reference book describing how to use the eRoom PCI application to manage Transmittals, Project Change Proposals, Non-Conformance Requests and Interface Management.The guide has been written for eRoom PCI users taking part in Statoils initial testing activities, with the intention to expand it to a complete user documentation for both Statoil and their Contractor users. In addition to general content management functionality, the application provides process automation features securing review and approval of Transmittals and Project Change Proposals in a controlled, auditable workflow environment. eRoom PCI is a user interface optimized for high-volume task processing and document retrieval enhanced by integrated viewing capabilities. eRoom PCI users are assigned roles (e.g. reviewer, approver etc.) providing him/her with a personalized graphical user interface with sufficient functionality available to perform the role tasks in question. Getting started Open a supported browser Navigate to the eRoom PCI application in the Production Environment by using the following URL: http://eRoom-ipe.statoil.com:8080/,alternatively http://195.225.12.68:8080/iperoom?appname=IPeRoom Login using the designated login page. If you want the login page automatically recall this information, select the Remember my credentials check box: Page7 Change your password by selecting the [+] More Options link and select the Change Password button: Enter your old and new passwords and select the Apply button: Page8 Re-login using your new Password: Click Login button After successful login, the Welcome to eRoom PCI tab will be presented: Page9 Tabs Within eRoom PCI, functionality is organized by tabs (see example below). These tabs are found in the Interface top bar, together with a search/filtering area, a role selection list (visible if the user has more than one role), and buttons for Preferences, Logout, Help and Information.The tab bar allows the user to navigate from one tab to another. Tab availability is dependent on the users permissions. Each tab also has a bottom bar that may contain one or more buttons. These buttons support various actions depending on the context and user permissions. Sort the list in the content pane by clicking the appropriate column header, e.g. Project: Top bar Tree View pane Search/filter pane Content pane Bottom bar Viewer pane (hidden) The following items give a short description of the various tabs available: Welcome tab The Welcome to eRoom PCI tab is automatically being presented to the user after successful login to the eRoom PCI system. General information, news regarding current and future releases, links to useful information etc. can be found on this tab. Page10 Inbox This tab contains tasks assigned to you (as the logged on user). If your role allows you to see more than one queue, the tab provides a tree view of available queues and a list of tasks associated with the selected queue. Search tab The Search tab represents advanced search facilities for retrieving any types of eRoom PCI objects. For details, please see dedicated sub-chapters under respective processes below. Transmittal, Change, Non-Conformance Management etc. All process-specific tabs contain a tree view of the ERoom PCI folder structure to the left. By selecting a location in the tree view, a list of all relevant objects in that location and below is presented in the content pane. Enter search/filtering criteria and click the Search button to reduce the result list in the content pane. If you want to see all transmittals meeting the criteria, select Transmittals from the filter pull-down field: Open Items This tab is the location where any items opened or initiated within the eRoom PCI application are displayed. This includes viewing document content and working with tasks.

Close all open items by clicking the X icon on the Open Items tab.Note that this closes all elements on the Open Items tab without validating or saving any changes! Preferences The Preferences page allows you to personalize your eRoom PCI user interface. The various options available will not be covered in this guide. Page11 Exiting eRoom PCI Follow this procedure to log out of the eRoom PCI application: Complete current tasks and save any changes, if necessary Click the Logout button in the top bar A confirmation page appears, indicating that you logged out successfully Click the Login Again button to resume working with eRoom PCI Page12 General User Interface features The following chapters describe available functionality across all Business Processes. Searching for files When you enter a search term (a word or phrase) in the simple search box, the term is matched to objects that have the search term within the file itself or within the objects properties. This kind of search is called a full-text search. Perform the following steps to run a search: In the search field, located in the top right corner of the Top Bar, type the words for which to search Click the magnifying glass and Inspect the search result list: Note that the search result list is presented on the Search tab, using the document search formPage13 Further define your search term using the following syntax: Quotation marks around a term performs a search for an exact word or phrase (see example above) AND and OR operators:- To get results containing two search terms, type AND between them - To get results that contain at least one term, type OR between the terms. Please note that the AND operator has precedence over the OR operator. To get results that do not contain a term, type NOT before this term. NOT can be used after both AND and OR operators, separated by a space. To specify that certain terms must be processed together, use parentheses. Remember to type a space before and after each paranthesis