Rules & Regulations:

In order to ensure a professional and safe environment for all parties, the following are the Terms & Conditions for all contractors involved in functions at the premises of Millennium Hilton Bangkok;

1. Floor Plan/Schedule: Two (2) weeks prior to the date of the set-up, the Contractor must submit a full schedule to the Hotel, detailing scope of work to be done, timings, full equipment list and floor plan, for prior approval by the Hotel.

2. Person in Charge: To avoid confusion, only one representative from the Contractor’s company will coordinate with the Hotel. The name of that person must be given to Event Operation Manager in charge of the function. The Hotel will likewise assign one person to coordinate directly with the Contractor.

3. Attire: Contractor’s employees are to be properly dressed. Minimum attire requirement will be a clean T-shirt, trousers and shoes (no tank top / no open toe shoes or slipper under any circumstances).

4. Access / Pass: At all times Contractors’ staff must come in the Hotel through the employee entrance located on P3 level with an identification card and must register at the Security Office. Contractors are expected to wear the visitor badge issued to them by hotel Security at all times

5. Security Check: The hotel may inspect any or all equipment when entering and when leaving the hotel building and the contractor is responsible to provide a list of such equipment. The hotel may refuse any item which is not on this list.

6. Behaviour: Eating / Drinking / and Toilet areas for Contractors and their employees will be allocated within the service area or back of the house. They are not permitted to carry out these functions in any public areas of the Hotel. Smoking within the Hotel premises is strictly prohibited. Contractors are also not allowed to be outside the working area unless authorized. Misbehavior, playing or any reckless acts observed by the hotel, including loud, coarse or abusive language within the vicinity of staff, guests or visitors will not be tolerated and may result in the cancellation of the contract or refusal to be allowed to work within the hotel premises.

7. Service Entrance/Elevator: The delivery of materials should at all times be through the Hotel’s service entrance located at car park level only not through main hotel entrance or hotel public areas. The schedule to access hotel and delivery materials is to be discussed and agreed upon by both parties. Guest elevators must not be used under any circumstances.

8. Requirement for Transport: When setting up for the function, the specific moving in and moving out time of display items or units must be informed to Event Operation Manager and Banquet Service prior to set up procedure. Trucks and any other forms of transport involved are only permitted to remain at the hotel service entrance. Licences plate number and number of trucks or any vehicle used for delivery of material must be informed to Event Operation Manager 2 days prior to the setting up. 9. Service Access: No obstruction is allowed in front of service staff doors. There must be sufficient space for

smooth service of food and beverage from hotel.

10. Carpet: To prevent damage, dirt or paint, flooring and carpet are to be protected with heavy plastic sheets or canvas before placing heavy equipment such as scaffolding, stage and displaying booth and before carpentry or paintwork is carried out. The Client will be responsible for the cost of any carpet cleaning caused by the Contractor’s negligence.

Rules & Regulations: 11. Requirement for Utilities: Any requirement for additional power source or supply should be arranged in advance after consultation with the Hotel’s Engineering Department. Safe electrical load is subject to the hotels discretion. No client or Contractor is allowed to tamper with the Hotel’s electrical and power installation without prior approval.

12. Hotel Equipment: No equipment from the Hotel is to be used by the Contractor unless agreed by the hotel in

writing.

13. Damage: There should be no nailing or pasting of materials on any of the Hotel property. Any set up in the function room should be placed at least one (1) meter away from the hotel structure or walls. The Hotel reserves the right to charge for any damage; caused either by the client or the Contractor, sustained to the Hotel’s property, fixtures, fittings and equipments during the set up duration or breaking down of any function

14. Insurance Policy: The Contractor shall be responsible for both personal and property insurance to cover possible loss or damage before or during or after the event. Expenses relating to this insurance must be borne by the Contractor. Before commencing work on the site the contractor may be asked to provide certificates of insurance or additional insured endorsements, with required liability limits and statements, as a condition to being allowed to work on site.

15. Security: It is the client responsibility to arrange for their own security to cover the function areas on a 24-hour basis throughout the whole period of the event. Hotel security officers patrol at random and are not assigned to any specific events.

16. Safety precautions: The contractor must ensure that any employees under their control fully understand and strictly follow all safety standards covering electrical work, confined space work, working at heights, hazardous material handling or any other specific task being undertaken.

17. Personal Protective Equipment: The contractor shall ensure all employees are provided with correct

Personal Protective Equipment (PPE) and wear, protective face masks and protective clothing if required.

18. Fire systems: the contractor will not interfere, remove or attempt to isolate any fire systems including portable fire equipment, without the written approval of the hotel management.

19. Emergency: In case of any emergency or evacuation at any time, the contractor will follow all instructions of the hotel management.

20. Fire Exits: Fire Safety Regulations prohibit the blockage of all exit doors.

21. Injury: The Hotel will not accept any liability to either property or persons, caused directly or indirectly; arising

out of any area of the contractors involvement in the function.

22. Client Responsibility: The client accepts responsibility for all works carried out by their Contractors in the Hotel’s premises.

Rules & Regulations: 23. Hygiene Rules and Regulations for Food Catering Brought in By Guest 23.1 Food caterers must be healthy. If caterers get sick that might be transmitted to others, they are not allowed to work in the hotel. 23.2 Food caterers must dress appropriately and be respectful to the hotel. Keep uniform clean at all time during food service. Flip Flop shoes and shorts are not allowed. 23.3 Food caterers must keep their hair clean and wear hair net during food preparation.

23.4 Food caterers never touch ready-to-eat food with bare hands. Spoons, Tongs, and Gloves must be used. 23.5 All utensils must be in good condition (no evidence of chip or rusty) and made from harmless material. 23.6 Perishable food must be kept chill in refrigerator or ice box.

23.7 Nothing can be stored in the ice box that contains ice for consumption.

23.8 Hotel reserves right to request food sample for reference of laboratory test if an allegation of food poisoning is received.

24. Millennium Hilton Bangkok does not encourage additional food (raw or cooked) to be brought in by customers / guests for any functions unless special permission has been obtain in written. However, if the customers / guests insist on bringing food:

Should there be any problem caused from food being brought from outside, customers / guests / organizer will fully agree to take the responsibility.
