DEAR EXHIBITOR
This manual was developed to provide you guidance and establish rules to your
participation in the 23rd Edition of MERCOPAR – Subcontraction and Industrial
Innovation Trade Fair.
The Exhibitor’s Manual is an integral part of the Temporary Space Lease Commercial
Agreement and sets forth the conditions for using the exhibition areas, as well as
services contracted. Knowledge of the information and guidance provided herein and
compliance with the Form completion deadlines, will allow us to meet your expectations
and needs in due time and in an efficient manner.
All information contained herein must be forwarded to the companies that will render
services to the EXHIBITOR, such as stand assembly, personal security, cleaning,
reception services, among others in order to avoid last minute troubles.
All EXHIBITORS must access the website www.mercopar.com.br Restricted Area for
Exhibitor/Assembler and complete the forms, according to the deadlines set forth
herein.
How to access the restricted area:
Your password to access the Restricted Area will only be released after the signed
space lease agreement has been returned properly signed.

CHECK LIST
1.1 CONTRACTING OF SERVICES
The Exhibitors must provide the contracting of the services below, according to their
specific needs. In order to contract the services which there are not specific forms for, it
must be done directly with service providers, information in this manual.
Stand Project of the Contractor (in case of areas with no basic assembly);
Requirement of additional items with authorized contractor (areas with basic
assembly);
Electric Power (mandatory to all exhibitors, even in basic assembly areas);

Entry of Heavy Equipment and Contract
General Pavilion
Sept. 17 and 18 - it is only allowed the entrance of heavy equipment at this date.
Sept. 17 – entry of contractor to assembly floor if necessary.
Sept. 18 - released mount Pavilion Event Center.

Sept. 23 - it is only allowed the entrance of heavy equipment at this date.
Sept. 23 - Because the term of the entry assembly equipment assembly shall be
released on the same day but the mount will be released as available.
Final Cleaning and Decorating
Sept. 29 – Should be removed from all material (debris) of corridors, and performed
general cleaning of the stands until 4 pm, otherwise they will be removed by the
cleaning staff, without any guarantee as to the integrity of the materials removed.
After 4 pm it will initiate the General Cleanliness of the pavilions, corridors and
placement of crosswalks, will not be allowed to play any kind of trash in the hallways,
the company that has been caught throwing garbage or trash that is found near the
booth will be fined in the amount of R$ 900.00 (Nine hundred Reais). Decoration, and
vitrinagem final arrangements concerning the decoration of the stand will only be
permitted.
Stand builders who do not respect the mentioned deadlines will be subject to the
sanctions imposed by the PROMOTERS which might be a fine of R$ 900.00 (nine
hundred reais) each exceeded hour or the suspension of activities.

According to the TABLE above, forms filled until August 22nd will generate a bank slip

After the date of August 23rd, forms can be filled and tax paid at Exhibitors Service with
check or Money at Exhibitors Center Festa da Uva between the dates of September 17
to September 29, compliance with current prices in Table 2.

Please be advised that all billing of fees will be made by Hannover Fairs
Sulamérica.
The payments made from the day Sep.17 at Caex, by check should be made
payable to Hanover Fairs Sulamérica Ltda.
ATTENTION: The deadline to filling the form on the website is August 31. After that
date all request must be made at Exhibitors Service (CAEX).

OVERDUE PAYMENTS
The EXHIBITOR who has not paid overdue payments will be required to settle his
obligations with PROMOTERS, in order to be able to access their stand areas, receive
passes, whether such obligations are related to contractual installments or installation or
service fees.
Without proof of payment your participation in the EVENT will not be allowed.
GENERAL INFORMATION
PERSONAL ACCESS
During the assembly and disassembly the EXHIBITOR must comply with and enforce
the contract and his employees the following procedure:
● It is mandatory the use of the pass in a visible place during all the event
(assembly, fair and disassembly).
● Contribute to the workplace and throughout in the “Pavilhão da Festa da Uva”, is
held the respect, hygiene, morality, order and security.
● To be at the workplace in appropriate outfit and in hygienic conditions. It is
prohibited slippers, sandals, bare feet or workers without shirts, in shorts or
races.
● Not to present himself under the influence of alcohol nor to ingest alcoholic
beverage in the dependences of the “Pavilhão da Festa da Uva”. It is mandatory
the use of the pass in a visible place.

