1. Introduction

Leonardo Test Certificate is an application that allows the Manufacturers to independently issue their own Alternative Testing Scheme (ATS) certificates and submit them for RINA validation. Here is the scheme of the process:

and its brief description:

1. the Manufacturer submits, outside the system, a request for ATS to the reference RINA office

2. the RINA office creates the job in ATS Regime

3. the Manufacturer, if necessary, performs the following actions:

a. add another Purchaser (4.1.1 How to Change Purchaser Data)

b. attach files

4. depending on the material to be certified, the Manufacturer may have to add technical data set

(4.2.2 Technical Data function)

5. the Manufacturer creates the Certificate (4.2.3 New certificate)

6. the Manufacturer:

a. fills in the certificate data (4.3 Certificate Data)

b. attaches files, if any

c. records that all the configured Certification Activities have been carried out (4.4.1 How

perform the Activity’s Carried out).

If necessary, at this stage, the Manufacturer may ask RINA to customize the list of proposed Certification Activities for the certificate.

7. the Manufacturer issues the Certificate clicking on Approve button. The certificate and its

attachments are automatically sent to RINA office for the validation.

8. RINA office verifies the submitted documentation:

a. if the verification is successful, the RINA office Signs the certificate and validates the

attachments.

b. if the verification of the documentation is not successful the certificate is rejected, going

back to step 6

In both cases, the manufacturer is notified with the result of the verification of the documentation.

2. Application Structure

2.1 Application Layout

All the application pages have the same layout, divided into 4 sections as shown in Figure 1.

2.1.1 Header

Section 1 is the header of the website. It is always visible on top of all website pages and can be clicked to return to the home page. It also displays information about the application version and the environment.

2.1.2 User Information

Section 2 displays information about the user logged into the system. More precisely, the application displays Company name and username.

2.1.3 Menu

Section 3 contains the menu of the application to navigate through the main functionalities: - Jobs: to access the list of Favourite jobs; - Manual: links directly to the User Manual; - Logout: to disconnect.

2.1.4 Main area

Section 4 is the main area where users can work and interact with the application data.

2.1.4.1 Data Table Layout

All data tables provide a pagination feature (Figure 2). On the bottom of the table, the change page buttons are available. Some tables provide also a data sorting feature. Users can click on the column header, to sort data in ascending or descending order, based on the field value.

2.2 Common features

In this chapter some features that are common to all pages of the application are described.

2.2.1 “Search by Filter” window

In order to help users to fill in some fields in the search pages, the application provides the “Search by

filter” feature, clicking on magnifying glass icon of the corresponding field The “Search by filter” environment is divided in three sections (see Figure 3):

1) In the first section the button closes the search window.

2) In the second section, the user can insert the filters values and click on the “Search” button (or

press “Enter” on the keyboard); the result of the search will be shown in the section 3.

By clicking on the “Clear” button the fields in the filter area are cleared.

3) In the third section there is the output where a “Select” button is available for each row;

depending on the data, the user can select only one or multiple values:

• in the first case, when the user clicks the select button, the “Search by filter” page closes

automatically and the corresponding field in the main page is filled in according to the

selection.

• in the second case (i.e. the ship field in Certificate Data page), every time the user clicks

the select button, the corresponding value is added.

To display the selected records, the user has to manually close the “Search by filter” page clicking on the button .

Once back in the main page, a selected value can be removed by clicking on the “Remove” button (see Figure 4)

2.2.2 Unsaved data

The application supports data entry operation by checking if data have been saved or not. At the top of the main area, a label shows the status of data persistency (see Figure 5 and Figure 6).

By pressing “Ok” all data will be saved and, in case, label switches from “Pending Changes” to “Up to date” value. By pressing “Cancel” all unsaved changes recorded on the page will be lost and previous data will be restored. Furthermore, the system will ask for a confirmation to prevent users from leaving the page before saving data.

2.2.3 Export on Excel file

Main Search outputs (e.g. Favourite Jobs, Jobs, Approve & Sign Certificate) can be downloaded in an

Excel file by pressing the button.

3. Favourite Jobs

It opens by default when accessing the application or clicking on the Jobs function . The last 50 jobs listed as favourites are displayed on this page (Figure 7).

A job can be included or removed from the personal list of favourites through the Favourite button inside Job Data:

▪ if the job is included in the list of favourites;

▪ if the job is not included in the list of favourites.

4. Jobs

Jobs page is the main search page of the application (Figure 8).

In the first section the filters help to find a specific job through all those available for the user. Users can view only jobs related to their Company site.

Jobs can be searched through the following list of main attributes:

• File number

• Organizational Unit

• Status

• Purchaser

• Opening date

• Opened by

• Manufacturer

• Material

• Ship

• Drawing

The values for the fields Material, Ship and Drawing can be selected through the magnifier in a “Search by Filter” window. If known, the ship identification code can also be entered directly in the Ship field; with a click outside the field, the system validates the entered data and shows the ship name, if existing, or displays a message if the identification code is not found. In the output, at the end of every line of the grid, there are three buttons:

• : if there is at least one certificate in the job, to go to the certificates list

• : to go to the job data page

• : add or remove a job from the favourite list.