mark. Note that the NOT operator can be used inside parantheses only. Use the asterisk (*) as the multiple-character wildcard Use the question mark as the single-character wildcard Please note that AND, OR and NOT are reserved words. To search a term that includes an operator, use quotation marks. These operators are not case-sensitive.Re-run the search by clicking the Search button. Change the number of search result list rows by setting a new value for the Items per page field.Use the page selector to go to first, previous, next or last page: Change the sorting of the search result list by clicking a column heading. Right-click a row and select wanted function from the pop-up menu: Searching for PCI-specific objects Retrieval and searching for Technical Documents, Transmittals, NCRs etc., is described in consecutive chapters.Page14 Export to XLS Exporting search result lists directly to Excel is a general reporting feature across objects type. This can be done by performing the following steps: On the Search tab, select object type from the Search for drop-down field Enter search criteria and click the Search button To refine the search result list, change your search criteria and re-click the Search button Right-click an item in the search result list and select Export to XLs from the pop-up menu On the Export Contents To XLS form, select the columnsyou want to export: Choose whether you want to Open or Save the MyXlsFile.xls file: By clicking the Open button, the data is listed in an Excel spreadsheet: Page15 Working with documents The following list represents some of the functions available for managing documents in the Content pane: View content Select the document in the Content pane for fast-viewing it in the Viewer pane. Stop viewing the document by re-selecting it in the Content pane. Documents may also be viewed on the Open Items tab using the integrated, configured document viewer. In the Content pane, right-click the document and select Open or View from the pop-up menu. Open opens the document in read-only mode, or in edit mode depending on your user permissions. View always opens a document in read-only mode. If you selected a Web form, the document will be displayed in the Open Items tab, but will not be locked. Several documents can be opened simultaneously. When finished viewing the document, close it by clicking the close icon on the Open Items tab. View versions In the Content Pane, right-click the document and select Show > Versions. Upload a file as a new version Right-click the document and select Check Out. Right-click again and select Upload From File System. Click the Browse button on the pop-up form, navigate to and select the appropriate file and click the OK button. Complete the Checkin form. Edit Right-click the document and select Edit. The document will now be opened in its native editing application. Make your changes. Save and close the document. Right-click the document in the content pane and select Check-in. Complete the Checkin form. Export In the Content pane, right-click the document and select Export. Select destination directory. Working with folders Will not be described yet. Creating forms-based objects, e.g. Transmittals Creating Technical Documents, Transmittals and Project Change Proposals etc. is done using predefined web forms; see e.g. the Creating Transmittals chapter below. These web forms are comprised of form fields. Form fields can be of many different types, such as single-value fields, radio buttons, pull-down fields etc. Page16 Most fields are optional, i.e. they do not have to contain a value. Some important fields are mandatory and must contain values. These fields are marked with a red asterisk (*) on the web form. Also, most form fields are available for input if the user has sufficient (write) access to the web form. Some form fields may be restricted for user input. These form fields will be available to users being members of specific roles only.In addition, web forms and/or form fields may be available for user input, or not, depending on the users access rights for the current workflow step. Users receiving a Transmittal for information only, will for instance have read-only access to the Transmittal web form. Adding files to Repository objects Attaching files to a Technical Document, adding Technical Document to a Transmittal etc. applies to eRoom PCI forms in general, across all processes, and can be done by performing the following steps: Click the [Add] button on the form in question: Select file from the eRoom PCI repository On the Choose an item form, navigate the Repositorys folder structure and select objects to attach by performing the following steps: Select the All button (default) Drill down into the folder hierarchy by double-clicking a folder in the repository content pane to the left Page17 Search for objects with an object name starting with text string entered in the Starts with field. Start the search by clicking the Search By Name (right-arrow) button. The X button clears the search entry. In the filter drop-down you may choose toShow all, Show folders only or Hide folders The Items per page field allows for limiting the number of visible entries at a time Use the folder path (breadcrumbs) to navigate back up the folder tree Select wanted objects from the repository content pane using standard windows SHIFT- and CTRL- selection key/mouse-click combinations Move wanted objects to the right-hand pane by clicking the right-arrow button Remove unwanted items by selecting them in the right-hand pane and clicking the left-arrow button When done, click the OK button Select file from the file system Import file(s) one by one from your (local) file system by clicking the Import button: Page18 Click the Add Files button Navigate to the file in