction take a left and
keep driving along the road. Take the second left and drive straight. - You will now see Heriot-Watt University Dubai Campus on your right. Enter through the first gate. From Al Ain
- E66: Take the Al Ain Road (E66) in the direction of Dubai. Exit at Junction 16. - D54: Take Academic City Road (D54). - D54: Continue along Academic City Road, passing Sheikh Zayed University and The Higher College of

IMPORTANT THINGS TO DO BEFORE YOU ARRIVE ON CAMPUS In order to make the start of your studies at Heriot-Watt University as easy and enjoyable as possible, we recommend that you do the following things before you arrive on campus to commence your studies. Further information on each of these will be detailed later in this section.
- Check out all the important information in this guide and also online at: http://www.hw.ac.uk/new-students/dubai.htm At the above website, designed especially for new students, you will find further details on the en-rolment process and also the services we provide.
- Return ‘Reply to Offer of a Place of Study at University’
This must be returned within 2 weeks of offer or in the case of a late offer, by 1st
September 2014.
- Enrolment: Part Enrol Online*
All students are required to enrol with the University. To assist the University with the enrolment process, we would like you to complete part of your enrolment prior to attending the Campus to complete the enrolment process (see pages 16 – 17 for specific dates/times).
To part enrol online before you come to the University, follow the instructions below. You can part enrol online from the 7
th August:
1. Go to www.hw.ac.uk/selfservice 2. Enter your HWU Person ID (found on any recent letter from us) and your date of birth (PIN
number in the format ‘ddmmyy’) to log-in. 3. Click on Online Enrolment. 4. The first time you log-in you will be asked to change your PIN number and set a security
question and answer. 5. Update your Personal Information, Home & Term Address, Additional Information,
Emergency Contact and upload a Photograph (see Photographs section). Once you have completed each section they will appear with a tick.
6. Once you have completed all sections you should Exit. Please keep log-in details safe as you will require them the next time you log-in to complete the process.
If you have not been given an unconditional offer you may not be able to part enrol, however this can be done when you arrive on-campus following your enrolment and induction sessions.
- Check out your Enrolment and Induction Timetable
You will find the enrolment and induction timetable for your programme in this guide. Please en-sure you attend at the allocated time. During this event, you will receive more specific programme induction information from your Academic School/Department.
- Your Financial Responsibilities All students are charged tuition fees which may be paid by a sponsor or by personal contribution. It
is your responsibility to ensure that the required financial documentation etc are in place prior to en-rolment.
- Complete and return the enclosed leaflet You will find attached with this guide, a Medical Form which you should complete and return to the
University as soon as possible. Completion of this form will enable us to inform the appropriate medical practitioner in the event of an emergency
If required, you should complete and return applications forms for Student Transportation and Ac-
commodation. Further details on page 10.

