Login
Once you have opened an account you will receive an email with your username and
password details, enabling you to access your account and take full advantage of
NetMessenger.

Navigating NetMessenger
While you are logged in to NetMessenger you will always have access to the top navi-
gation (below). This allows you to do the following...
1. 'Home': Return to the NetMessenger Dashboard
2. 'Send SMS': Compose a text message
3. 'Messages': View message folders
4. 'Contacts': Manage your contacts and groups
5. 'Reports': View message reports
6. Your Username: Clicking here takes you to your profile. This area also
displays your balance and allows you to top up.
7. 'My Account': Manage your account and settings
8. 'Administration': Manage your sub users
9. 'Help & Support': View help documentation and user guides
10. 'Logout': Sign out from NetMessenger

Dashboard
When your first login to NetMessenger you will see the Dashboard by default (you
can change your default page in settings). This page is always accessible via the
'Home' button.
1. Account Summary: This is an extended view of your account status. It
displays your account balance as well as any inbound numbers you have
attached to your account. It also includes buttons to add more of either.
2. Account Setup: Here you can access various settings relating to your
account. It's a good idea to go through these to tailor the system to your
individual needs.
3. Support: Here you will find links to all our help sections including a link
to contact us directly if you require any assistance.
4. Below the Dashboard you will see any news items. Clicking 'Mark as
read' will remove the item from your homescreen.

Your Contact Information
This is accessed via the 'My Account' button in the main navigation. Here you should
complete your contact information if you are the main user to allow us to provide you
with the best possible service. If someone else within your organisation should be
contacted regarding billing issues please include their information also.

Account Settings
See page 10: Here you can customise various aspects of your account including...
1. 'Change Password': Click here to change your password
2. Low Credits Reminder: Here you can choose at what point you would
like to be notified that your balance is running low. You can also choose
who gets this notification.
user email: This is the email listed in your user contact information
invoice email: This is the email listed in your invoice contact infor-
mation
helpdesk: This will send the reminder to our customer service team
other emails: Choose to send this reminder to additional comma sep-
arated emails
3. Undelivered Message Alert: Here you can choose to be notified when a
message has failed to reach it's destination, this could signify a number
that is no longer in use. You can also choose who gets this notification.
user email: This is the email listed in your user contact information
invoice email: This is the email listed in your invoice contact infor-
mation
helpdesk: This will send the reminder to our customer service team
other emails: Choose to send this reminder to additional comma sep-
arated emails
4. Default Page: Here you can choose the default page you will see when
you login to NetMessenger. You can choose between 'Dashboard', 'Send
SMS' or 'Inbox'.
5. Default Label for SMS: Here you can choose a default text label to ap-
pear in the From field when sending a message. Particularly useful if you
always send from your company name.

Choosing Recipients
There are a number of ways to add recipients to your message including...
1. Typing in a number manually
2. Choosing a Contact from your address book
3. Selecting a Group of contacts from your address book

1 Typing in a number manually
Type in a 11 digit mobile phone
number. Be sure to include the cor-
rect country code if sending to any-
where outside the UK.
2 Choosing a Contact from your

Select a contact from the drop
down. You can add new Contacts
from the 'Contacts' page.
3 Selecting a Group of contacts
from your address book
Groups can be created in the
'Contacts' page. A single Contact
can belong to several Groups.

4 Selecting a List of numbers
Distribution Lists contain numbers
that are often sent the same mes-
sage.
5 Upload a Campaign list for a
one-off broadcast
A list of numbers, one per line. Or a
csv file with num-
ber,mm1,mm2,mm3,mm4 where
#mm1# in the message will display
the text in field mm1. All campaigns
are cleaned against the blacklist.

Sender Details
This is who the message will appear to be from in the recipients' Inbox. There are two
ways to include the sender details in the 'From' field...
1. Type in a Text Label
2. Select from your Inbound Numbers
1 Type in a Text Label
A text label can be up to 11 charac-
ters long. Using your company
name or the indicating the subject
of the message is usually best
practice.
2 Select from your Inbound
Numbers
If you have Inbound Numbers at-
tached to your account you can se-
lect from one of these. This will en-
able your recipients to reply directly
to you.

Composing Your Message
Each 160 character message costs 1 credit. Messages to landlines and international
numbers cost an additional credit.
Linked messages enable you to send a message up to 459 characters but will cost
additional credits. This is indicated below the message field.

Templates
If you find yourself sending the same messages fairly often you may find you would
benefit from using templates. To insert a template...
1. Select 'insert a text from a template' just above the message field.
2. Choose a template from the drop down
3. OR select 'Manage templates' to create a new template. NB: this will
take you away from the 'Send SMS' page and open the Template Man-
ager
4. Give your new template a name so you can select it from the dropdown
[2] in future.
5. Insert your text into the message body.
6. Decide if you want this template to be available to all your sub-users.
7. Click 'Add' when finished.

Scheduling
There are three main options concerning when to send your message...
1. Send 'immediately'
2. Send 'on a later date'
3. Send 'by schedule'

1 This will send the message as soon
as you click 'Send message'. Deliv-
ery should be expected within a few
seconds.

future for when you

Delivery
When your message is sent you will see a series of live reports indicating the status
of the message. As a successful delivery can complete very fast you may not see all
of them...
Pending: the message is on its way to the receiving network
Sent: the receiving network is sending the message to the recipient’s handset
Delivered: the text has been received by the handset
Undeliverable: the handset could not be reached and the message has failed.

Outbox
If you have scheduled a message in advance it will appear in your Outbox folder.
Here you have several options, including...