● Use individual Protection Equipment when the service requires special
protection.
According to the Status of Children and Adolescents, it is not allowed the entry of people under 14 at the event, even together with a legal responsible.
MATERIAL ENTRY
It is the exhibitors responsibility to keep a reliable employee at the company’s stand
when exhibition material is being received or removed.
INSURANCE
Stands, goods, materials, personnel, of any whatever nature, including representatives,
transporters, builders, crane operates, or whatever, ARE NOT COVERED BY
INSURANCE at assembly, show days and disassembly of the FAIR – and it is the sole
EXHIBITOR’s responsibility any damages or injuries.
IMPORTANT: The EXHIBITOR is solely liable for any damage caused or endured by its
employees, within or outside of its stands, and/or damage to any material goods that
they use or is under their responsibility. EXHIBITOR is also responsible for visitor’s
safety while they are within their respective stand, as well as, any personal or material
damages of any nature, arising as a result of theft, fire, lightning, storms, explosions,
hail, infiltration, humidity, accidents, riots, sabotage and other causes, no matter the
origin or source.
The PROMOTERS emphatically recommend that EXHIBITORS must provide their own
insurance for General Risk (RD) and Civil Liability (RC) insurance that provide sufficient
coverage for risks involved during assembly, realization and disassembly of the event.
Failure to carry said insurance policies or inadequate coverage of mentioned risks will
result in total accountability of EXHIBITOR and his representatives for all damages that
may occur, being his responsibility to indemnify and restore all the damage to
PROMOTERS, pavilion and others, either permanent or temporary.

ANTI-SMOKING LAW
It is not allowed to smoke inside the pavilion during
assembly/realization/disassembly, according to Federal Law n. 9.294/96, State Law
n. 13.275/09 and Municipal Law n. 2.662/81.
Not complying of those laws is subject to the penalties of article n. 4 of Municipal Law n.
2.662/81.
INSPECTION OF MINISTRY OF LABOUR IN EVENTS
HIRING PERSONNEL
In order to hire temporary services directly, the EXHIBITOR must comply with the rules
with especial attention. EXHIBITOR is solely responsible for payment of salary, labor
and social security charges, commission and any type of remuneration due to its
employees or contractors, which shall comply with the rules and requirements contained
herein, including contracting norms set forth by the Ministry of Labor, and
PROMOTERS are held harmless of any liability to that regard.
Inspection of Ministry of Labor in events – Hiring Personnel
The Ministry of Labor in order to normalize the differences in employment of labor has a
team of inspectors that inspects the trade fair to guide and supervise.
The third parties, in case the EXHIBITOR, could be considered co-responsible on labor
obligations, and must require proof of service of regularity, to protect any demands.
In the hiring of services of receptionists, waiters, stands guards (security and
surveillance), cleaning staff, assemblers and companies providing services need to
respect the current legislation at it stands.
The documents that must be available at the stand for presentation to the
representatives of the Ministry of Labor are:

Copy of employees’ registration or identification card such as badge with full
name, position, admission date and n. of PIS/PASEP.
Records of work hours.
3. Temporary Workers:
Agreement executed with temporary agency and registration of the agency in
Ministry of Labor; list of workers that are rendering services as temp workers;
Records of work hours.
4. Self employed workers:
Copy of self employed registration document from City Hall and INSS.
5. Stand Security:
Check Security and Surveillance Item
The above documents in items n. 2 to 5 must be requested when hiring personnel,
allowing that in case of any law suit, the Exhibitor has all the elements to defend
their interests.
WORK SAFETY Individual Protection Equipment – IPE The contractor company should provide to all employees the Individual Protection Equipment to control all the risks that work environment can offer during the assembly, disassembly and in the fair. Those equipments should be in perfect conditions to assure total safety to workers and all the people that are in the fair. The exhibitor, as well as the constructor, must abide by laws, legislation, rules and regulations of Work safety, besides the ones in this manual. It is also mandatory to hire only qualified personnel.
It is mandatory that all IPE have a certificate of approval issued by the Ministry of Labor, according to the Regulatory Norm No. 06. Below there is a list of mandatory equipment that employees and contracted staff needs to use to access and stay at the assembly site: - Safety shoes without heels; - Pants; - A long-sleeve or short-sleeve shirt; - Helmet for whom is going to work with load and material handling;

- Safety glasses for whom is going to work with drilling or load and material handling that can project particles, e.g.: hammer, maul, etc; - Safety gloves according to staff’s duties; - Safety belt, parachuter style with bandolier, for whom is going to perform work at a height over 2 meters; - Ear plugs for whom is going to work with noises louder than 80 decibels; - Dust mask for whom is going to perform work that project particles. It is prohibited the entrance and stay of workers without identification and wearing inappropriate outfit (shirtless, e.g.) during assembly and disassembly period. Due to safety rules and demands from Ministry of Labor, it is not allowed the entrance and stay of ANY WORKER wearing bermudas, shorts, tank tops, clogs, sandals and flip-flops during assembly, trade fair and disassembly period.
The PROMOTERS are not responsible for the lack of use of the IPE or the inappropriate use of it. The EXHIBITOR AND ASSEMBLER COMPANIES will have complete legal responsibility over noncompliance of safety rules from Ministry of Labor (Regulatory Norm No. 06)
Machines and Equipment Exhibition.
Machinery and equipment exposed at the booth must be strictly protected from
accidents. Should be inaccessible to the public all components that present danger,
such as gears, belts, pulleys, corrosive materials, electricity, etc..
It will not be allowed to operate heavy machinery and equipment that have no exhaust
system or produce sound (noise) exceeding 65 decibels.
Note: All exhibitors are required to comply with REGULATORY NORM No. 12 -
Machinery and Equipment, adopted by Ordinance No. 3214 of August 06, 1978, as
amended by Ordinance No. 197 of December 17, 2010.
UNDERAGE WORK:
The EXHIBITOR is not allowed to use work force from people under 16, except people
over 14 in apprentice agreement, according to the law.
In order to supply some exhibitor’s needs, promoters will specify some basic services
(cleaning, security, catering...), that will be available at the end of this Manual.
The exhibitor that opts to contract other companies of his own choice must register the
contracted company on the website in Exhibitor’s restrict area until August 22, by using
the proper form and also present the required documents.