- Start process for obtaining your Student Residence Visa (if required) and receive Student Entry Permit
All students (except GCC nationals) must have a visa to study at Heriot-Watt University Dubai Campus. There are two types of visas: - Sponsor (Employer or Parents) Visa - Student Visa (must be studying full-time to obtain this visa) The University will provide assistance and support to students who require a ‘Student Visa’ to study at the Dubai Campus. You must obtain the student visa before entering the country if you are trav-elling from outside the UAE. Once you have been accepted to study at Heriot-Watt University Dubai Campus, you will be sent a Visa Application form to complete and return to us as soon as possible. Other documentation re-quired is listed below: - Completed Visa Application form - Completed Student Undertaking letter - Letter of Admission/Offer letter and reply slip - Clear Passport copy (You must have a valid passport for 6 months) - Original passport and Visit or Tourist visa or cancellation paper (for in-country visa) - Parents’ Name & Nationality - Contact Details in UAE (if available) - Details of local guardian (if available) - 12 x passport size colour photographs with white background - Proof of Payment of 25% tuition fee and security deposit for the current year - Proof of Payment for Visa fee and deposit for the current year - Confirmation of Medical Insurance to cover visa period All paperwork should reach the University, 45 days prior to the start of the programme. Once all documentation has been submitted, the University will send you a scanned copy of your ‘Student Entry Permit’ for you to gain entry into the UAE. The Visa is valid for 12 months and renewable each year for students who continue to be study on a full-time basis, at the University. Prior to the approval of your ‘Student Residence Visa’, the Dubai Government requires you to take a medical test. Please note that you will not be able to commence classes without having the appropriate visa in place. For further information, please refer to www.hw.ac.uk/dubai.
- Apply for Student Transport (if required)
The University provides a transport service to enable students to travel to and from the Dubai Cam-pus. This service is dependent on demand and location of accommodation. We offer a transport service to the campus for full-time students from the following areas: - Satwa, Bur Dubai, Karama, Deira, Rashidiya and Mirdiff - Barsha, Emirates Hills, Marina, Sports City, Arabian Ranches, Dubai Investment Park,
Greens and Gardens - Ghusais, Sharjah and Ajman - Abu Dhabi and Al Ain The service operates five days per week, Sunday – Thursday, and pick-up times vary depending on the number of students and the distance to campus. For further information, please refer to www.hw.ac.uk/student-life/campus-life/dubai/transport.htm The appropriate application should be submitted to the University, 30 days prior to the commence-ment of the programme or as soon as possible, accompanied by the appropriate fee.

- Apply for Student Accommodation (if required)
The University provides safe and comfortable on-campus student accommodation. For further in-formation, please refer to www.hw.ac.uk/student-life/campus-life/dubai/accommodation.htm
The appropriate application should be submitted to the University, 30 days prior to the commence-ment of the programme or as soon as possible, accompanied by the appropriate fee.

WHEN YOU ARRIVE ON CAMPUS Once you arrive; you should complete the following tasks prior to the commencement on your programme of study:
- Submit original documentation in relation to your Student Residence Visa and attend the medical test (if appropriate)
- Attend enrolment and induction events for new students - Complete enrolment process
STUDENT RESIDENCE VISA If the University will be supporting you with the processing of your Student Residence Visa, please ensure that you visit the Visa Office at the Campus, within three days of arrival in Dubai, to ensure that all docu-mentation is complete. If all other documentation has been submitted prior to your arrival, you will only need to submit your original passport and original Student Entry Permit. Please ensure that you provide 12 passport sized photographs with a white background. Once this has been confirmed, you will be required to attend a government hospital or medical clinic for a health check. The medical check is a blood test and chest X-ray for HIV (AIDS), Hepatitis B, Hepatitis C, Tuberculosis (TB), Leprosy, and Syphilis. If results come back positive for any of these conditions, it may be likely that you will be deported. The University will arrange for you to be taken to the hospital/clinic for these tests. Following your approved medical test, your Student Residence Visa will be entered into your passport. Please note that all Student Residence Visas are one year in length. ATTEND ENROLMENT AND INDUCTION EVENTS The University will be holding a series of mandatory enrolment and induction sessions for new students. For further information, please refer to pages 16 - 17. COMPLETE ENROLMENT PROCESS