When a User selects a job, the application redirects to the job details that consists in two pages:

• Job Data

• Materials & Certificates

4.1 Job Data

This page displays the main information about the job (Figure 9) and allows to modify a few data.

In the first section, information and buttons concerning main functionalities are available.

In the second section, several data relevant to the job are displayed. These data are managed by RINA.

In the third section the following optional functionalities are available:

• Attachments: attach one or more files to the job through the “Select File" button

• Purchaser: Change the Purchaser automatically proposed.

4.1.1 How to Change Purchaser Data

Purchaser data can be changed (Figure 10):

• adding one or more new Purchasers through the Add Purchaser function

• deleting a Purchaser clicking on the corresponding Delete button (Important: the Purchaser is

not removed if already inserted in a certificate of the job)

The Add Purchaser function allows to search a company in the RINA master data. If the sought company is not present, in the search page select the option Add companies to add a new company, inserting:

4.2 Materials & Certificates

This page displays information about processes and certificates related to the job.

In the first section, the certificates issued for the job, with processes and status information, are listed.

By clicking on the “Edit” icon, the application redirects the user to the “Certificate Data” page containing details of the selected certificate.

In the second section, the application shows the list of all processes related to the job.

For each process, the following function are available:

• Description : opens a window where the user can configure and personalize for a material the name displayed in the certificate, typing the correct name of the tested material in this field.

If the name of a material is changed, all ongoing certificates will report the new name.

• Technical Data : opens a window with technical data configured for the selected material.

(4.2.2 Technical Data function)

• Add Set : to add a new set of attributes copying the selected one.

• Remove : to remove the selected set of attributes.

In the third section, the following function are available:

• New Certificate: to create a new certificate

• Copy Certificate: to generate a new the certificate by copying one or more existing certificates

4.2.1 Certificate status

The Certificate status are:

• Draft: in this status the certificate data may be edited.

• To be signed: the certificate has been approved by the manufacturer and submitted for RINA

verification; no further modification can be done. If the certificate is rejected, it will return to Draft

status.

• Approved and Signed: the certificate has been signed and its attachments have been

validated.

• Deleted: the certificate has been deleted.

• Replaced: status of a certificate that has been replaced by a new one. A link to the substitutive certificate is available in the replaced certificate.

4.2.2 Technical Data function

In the Technical Data window, the user can insert new values or view and modify the technical data

configured for the selected material.

To fill in multiple rows at a time, it is necessary to:

• click Add Set to add rows in the table

• fill in the first row (the one with the Copy button on the left)

• select with the checkbox the sets to fill in/modify

• press the Copy button.

It is also possible to fill in/modify the data directly in the single rows, clicking in the correspondent cell.

When the user enters or modifies values, the system automatically checks the correct format of inserted

data.

4.2.3 New certificate

In order to create a new certificate, it is necessary to select one or more materials and then press “New

Certificate"; the Certificate is then automatically opened.

For some materials, it is necessary to fill in at least one attribute in order to display the set in the list of

processes that can be selected for creating a new certificate (4.2.2 Technical Data function)

4.2.4 Copy Certificate

The Copy Certificate function allows to create a new certificate as a copy of one or more existing

certificates in Approved and Signed status

There are two options:

• Copy and Edit: to copy only one certificate.

• Copy Multiple: to copy more than one certificate can be copied.

With both options, the new certificates inherit materials and comments, processes and customizations.

4.2.4.1 Copy and Edit

This option allows to copy also the technical attributes of the tested products (Technical Data) and the

recorded actions (Actions recorded on certificate activities).

The information to be copied are selected in the first section:

• Technical Data

• Actions recorded on certificate activities: if checked, it is required to insert also Execution

Date and User who performed the action

• Values/Notes

• Comments

In the second section, all Approved and Signed Certificate are visible.

In order to search a specific Certificate, the user can click on Search Certificate in the third section.

With a click on Select of the desired certificate the new certificate is automatically created and opened for editing.

4.2.4.2 Copy Multiple

The user can:

• Search a specific Certificate in the first highlighted section

• Set the Copy Options in the third highlighted section.

• Select the certificates to be copied in the second highlighted section

• Indicate the number of copies to be created for each certificate, clicking on the

corresponding row under the Number of copies column in the fourth section.

• Click on Ok button

4.3 Certificate Data

After creating or selecting a certificate, the application redirects users to the Certificate Data page.

In this page users can:

• View the main information of the Certificate

• add detailed information

• download a PDF file

• handle the flow of certification.