After that date, registration of other service providers, other than the authorized
providers, will no longer be allowed.
LIABILITY
Organizers are not liable for any damage or losses to individuals or products exhibited
during assembly period, the event and disassembly period, including theft, burglary,
sabotage, civil unrest, problem with power outages, water supply cuts, fire damage or
other damages of any nature.
We suggest you to have qualified personnel on the premises to receive incomings at
your stand.
IMPORTANT: It is the sole responsibility of EXHIBITOR to attend the following
activities relating to its participation at the fair:
1) All machines / equipment / materials for exhibition must meet current
legislation for exhibition and marketing;
2) The exhibitor has exclusive responsibility of all charges concerning Fiscal,
Health, Labor and Social Security of its activity at the venue;
3) The property owned by the exhibitor shall be insured by this, not fitting any
responsibility for the DA compensation for any losses suffered;
4) The exhibitor assumes towards their employees and team work, whatever their
nationality and professional category is: sole responsibility for compliance with
labor, social security, insurance laws, accidents and other legal obligations or
regulations arising from the employment relationship or any other form of
employment that remain with their work teams; entire responsibilities for
remuneration, labor, tax, labor accident and social security charges on payment
of all who engage in the execution of this AGREEMENT, as well, when making
discounts gatherings to those eligible, taxes, contributions and other obligations
by law or legal acts are due.
UNTRANSFERABILITY
The Exhibitor is not allowed to transfer totally or partially any rights or responsibilities
related to the PROMOTER as well as sublease or concede any part or the total area

that is in the Contract for Temporary Lease of Commercial Space signed by both
parties.
RULES OF ASSEMBLY
The rules of assembly will be available on Assembly Manual for companies with
basic assembly and companies without basic assembly.
The manual will be available on our website, we kindly ask you to send it to the
contracted assembler.
It is very important to read the entire manual to be aware of the rules of the
assembly.
We ask you to pay attention on the Assembly Manual about the construction of
booth in events, because there were a lot of changes concerning the finishing
and coating materials that can be used in the assembly according the Technical
Instruction 10/2011 SP of the Fire Department (INSTRUÇÃO TÉCNICA 10/2011
SP).
It is highly recommended the full reading of the manual to be aware of the rules of
assembly, since the noncompliance of such rules could lead to the banning of the
booth and the company can be subject to the penalties of Civil and Criminal Law.
Note: it is the responsibility of the Exhibitor/Assembler to inform the materials
that can propagate any kind of spark or fire. In case the Fire Department bans the
stand because of omitted information or the lack of information to the event
manager, the exhibitor will not be able to penalize the event promoter and will
have to pay 100% of the agreement besides a fine of 20% for omission.
PUBLICITY AND MERCHANDISING
EXHIBITORS OFFICIAL CATALOG
The MERCOPAR 2014 Exhibitors Official Catalog will be provided in digital format and made available online at www.mercopar.com.br as from Sept. 30 th, for a 90-day period.

During MERCOPAR, visitors will be able to consult the MERCOPAR 2014 Exhibitors
Official Catalog at electronic terminals strategically located throughout the event
pavilion.
The Official Catalog is an important tool to promote EXHIBITOR’S products and
services, as well as, a means to help visitors locate companies during the event. To
ensure that your company’s details are correct in the catalog, it is the EXHIBITOR’s
responsibility to access the Restricted Area for Exhibitors at www.mercopar.com.br to
complete the questionnaire and include your company’s logo and pictures.
The deadline to include your company in the official catalog is Aug. 31st, 2014. After
said date and if information is not adequately completed, no more than the company’s
contact information contained in the Temporary Lease Agreement will be included in the
MERCOPAR 2014 Exhibitors Official Catalog.
It is the EXHIBITOR’s full responsibility to fill in this Form correctly. PROMOTERS are
exempt of any responsibility resulting from incomplete, inaccurate or non completion of
this Form within the deadline.
INVITATIONS
To promote your participation in MERCOPAR 2014 more effectively or to a greater
degree, it will be sent free of charge, 20 (twenty) invitation by m2 of exhibitor’s area to
be stamped and distributed by your company to your clients, suppliers and potential
buyers.
Additional invitations can be requested by email: [email protected] and taken
out from one of our offices free of charge. In case of being necessary to deliver the
additional invitations, it will be charged a delivery fee decided by the PROMOTERS.
In order to valorize the invitation, we highly suggest a customized letter to be sent along
with it.