ENROLMENT PROCESS FOR ACADEMIC YEAR 2014/15 All students are required to enrol with the University. This section is designed to help you find your way around the enrolment process. Academic Registry ([email protected]) has overall responsibility for the enrolment of students however, local arrangements are in place to deal with any enquiries you may have through the Academic Admin-istration Office. Please refer to the contacts on page 22 for further details. Alternatively, information can be downloaded from our website at http://www.hw.ac.uk/new-students/dubai.htm WHAT IS ENROLMENT? At the beginning of each Academic Year, all students are required to enrol with the University. Enrolment is the process through which students must: • agree to become a student of the University for the whole, or part of the Academic Year • formally sign up in confirmation of their agreement to abide by the University’s Statutes, Ordinances
and Regulations, Policies and Procedures, and to become liable for fee payments • check, update and confirm as correct, key personal information in their student record. There are three stages to the enrolment process for new students at the Dubai Campus: • Stage 1 - Pre-Enrolment Meeting • Stage 2 - Fee Payment • Stage 3 - Online Enrolment and Enrolment Completion
WHEN WILL ENROLMENT TAKE PLACE? Enrolment for new students will take place at the Dubai Campus on the following dates:
Please note that you are not required to attend our September Enrolment Events if you attended the Early Enrolment event in August and completed the process. Please note that you will only be eligible to attend this event if you have already accepted a place of study on the programme.
All students will be eligible to attend enrolment commencing from 7
th September 2014. It is important that
you attend the enrolment sessions at the time specified for your programme. For specific dates/times, please refer to pages 16-17.
Full details on the enrolment process are explained within this section. If you have any queries about the process, please contact Academic Administration Office (contact details are on page 22). Please note that any student with an outstanding debt to the University from a previous year or programme will not be permitted to enrol until arrangements are made with the Finance Office to clear the debt. Prior to enrolment, commencement on the programme will not be permitted.

ENROLMENT PROCESS All students are required to enrol with the University through our online enrolment facility. There are 3 main stages you need to complete before you are fully enrolled: Stage 1 - Pre-Enrolment Meeting You must attend a pre-enrolment meeting within your Academic School in order to have your programme of study and choice of courses (if appropriate) approved by your Programme Director. The time and location of these meetings are listed on pages 16-17. Stage 2 – Fee Payment After your pre-enrolment meeting, you will be directed to the Finance Office to pay any outstanding tuition fees. If you have paid all your fees in full or submitted the appropriate financial documentation, you will be directed to the computer laboratory to carry out online enrolment (Stage 3). Staff will be available to answer any questions you may have.
If you have not submitted the appropriate financial documentation until the day of enrolment, it is likely that you will not be able to complete enrolment, therefore it is advisable to carry this out before your enrolment day.
Please refer to page 18 for further information relating to your financial responsibilities. Stage 3 – Online Enrolment and Enrolment Completion It is envisaged that the online enrolment process will take approximately 20 minutes to complete. You will be asked to provide/confirm the following information through the online facility:
- HWU Person ID (found on any recent letter from us) and date of birth or your PIN number if you
have part enrolled - Personal details (including home and term addresses, ethnicity, disability and visa information,
where relevant) - Upload/Confirm Passport-style photograph - Programme and Course information - Fee information - Acceptance of University terms and conditions
Photographs The University requires a clearly identifiable passport-style photograph taken against a white background for all students to enable a Student ID Card to be printed. There are currently three ways to provide this photograph:
- Upload a photograph during the online enrolment process from a folder/USB memory stick - Complete the ‘Photograph Form’ found at http://www.hw.ac.uk/documents/new-student-photograph-
form.doc and follow the instructions. - Bring a passport-style photograph to the Enrolment Event
Confirmation Letter Following completion of online enrolment, you must print your enrolment confirmation letter. Please note that it will only be valid once it is stamped by the Academic Administration Office – this will b edone during Stage 3 of the process. All new on-campus students will be required to attend Enrolment Completion in order to complete the enrolment process. This will include the following:
- Identity verification (ID) check - Collection of Student ID Card

