1 EXECUTIVE SUMMARY
This document is deliverable D6.1.1, as the COnCEPT dissemination plan describes the dissemination ideas and plans for
the whole project’s life. This document will guide the project during the next 3years and be kind of tools provider for how
do publicity, disseminations and collaborative working across the Consortium and with the Stakeholders.
This document contains guidelines in:
Dissemination of the project results to the external public
Collaborative/informative working within the Consortium/Stakeholders via social networks
Participation in Conferences/Events and also related Project Publications and individual plans of the COnCEPT
Partners.

2 INTRODUCTION
2.1 OVERVIEW
Efficient dissemination requires making use of a variety of dissemination tools. The COnCEPT dissemination plan is
defining specific dissemination tools for each of the target groups as indicated in the following table:

The dissemination plan is about the establishment of the opportunities and requirements of the whole spread use of the
COnCEPT project results.
2.2 SCOPE OF THIS DELIVERABLE
This document contains the COnCEPT dissemination plan (an initiated version). It gives and describes the structure and
tools the COnCEPT can use in the dissemination of the project results.
Naturally the dissemination plan is under continuous development and updating, in the sense that new approaching events
or tools are being added, e.g. vising different conferences or publications in a several journals. This deliverable should be
presenting an initial idea of the COnCEPT dissemination possibilities within the scope of project and its approaches to the
Stakeholders and other wide groups of interest and targets.

2.3 DEVELOPMENT OF CONCEPT VISUAL IDENTITY AND SLOGAN
A visual identity has been developed for the project comprising a logo and style guidelines for on-line and off-line
publications including at least the following applications:
The project website
Online banners
Social media accounts (project’s online ‘persona’)
PowerPoint presentations
Exhibition stands
Project leaflet and other promotional material
As a first step, three potential approaches to the project Visual Identity are being developed and presented to the
Commission. During this presentation, one approach has been selected for further development and declination into the
different formats that can be applied to all communication materials. All design elements which were proposed has been
followed the guidelines of the EC.
All formats and material related to the visual identity has been made available on the project website together with a little
e-booklet explaining the basic rules for correct use of the identity.
To achieve not only a consistent look but also consistent written communication, a set of standard project descriptions and
key messages are being developed. They are being used in the standard PowerPoint presentation, the leaflet, publications,
on the website and in other communication materials.

3 STAKEHOLDER FORUM
COnCEPT intends to create a Stakeholders forum consisting of professional designers, design agencies, and other
stakeholders in order to retrieve feedback and support for the activities of COnCEPT. This forum will include scientific
and industrial communities, standardization bodies and policy makers promoting the implementation of technologies in all
sectors of design (industrial, graphic, web etc.), the ICT sector (collaborative work, knowledge management &
semantics).
The forum will aim at:
Research: Collecting views and requirements from the widest customs and taxation community at the early phases
of the project to facilitate and enhance the perspectives regarding the definition of requirements and technological
enablers.
Development: Allowing wider discussions of the ideas, architectures, requirements aiming at consolidating the
outputs and achievements of the project.
Ownership: Creating a consolidated community within the customs and taxation sector willing to get involved in
the development of the wider European Future Internet strategy.
Feedback: Easy identification of topics to be covered in the workshops
The operation of the Stakeholders Forum will be supported by the project website. Members of the forum will therefore:
Participate in electronic discussions on selected topics
Comment on specific aspects of project achievements
Have the opportunity to shape the workshops (topics, speakers, etc.)
Receive the project e-newsletter
Subscribe to communication events
Comment on the efficiency and effectiveness of the communication activities and propose ways to enhance them.

4 ONLINE COMMUNICATION
Online communication is being ensured via the project website and electronic newsletters. Here below a quick overview
and web links to access the COnCEPT dissemination tools is shown:

4.1 CONCEPT PROJECT WEBSITE AND OPERATION
An interactive and accessible project web site has been developed by IISA and was made available in Month 3 of the
project. The website is referring to in all COnCEPT public documents and presentations, as well as its QR code for easy
reference. The web-based database (interactive roadmap) will be a powerful tool for boosting information flow between
all entities involved in standards: the Commission, public authorities and agencies, industrial companies, universities,
technological centres, standardization bodies, etc. It will also be used to disseminate targeted information to relevant
interested parties, including policy makers.
The web site includes both a public and a private restricted area. The latter will be linked to the project Consortium ftp
(for internal use), where also the project scheduling, reporting and management tools and training tools will reside.
An easy and convenient content management will be provided making use of the open source content management
software “Drupal”. IISA will provide guidance for contributors to the website based on accessibility standards (length of
sentences, naming of links, annotation of images, etc.).
The public section of the COnCEPT website:
Provide a brief project summary in journalistic style highlighting the objectives, the contents and the structure of
the COnCEPT Project including the composition of the COnCEPT Consortium.
Provide a short profile of each of the COnCEPT Partners and a link to its web sites.
Provide access to the project Public Deliverables and abstracts of selected non-Public Deliverables;
Provide copies of publications and presentations done at external conferences in various formats (pdf, MSWord,
etc.);
Feature a separate events section where events will be announced and highlighted. It will refer to COnCEPT
events such as workshops and Conferences and external events where COnCEPT will have an active role (e.g.