Catalogs, cards and others printed materials are the most important things to maintain
deals that had the beginning on MERCOPAR 2014. We suggest to exhibitors to check
the updating and quantity of catalogs to present on the fair.
The EXHIBITOR may only exhibit advertising or carry out promotional activities inside
its stand area, and cannot use corridors or other common areas to promote itself or its
products.
The exhibitors must obtain prior authorization from PROMOTERS to promote
sweepstakes, raffles or any other activity involving prizes and under no circumstance
may such activities be carried outside the stand confines.
Third party products and/or services that do not participate in the Exhibition and are not
specified in the Temporary Space Lease Commercial Agreement cannot be promoted at
the EXHIBITOR stand.
The merchandising tools have as the main objective to increase the Exhibitor’s
visibility and exposure during the EVENT and, as such, they must not be exhibited
aggressively or such a way as to provoke other exhibitors. The MERCOPAR 2014 has
a Merchandising Plan with different quotas to the EXHIBITORS that wishes to promote
their brand. The Plan will be send to EXHIBITORS after closing the deal.
Material may only be displayed at the points the Promoter determinates and approves
and in accordance with the conditions specified by the EVENT’s Merchandising Plan.
ATTENTION: The promotional work in a fair must be done by the company’s
salespeople and technicians. In case the EXHIBITOR opts to contract third party
services, it must be treated as supplementary resource and offered previous training,
due to the inevitable unawareness of the company and its products by those hired
people.
COPYRIGHTS AND SOUND SERVICES
The only sound allowed at MERCOPAR 2014 will be regular sound arising from
machinery or equipment. Nevertheless, PROMOTERS may limit or prohibit any sound
they may seem excessive, notifying the exhibitor. In case of it occurring another time,
the exhibitor will be fined in R$ 900.00 (nine hundred reais).
EXHIBITOR that wishes to install any other type of sound system, such as, sound
tracks, audiovisual equipment or any other type of device to be played on loop, or not,

must do so in a manner that it does not cause disturbance in the area, including
acoustic isolation and must not exceed the limit of 40 decibels, measured from a
distance of 1 meter around the stand perimeter. We would like to remind you that music
cannot be played without previously fulfilling ECAD regulations, as set forth in Law no.
9.610/98 that established provisions regarding copyrights.
EXHIBITOR is solely responsible for due payment to ECAD, for playing music in their
respective stands.
We advise that the subject must be treated in advance with ECAD to avoid further
problems.

SAFETY RULES
From the beginning of assembly to the disassembly, it is mandatory the use of fire
extinguishers identified and with a compatible load with the products displayed and/or
materials used during stand assembly/disassembly. The required fire extinguishers are
the ones with chemical power ABC with a load of 4 kg, at least. In case of electronic
equipment and energized electronic panels the required extinguishers must be CO2
with a load 4 or 6 kg, both with safety signs and floor stand. An ABC extinguisher of 4
kg, a safety sign and a floor stand is necessary for every 100m2.
It is not allowed to smoke inside the pavilion.
For safety reasons, it is expressly prohibited the use and functioning or internal
combustions engines inside the PAVILION, the use of explosives, non inert
gases, toxics, fuels, LPG and inflammable liquids, in any form and for any purpose. It
is only allowed the use of ovens and electric ovens previously informed to promoters.
During the assembly is not allowed to work with electrical and welding to use of
extensions in environments where services are being made to fix with adhesive
coatings on stage or flammable materials. Before its use, it is necessary to request

authorization with event organization, which should inspect the conditions and decide to
authorize it or not as well as its restrictions and safety measures and prevention. For
welding, it is mandatory the use of ABC extinguisher with a load of 04kg next to the
welding operator.
It is mandatory for stands with closed areas over 100m²:
• Emergency exits to the external area of the stands, clearly visible;
• Routes of escape listed in the interior of the stands;
• Note informing the physical capacity of the place (maximum number of people).
Emergency light of 2x55 watts with battery and extra light point.
All and every emergency exit, gate and fire equipments (extinguishers and hydrants) or
any other equipment that is part f the pavilion structure that are inside the stand’s area,
must not be blocked, even temporarily. The minimum distance to be observed between
hydrants and any elements to be installed is 1.2 m.
The exhibitors are responsible for compliance with technical standards, which is
subject to the penalties of Civil and Criminal Law. For further information, we

DANGEROUS EQUIPMENT
Any exhibition equipment whose show can be hazardous to the public, other stands, or
the exhibition hall should be provided with special facilities, which must completely
eliminate any danger at the discretion of the Organizers.
WORK SAFETY
The Exhibitor and the contractor company should provide to employees, all the
Individual Protection Equipments to control all the risks that work environment can offer
during the assembly, disassembly and in the fair. Those equipments should be in
perfect conditions to assure total safety to workers and all the people that are in the fair.

