The 2016 Excellence in Journalism conference, Sept. 18-20, at the Sheraton New Orleans, is the premier gathering of highly engaged journalists working in all forms of media.

Hundreds of journalists travel to EIJ each year to learn about new tools, techniques, technologies, to discuss best practices, developments and challenges in the industry, take advantage of networking events and to reconnect with colleagues, friends

and new connections.In 2016, the Society of Professional Journalists and the Radio Television Digital News Association will partner with the Native

The Radio Television Digital News Association is the world’s largest professional organization exclusively serving the electronic news profession. RTDNA members include local and network news executives, news directors, producers, reporters, digital news professionals, as well as educators and students. Founded as a grassroots organization in 1946, RTDNA works to protect the rights of electronic journalists in the courts and legislatures throughout the country, promotes ethical standards in the industry, provides members with training and education and honors outstanding work in the profession.

Excellence in Journalism 2016 (EIJ16) is a collaboration between the Radio Television Digital News Association (RTDNA), the Society of Professional Journalists (SPJ), and the Native American Journalists Association (NAJA). Attracting more than 1,000 attendees, EIJ16 is the premier annual conference for learning new skills, discovering new tools and technology, discussing best practices, and networking with colleagues and peers in the electronic journalism industry from all over the globe. Attendees include news directors, news staff, freelance journalists, educators, students, and suppliers in radio, TV, online and print journalism.

Please refer to excellenceinjournalism.org to review the rules and regulations intended by RTDNA, SPJ and NAJA to serve the best interest of EIJ16, the exhibitors, registrants, and to give notice to applicants and exhibitors of governing rules and regulations. All applicants are bound by the rules and regulations.

EXHIBIT ELIGIBILITY

RTDNA, SPJ and NAJA reserve the right to refuse applications of organizations not meeting standard requirements or expec-tations. RTDNA, SPJ and NAJA reserve the right to curtail or to close exhibits, wholly or in part, that reflect unfavorably on the character and the purpose of the meeting. This applies to displays, literature, advertising novelties, souvenirs, conduct of persons, etc.

EXHIBITOR REGISTRATIONS

Each exhibitor registration includes access to all sessions. Additional registrations needed by EIJ exhibitors can be purchased online at excellenceinjournalism.org. Exhibitor registrations do not include access to ticketed meal events. Ticketed meal events can be purchased online.

TERMS OF PAYMENT

The exhibitor agrees to enclose with this application full payment. Payments should be made payable to Society of Professional Journalists (SPJ) and forwarded to: 3909 N. Meridian St., India-napolis, IN 46208. To be included in initial space assignments, the exhibit contract and full payment must be received. Space will not be assigned or held without the contract and payment of all applicable fees.

ASSIGNMENT OF SPACE

Priority for space assignment will be made on a first-come, first-served basis. Taking space configurations under consid-eration, management reserves the right to make any revisions necessary to the floor plan. RTDNA, SPJ, and NAJA reserve the right to change booth numbers or shift booth space to accom-modate exhibitors that have purchased multiple booths or for other reasonable causes.

DECORATOR SERVICES RTDNA, SPJ and NAJA have selected Global Experience Specialists (GES) as the official decorator for EIJ16. Decorator services, furnishings, floral arrangements and other items will be outlined in the Exhibitor Services Kit, typically sent 60–90 days prior to the show.

SPONSORSHIP AND EXHIBIT CANCELLATION POLICY

Cancellations must be submitted to RTDNA, SPJ and NAJA in writing. NO REFUNDS on booth space will be granted. Compli-mentary registrations will be invalid if booth space is canceled.

1. Move-in: Exhibitor accepts the EIJ move-in dates assigned to them and acknowledges this is the only day their freight may be received at show site. In addition, exhibitor understands no booth installation may begin prior to their target move-in date.

2. Dismantling: Exhibitors’ displays must not be dismantled or packed in preparation for removal prior to the official closing time of EIJ. All exhibitors must have their materials dismantled and their booth space cleared by 5:00 p.m. on the closing day. Exhibitors are subject to penalty.

3. Subletting of Exhibit Space: Exhibitors may not assign, sub-let or share their exhibit space with another business or firm unless approval has been obtained in writing from RTDNA, SPJ and NAJA.

4. Installation: Exhibitor agrees to adhere to the installation schedule as posted. Set up procedures for EIJ16 will be high-lighted in the Exhibitor Services Kit. Any unattended booths will be set up at the discretion of RTDNA, SPJ and NAJA and all expenses will be charged to the exhibitor.

5. Schedule: Exhibitor agrees to adhere to the show schedule as posted. This schedule contains specific move-in/out times along with scheduled times for all materials to be removed from the show floor.