To ensure that the identity checks can be carried out, you must ensure that you attend the event with formal photographic identification (passport, driving licence etc). Following successful completion of the identity check and collection of your Student ID card, you will be fully enrolled. Enrolment Completion will take place on the same day as Stage 1 and 2 of the enrolment process. You will have a specific time to come along as listed on pages 16-17. LATE ENROLMENT All students who do not enrol with the University on their specific enrolment date may be charged a late enrolment fee of 230 AED to cover administration costs. You will still be required to meet with your Academic School/Department for your pre-enrolment meeting, pay any outstanding fees, enrol online then have your ID checked and your student card produced. Contact the Academic Administration Office in the first instance. Please be aware that you will not be permitted to attend classes, take examinations etc until you are fully enrolled with the University.
PERSONAL DATA INFORMATION For information on what the University does with your personal data, your rights and information on what personal data we have to share with the Higher Education Statistics Agency (HESA) please refer to: www.hw.ac.uk/quality/statistics.htm
HWU STUDENT IDENTITY CARDS All new students will be issued with a Student Identity Card for the duration of their study – it is essential that this card is kept in a safe place. A replacement card will only be issued in the following circumstances:
- in the case of loss - where, in the opinion of the University, the card has been damaged to an extent which renders
it unusable, or - following a change of expiry date.
A charge of 60 AED will be made for a replacement card in the event of loss or damage. No charge will be levied if an official police report is produced confirming that the card has been stolen. All students are advised that they are required to show their Student Identity Card to an authorised person on the following occasions:
- at an examination - for student election purposes - for use of Library and Computing Services - on request by any officer of the University, including Security Patrol Officers - on any other occasion where a reasonable request is made.
DIAC STUDENT IDENTITY CARDS There may be a requirement introduced by the Dubai Government for all students in the DIAC freezone to have DIAC Student Identity card. This decision is independent of HWUDC and may incur additional costs, payable by you. We will inform you of the situation as soon as we know.
LIBRARY
You will be automatically registered to use the Library following completion of the University Enrolment process. Your Student Identity Card acts as your Library borrower’s card, and your library number is printed under the barcode. You may borrow from the Library the day after completion of the enrolment process. For further information on the Library, please refer to our ‘Student Guide’.

COMPUTING SERVICES You will normally gain access to IT facilities 24 hours after you are fully enrolled. Email and login details will appear on your enrolment confirmation letter which is accessible at the end of online enrolment. For further information on computing, information systems and network facilities, please refer to our ‘Student Guide’.

YOUR FINANCIAL RESPONSIBILITIES
This section has been produced to help you anticipate the cost of achieving a university degree. All students are charged tuition fees which may be paid by a sponsor, or by personal contribution. FINANCE INFORMATION The following section of this guide will explain, in detail, your financial responsibilities while you are study-ing at Heriot-Watt University. Any questions relating to the information detailed below with regards to fi-nancial matters should be directed to the Finance Office at [email protected] or by telephoning 00 971 4 4358671 or 00 971 4 4358672. The main thing to remember is that you are responsible for ensuring that tuition fees are paid in full within Heriot-Watt University’s terms and conditions. This applies equally if your fees are being paid by a spon-sor or if you are self-financing. Further information of Tuition Fees and Scholarships for 2014/15 can be found at http://www.hw.ac.uk/student-life/scholarships/dubai-campus-scholarships-fees.htm Please note that all fees are subject to revision. We must emphasise that there are serious consequences for non-payment of fees, including penalty charges, the withdrawal of facilities and withdrawal as a Heriot-Watt University student. STUDENT FEES AND CHARGES The following types of fees are covered within this guide: Tuition Fees Tuition fees cover the provision of tuition which students receive and the cost of University facilities, in-cluding the libraries and computing facilities, which are available for use when studying. Fees will not cover, for example, the cost of reference books, notebooks and other stationery needed for study or any University goods or services used which is not a necessary part of the programme. Such additional costs will vary across programmes. Security Deposit There is a refundable security deposit (AED 1,000) charged to cover damage/breakage/loss in connection with academic or non-academic materials/consumables or any other charges. This deposit may also be applied against any outstanding debt or any fine that the University has imposed. Other Fees and Charges Other fees and charges include all other charges applied by the University, such as disciplinary fines, payment for late enrolment and replacement documentation (e.g. Student Identity Cards). There may also be Academic School charges, such as bench fees, field trips, breakages or deposits. Please note that this list is not exhaustive. For student accommodation, visa and transport fees (if required), these must be paid at least 30 days pri-or to the commencement of the programme. Regrettably, these charges are non-refundable.
Arrangements for Payment In accordance with the University’s Ordinances and Regulations, all fees and charges due, unless other-wise stated, are payable by students to the University in advance of enrolment as a student of the Univer-sity. Details of tuition fees and other charges are issued to students either at the start of the Academic Year, or as appropriate during the year, and are due for payment as follows:

