Wipe Your Data

At the end of your lease term you must return all assets that came with your lease installation excluding those otherwise extended or purchased by you.

The first step in any returns process is to remove all passwords and confidential data. All passwords must be removed prior to return (power-on, administrative, Bios or hard drive).

Password protection will render the machine operationally useless and thus worthless. If HPEFS cannot override the password or clear it we will have to dispose of the equipment, in this case a charge equivalent to the fair market value (FMV) will be invoiced

Please note that in addition to removing all passwords all company confidential data must also be removed from any storage device prior to return..

Equipment Completeness

All assets and peripherals that came with your lease installation must be returned including software, manuals and cabling so as to avoid replacement charges. This includes but is not limited to:

Equipment Warranty

At HPEFS, we recognize that your leased equipment may have a few minor scratches and nicks, or what we consider normal wear and tear. After all nothing stays perfect forever. However, the equipment must be in good working order when you return it, or you will be charged for repair or replacement. Any defects or damages covered under the manufacturer’s warranty or maintenance agreement (where applicable) should be corrected before the equipment is returned.

The charge for missing, damaged or non-functional items will be the replacement cost of the item up to its FMV (Fair market value).

For example if a laptop with a FMV of 150 is returned with a cracked display that will cost 200 to repair you will be charged 150. However, if the laptop has a FMV of 300 you will be charged 200, the cost to repair the display, in other words you will only be charged the lower of the FMV or the repair charge.

Examples of normal wear and tear

• Light /minor scratches on monitor screen

• Faded lettering on keyboard

• Minor scratches on cover of base

• Worn Logo

• Removable stickers or labels

Examples of what is not considered normal wear and tear

• Cracked lid, frame or case

• Broken hinges or latch that won’t close

• Power up or resume problems

• Missing or damaged control panel doors

• Non-removable stickers / labels (epoxy)

• Cracked or severely scratched monitor screen

• Monitor image Burn

• No power or no picture

Toner / Pinter Cartridges

• Shipment regulations in many jurisdictions do not allow transport of non-functional printers containing cartridges. In the event that you are returning such printers at EOL (End of lease) it is thus required that all toner or printer cartridges are removed and packaged separately before shipping.

• Functional printers should be returned complete with cartridges/toner installed

Choosing Shipment method

1.1 When returning the leased equipment there are 3 shipping options available:

SELF-SHIP – Customer is responsible for packaging, labelling and shipping the leased equipment back to our local warehouse (address will be provided) by their own means and costs. A Pallet Label with a RMA (reference number) will be issued by HPEFS and always shall accompany this equipment.

PICK-UP (Transport Only) – Customer is responsible for packing, labelling and palletizing the equipment. One of HPEFS Logistics partners will collect the equipment at an accessible ground floor location and deliver it back to a designated warehouse. A Pallet Label with a RMA (reference number) will be issued by HPEFS and always shall accompany this equipment. Customer will be billed for the transport only (Quotation to be provided and accepted in advance).

PASS (Packaging and shipping) – One of HPEFS Logistics partners will pack, label and palletize the equipment at an accessible ground floor location and deliver it back to an HPEFS designated warehouse. Customer will be billed for packaging and shipment costs. (Quotation to be provided and accepted in advance).
