    Winter Organization Fair 2011

    Title : Winter Student Organization Fair Concept : To assist student organizations in promoting themselves to students Date : January 12th, 2011 Location : Library Walk Facilitators : Leads and team Collaborators/Sponsors : Sam Soloman, Center for Student Involvement

    Goals: The goals of the event are to help student orgs promote themselves tostudents and create an open and welcoming atmosphere for bothorganizations and students (involved or uninvolved). The main goal is toprovide a space for student orgs to engage with the undergraduate communityon campus.

    Resources : How much money was spent? $807.75 was allocated from AS for table

    and chair rentals from Raphaels, and flyers. It took about two weeks but should be started at least 4 weeks in

    advance and everything should be final one week before. EH&S forms for food should be collected before end of the quarter so

    there is ample time for approval. The only difficult thing to organize in this event was finding out the

    numbers for chairs and tables because we ordered two chairs for eachtable and had to figure out when the delivery for set up and pick upwould be and this all had to be done within a few days because ofstudent orgs registering up until that point, and also trying to pay themthrough Student Life Business office.

    Attendance : How many people participated? 1,257 students stopped by and around73 organizations participated

    How did people participate? People participated by engaging inconversation with student organizations and learning more about themand student orgs participated by setting up tables etc

    How can you describe the event participants? Students, undergraduatemostly looking to get more involved or find more things to becomeinvolved in.

    Results : Where the goals of the event achieved? Seems like it from the survey

    calculations. 42 of the student organizations said that it should berepeated every quarter and most of the ratings from student said that itwas beneficial

    How can you compare this event with other events? This event issimilar to fairs held at the beginning of the year with new students but italso gives transfers a chance to get to know student organizationsbetter. This is comparable to other events because it is fulfilling thepurpose of promoting student organizations.

    Reactions: What did participants appreciate and value of the event? Participants

    valued the accessibility of the organizations and orgs valued that suchan event was put on and that they could market themselves

    What comments were made? The tables were too close together, so wecould leave space in between so each organization is distinguishable

    Learning points : What could be done better? Organization of the registry, and what

    times organizations should check in before the waiting list is compiled.Planning of the event could have been started earlier.

    Many people wanted to serve food, and we did not input the EH&SForms in time in TAP

    Future Development : What will you do next time? Extend the org fair all the way down library

    walk, and delegate to more of the SILC team earlier. We should alsospecify to Raphaels that we want space in between tables so differentorg tables can be distinguishable.

    Any spin-off idea? Have it in town square and include food andentertainment by organizations
