ESPEN 2020 IS NOW A FULLY VIRTUAL CONGRESS

Dear ESPEN community,

Due to the COVID-19 pandemic, substantial uncertainties, unfortunately, remain on safety and feasibility of many

activities and events for several months ahead, both in Europe and worldwide. Travel limitations also will most

likely remain substantial in the near future.

ESPEN has therefore taken the difficult decision to cancel our physical 2020 Congress, and at the same time, we

have decided to put our best energy in organising a Virtual Congress. We wish to thank the Lyon teams who

continue to collaborate with central ESPEN, and to reassure all of you that ESPEN is fully committed to creating

a virtual event up to the highest standards of science, education and innovation.

We will use state-of-the-art technology to ensure fruitful exchanges, presentations of original findings and

inclusion of up-to-date topics in a renewed programme. We believe that we need to meet virtually in this very

difficult year, to continue to disseminate and strengthen our strong messages on the key role of nutritional care

in all fields of patient care; and we need to discuss how clinical nutrition has to become an integral part of care

also in the new challenges posed by COVID-19 patients.

Let us all take the opportunity to network and learn from each other in the ESPEN 2020 Virtual Congress. We

WHY SUPPORT ESPEN VIRTUAL CONGRESS & KEY POINTS

GUARANTEED ATTENDANCE & PRICING

As we understand this is a new experience for everyone, we want you to feel confident in what

you are investing. For the initial ESPEN 2020 in Lyon, we expected an attendance of 4000

participants.

All prices that you will find in this document will be adapted based on the final attendance of

the virtual congress versus the initial target of 4000 in Lyon. For example, if the final delegate

count reaches 3600 (10% less), we will refund you for 10% of your total investment in

sponsorship and exhibition for the virtual congress.

The maximum amount refundable based on this principle will be capped at 20%, and there will

not be any price increase should we exceed our target attendance.

REDUCED REGISTRATION FEES

To maximize the attendance at the virtual event, ESPEN has made a significant effort to reduce

the registration fees as much as possible. With this, we hope to give our industry partners an

increased visibility in the virtual congress, encourage first time participants to access the

content of ESPEN Congress at a reduced rate and enable participants with limited financial

support to attend.

ON-DEMAND & LIVE CONTENT

ESPEN Virtual Congress will propose a mix of on-demand and live content.

The on-demand content will be pre-recorded and made available through the digital platform, to

be viewed at any point during the event’s live dates or afterwards for up to one year.

The live content will either be fully live, or will associate pre-recorded presentations with a live

Q&A at the end with presence of all speakers & moderators. All live sessions will be available

on-demand soon after they are aired(this is also valid for satellite symposia).

This combination of type of content has been carefully selected to provide the delegates with

both an interactive experience and the flexibility to access content based on their schedules.

HOW CAN I SUPPORT ESPEN VIRTUAL CONGRESS AND GAIN VISBILITY?

DETAILED METRICS

The digital world will enable us to provide you with very precise and detailed metrics regarding

the visitors of the event, your booth and satellite symposia. Lead retrieval will also be available

(additional service, costs to be provided later) and will be a completely seamless operation for

you as leads will automatically be collected for you. This will not only reduce the amount of

work involved with collecting leads but also maximize the number of leads collected.

DIGITAL MARKETING DRIVEN EVENT

Not only have the registration fees been considerably reduced to maximize attendance, but the

already existing digital marketing component of the ESPEN Congress has been considerably

increased in budget and resources to reach out to the largest possible community. We highly

recommend that you look into the digital remarketing packages that we propose as part of the

sponsorship opportunities as we know for a fact that this is the key to making your presence

ESPEN VIRTUAL CONGRESS PLATFORM

OVERVIEW

ESPEN 2020 will be hosted on a virtual congress platform that has been carefully selected to

provide you and the delegates with the best possible experience in the digital world. After

carefully reviewing the many tools that are out there, we have opted for a platform that would

look and feel like delegates are navigating an online congress centre, with its various areas, so

as to maximize the event-like experience, improve the navigability and ease of use and move

away from simply a webpage with congress content on it. Please view the video below to have

a quick overview of what to expect for ESPEN Virtual Congress(this video is non contractual,

this is a presentation of the tool itself and not of what the ESPEN environment will look like).

The platform will be the visual envelope for delegates once they enter the virtual event. It will

host all the congress general information:

✓ the helpdesk

✓ the exhibition ✓ some networking tools,

✓ the “public spaces” with their branding

✓ the doorways to access the content of the congress which will be hosted on our dedicated content management platform. The transition from one to the other will be seamless for the

delegates.

All the sessions of the congress will be hosted within a separate LMS (learning management

system) which provides all the tools that are needed to properly showcase scientific content

and your satellite symposia:

✓ chat system for Q&A (with a “like” system for delegates to indicate the best questions or comments so that you know which ones to address first)

✓ possibility of polling or voting,

✓ possibility to brand the background of the session with your identity, ✓ digital speaker preview room with presentation recording assistance pre-congress

✓ “speakers’ green room” during the congress, for your speakers to meet in a digital room before the live session and discuss among themselves, you and/or the moderators of the

session.