6. Liability: RTDNA, SPJ, NAJA and its members, the repre-sentatives and employees thereof will not be responsible for any injury, loss or damage that may occur to the exhibitor, exhibitor’s employees, agents, contractors or property from any cause whatsoever, or which may be sustained by any person who may be on the premises leased to the exhibitor. Exhibitors and exhibitors’ contractors and its insurers will not subrogate against RTDNA, SPJ, or NAJA for theft of, loss of or damage to property while in transit, within and in transit from the confines of the hall.

7. Disability Provisions: Exhibitor shall have sole responsibility for ensuring their exhibit is in full compliance with the Ameri-cans with Disabilities Act and any regulations implemented by that Act.

8. Damage to Property: The exhibitor is liable for any damage caused to building floors, walls or columns, standard booth equipment, another exhibitor’s property or the hotel.

9. Labor: Exhibitors are required to observe all contracts in effect between service contractors, the hotel and labor organi-zations.

10. Conflicting Events During Show Hours: Exhibitor agrees not to extend invitations, call meetings, hospitality events or otherwise encourage the absence of industry professionals from the exhibit hall and meeting rooms during the hours of all professional development and EIJ16 activities.

11. Exposition Guidelines: No exhibits will be permitted which interfere with the use of other exhibits or impede access to them or impede the free use of the aisle. Booth personnel, in-cluding demonstrators, hostesses and models, are required to confine their activities within the exhibitor’s booth space. Apart from the specific display space for which your company has contracted with RTDNA, SPJ, and NAJA, no part of the hotel and its grounds or public hotel property may be used by any organi-zation other than RTDNA, SPJ and NAJA for display purposes.

12. Ordinances and Regulations: Each exhibitor is charged with knowledge of all ordinances, regulations and fire laws pertaining to health, fire prevention and public safety while participating in Journalism Expo. Compliance with such laws is mandatory for all exhibitors and the sole responsibility is that of the exhibitor.

13. Expo Deadlines: Exhibitor agrees to adhere to all published deadlines related to the production and promotion of the RTD-NA, SPJ and NAJA Journalism Expo.

14. Failure to Hold Show: Should the Expo be canceled, postponed or abandoned, the limit of claim for damages and/or compensation by the exhibitor shall be the return of the amount paid for booth rental space for this specific event. Should the Expo be curtailed or abandoned in part, the limit of claim for damages and/or compensation by the exhibitor shall be the return of the prorated amount the exhibitor paid for booth rental space for this specific event. NO reimbursements will be made if the expo is canceled, postponed, curtailed or abandoned due to an act of war, act or threatened act of terror-ism or any act of God.

15. Additional Services: If an exhibitor wishes to purchase elec-tric, phone, internet or additional amenities for their booth, they must coordinate these services with the correct department as

outlined in the Exhibitor Services Kit. Costs associated with these additional services are the sole responsibility of the exhibitor.

16. Amendment of Rules: RTDNA, SPJ and NAJA reserve the right to make changes, amendments and additions to these terms at any time, and all changes, amendments and additions so made shall be binding on the exhibitor with the provision that all exhibitors will be advised of any such changes. Any matters not specifically covered herein are subject to decision by RTDNA, SPJ and NAJA.

LINE OF SIGHT POLICY

All booths, regardless of size or type, should be designed in such a way so as to eliminate line-of-sight obstructions from one exhibit to the next. A solid wall or banner between an island or split-island booth and a row of linear booths (particu-larly along the perimeter) is inappropriate. This is particularly important along shared walls and borders between linear and split-island exhibits.

All island booths, regardless of size, should allow at least 20 percent of visibility (above 4’ tall) on all four sides. Split island booths should allow 20 percent of visibility on all sides exclud-ing the shared back wall.

Examples: 20’ x 20’ Island…each side of the booth should have visibility for a minimum of 4’. For a 30‘ x 40’ Island…the 30’ sides of the booth should allow visibility for a minimum of 6’; the 40’ sides of booth should allow visibility of 8’.

An exception is that exhibitors may use plexiglass or similar transparent material as walls, still allowing for line of sight from one booth to the next.

By applying for exhibit space, exhibitors are acknowledging their understanding of these rules and are expected to follow these guidelines in such areas as booth construction, booth etiquette and marketing practices.

SPONSORSHIP RULES & REGULATIONSRTDNA/SPJ/NAJA members, non-members, corporations, con-sulting firms, manufacturers, government agencies, colleges and universities and other associations are eligible. RTDNA/SPJ/NAJA reserves the right to determine the eligibility of any sponsor or sponsorship during the course of the Excellence in Journalism conference.

PAYMENT & CANCELLATION POLICYCancellation must be submitted to RTDNA/SPJ/NAJA in writing. NO REFUNDS on booth space or sponsorship will be granted. Complimentary registrations will be invalid if booth space or sponsorship is cancelled. To be included in initial space assign-ments, the contract and full payment must be received.