Figure 17 The following data are managed in the main section of the page:

• Certificate number, State, Approval Date, Approved by, Signature date, Signed by:

automatically filled in by the system;

• Language: to indicate if the certificate has to be bilingual (Italian/English) or only in English;

• Purchaser: select one Purchaser among the ones inserted in the job or leave it empty to issue

a certificate without Purchaser;

• Edit certificate number: to edit the sequential number of an ongoing certificate, in case one

number has been skipped in the Materials & Certificates list due to the deletion of a certificate.

It is not possible to insert the number of a certificate already existing;

• Place (*): inserted automatically by the system as the location of the office in charge of the job,

it can be modified;

• Referential rule (*): to indicate the rules applied for the testing;

• Work order, Order, Intended for: free texts;

• Ship: to link one or more ships to the certificate. Ships can be added also after the certificate

approval, but in this case they will be not printed on the certificate;

• Add File Number: if the checkbox is ticked off, the file number of the job is printed on the

certificate;

• Additional stamp: to add an additional stamp in the certificate;

• Stamp Text: available only for specific additional stamps, allows the insertion of a free text to

the additional stamp;

In the section Attachments it is possible to Attach one or more files to the Certificate by pressing Select files button. (Multiple selection is allowed)

In the section Comments, it is possible to insert a comment to be displayed on the certificate

In the section Process it is possible to edit the tested materials as follows:

• for each row users can insert the multiplicity (1 by default) and the serial number. If the display

multiplicity option is selected, the multiplicity is shown on the certificate.

• use the function Add Process to add a material available in the job but not inserted in the

certificate (4.3.1 Add Process)

• Remove a material by clicking on Remove button

• Select a drawing, if it’s required, by clicking on Drawings button (4.3.2 Select a Drawing for

a Material)

• Display and download the preview of the certificate, available in draft status, by clicking on

Preview Certificate button

• Display and download the signed certificate, available in approved and signed status, by clicking

on Download Certificate button

• Open a PDF file with a summary of the certificate by clicking on Download Cert Activities

button. It contains the certification information, a list of certification activities and related rules,

questions and acceptance requirements.

Moreover, with the buttons on the right side (Figure 20) the following actions are available:

• Approve: to approve the draft certificate and submit it for RINA verification, it is available only if

all the Certificates activities has been reported as carried out (4.4 Certification Activities)

After this operation, the certificate cannot be modified, therefore it is recommended to check the

preview of the certificate (Preview Certificate) before its approval

• Delete certificate: to delete the draft certificate.

• Replace certificate: to substitute a signed certificate with a new one, in draft status, inheriting

all data. This button can be used for example to replace a wrong certificate.

4.3.1 Add Process

If when creating a new certificate a material has not been selected, it is possible to add it to the certificate anyway clicking the Add Process button in the process section. To add the material, just select it in the windows that opens and click Ok to confirm the action.

4.3.2 Select a Drawing for a Material

For some materials it’s required to select a drawing. In order to perform this action, the user has to click on Drawing button. The system will show a window where drawings can be searched by inserting the number, the title, the window of approval dates or the outgoing letter of Leonardo DRAW.

Once the user finds the corresponding drawing, he has to click on Select and then on OK. Only in case of approved drawing not available in LeoDRAW, User can pick the Drawing not inserted in LeoDRAW option and insert a free text.

When drawings are inserted, the icon becomes red and displays a tooltip with the number of inserted drawings.

4.4 Certification Activities

The testing activities are available in the tab Certification Activities (Figure 25). By selecting more than one activity, the same operation can be performed simultaneously on all of them. Testing operations can be sorted with drag and drop functionality.

On this tab User can select one or more activities and press one of the following buttons:

• Add Value and/or translation: to set values and/or translations for carried out activities. This

information is printed out on the PDF certificate;

• Add Note: to add notes for carried out activities. This information is not printed out on the PDF

certificate;

• Carried Out: to indicate that the certification activity has been performed.

4.4.1 How perform the Activity’s Carried out

To set an activity as carried out, it is necessary to:

• select one or more activities through the relevant checkboxs

• click on the Carried Out button

• enter the Execution Date and click OK

4.4.2 How to approve and submit the certificate

Once the user has carried out all activities, it is necessary to go back to the Certificatate Data page where the Approve button will be available. When the user clicks on Approve, the certificate changes its status from Draft to To be Signed and the relevant RINA office is notified.

5. Approved and Signed Certificates

In this page users can consult the PDF of the certificates already approved and signed. By clicking on

in the column “Certificate” the system opens the PDF of the selected certificate or the .zip with the certificate and the attachments, if any.

6. Archive Certificate

If it is not possible to fill in and submit the certificate through the system, RINA office may archive a certificate scan. These certificates are listed in the Materials & Certificates page among the others, and they are recognizable by the label Archive that follows the certificate number.

Click the “Edit” icon to access a simplified Certificate Data page where it is possible to view the certificate and the following data:

• certificate number;

• place of issue;

• purchaser.

• the reference standard;

• the identification of the order;

• the ship or the destination of testing;

• the tested materials;

• the technician and the date of signature;

• the attachments.
