Organisations & Supporters

Under each organisation on ToT you will need to be set up as a supporter to enable clients to appear on the portal as well as ToT. If your name does not appear on this screen then you need to contact Prince’s Trust Qualifications to be set up as a supporter. You should not add yourself as a “New Supporter” as this will create duplicate staff and supporter records.

Entering Businesses on ToT

When entering a new business on ToT you will need to select if the client(s) will be doing the qualification. This can be done either at the beginning of their Explore Enterprise

course or when they are ready to submit.

ToT – Business Clients

On the “Clients” tab of a business entry you will need to click on the “Enterprise Qualification” link in the bottom left hand of the screen. This will link through to the portal and allow entries to be made electronically.

ToT – Business Clients

1. For each client listed under a centre you can tick the “enter for qualification” box. 2. You will then need to choose a “Qualifications Centre” by clicking on the “…” 3. Then choose a “Qualifications Administrator” who is registered as a supporter on

your centre. 4. Press save to store the data to that client.

Making Entries on the PortalThis is the second stage ion the process and replaces the spreadsheet

sent to [email protected].

The Qualifications Portal is an External System which reflects the information on ToT and allows the recording and reporting of

Portal - Login

Type username and password then press Enter

Click here enter your clients for their qualification

You will be able to see all your clients here. Scroll through the page numbers (at the top right of this table) if you have lots of clients.

Clients will only appear here if they are linked to you on ToT.

Once you have submitted for a Level 2 Certificate they will automatically disappear off this list.

You can select by learner what to enter them for – either by individual unit or by qualification. Most of your young people will complete either a Level 1 Award or Level 2 Certificate.

By ticking the qualification box all the relevant units will also be ticked.

Press “Submit” once you are happy to make the entries to confirm you are sending workbooks.

You will need to proceed through the payment pages to submit your claims fully.

Checking Results on the Portal

The Qualifications Portal is an External System which reflects the information on ToT and allows the recording

and reporting of qualifications information.

Click on Advanced Search

You can choose learners individually, or more than one at a time to look at results.

Press “Search” when you have selected those you require.

Qualifications will say “entered” if they are waiting EV or have the QAN number if they have passed

Units will show individually. Green for a Pass; Red (and failed) for Fails; and Pink (Entered) if they are still awaiting EV.

You can export the table into Excel for your records or to make it easier to view

Why Change to this System?

This system enables qualifications to be attached to the client record on ToT, meaning we are able to pull of data to

send to regulators and also means it can easily be documented for Evaluation/KPIs within your team.