presentation of paper(s), organization of sessions, stands with demos, etc.). The website will also enable online
registration to the COnCEPT workshops;
Dedicated section for interactive features, such as questionnaires and/or FAQ, allowing for periodical online
activation
Visible links to the social media accounts of the project
Provide personal blogging from the COnCEPT Partners
Contain both technical & scientific information ( e.g. white papers) and user-oriented information;
Information on COnCEPT activities and structure.
Contact points of the entities involved: consortium members and in general, all organizations involved.
Relevant web sites of interest for the project such as companies, institutions, etc.
Factsheets, reference materials and results produced within the project itself, including deliverables.
Database for literature and other projects connected to COnCEPT.
Calendar of the most important conferences, seminars, workshops, meetings and events linked to COnCEPT
together with related presentation material.
The web site overview, pictured below, includes a section allowing sending a message to the COnCEPT Consortium.
IISA is in charge of this section and acts as interface of the COnCEPT Project to the external world.

The website is promoting via banners exchanges, via social media advertisement such as Facebook, LinkedIn and Twitter.
Moreover, a counter of visitors and other statistical tools is being used (including a visitors’ feedback form), to monitor
the usability and interest created by the web site and the project. The goal is to have an average number of web visits at
monthly level as below indicated:

4.2 ELECTRONIC NEWSLETTERS
The project plan is to produce short electronic newsletters, informing key stakeholders of project developments. We
propose that:
The e-newsletter is issued 1 or 2 times/year in English, so the frequency of publication must be maintained at all
times whereby regular intervals are respected.
The e-newsletter is short. So, in order to maintain the interest of the reader, the newsletter is being composed of
several short but relevant news items.
Each piece of news is illustrated by one picture. This contributes to arise its visibility and to make its content
more understandable.
Each piece of news must be short, so each one of them can concluded by a hyperlink that invites the reader to get
more information through the website.
The objective of this e-newsletter is not only to inform readers about the project itself, but also to be a relay to the website.
The e-newsletter is one of the communication tools for the regular dissemination of information within the project and in
order to reach important local, regional and economic players it should meet the following objectives:
Provide an effective and professional tool for communicating among customs and taxation stakeholders and
networks on a regular and on-going basis.
Deliver high quality accurate information which keeps the network fully informed about current activities, work
progress, success stories, events, etc.

Reach interested audiences that are not part of the network and raise awareness of the project among audiences
that are important for the success of the project as well as the knowledge transfer activities on regional and
sectorial level.
Table 3 presents an indicative list of main themes for the newsletters to be produced in the course of the Project:

The e-newsletters are being produced in English. It is assumed that the design, the text and the data for graphics or
diagrams are fully approved before starting the layout. It is being sent by email to all members of the Stakeholders forum
and is also available in a specific section of the project website - http://www.concept-fp7.eu/newsletters.html.

4.3 SOCIAL MEDIA AND ONLINE PROMOTION
Facebook, twitter and Linkedn accounts are set up for the project with the aim to foster a more familiar communication. A
dedicated YouTube channel will be set up, for easy upload of footage from the workshops, demo clips and other. The
icons will be integrated in the website, for the audience to be aware of the availability for “conversation” of the project.
The social media accounts interact with the online audiences of the members of the consortium and heavily rely of the
hype of this instrument in building up a reputation for the project and goodwill for its actions.

The online promotion is being completed with banners and google promotion, as well as social media promotion. These
instruments feature the project logo and aim to bring people on the website.
The personal blogging from the project partners is also part of the project promotional material on the website. The
publishing set up in up to 6 -10 weeks intervals with different topics and different contributors.

5 SCIENTIFIC PUBLICATIONS
The Project Steering Committee is who approves the content and timing of press releases and joint publications by the
consortium when they are made public for the first time through the web site.
Scholarly and popular dissemination of project results is displayed via the project Website and the Websites of the
partners. This concerns information on workshops; conferences; reports; and peer- reviewed publications.

