Essex Rangers YFC Registration Process

Introduction Essex Rangers YFC is a member of the Echo Junior Football League. An online club registration process has been created to make registering as efficient as possible for parents and club officials alike. This guide explains the steps required to register a player represent the club. Please note:

• all screenshots are illustrative of the registration process • a checklist has been provided at the bottom of this document

Process Overview The registration process is made up of 4 stages, which are:

1. Registering for club membership

2. Payment of registration fees & confirmation of kit selection

3. Provide passport style photos, and evidence of age

4. Sign paper-based league registration forms

Once all stages are completed registering, the player will be registered to play league football for Essex Rangers YFC.

Process Timings The registration process should be started at the beginning of May or at the end of the league season (whichever is sooner) and completed by the end of the academic year. This will allow enough time for kits to be ordered and delivered in time for the start of new season and enable everyone associated with the club to enjoy the summer break. It is recognised that players may still register with the club during the summer break, and this process has been designed to accommodate that scenario.

Stage 1 – Registering for club membership Step 1. Open a web browser and visit www.essexrangersyfc.co.uk

Step 2. On the landing page, click on the button titled JOIN THIS CLUB

Step 3. A joining form will appear. Please complete the form with YOUR details only and

NOT your child’s details. Your child’s details will be taken later in the process.

Step 4. Select the following boxes and complete any instructions that may appear:

• “Terms of Service” • “Barkingside Youth FC Consent” • “I’m not a robot”

Step 5. Select PARENT from the Apply for Roles screen. Then click NEXT STEP.

Step 6. Start typing your child’s name in the text box. When you type, the website will

try to find your child’s name in the club’s database. Your child’s name won’t be in the database yet.

Please click the link titled “Click here if your child is not in the list”

You will then be presented with the following screen. Your child’s name should auto-populate in the First Name and Last Name field. If your child’s name isn’t there, simply fill in the appropriate Name fields.

Then select a team from the Team field.

If you know the team colour your child will play for, then please select the right age group and team colour from the list. If you DON’T know the team colour your child will play for, then please select the right age group and select any team colour from the list. The team colour can be corrected by the club’s officials. Click the Add button.

Step 7. You will then be invited to repeat the process for any other children you have.

Once you have added all your children, please click the Next Step button.

Step 8. You will receive confirmation that the process has been completed. Please click Continue.

The first stage of registration is now complete. In the background, the club will approve the first stage of registration so that you may complete the 2nd stage 24 hours later.

Stage 2 - Payment of registration fees Step 1. Open a web browser and visit www.essexrangersyfc.co.uk

Step 2. On the landing page, select Payments from the menu in the website banner.

Step 3. Select the appropriate payment option from the payment screen.

There are 2 options for membership

Step 4. Select the child you wish to make a payment for. Click Next.

Step 5. You will then be presented with a form. Please complete all fields on the

payment form. Then click Continue. Step 6. Please click the Pay Via Direct Debit button.

Step 7. Enter your payment details. Click the Set Up Direct Debit button.

You will receive a visual confirmation that your payment has been successful.

If you wish to pay for another child in the same age format (i.e. 5v5, 7v7, 9v9, 11v11) then click Buy This Product Again button and complete Steps 4 – 7 for any further children you may have to pay registration fees for. If you wish to pay for another child in a different age format (i.e. Son 1 plays 5v5 and Son 2 plays 7v7) then click Back To Products button and complete Steps 3 – 7 for any further children you may have to pay registration fees for.

Stage 3 - Provide passport style photos, and evidence of age Each season, both leagues require signed registration forms and player cards to be completed and sent to them. The forms are kept by the leagues but the cards are signed by league officials, lamented, sent back to the managers and then shown at the start of every game to the opposition manager. Photos Two [2] identical player photos (passport style) must be supplied to the club by the parent and then the club will attach them to the league registration forms and player cards. There are two [2] ways to achieve this.

1. The player photos can be traditional passport photos and handed to the club in Stage 4 of this process OR

2. Take player’s photo with a smartphone and email it to the club's email address (with the player's name and age group in the subject heading)

https://www.passport.service.gov.uk/help/photo-rules Proof of Age This section only applies to players that did NOT play in the league during the previous season for ANY Echo League club. Both leagues require proof of age documents to be sent to them with registration forms and player cards. These must be either PHOTOCOPIES of the player's birth certificates OR the picture page of the player’s passport. SCANNED copies are also acceptable. Once again, proof of age documents can be handed to the club in Stage 4 of this process OR emailed to the club's email address (with the player's name and age group in the subject heading) Photos and evidence of proof of age should be emailed to [email protected]

Stage 4 - Signing paper-based league registration forms Each season, both leagues require signed registration forms and player cards to be completed and sent to them. The registration forms must be signed by the parent, player and club secretary. The club will host 3 league registration signing sessions during the month of July. During these sessions, forms will be signed by parents and any photos / proof of age documents can be handed in to the club. The aim is to hold the sessions during training on each Saturday in July. The last session will coincide with the last Saturday AFTER the school academic year finishes. Dates and times will be confirmed via a club letter to that will be shared to parents by each team’s managers. Once all stages of this process have been completed and confirmed, the club will send all the registration forms and player cards to the league. This completes the registration process.

Registration Checklist The following checklist has been provided to guide you smoothly through the registration process. Stage 1

o Navigate to the club’s website and create a club membership account

o Accept terms & conditions

o Apply for parent role

o Add your child / children

o Wait a minimum of 24 hours

Stage 2

o Navigate to the club’s website and select Payments

o Choose the right age format and preferred method of payment (credit or debit card)

o Choose whether you’d like to pay all at once or split up the payments

o Select the player that this payment will apply to

o Enter and confirm your payment details

o Repeat the process for another players

Stage 3

o Take passport style photos of your child

o Photocopy / scan proof of age document (IF NECESSARY)

o Email photos and proof of age to club

Stage 4

o Attend a signing session

o Hand in physical photos or documents

o Sign the registration form
