Getting to the AECC

Aberdeen Exhibition and ConferenceCentre (AECC) enjoys excellent road,rail and air transportation links. Thecentre is positioned immediatelyadjacent to the A90 trunk road andAberdeen International Airport is only a15 minute drive away. Flight connectionsare available to London airports, mostother UK airports and Northern Europe.

Shuttle Buses (from Airport)

We will be providing a shuttle bus fromAberdeen Airport to the AECC (EastEntrance). The shuttle bus departs fromthe airport in the morning at 0830, 0930and 1030 and returns at 1600, 1700 and1800 on Wednesday and Thursday. OnFriday, the event closes at 1400, so thebus return times are 1200, 1300 and1400. Buses will depart from the EastEntrance of the AECC; this is theentrance to the exhibition.

To find your bus at the airport, walk outof the terminal across the small road, upa small flight of steps and the bus will bewaiting on the right hand side. There willbe a Subsea Expo logo clearly displayedin the front window of the bus.

Bus Services

Aberdeen city centre is within easyreach of AECC and an on-site park andride service offers regular transport toand from the city centre every 15minutes during peak times.

Vehicle Parking

Ample free car parking is available inCar Park 4 and 5 at AECC.

Stands must be completed and excess products and materials removed from the hall no later than1900 on Tuesday 2 February 2016. Please allow time to load and unload vehicles.

If you have appointed a stand contractor to construct your stand, you must be assured that thedesign of the stand is such that it can be built within these published hours. Work in the hallsoutside of these hours will not be permitted in any circumstance.

It is a requirement from the venue that everyone in the halls during build up and breakdown mustwear the correct Personal Protective Equipment (PPE) – this includes wearing hi-vis vests while inthe hall (these will be provided by Subsea UK).

All shell scheme exhibitors must clear their stands by 1600 on Friday 5 February 2016. Space onlyexhibitors have until 1200 on Saturday 6 February 2016, to remove all exhibits and standequipment from the hall. Any remaining items will be removed and either destroyed, or stored atthe exhibitor’s expense.

IMPORTANT - Exhibitors must not commence stand deconstruction / removing items fromtheir stand until after the official close time of 2pm on Friday 5 Feb 2016 and all visitorshave left the hall.

Trolleys will not be allowed on the exhibition floor until after this time. Please do not leave anygoods unattended on your stand during this time. Breakdown is a busy period and your property isparticularly vulnerable to theft and damage at this time. The organisers cannot be held responsiblefor any loss or damage to your goods.

Exhibition times andexhibitor access

Freight, deliveriesand storage

Deliveries should be addressed to Aberdeen Exhibition & Conference Centre, Bridge of Don,Aberdeen, AB23 8BL. It is vital that packages are clearly marked with the exhibiting company’sname and stand number. If at all possible, deliveries should be made between 0830 -1700 and noearlier than Monday 1 February 2016. Any deliveries prior to Monday 1 February 2016 must bemade to the advance warehouse (either in Aberdeen or Sussex).

Pre-show

During the ShowUnder normal circumstances, no goods may be delivered to or removed from stands during theopen hours of the exhibition.

ForkliftThe forklift can be made available throughout the build-up on Monday 1 February, between 0830 -1700 and on Tuesday 2 February between 0830 - 1530. The forklift can lift up to 2.5 tonnes.Lifting for heavy or abnormal lifts, placing equipment on to stands in confined spaces and forequipment over 2.5 tonnes should be booked through AP Show Logistics (APSL) in advance.All heavy lifts must be positioned early.

The cost for unloading/delivery to stand and re-loading for items under 2.5 tonnes is included inyour stand rental, however any heavier lifts and/or secondary lifting (e.g. for positioningmachinery) is chargeable. Please contact APSL for rates.

Please note that all equipment must be removed by 1700 unless by prior arrangement withAECC’s Exhibition Department and APSL. Any goods left unattended and not removed by 1700on Friday 5 February 2016, will be removed by APSL and will incur additional handling and returndelivery costs.

Freight for collection after this deadline and not arranged via APSL must be left at the designatedsign-posted area at the East Entrance, labelled with the return address and contact details of yourappointed courier.

Alex will also be the main point of contact during the build-up, show open days and breakdown ofthe exhibition and will be present on the show floor.

Health, safety and operational practices (eGuide)The eGuide brings together guidance for achieving common standards of health, safety andoperational planning, management and on-site conduct for events at all participating AEV membervenues. The scope and development of the eGuide follows extensive consultation with operationsprofessionals within the exhibition and event industry in order to ensure an overall approach thatremains broadly acceptable to the community. The status of the eGuide is similar to that of anApproved Code of Practice. It is an industry-specific guide developed by authorised professionalsfrom the UK’s event venues. It incorporates health, safety and operational practices that representcompliance with building regulations and health and safety legislation.