question, select it and click the OK button Add more files as described above, if appropriate Page19 When done, click the Next button Edit file properties, e.g. Title. Be careful and make sure to select the correct file Type. In most cases this will be sta_document. Note: It is NOT recommended to change the file Format. When done, click the OK button: Importing all files contained in a folder on your (local) file system is also possible Page20 Select an administrative document from eRoom Seamlessly managing both technical and administrative information is one of the key features of the eRoom PCI application. This is achieved by attaching immutable snapshots of administrative documents from an eRoom database entry (both metadata and files) to a technical case management process object, e.g. a Transmittal. Start by clicking the [Add] button Click the eRoom Items button to obtain the list of available eRooms Double-click an eRoom to see its content. Continue to double-click eRoom objects until you reach your target database entries. To attach an entry, select it and click the right-arrow button to copy the entry to the list of selected items. Continue navigating to and selecting items. Please note the clickable breadcrumbs (navigation path) at the top of the form for easy navigation to upper levels of eRoom. When finished, click the OK button: Page21 To save your changes, click the Save (& Close) button: To open the supporting file, click its Name and review metadata and attached files: Discussions Discussions are online comment threads that facilitate collaboration around a certain object, for example a Technical Document. In order to view discussion comments, add your own comments etc., the discussion feature must first be enabled for the object in question. In eRoom PCI, the discussion feature is used for entering Review comments in the business processes. E-mail Notifications As a workflow task performer, users will be notified via e-mail when they get a task in their eRoom PCI Inbox. There are also a number of Notify buttons in the application, and when a user clicks one of Page22 these and submits her message, both Inbox tasks and e-mail notifications will be sent to the recipient(s). The e-mail notification may look like this: Here, the Task Notes field reflects the message entered ny the sender. By clicking the here link, the user can navigate directly to her eRoom PCI Inbox task. If not already logged in, she will have to enter her user credentials. Workflow Progress Monitoring To follow the progression of Process Instances, right-click the object in question and select Workflow > Progress Monitor: Page23 Inspect progress on the instance Details sub-tab under the Open Items tab: Tracking Object Changes Changes to objects are handled by two mechanisms; versioning and logging (Audit Trail). In order to see all changes to object properties, right-click the object in question (e.g. a Technical Document), and select Properties from the pop-up menu: By clicking the History tab, the Audit Trail for this object will be presented: Page24 Reporting eRoom PCI reports can be accessed by activating the Reports tab. A list of available reports can be chosen. Select a report by clicking the Choose a report button, then the report in question from the list, before entering selection criteria: Page25 Report example: Overdue Tasks After clicking the report in question, you can filter the search result list dependent on the Report selected. To run a PCP - Overdue Tasks report you can filter on Project and/or User: After hitting the Filter button, the report is listed on the screen: To select another report, simply re-click the Choose a report button. Printing reports Run the report and click the Print button: Click the printer icon on the new pop-up HTML page to send the output to your printer: Page26 Export report directly to Excel Run the report and click the Export To XLS button. Follow same procedure as described in the Export to XLS chapter above. Business Calendars In general, users from various locations or business units of the organization may adhere to different work schedules. To enable the use of workflow timers when calculating workflow task due dates Business Calendars can be defined and associated with the process templates. In the eRoom PCI application a Business Calendar is in addition associated with a specific project. Logged in as an administrator calendars can be created and configured from the Administration tab: New Business Calendars can be based on an existing calendar, preferably a template as shown in the screenshot above. The Business Calendar will contain working hours and non-working days specifications: Note: One specific project can have only one Business Calendar. One Business Calendar can be associated with many projects. Page27 Known Bugs and Issues Known Bugs and Issues represents important information to users of the eRoom PCI application. This information is be part of the Release Notes document accompanying application releases when deployed to Production Environment.The following overview is copied directly from the Known Problems and Limitations chapter in the Release Notes document. Since there is a continuous development effort going, this overview will gradually become obsolete: (contd) Page28 Page29 Transmittal Management Process Creating Technical Documents Log in as an Originator, alternatively a DCC user.Type in user credentials and click the Login button. On the Transmittal Management tab, navigate to the appropriate project in the folder structure to the left: Click the Create Technical Document button (if you dont see the button in the bottom bar, move the vertical delimiter bar for the Viewer pane to the right) On the Create: New Form Document form, keep the value AUTO GENERATED in the