The Exhibitor as well as the constructor must abide by laws, legislation, rules and
regulations of Work safety, besides the ones in this manual.
SURVEILLANCE: RULES AND RECOMMENDATIONS
PROMOTERS shall maintain security staff at entry and exit locations and surveillance
crew exclusively in common areas, during assembly, realization and disassembly.
PROMOTERS shall not be held liable for theft or other potential occurrences during
exhibition, assembly, realization and disassembly that happen inside EXHIBITOR’S
stands during the mentioned period. It is solely the EXHIBITOR’S responsibility to take
the proper steps related to that.
EXHIBITOR that opts to hire its own security service must observe the following:
Registration will only be accepted for companies that have the security certificate
issued by the Federal Police Bureau of the Ministry of Justice and work
authorization in the state of Rio Grande do Sul.
Hiring freelance professionals will not be admitted under no circumstance.
We would also like to remind you that EXHIBITOR is liable for all acts carried out
by employees of contracted companies.
Under no circumstance will fire arms be allowed.
The security guards hired by PROMOTERS will inspect pavilion by the end of
each event day to ensure that visitors and stand personnel have left the place.
All the security guards must wear uniform and must have the pass and company
identification (with ID number) visible all the time. That identification must not be
used by other people other than its owner.
Only personnel and registered security personnel previously authorized by
PROMOTERS may remain on premise for 24 hours. Other hired companies
can only remain in the pavilion during assembly, fair, disassembly of the event,
according to the table in this Manual.

this, Exhibitors must contract the official cleaning services provider (see list of

SECURITY

followed. The Exhibitors are entirely responsible for safeguarding their booths and

PARKING
The administration of parking is the responsibility of the “Pavilhão da Festa da Uva” in
partnership with Safe Park, which has outdoors parking spaces and doesn’t offer valet
parking.
The credentials of parking for the EXHIBITOR will be on sale on Sept. 23 at the
Pavilion. Those responsible for parking may remove any vehicles parked wrong. Shall
not be allowed to reserve seats for the event, except in cases of permission for use of
space for merchandising.
During the assembly / disassembly access is free.During the show will be charged a
value, where for the access will be sale the Ticket of parking for de administration of
Safe Park, to exhibitors, assembly and Service Providers.

LOADING AND UNLOADING OF GOODS PARKING
Pavilion Exhibition Centre Mezzanine, Ground Floor and Pavilion 1 – the entry
and exit of equipments, machines and assembler, will be through Gate 3.
Pavilion 2 – the entry and exit of equipments, machines and assembler, will be
through Gate 8.
For access to pavilions, everyone should be credentialed, if you don’t have badge, you
must go to CAEX and ask for, it is on entry of pavilion.
VISITORS AND EXHIBITORS PARKING
Visitors Parking – The visitors will have access to the pavilion by the principal gate.
Exhibitor Parking – The exhibitors who will be on Pavilion Exhibition Centre and
Pavilion 1 will have access by Gate 3, who doesn’t have credentialed should go to
CAEX.
The exhibitors who will be on Pavilion 2, will have access by Gate 8, who has not be
credentialed should go to CAEX on Sept. 30 and Oct. 01, 2014, you can get your badge
at CAEX 2, next to entry of the fair from 1:00 pm to 4:00 pm, after that date, should go
to CAEX to be credentialed.
REQUEST FOR PHONE LINE
EXHIBITOR may opt to have a temporary phone line installed according to Oi Telecom
rules in its stand. This phone line will be able to make local, long-distance and
international phone calls.
Installation of phone line is only possible, if the EXHIBITOR has a phone line available
that may be billed within Oi Telecom’s license area.
The line should be leased through Oi Telecom until Sept. 17, and PROMOTERS are
not liable for any default on behalf of EXHIBITORS.

• PROMOTERS must be informed of dimensions and weight of equipment, as well as
type of transportation necessary by filling out Form 07 – Heavy Equipment Display
that can be accessed at www.mercopar.com.br - Restricted Area for Exhibitors.
It is incumbent upon EXHIBITOR to provide transportation of items being displayed, as
well as remove them at the end of event; store packaging; assemble, disassemble and
repackage items and carry out payment therefore.
After this date, with or without the completed form, entry of such equipment will be
subject to a feasibility check by the Organizers, since space for movement will be
limited to floor aisles.

ATTENTION: The EXHIBITOR is the only responsible for registering his suppliers. In
case of not filling this FORM, the service providers will not be allowed to enter or remain
in the event.
We would like to inform that the EVENT COORDINATORS that are hired to provide
service at the stand as a coordinator and security guard must be registered in FORM 2
and 3 as well as present the requested documents. Those professionals are only
allowed to remain in the pavilion during the assembly, show, and disassembly. It is not
allowed to offer their services to other exhibitors. If that occurs, they are going to be
taken off the event.
The Work Passes are only going to be delivered to the registered person himself, after
presenting personal identification.
FORM 03 – REGISTRATION OF THE SECURITY COMPANY
Deadline: Aug. 22 – must be filled if necessary.
After this deadline only authorized companies recommended by the promoters may be
contracted as security providers.
Each EXHIBITOR has the right to 01 (one) security pass. If the EXHIBITOR needs
more passes than informed above, the form must be filled until Aug. 22. For payment
with bank slip, the deadline is until Sep. 09, according to the prices.
Additional passes requested after Sep. 22, must be paid and taken after Sep. 17 at
Exhibitors Service, according to the prices.
To obtain approval of the Security company, Exhibitor is required to complete this
FORM and submit documentation to Hannover Fairs via do Fax: +55 11 3521-8000 or
email: [email protected], according with the rules contained herein, and
receive a written approval.
According to guidance provided by the Brazilian Federal Police, in order to avoid
contracting of unregistered companies, as well as unqualified personnel to render