Dissemination within the project uses a variety of mechanisms such as:

An end of project volume with findings will be produced for specific stakeholders in the COnCEPT domain.

5.1 SCIENTIFIC DISSEMINATION OF CONCEPT BY PARTNERS
The COnCEPT consortium is strongly motivated for providing technological and scientific results that will be of major
importance and interest for the scientific and industry communities. Apart from the overall scientific dissemination goals
described in the previous section, each project partner has concrete scientific dissemination plans as described in table
below:

IISA
INTRASOFT International (IISA) is a leading European company in the area of Information Technology and
Communication services provision especially for EU institutions and bodies, Governments and the public
sector in general. IISA portfolio boasts the provision of services to a wide range of European and
international public organizations through four main operational branches in Belgium, Greece, Luxembourg
and Romania. Moreover, IISA has long-standing contracts in Germany, Spain, the UK, most other EU
countries, and Asia. Therefore IISA clientele list consisting of Governments and Public organizations is quite
lengthy and spans across Europe and beyond. IISA International has an extensive expertise in the
Innovation-RTD policy information management, processing and dissemination services, management of
multiplex and complex information-related networks, studies as well as large contracts. It has an extensive
and long experience in designing websites (portals and Extranet) for the European Commission and has been
involved in marketing and promotional activities in the context of the projects for several years. IISA
International has organised and participated in events all around Europe involving many entities. It provides
with implementation of solutions that enhance and support services by making them visible, usable and
accessible. IISA will actively participate in the dissemination activities of COnCEPT. IISA plans to
capitalise on its clientele base and wider contacts among Governments and Public organizations throughout
Europe and beyond in order to disseminate and promote the COnCEPT project objectives.
VTT
Dissemination Objectives
& Approach
VTT aims at integrated dissemination approach comprising from scientific
publications and participation in conferences and organising workshops in the
relevant fields. Dissemination will be accompanied also by the horizontal
activities (e.g. using web sites as information channel, writing newsletters and

white papers) to ensure an effective impact that meets appropriate quality
standards
Target Groups VTT will disseminate its innovation results mainly in scientific journals and
conferences targeting mostly research community.
Envisaged Dissemination
Activities
By presenting research from the COnCEPT project at well-regarded
international conferences and journals we will promote the project in a number
of different scientific communities. For knowledge modelling and reasoning,
VTT will target conferences and journals like the European Semantic Web
Conference (ESCW), the Journal on Web Semantics, Knowledge Engineering
Review, the International Semantic Web Conference (ISWC), IEEE Intelligent
Systems, The online journal of Applied Knowledge Management, Journal of
new ICTs for Knowledge Management in Organizations, International
conference on Knowledge, Information and Creativity Support Systems.
Virtualware
Dissemination Objectives
& Approach
The Virtualware dissemination strategy is part of the overall exploitation
strategy. The other goal of dissemination is to reach out to Virtualware
customers along Europe and America... At the same time, Virtualware is very
active in European R&D forums and will disseminate the outcomes of this
project (especially in Fun&Serious Games Festival, where Virtualware is
member of the Steering Board activities). Dissemination will be accompanied
also by the horizontal activities (e.g. using web sites as information channel,
writing newsletters and white papers) to ensure an effective impact that meets
appropriate quality standards
Target Groups Virtualware will disseminate its innovation results mainly in scientific journals
and R&D conferences targeting mostly research & commercial along Europe
and America (mostly) through our subsidiaries in both continents.
Envisaged Dissemination

Dissemination Objectives
& Approach
UHasselt in the first place will disseminate its scientific results through
publications at several conferences, workshops and journals. Furthermore, it
will also disseminate the project to design professionals and students that
participate in user studies and evaluations conducted by UHasselt in the context
of COnCEPT (e.g. web-survey, semi-structured interviews and evaluations of
prototypes).
Target Groups Research community interested in the COnCEPT results with a focus on
(methods for the realization of) interactive systems, collaborative interfaces,
user-centred design and design activities in general.
Industry, interested in methods/tools/prototypes resulting from COnCEPT
research.
Education, in particular students from the computer science masters with
specialization in Human-Computer Interaction and Multimedia, and students
from the MAD-faculty (Media, Arts and Design faculty).
Envisaged Dissemination
Activities
We aim for publications of COnCEPT results at international venues
(workshops and conferences) as well as journal articles. Well-known venues
that have been proven to aid in spreading the type of research results obtained
by the Expertise Centre for Digital Media (EDM) of UHasselt are:
ACM CHI, UIST, IFIP HCSE, ACM EICS (Engineering Interactive Computer
Systems), IFIP Interact, ACM MobileHCI, Ubicomp, PerCom, Pervasive,
ISAMI, AmI, BCS HCI…
We also disseminate our results in local events (e.g. CHI Belgium) but also at
(inter)regional events.

