SUBJECT: REGISTRATIONS FOR JAN/FEB 2016 EXAMINATIONS

The Main Timed Test (MTT), Supplementary Examinations (SUPP), and Special Annual Examinations (S-AE), are expected to be conducted from 25th January 2016 to 12th February 2016 as indicated in the respective Timetables as follows:

SUPP and S-AE: From 25th January 2016 to 1st February 2016 MTT: From 2nd February 2016 to 12th February 2016

Therefore, students are hereby informed that examination registrations for January 2016 Session shall commence on 24th November 2015 and end on 24th December 2015. Along with the conditions and regulations stipulated in the University Prospectus of 2015/16, students should meet the following conditions for their registrations to be complete:

1. A student applying for a Main Timed Test (MTT), Special Annual Examination (AE) and Supplementary (SUPP) of a given course unit should have:

a) Registered for the course for this academic year (2015/2016).b) Paid FULL FEES or prescribed portion of it including Tuition and Examination

fees for the case of degree, non degree and postgraduate students and 75% of Tuition Fee for the case of old continuing Postgraduate by Distance only.

c) All the fees are indicated in the invoice printed from SARIS during online course registration.

2. A student applying for Supplementary (SUPP) or Special Annual Examination (S-AE) of a given course unit should have:

a) Registered for that course in a previous academic year.b) Paid full fees of it including Tuition and Examination fees.

3. A student applying for Main Timed Test (MTT), Supplementary Examination (SUPP) or Special Annual Examination (S-AE) should note that:

a) Student is allowed to sit for ONLY MTT of a given course in the same examination session; in this case Jan/Feb 2016 Session.

b) If one sits for Special Annual Exam (AE) without coursework a ZERO mark is automatically slotted on the missing Timed Test to complete the assessment.

c) In case one writes again a paper for which a record exists, unless if it is a case of supplementary exam or repeat exam, the new marks will be ignored.

4. Upon exam registration, a successful applicant will be provided with Examination Hall Ticket (EHT) bearing student’s basic personal information, examination centre, and a list of approved tests and exams.

5. Applicants are advised to apply for courses that do not clash in the timetables as no student will be allowed to sit for more than one test/exam during the time meant for one test/exam only or even during tea/lunch breaks. To minimize cases of courses crushing in the timetable, both Jan/Feb and May/June 2016 timetables respectively were released in advance to enable you make an appropriate decision.

6. Copies of evidence of fees payment (Section 1(b)), Saris Invoice Printout (for degree, non degree and postgraduate students) and other required evidences must be attached with the Examination Hall Ticket (EHT) to be submitted by the student to the Director of the respective Regional Centre (DRC) for EHT endorsement.

7. Items mentioned in section 6 above shall grant permission for one to enter the examination room, so the items should be kept appropriately by the candidate.

8. New postgraduate students in the faculty of education whose curriculum have been changed to remove Time Test should make sure that they register for either Timed Test or Term Paper and submit to the chief invigilators their term papers assignment when the exams commences. The assignments will be collected from registered students only.

9. The Registration Mode: The registration mode will be online as follows:

9.1 PID Code Issuance for Non Degree, Undergraduate and Postgraduate students by Distance Mode a) For the Non Degree, Undergraduate students and Postgraduate students,

the PID Code is generated automatically from SARIS. b) In order for a student to be able to generate a PID Code from SARIS, the

following conditions must be met:(i) Performed Online Course Registration for this academic year

2015/2016.

(ii) Having paid TUITION FEE as indicated in the SARIS Invoice Printout (SIP).

(iii) Acquire OUT Receipt from the Regional Centre and his payments recorded in the SARIS.

(iv) For student intends to sit for SUPPLEMENTARY, should pay TShs. 5,000/= for each course with SUPP.

(v) For student with REPEAT CASE and intends to redo the course, should pay TShs. 10,000/= for each repeated course i.e. TShs. 5,000/= for MTT and TShs. 5,000/= for AE.

c) Upon completion of (section 9.1 (b)), a student can be able to “self” generate a “Special Randomly Generated Permission Code (PID Code)” by filling-in the SARIS Invoice Printout Code (SIP Code).

d) The generated PID Code shall then be used as usual to register for examinations and print Examination Hall Ticket (EHT).

e) The availability of EHT is instant upon completion of registration and confirmation by the respective student. However, students are advised to carefully follow the online/inbuilt instructions available in the system to avoid unanticipated results on the EHT as no excuse will be accepted for failure to follow the instructions.

9.2 All applicants for OFC 100 admission exam shall pay Tsh 30,000/= as exam fee and submit the bank pay slip to the nearest regional office for guidance.

9.3 The system will be available at http://des.out.ac.tz (or http://www.out.ac.tz) from 24th November 2015 to 24th December 2015.

10. EHTs APPROVAL: An EHT will only be recognized officially after having been approved by the respective DRC. Therefore, students are required to consult the DRC for the approval before the Examinations/TTs start.

NOTE:(i) A student is supposed to submit duplicate copies of his/her "raw" EHT to the

DRC for approval whereby the original is for the student and the copy should be left at the Centre.

(ii) Upon approval, the student should write his/her name in the list of prospective candidates and sign.

(iii) Candidates will only be allowed to attend the approved tests/exams at examination centre(s) indicated on their EHTs.

Please, observe the deadline to avoid last minute rush.