security services, and even authorized companies with irregular status before the
Department of Private Security Control (“DELESP/SR/DPF”) when contracting said
services it is essential that you request the following main documents, issued by the
Federal Police:
License to Operate (valid in the State of Rio Grande do Sul);
Certificate of Safety (valid for one year);
Revision of License to Operate (valid for one year).
The documents mentioned above must be sent to fax: + 55 11 3521-8020 until Sept. 22
along with the Exhibitor’s company name, security company name and name of the
security guards to be hired in order to have the information checked by Promoters in
proper organs and have the company approved or not. The EXHIBITOR must also
request:
• Work Agreement;
• Second copy of the employee registration card or ID badge (I.N. nº 3 of 1/Sep/97);
• Registration as Security Agent with the MTBE (Ministry of Labor and Employment)
• Time card.
In case the EXHIBITOR opts to contract third party services, please note that the
contracting company engaging said services can be held co-liable for labor duties,
therefore, should require that his service provider submit a copy of his articles of
association to confirm that it is duly and regularly established, fulltime employee payroll,
duly notarized copy of F.G.T.S and payment and Social Security (“GFIP”) Information,
in order to have enough elements to be protected in case of a law suit.
FORM 04 – REQUEST FOR POWER, WATER AND SEWAGE
Deadline: Aug. 22 – mandatory filling (to contracts with basic assembly or without
assembly)
It is mandatory to request adequate power supply necessary to be installed at the
stand. This form is mandatory even for stands that do not have surpassed the
amount they are entitled to or either have basic assembly.

Each Exhibitor is entitled to 1 KVA for every 12m² leased, and each EXHIBITOR is
entitled to a minimum of 1KVA. If the size of an Exhibitor’s stand is not a multiple of 12
m², the number shall be rounded down.
The form must be filled until Aug. 22. For payment with bank slip, the deadline is until
Sep. 09, according to the prices.
After Aug. 22, all the request must be paid at Exhibitors Service, from Sep. 17
according to the prices.
TECHNICAL STANDARDS AND ELECTRICAL ENERGY REQUEST
Information on how to request electrical energy to the stand:
The electrical energy at Centro de Feiras e Eventos Festa da uva is:
220 V - Neutral phase
380 V - three-phase must be requested in FORM 04.
Each EXHIBITOR must determine which components in its stand will require 220
V or 380 V electrical energy, request and pay for said outlets by filling out the
proper Form.
If EXHIBITOR requires 110 V or 220-three-phase electrical energy, EXHIBITOR
must provide compatible transformer with the required charge, while the pavilion
does not provide said voltage. EXHIBITOR must base his request on the total
amount of electrical energy to be used.
By calculating the amounts according to the example below, EXHIBITOR must
determine its total consumption in kVA for lighting, as well as for equipment that will be
used during event (refer to list of equipment and consumption).
Example: Three (3) 100-watt spot lights each = 300 watts = 0.3 kVA
How to calculate electrical energy supply to fill in the Form?
1. In the event your stand has the following equipment:
10 (ten) 110 W light bulbs 1.000 W or 1,0 kVA (220 V)
1 (one) 800 W computer 800 W or 0,8 kVA (220 V)

In this case, a supply of 2 220 V kVA, must be requested because kilowatts can only be
requested in whole numbers and rounded up.
2. If equipment displayed requires three-phase energy:
1 hp piece of equipment 760 W or 0,76 kVA (380 V)
Total equipment consumptionn: 1 kVA (380 V)
In this case, a supply of 1 380 V kVA, should be requested, because that is the minimum
that can be contracted for this type of electrical energy.
3. Therefore to fully comply with all your stand’s needs, your electrical energy supply
would be: 2 220 V kVA + 1 380 V kVA Total = 3 kVA of electrical energy
The EXHIBITOR must fill the at www.mercopar.com.br, the Form 04 - Request
for Electric Energy, Water and Outflow, according to the KVA consumption table
below. No refunds are going to be made in case of electrical energy and paid and not
used.
4. The amount of electrical energy required will be verified by the Technical Crew and
the total amount to be paid may vary according to actual requirements identified, as
identified on the first day of event. If an excess consumption is identified, an
additional charge will be made.
5. Electrical Energy, Three phase outlets and Sewage request Forms are only intended
for electrical energy and hydraulic consumption. Lighting accessories, outlets,
transformers, adapters, circuit breakers, extensions etc., and its installation must be
requested and settled separately with your stand’s assembly contractor.
EXHIBITOR must turn off lights of their stands and arrange separate connections
for refrigerators or other equipment that cannot be turned off during the night.
Failure to comply will result in a fine of R$ 900.00 (Nine Hundrad Reais) per day,
which will be sent an invoice to the Exhibitor later.