Form Name field to have the eRoom PCI system automatically generating the sequence number. Alternatively, you can manually type a valid Document No in the Form Name field. If you do, also remember to tick off the Do Not Validate ENS field (Note: Sheet No is optional): Page30 Select correct values for Template and ENS Name (alternative ENS masks) and click the OK button to start entering document details: Complete the Technical Document/Drawing Details form Add files, if appropriate Save (& Close) the document Note that: The technical document is created as soon as the Create Technical Document button is selected. If you wish to discharge it, press the Cancel button before saving it. Creating new Revisions of Technical Documents The Revision No field on the Technical Document/Drawing Details form is a mandatory field that can be edited by users with appropriate permissions. Each revision of the Technical Document can comprise many versions. Only one version can be defined as the CURRENT version at any point in time. The version property is a system-internal attribute that cannot be edited directly by a user. When saving changes after editing a file, the previous version is overwritten by standard. If you wish to keep the previous version of a document, you may choose to create a new revision. Page31 A new revision of a document is created by performing the following steps: Right-click the Technical Document in question and select Revision>New Revision from the pop-up menu: The Technical Document/Drawing Details form opens, and the next revision number is suggested as the new value (below, the old value was 04): Select a new value for Revision Status if expedient Save the new revision by clicking the Save&Close button Page32 Retrieving older versions of a document Transmittals are versioned automatically.As a consequence, attached files and comments belonging to an older version, will not be visible on a new version. If you wish to view the attachments, you must look up the version containing the attachments. In order to see previous versions, right click the Transmittal in question and select Versions: Right-click the version and select View. Click OK button. The old version of the Transmittal will then be listed on the Open Items tab as a task and will remain there until you close it. Page33 List revisions of a Technical Document To obtain a list of all Technical Document revisions, perform the following steps: Right-click the Technical Document in question and select Revision>All Revisions from the pop-up menu Inspect the list of revisions on the ALL Revisions form: Open a document revision by right-clicking it and selectingView from the pop-up menu: The revision in question, here number 3, will be opened in a sub-tab on the Open Items tab Page34 Creating Transmittals As a user from the Contractors organization, perform the following steps: On the Transmittal Management tab, navigate to the appropriate location in the folder structure Click the Create Transmittal button (if you dont see the button in the bottom bar, move the delimiter bar for the Viewer pane to the right) Select the default form template in the Create: New Form Document pop-up window and click the OK button to start entering Transmittal details:Note that the Transmittal No is generated automatically. Complete the Transmittal Details form Provide all mandatory fields with values Add supporting file(s) (optional, see below) Attach at least one Technical Document (see below) Note 1: A technical document cannot be attached to several Transmittals

Save and close the Transmittal Note: The Submit for Review button will not be available before the Transmittal has been Saved. Page35 Adding Technical documents to a Transmittal Attach Technical Documents by clicking the [Add] button in the Tech Docs/Drwgs field. Select documents from the Choose an item form. Note that Technical Documents already attached to a Transmittal has got a link icon in the Transmittals column: Note: To see which transmittal(s) a Technical Document is attached to, simply click the link icon Page36 Select the Technical Document(s) and click the right-arrow button. When done, click the OK button: Page37 Retrieving Transmittals using the Search tab Search for Transmittals by performing the following steps: On the Search tab, select the appropriate search form from the Search for pull-down field and enter your search criteria. Click the Search button to obtain the search result list: For reordering the search result list, click the column heading in question To open and work on an object, right-click the object in question and select appropriate action from the pop-up menu, e.g. View Page38 Submitting a Transmittal While logged on as the Contractor, submit the Transmittal to Statoil by performing the foloowing steps: On the Transmittal Management tab, navigate to or search for un-submitted Transmittals Click the Transmittal in the Content pane. This will cause the Transmittal to open in the Viewer pane: Click the Submit button in the Viewer pane to dispatch the Transmittal to Statoil Compose a note to the Receiver on the Submit Transmittal for Review form and click the Submit button: Please note that the job checking for incoming Transmittal tasks at the Receiver side is run only every 2 minutes. Page39 Manage Incoming Transmittals Log in as a Statoil DCC Coordinator. Managing incoming Transmittals involves performing one or more of the following steps: Identify new, incoming Transmittals by selecting the corresponding Work Queue (here highlighted with blue background color) or click the Get Next Task button: Inspect the Transmittal by right-clicking it and select View from the pop-up menu. This will open the Transmittal without acquiring the task. Acquire and open the Start Review & Consolidate for