already in the 2nd phase of expanding its activities through presence in London
and Berlin, while at the same time is focusing on the Asian market by

companies with strategic planning of expanding their export and increasing
their turnover by aiming to more foreign markets through successfully

implementing practices for applied innovation. Designlab will exploit its
partnership with COnCEPT through disseminating the high scientific and
applied level of COnCEPT's generated knowledge to Asian markets, thus
confirming its high proficiency in the field of product design. Designlab will
activate and use its communication channels (e.g. exhibitions, fairs)
demonstrating a high level of expertise and innovation regarding the design
process. Dissemination of COnCEPT will also comprise of horizontal activities
(e.g. contribution to blog, social media channels and newsletter) to ensure an
effective impact to various target groups.

TU/e will pursue the publication of scientific results, in conferences and
journals. TU/e will take the lead in editing a volume on methods and tools for
collaboration in early design. This will not be about the project work as such,
but an exposition of state of the art thinking on the topic, aimed at students and
practitioners, in which the role of the Concept tools will also be featured.
Senior scientific staff from the consortium with a design expertise will act as
editors of the volume. Further, as the TU/e maintains close links with industry
it will apply the tools and methods developed in the project in the context of
industrial applications.

KT’s goal in terms of its dissemination objectives and approach for COnCEPT
builds on and continues the role of GSI, the partner which it has replaced in the
consortium. In addition KT as a SME involved in developing new medical
technologies will explore how the COnCEPT platform can aid design and
collaborative work on design issues within the industrial context in which KT is
operating. Key objectives for KT as a result include contributing to the overall
exploitation goals of COnCEPT in tandem with exploring the use of COnCEPT
within KT’s operating environment. Key objectives include
Building awareness with stakeholders on the legal, security and trust
aspects of COnCEPT, continuing and developing the proposed role of GSI
in the project
Exploring the potential for Intellectual Property related issues to be
incorporated into COnCEPT, subject to development constraints for the
platform through to the conclusion of the project
Identifying opportunities and potential market areas for COnCEPT’s
exploitation within design and healthcare technologies, focusing on the
specific expertise and networks which can be leveraged by KT in
exploiting and disseminating the results of the COnCEPT project including
use of COnCEPT by KT in a design use case within healthcare technology
development

The COnCEPT consortium exploits the wide range of communities represented in the project consortium to maximise the
impact across the customs and taxation domain and research communities. Existing links with funded projects and
ongoing activities will be exploited to ensure partners in those projects are informed of the developments within
COnCEPT.

6 PARTICIPATION IN WORKSHOPS, CONFERENCES AND EVENTS
We foresee the participation of the project to up to 20 relevant European or international events (workshops, conferences
and exhibitions) taking place within the European Union to promote the project and its results.
COnCEPT events are planned to be generally organised in conjunction with other events in order to maximise the
visibility and attendance. For this reason, a specific task force may be established among the partners for the organization
of joint activities. These events will be announced on all major event websites specifically targeting the various
stakeholders, while they will also be announced on the EC events pages (e.g. the EUROPA website, the weekly
Information Society Newsroom newsletter) and on relevant groups on LinkedIn, Facebook and Twitter but also the entire
Consortium will make such announcements on their own websites, while ensuring local event websites cover the
COnCEPT events.
COnCEPT events will be chosen taking into account the objectives set out in the project communication plan. They could
be chosen from the indicative list shown, respectively for exhibitions and trade fairs for Scientific International
Conferences and Workshops, presented in the table below.

A high penetration dissemination and marketing strategy is being executed over the whole project period, as the proposers
are committed to achieve a significant and measurable impact.
The COnCEPT project aims at four levels of dissemination: awareness, understanding, action and participation. The target
groups of each level have been identified and are presented in the table below. Awareness is mainly involve delivering the
main message of the COnCEPT project in relation to its aim and objectives, while understanding requires the providing of
more detailed information on the project purposes, methods and deliverables. Involvement in both of these two stages
provides the basis for dissemination for action, where the project products will be delivered for further use. Dissemination
of information is particularly necessary when targeting stakeholders likely to participate.