HYDRAULICS
The installation will have a supply point of ¾ or 20 mm diameter to water and 50 mm to
sewage will be charge additional fees. This fee is not supply sinks or the water/sewage
tubing. It is not allowed to interfere in the Pavilion’s equipment. It is not allowed the
installation of toilet bowl in the exhibition area.
The location for this installation of water and sewage points must be determined
in the assembly project of stand in the Form 04 – Request for electrical
energy, water and sewage. It will be charge by the point that will be installed.
The PROMOTERS are responsible to provide the electric energy, water and
sewage points.
It is the responsibility of EXHIBITOR to provide the connection of water taken for
use in the stands, and disposal of their sewage. In the absence of a point near
the stand, the EXHIBITOR must provide plastic containers with a capacity
commensurate with its need;
The stands that use hot water to make the connections of sewage drainage pipes
with PVC and amendments duly pasted and not hoses to avoid mishaps.
It is mandatory to use removable floor when water installations in the stand or
use special structure that allows the distribution of electrical installations in a
protected way.
Use only services its own tanks, washing equipment, painting and others,
including cleaners used in the assembly and is strictly forbidden to use the toilets
for that purpose, under penalty of payment of fine.
We would like to inform that there is no sewage system in Pavilion 1. The
EXHIBITOR is responsible to provide plastic bins with capacity according
to his needs.

The compressed air points shall be specified on the stand assembly plans and the
request therefore will be made through this form. Total cost varies according to amount
of points requested.
All registration requests after the deadline must be made at the Exhibitor Service after
September 17, according to the prices of this manual.
All requests submitted after the deadline will be serviced according to availability.
INSTALLATION OF COMPRESSED AIR
It is incumbent upon EXHIBITOR to execute installation from the point made available
by the Promoters to the equipment, and should provide all material necessary to do so
(hoses, clamps…).
EXHIBITOR must complete Compressed Air installation with adequate filter with
pressure regulator to meet its needs, given that PROMOTERS are not liable for
impurities or humidity contained in air.
If EXHIBITOR opts to bring its own compressor, appropriate installations that
completely eliminate health risks to people, goods or items in stands, as well as
acoustic insulation to avoid high noise levels or vibrations that disturb operations in
neighboring stands must be provided.
EQUIPMENT TESTS
During the assembly period, the conductive line of compressed air will be turned on to
test your equipments , according to the schedules below:
Sept., 27 (Saturday) - from 2:00 pm to 4:00 pm
Sept., 28 (Sunday) - from 2:00 pm to 4:00 pm
Sept., 29 (Monday) - from 1:00 pm to 5:00 pm

FORM 06 – STAND ASSEMBLY CONTRACTOR/CLEANING FEE
Deadline: Aug. 31 – obligatory (mandatory for companies that contracted without
assembly).
It is the EXHIBITOR’s responsibility to inform PROMOTERS the name of the Contractor
that will assemble the stand in this form.
The stand builder must send the blue prints for approval by Sept. 05, pursuant to the
rules contained herein.
CLEANING FEE: The fee will be charged for cleaning services for common areas of the
Pavilion during the assembly. For Forms completed within the deadline, a bank-issued
invoice will be sent for payment of assembly cleaning fee due to September, 09 to
contractor or Exhibitor, according to information contained in this Form to allow access
to the contractor. No contractor will enter the Pavilion without presenting the document
with the paid fee.
For Forms filled after August 22, the cleaning fee must be paid by ASSEMBLER at
Exhibitor's service in order to be allowed to enter the pavilion. No assembler will have
access to the pavilion without paying the full amount of the cleaning fee.
FORM 07 – DISPLAY OF HEAVY EQUIPMENT
Deadline: Aug. 31. – optional.
Exhibitors that will display heavy equipment and requires Munck truck or forklift
services for handling, must inform PROMOTERS, by Aug. 31, by filling out this Form.
Forms submitted after the mentioned deadline, shall be serviced according to
availability and are subject to a stand disassembly fee in order to allow equipment to
pass.

Load movement and handling services, as well as payment thereof is fully incumbent
upon EXHIBITOR and must comply with the rules herein.
We would like to remind you that full responsibility for receipt of said equipment is
incumbent upon the EXHIBITOR.
FORM 08 - STAND IDENTIFICATION
Deadline: Sept. 01 – mandatory filling (to contracts with basic assembly)
EXHIBITORS which contracted standard shell scheme services must complete this
Form including the name to be used on stand’s sign.
EXHIBITORS who do not meet the deadline for such will be serviced if there is
availability.
The Corporate Name specified in the lease agreement will be used on stand’s sign for
companies who have not completed this Form.
If EXHIBITOR prefers to use a logo, please mark this option in the Form.
FORM 09 – BUYER PROJECT REGISTRATION
Deadline: Aug. 31. – Mandatory to company that wish to take part
All EXHIBITORS may participate in the Business Rounds / Buyer Project. In order to
participate, this form must be fully completed by the specified deadline.
The sooner this Form is completed, the greater the possibility of obtaining better
results.