Transmittal TR- task by right-clicking it and select Get Task from the pop-up menu: Page40 Note: The Split Line that can be moved up and down in order to uncover lower or upper form part respectively (see red arrow) Click the Return to Contractor button if something is missing or incorrect and complete the Return Transmittal to Contractor form: Click the Send E-Mail button to notify the Contractor Note: If contractor needs to create a new revision of one or more Tech Docs before re-submitting the Transmittal, she must first Remove the old revision and then Add the new. To stop working on the task without finishing it, simply close it by clicking the X on the Open Items Pending sub-tab. The task will remain in your Inbox, and can be re-opened at a later stage. To inspect attached documents, select the document in question for viewing in the Viewer pane to the right Add a comment by clicking the Add/Show Comments button (see Page41 Review and comment on Transmittals chapter below) Initiate the Review process by clicking the Start Review & Consolidate button: Note: By defining groups of users, the review task can be assigned to all members of the group. Kick-off the process by completing the Start Transmittal Review Process form. Click the Submit button Page42 Review and comment on Transmittals Appointed reviewers will receive their Review tasks in their respective eRoom PCI Inboxes. Page44 Consolidate Review Comments The Consolidator will receive his/her For Consolidation tasks at the same time as reviewers and for-information-users. In this way he/she can choose to initiate consolidation in due time, and potentially decide to finish his/her task before all reviewers have completed their review tasks.If, for some reason, the Consolidator cannot perform the task, he/she may choose to Delegate the task to someone else.By selecting the Close button, the Consolidator can sit on the task and may resume his/her work at a later stage. The Consolidator can also choose to attach relevant files to the Transmittal. This is done by clicking the [Add] button under Outgoing Files (see Page45 Review and comment on Transmittals chapter above). Consolidating review comments involves the following steps to be performed: Retrieve the For Consolidation task in question from your eRoom PCI Inbox:

If necessary, appoint additional reviewers by clicking the Start Review button.Complete the Start Review Comments Process form by appointing additional reviewers and composing a note before clicking the Submit button: Compose the consolidated comment by entering it in the Consolidated Comment field. This field is mandatory and needs to contain text before the task can be completed. You may also apply values for acceptance codes by updating each and every individual Technical Documents and/or set the value for all (or remaining) documents by selecting a value from the Acceptance code for Technical Documents/Drawings drop-down field. Note that by removing the Apply tick-off, this field is optional: Page46 Complete the For Consolidation task by clicking the Finish button. The task will be removed from your eRoom PCI Inbox. Page47 Deliver Transmittal back to Originator DCC Coordinators will be responsible for dispatching Transmittals back to the Originator. This is done by performing the following steps: Acquire the For Delivery task in question from the Transmittal work queue by right-clicking the task and selecting Get Task from the pop-up menu: Note: These tasks can be opened for inspection only by right-clicking the task and select View from the pop-up menu. On the Deliver outgoing transmittal task, DCC can edit the Response field (consolidated comment) and/or [Add] or [Remove] outgoing files: Page48 When done, click the Finish button to make the Transmittal available to the Originator. When the Transmittal has reached the Delivered state, the originator can view Statoils response in the Response field, and/or as Outgoing Files: Page49 Change Management Process Receive change Request Log in as a PCP Responsible and identify new or unmanaged Change Requests (CRs). Make sure that the CRs are stored in a location that makes them available to the eRoom PCI Change Management application. Create Project Change Proposal As the PCP Responsible, perform the following steps: On the Change Management tab, navigate to the appropriate project folder: Click the Create PCP button (if you dont see the button in the Bottom bar, move the vertical delimiter bar for the Viewer pane to the right) Select the default PCP form template in the Create: New Form Document pop-up window and click the OK button: Note: Leave the Form Name field unchanged. By doing so, unfinished review tasks will be aborted and removed from reviewers Inboxes. Enter your consolidated comment in the Consolidated Comment field: Page56 Complete the For Consolidation task by clicking the Finish button. The task will be removed from your eRoom PCI Inbox. Unfinished For Review tasks will be aborted and the Consolidated Comment will be copied to the Discussion Board: Recommend on PCPs The Recommender will advise the Approver what to do with the PCP by performing the following steps: Retrieve Recommend task from the eRoom PCI Inbox Open the Recommend task in question by right-clicking it and selecting View from the pop-up menu Review the PCP by inspecting all tabs on thePCP Details form and read all comments from Reviewers and the Consolidator by clicking the Add/Show Comments button Add your own comments by clicking the Add/Show Comments button Attach files by selecting the Files & Attachments tab and clicking the [Add] button Finalize recommendation by clicking the Recommended, alternatively the Not Recommended button: Page57 Approve PCPs PCPs can in this step be either rejected, not approved or approved.