Tuition fees – 10% of the tuition fee is due when a student accepts the offer of a place on the pro-gramme (i.e. 10% advance instalment enclosed with letter of acceptance). The balance will be due on the date of enrolment and must be paid in full (see payment options below)
Other Fees and Charges – Refundable security deposit (AED 1,000), student accommodation, transport and visa processing fees and charges are to be paid in advance however fines and other charges levied should be paid within the notice period communicated to you when issued.
Payment options The following options are open to you with regards payment of fees/charges:
- Cash - Credit Card (in person) - Bank transfer (students must pay all bank charges incurred) - Post-dated cheques (payable in Dubai) - Instalment Plan for International Students
Post-dated Cheques (payable in Dubai) At the Dubai Campus a payment plan is available allowing you to pay an advance instalment of 10% of the annual tuition fees with acceptance of the offer. This would be followed by 9 equal payments for full time students and 18 equal payments in the case of part time students, supported by post-dated cheques. The first cheque will be due in September and monthly thereafter (for part time students, this will be 9 payments in each academic year). Instalment Plan for International Students Students from outside the UAE who require University visa sponsorship have an international payment plan available allowing them to pay an advance instalment of 10% of the annual tuition fees with ac-ceptance of the offer, 15% in September (this will be payable earlier if the student is applying for a student visa), followed by 3 equal instalments for full time study. The first instalment of 25% will be due on 5
th
December, the second 25% instalment on 5th March and the final 25% instalment on 5
th May.
The policy is currently under review and the University reserves the right to amend this policy in light of prevailing circumstances Late Payments The following will apply if a cheque is dishonoured, returned unpaid or a payment is missed:
a) you are liable to pay a fine of AED 500.00 to cover the administration costs of processing a dis-honoured cheque:
b) You are liable to pay any penalty charges your bank may levy; c) The balance of any amounts due becomes immediately payable in full.
DEBT MANAGEMENT PROCEDURE The following procedures apply to outstanding fees and charges due to the University: Tuition Fees: the failure to pay tuition fees in accordance with your chosen payment option will result in the full amount of annual fee becoming due immediately. In all instances of non-payment, early
communication with the Finance Office is strongly encouraged. If you are identified as being overdue for payment of tuition fees and you have not contacted the Universi-ty by the due date, the following steps will be taken:
Day 7 - the Finance Office will send a reminder letter to your HWU and personal (if available) email account drawing attention to the outstanding payment. Also, a 4% PA penalty charge may be lev-ied on the outstanding unpaid balance on your account at this time.

Day 14 - If the fees remain unpaid, a second letter will be sent to your HWU and personal (if availa-ble) email account, setting out the implications of non-payment and stressing the importance of in-forming the University, as a matter of urgency, of the reason(s) as to why payment has not been forthcoming.
Day 21 - If the fees remain unpaid and you have failed to make alternative arrangements with the Finance Office, your access to IT and Library facilities will be withdrawn. Access will not be re-instated until either the outstanding fees are paid in full or a satisfactory payment plan has been agreed with the Finance Office. A third letter will be sent to your personal (if available) email or to a valid UAE correspondence address informing you of the withdrawal of facilities and advising the next steps that will be taken if fees remain unpaid. Your Academic Head will also be notified of the situation.
Day 28 - If the fees remain unpaid, the University will withdraw any award of scholarship or other fi-nancial assistance offered to you. The case will be referred to the Vice-Principal (Dubai) and Head of the Dubai Campus recommending your withdrawal from your programme of study unless you provide evidence of exceptional circumstances which the University accepts as a legitimate reason for the failure to make payment on time. The University has the right to enforce withdrawal at any stage. A 4% P.A penalty charge may be levied on the outstanding unpaid balance on your account at this time. If withdrawn, University visa sponsored students will also have their visa cancelled immediately. A fourth and final letter will be sent to your personal (if available) email or to a valid UAE correspondence address informing you of the intention to withdraw you and cancellation of your visa (if applicable).
Day 35 - If the fees remain unpaid, the Vice-Principal (Dubai) and Head of the Dubai Campus will write to you notifying you of the University’s decision regarding your withdrawal from your pro-gramme of study. Your Academic Head will also be notified of the situation. Your University spon-sored visa (if applicable) will be cancelled. Legal action will be taken at this stage to recover the outstanding debt.