After this deadline, this Form must be printed and submitted to press room located
within the pavilion.
The information in this form will be used to promote Mercopar and its Exhibitors in the
media in general.
The press office will promote MERCOPAR 2014 periodically advertise the event in
newspapers and national magazines. EXHIBITORS wishing to send information about
their products must fill out the Form 12 available at website - Restricted Area.

FORM 11 – RECORDS REGARDING ENTRY AND EXIT OF MATERIALS
Completion of this form is mandatory
All EXHIBITORS must complete this Form and submit a signed original copy to the
security guards at pavilion when bringing in or removing material to be displayed.
It is the EXHIBITOR’s sole responsibility to keep a reliable employee at its stand when
exhibition material is being received or removed.
TAXES AND CUSTOMS
The EXHIBITOR and the companies hired by him are responsible for the payment of
taxes, duties and financial and social security contributions and other fees of legal
nature in municipal, state and federal range.
It is the EXHIBITOR’s sole responsibility to perform the legal requirements related to the
procedures of samples, products, equipments delivery to be exhibited; free distribution
products, tools and etc at the local of the event.
Product Delivery/Products to be exhibited:
a. The invoice to the dispatch of products to be exposed must be emitted in the
EXHIBITOR’s own name with his own CNPJ number and registration number.

b. In the invoice there must be the following note:
“The products are intended to be part of MERCOPAR 2014 event - Subcontracting and
Industrial Innovation Trade Fair that will take place during the period of Sept 30 to Oct
03, 2014 at Centro de Feiras e Eventos Festa da Uva, located at 1431, Ludovico
Cavinnato St., Nossa Sra. Da Saude. Zip code 95030-520, Caxias do Sul/RS and must
return at maximum period of 60 days.”
c. In the spaces themselves, discriminate the quantities of products, unit values and
total.
d. The invoiced must be filled according to the state where the send is located:
CFOP code (transaction nature code)
5.914 – Delivery to exhibitions or fairs inside the state.
6.914 – Delivery to exhibitions or fairs in other states (Companies that emit Electronic
Invoices that fail to enter the code 6914 should enter the code 5914 and put the
information in the additional data item B above).
*Check with the organs the suspension or exemption from taxation.
Exhibition of Imported Products:
In order to have the service of customs clearance, we recommend that the company
uses the services of specialized company of your choice.
Return of the Products
To return the products to the EXHIBITOR’s company, there must be emitted an income
invoice with the following note:

FORM 12 – EXHIBITOR CATALOG
Deadline: Aug. 31. – Mandatory
So as to guarantee that your company’s data is correct in the catalog, it is incumbent
upon EXHIBITOR to complete this Form, as well as include your logotype and pictures.
One (1) logotype and up to 3 product pictures may be included per company.
Information about file type and format accepted is specified in the Form itself.
INVITATIONS/TICKETS
Deadline: Aug. 31 – Optional
Exhibitors will be mailed, free of charge, 20 invitation/tickets per square meter of
contracted space.
Additional invitations/tickets can be requested online at [email protected] and
collected free of charge directly in any one of our offices. A fee will be charged for
tickets sent by regular mail. Delivery charges are to be decided by PROMOTERS.
DISASSEMBLY:
STAND BUILDERS: will only be able to access pavilions on Oct. 03, after 9:15 pm to
disassemble window displays and remove electronic equipment duly specified in list or
accompanied by invoice.
Disassembly of stands is not allowed, in such an event, contractor will be subject to a
R$ 2,500.00 - (two thousand and five hundred reais) penalty per stand.
PORTABLE EQUIPMENT REMOVAL
All EXHIBITORS, STAND BUILDERS AND SERVICE PROVIDERS must remove on
Oct. 03rd, from 9:15 pm to 11:00 pm all equipment and materials for small, portable and
consumer electronics (computers, TVs, DVDs, videos, small equipment etc.), owned or
leased, accompanied by invoice or spreadsheets properly.
The PROMOTERS shall not be liable for losses or damages incurred during assembly,
exhibition and disassembly. We recommend that at this stage, a permanent employee
of the company must be at booth until all equipment is removed, or hiring a private
security for the booth (see item Security).

DISASSEMBLY OF HEAVY EQUIPMENTS
All the EXHIBITORS must remove their heavy equipment on Oct. 04th and 05th from
8:00 am to 3:00 pm accompanied by Invoice.
After the period of disassembly oh the stand should be left without waste or exposure
and the elements used in the stand assembly. All and any debris, material, equipment,
etc. left or forgotten in common areas of Pavilion will be discarded.