The integration of the LMS with the visual platform presented on the previous pages will be

seamless for the delegates: there will only be one login required when accessing the platform,

and they will then be able to move seamlessly between the platform and the LMS.

ESPEN 2020 Virtual Congress will include a virtual exhibition component, which will provide

you with as many tools as possible to ensure that your visibility and lead generation rivals with

that of a real-life exhibition booth.

You will have the option to pick a size for your booth, to use a pre-existing template design or

create your own, to insert all of your advertising material: videos, documentation, images,… to

chat with the delegates live, to capture the information of the delegates that access your booth,

to obtain detailed metrics on the number of visitors you have had throughout the event.

Examples of customized booths – this is the view you will have once you enter a booth

There is no limit to how you design your booth. The larger it is, the more space you will have to

display your content, and the larger it will appear on the exhibition floorplan. Once you upload

your custom booth (jpg file) in the platform, you will be able to add the live content and

functions to your booth (i.e. video on the TV screen, chat, content library, etc). A demonstration

of the platform and its tools will be organised to assist you with this process.

The exhibition floorplan will be designed once the sales process has been completed, based on

the number of booths sold and their respective sizes. The larger booths will always have a

bigger footprint on the floorplan in comparison to the other ones.

TERMS AND CONDITIONS

Reservation

To be valid, your reservation must be completed via the official order forms. An invoice will be

issued upon completion of your order, to be paid within 30 days of receipt.

The completion of an order constitutes a firm hire commitment and compels the subscriber to

accept both the general conditions and the exhibition rules and regulations. No verbal or

telephone agreement will commit MCI Suisse SA nor the Organising Committee unless

confirmed in writing. The full amount for your booking(s) must be receive by 10 August 2020

at the latest. Non-payment by this stated deadline will lead to the cancellation of your booking,

without reimbursement of any deposit paid. Booths, satellite symposium slots and sponsorship

items allocations will be attributed first to ESPEN Corporate Sponsors in order of reservations.

Technical Manual

A Technical Manual will be sent to every registered exhibitor and sponsor in due time. This

manual will contain all information regarding general conditions, technical requirements for the

various sponsorship items and booths and the corresponding deadlines to be respected.

Access to the Virtual Exhibition

Access to the exhibition will only be possible to registered virtual congress participants

Force Majeure

In the event of force majeure, the exhibition dates may be changed, or the latter may be purely

and simply cancelled.

In the last event, the disposable funds after payment of expenses will be shared between

exhibitors in proportion to their payments without it being possible to take recourse against the

Organiser or the producer

Interpretation of the Regulations and Amendments

MCI Suisse SA is the sole competent authority as to problems arising from the interpretation of

the here enclosed regulations and their enforcement. Any expenses resulting from the non-

observance of the here-enclosed regulations will be chargeable to the sponsor / exhibitor. MCI

Suisse SA reserves the right to change or to complete the here-enclosed regulations at any

time. If any changes should occur, all participating companies will be informed.

Data Protection Clause

1. In accordance with European data protection regulation, in particular Regulation (EU) No.

2016/679 on the protection of natural persons with regard to the processing of personal data,

MCI Group, as data controller, processes the exhibitor/sponsor’s personal data for the purposes

of (i) managing and organising the event, in particular the management of exhibitor/sponsor’s

stand, investment opportunities or industry symposium (ii) managing and organising

prospecting and loyalty (iii) enabling the exhibitor/sponsor to benefit from our services (iv)

enabling the exhibitor/sponsor to receive our news. These data processing have as legal basis

the execution of the contract: the information we collect is necessary for the implementation of

the contract to which the exhibitor/sponsor has adhered, failing which the contract cannot be

executed.

Exhibitor/sponsor’s data are retained for the time necessary for processing purposes, namely 5

years from the end of the business relationship.

For processing purposes, the data of the exhibitor/sponsor’s data – or any transmitted by the

sponsor - will be transmitted to the following recipients: management service providers of our

Customer Relationship Manager, service providers in charge of management, event service

providers (official contractors, security, official freight forwarders, etc.).

The data necessary for MCI Group to fulfil the purposes described above are those appearing

on this order form. In accordance with the regulations in force, the exhibitor/sponsor benefits

from a right of access, rectification, limitation, deletion and portability on his data.

The exhibitor/sponsor may also object to the processing of his personal data concerning him

and lodge a complaint with the data protection and control authority. The exhibitor/sponsor

2. In any event, the exhibitor/sponsor acknowledges compliance with European data protection

regulations for its own processing, including Regulation (EU) No. 2016/679 on the protection

of personal data, foremost among which the integrity and confidentiality of data communicated

by participants and compliance with their data-retention periods. In case of communication to

MCI by the exhibitor/sponsor of a personal data file, the exhibitor/sponsor acknowledges

having informed and obtained the consent of the person(s) concerned by this communication.

The ESPEN reminds sponsors, exhibitors and their agents or designees of their responsibility to

be aware of and to abide by all guidelines and codes regarding the relationship between the

pharmaceutical and medical device/ equipment industry and healthcare professionals that are

applicable to your company.

Recommendations about pharmaceutical guidelines must come from your internal legal