Other penalties applied where fees are outstanding You will not be permitted to enrol for the next year/stage of your programme of study whilst owing
money to the University for tuition fees. However, you would not normally be required to withdraw from the University for non-payment of minor fines.
You may be withdrawn from the University for non-payment of tuition fees and this will therefore prohibit you from taking examinations or assessments at any diet of examinations or from proceed-ing to your project/dissertation
The University will withhold references and your conferment of degree - no degree certificate or ref-erence will be issued.
Transcripts of results, results letters and certifications will state clearly that the candidate has not yet satisfied the requirements for the award of the degree.
Appeal Process
If you are not content with a decision concerning payment of fees, including a requirement that you with-draw from the University, you may contact the Head of Campus, and bring forward a complaint under the University's Student Complaints procedures, details of which are available from the Academic Administra-tion office. The University reserves the right to amend this policy from time to time in light of prevailing circumstanc-es. Help and Support
If you are experiencing financial difficulties in paying fees, you must seek help at the earliest opportunity. It is important to keep the Finance Office informed of developments. The University will be sympathetic and endeavour to assist where there is good reason that debts have been incurred. However, in order to maintain the quality of its provision, it is essential that the University acts to recover its debts.

Cheque Return
The following procedure details the process undertaken if, for any reason, a cheque is returned from the Bank unpaid: Day 1 – the Finance Office will send an email to the student’s HWU and personal (if available)
email account drawing their attention to the dishonoured cheque. Also, a penalty charge of 500 AED will be levied to cover administrative costs.
Day 7 – If the fees remain unpaid, a letter will be sent to the student’s HWU and personal (if availa-
ble) email, setting out the implications of non-payment and stressing the importance of informing the University, at the earliest opportunity, of the reason(s) as to why payment has not been forth-coming.
Day 14 – If the fees remain unpaid, the Police may be informed of the issue and action may be tak-
en. Day 21 - The procedures for Non-payment of Tuition and Other Fees/Charges detailed above from
Day 21 will then be followed. Please note that discretion will be used in some cases.
The University reserves the right to amend this policy from time to time in light of prevailing circumstanc-es.
HWU Refund Policy - Tuition Fees Only Should you wish to withdraw from your programme of study before completion, you may be entitled to a refund of all or part of the tuition fee paid. If you withdraw before commencing your studies you are enti-tled to a refund of all fees paid, with the exception of the admissions application fee and advance install-ment (equivalent to 10% of the first year tuition fees).
Qualifying Criteria for refund of Tuition Fees A withdrawn form must be submitted and a copy of the completed form should be passed to the Dubai Campus Finance Office. The Finance Office will process the withdrawal and calculate any refund due as follows: If you withdraw from your programme of study within 4 weeks of the programme starting, you are
entitled to a refund of all monies paid, with the exception of the admissions application fee and the advance installment, (equivalent to 10% of the first year tuition fees) to date.
If you withdraw from your programme of study within 4 weeks of the programme ending, you will not be entitled to any refund.
If you withdraw from your programme of study at any other time, the fees for the semester in which you are currently enrolled for will be charged and any balance paid will be refunded.