Set up, andmanaging your stand

Stand Build Regulations (updated for 2016)Stand walls or decorations cannot exceed a height of 2.5m unless approval has been sought fromthe organiser. All visible stand walls over 2.5m must be dressed and conform to all otherregulations as per the eGuide (see p5). Walls must not overshadow or interfere with neighbouringstands without written prior approval from the organiser.

The maximum build height at Subsea Expo 2016 is 4m; stands must not exceed this height.

No more than 40% of an open side can be walled. Any walling exceeding 40% must be set back aminimum of 500mm from the open perimeter of the site.

The stand must not extend beyond its specified floor dimensions in either area or materials.

If you are employing a contractor to build your stand (space only), it is essential that yourcontractor is fully aware of their responsibilities and that all work must be carried out in conformitywith the rules and regulations as set out in the eGuide.

It is essential that all space only contractors must submit a risk assessment and stand plans byFriday 4 December 2016 for approval by the organisers. Approval will be issued in writing prior tothe commencement of build up.

If approval of the stand design has not been obtained, or not submitted, stand construction may behalted, changes imposed, or disassembly required at the exhibitor’s own expense.

All exhibitors must complete and submit the Health & Safety Declaration form (p13), by Friday 29January 2016, and must be fully completed to include contact details on the health and safetyrepresentative for your stand.

Construction Design and Management Regulations (updated for 2016)As of April 2015, all events in the UK are now subject to new legislation; the Construction Designand Management Regulations 2015. For Subsea Expo, this will involve all exhibitors, or theirappointed contractors, submitting a Construction Phase Plan, that will encompass the RiskAssessment and Method Statement that they have previously required for stand construction.

� Fixings etc: shell scheme panels should be carefully treated to avoid damage and care shouldbe taken when mounting display panels etc. Light material may be attached by the use ofVelcro pads. Advice should be sought from AECC for mounting heavy materials as specialbattens may be needed.

On-site services

Electrical InstallationsAECC is the official electrical contractor of Subsea Expo 2016. The installation or alteration of anyelectrical fitting by any person other than a member of the contractor’s staff is strictly prohibited. Inaccordance with current health and safety regulations, all electrical equipment and fittings shouldcomply with applicable test regulations. Any exhibitor in need of additional electrical requirements,such as a socket, should order these through the online shop at www.aecc.co.uk/shop

CleaningThe exhibition hall and stands will be cleaned prior to opening. Exhibitors are requested to placerefuse for collection in the bags provided and leave them in the aisles at the end of the exhibitionon 5 February 2016. If any special cleaning services are required, exhibitors should contact LynneReilly by calling +44 (0)1224 330427 or by emailing [email protected]

SecuritySecurity is provided within the hall during build, open days and break down, however the organiserand AECC accept no responsibility for any loss or damage to personal belongings or equipment,and advise that exhibitors and their contractors are adequately covered.

Internet AccessConnection to the wireless internet at AECC is provided through DB Systems and furtherinformation can be obtained by visiting www.dbeventnetworks.co.uk

Costs are £5 per hour or £25 per day (24 hours).

All connections run from when you first connect and cannot be used in segments. There is noneed to pre-book wifi as it can be booked online when you arrive at the AECC:

CateringThe catering department at AECC have unrivalled expertise which is provided throughout everyevent to a high standard, both in terms of food quality and customer care. A wide range ofexhibition stand catering options are available and AECC will be pleased to discuss yourrequirements with you.

Due to venue rules and compliance with the Licensing (Scotland) Act 2005 and FoodScotland Act 2015, all food and beverages must be purchased from an AECC approvedcaterer. This includes:

First AidAny person requiring first aid treatment should contact any of the show management team orvenue staff.

Fire PrecautionsThe use of naked flame, volatile, or any other items that could be considered a fire hazard, isprohibited unless special written permission has been obtained from the organisers. Any persondiscovering an outbreak of fire should immediately notify the organiser’s office, a member of thesecurity team, or an official of the exhibition centre.

Health and SafetyThe arena will be classed as a building site during build up and break down and all exhibitors andtheir contractors must comply with the AECC house rules with regard to Personal ProtectiveEquipment (PPE), particularly with respect to the wearing of high-vis vests until the duty managerdeems the hall to be clear of all hazardous operations.

SmokingUnder Scottish Law, smoking is banned in all enclosed public places therefore smoking is notpermitted within the Aberdeen Exhibition and Conference Centre. Smoking within the premisescould result in prosecution.

Water FeaturesIf you are planning on having any kind of water display on your stand, please confirm the details inwriting to the organisers so that written approval can be issued. Exhibitor’s Responsibilities

An exhibition stand is a workplace covered by health and safety legislation. As the exhibitor it isyour responsibility to ensure that a suitable and sufficient risk assessment is completed.

Failure to do so could lead to delays or ultimately the closure of your stand.

You MUST complete a risk assessment if you answer tick any of the boxes below.

Lifting heavy products during the build up/breakdown