1. View the details of the scheduled message. The message status will re-
main Pending until it is sent.
2. Perform bulk actions on selected messages (e.g. Delete)
3. Export messages to a csv file.
4. Empty Outbox: this will delete all messages and return the credits to
your account.

Sent
You can view all of your sent messages in the Sent folder. Here you have several op-
tions, including...
1. Select which messages to view. Choose between:

2. View the details of the Sent message, including the message status.
3. Perform bulk actions on selected messages (e.g. Resend)

Inbox
You can view all of your received messages in your Inbox. In order to receive mes-
sages you must have an Inbound Number attached to your account. Here you have
several options, including...
1. See how many new messages you have from anywhere in NetMessen-
ger
2. Filter which messages are displayed according to whether they are Un-
read, which Inbound Number they were sent to and any tags.
3. Manage your Virtual Inbound Numbers (more information below)
4. Manage your Tags (more information below)
5. Append custom fields from a Distribution List
6. View the message details. You can also perform actions for that mes-
sage (e.g. Mark as Read, Forward)
7. Apply bulk actions to all selected messages (e.g. Delete)
8. Export all received messages as a csv file.
9. Empty the contents of your Inbox.

Tags
Tags allow you to filter messages as they come in based on the sender's number to
the message content. This is particularly useful if you have several people sharing an
Inbound Number - you could ask all senders to prefix their messages with the name
of the intended recipient.
Creating a tag is easy and can by clicking 'Manage Tags' in the Inbox. Just give your
tag a name and select the parameters before clicking 'Add New Tag'.

Recurring Messages
If you have set up any Recurring Messages (achieved by using 'send by schedule' on
the 'Send SMS' page) you can view and edit them in the 'Recurring' message folder.

Settings
Here you can manage the general settings of you Inbound Numbers, including...
1. Number Name: change the name of your number, this makes it easier to
keep track of if you have more than one.
2. Autoresponse: automatically reply to all incoming messages. This could
be as simple as a confirmation of receipt of a message or an out of office
reply. For more advanced options see Keywords.
3. Forwarding: automatically forward any incoming messages to other mo-
bile numbers, email addresses or via HTTP (speak to your developer
about this option).
4. Distribution List Triggering: this allows the triggering of a message to
a distribution list by a mobile phone. Enter into this field the mobile num-
bers permitted to use this feature separated by a comma.
Messages sent from the permitted handsets to trigger the distribution list must be
compiled in the correct format – the distribution list name (must be one word) followed
by a name (one word) to identify the sender, followed by the message. (e.g. ListName
SenderName this is the message to be sent). The individual who triggers the mes-
sage will receive a confirmation message in response to the successful trigger. For

Keyword Processing
Here you can manage and set up keywords to perform various actions. You can
choose to add keywords individually or import multiple keywords from a csv file. From
here you can also Edit, Delete or view a Report (view more information in the Re-
ports section) on each keyword.

Add A Keyword
There are multiple options to go through when setting up a keyword, including...
1. Keyword: this is the word that will trigger the following actions when
texted to the number it is linked with.
2. Should be responded from: choose between one of your Inbound
Numbers or use a Text Label (Name).
3. Action triggered: choose what you would like to happen when the key-
word is texted in (more information below)
4. Status: select whether the keyword is active (on or off).
5. Forwarding: automatically forward any incoming messages with the key-
word to other mobile numbers, email addresses or via HTTP (speak to
your developer about this option).

Action triggered
When setting up a Keyword each action presents a new set of options to be complet-
ed.
1 Respond with info message
When someone texts in with the keyword they will receive the contents of this message
field as an autoresponse.

2 Subscribe senders to list
With this option you much choose a distribution list to add the subscribers to when they
text in with the keyword. You can then add a subscription confirmation message, it is a
good idea to include unsubscribe instructions in this message.

3 Blacklist senders
This will add the sender to your blacklist, effectively unsubscribing them from all further
communication. You can choose to send them a confirmation message with instructions
for if they unsubscribed by mistake.

Import Contacts
If you have a lot of contacts you would like to add to NetMessenger, it might be an
idea to use the Import Contacts feature. As long as your data is formatted properly it
is quick and easy to do so by following the on screen instructions. You also have
some options for how duplicate entries are dealt with. This can be accessed from the
Contacts page.

Manage Groups
Groups can be accessed from the 'Manage Groups' link on the Contacts screen.
Groups work very simply, just give a group a name click 'Add group' and you will be
able to add you contacts to it. For more advanced options see Distribution Lists.

Distribution Lists
Distribution lists give you more options for sets of numbers that you regularly send to.
From this screen you can do the following...

you no longer wish to be able to send to (more information below)
3. View list entries (more information below)

Add A Distribution List
You can create a distribution list by clicking 'Add A List' on the Distribution Lists
screen. This gives you several options, including...
1. List name: give your new distribution list a name
2. List option: choose whether to (a) allow duplicate numbers in your list
(b) share this list with your sub-users.
3. Custom fields: here you can add up to five custom fields that can be
used for personalisation.
Custom field names should not contain any spaces (e.g. #PolicyNum# or
#Policy_Num#)
These fields can later be mapped to your data upon import

4. Scheduled sends: you can send a custom message to each recipient
on a specific day every year. For this you must allocate one of the cus-
tom fields as a date field. This is useful for things such as Birthdays or
Renewal Reminders. For help with scheduled sends to distribution lists
call us on 0800 95450305
5. Throttling: this allows you to control the rate at which messages are
sent. This is useful if your campaign is designed to provoke a response
(such as an incoming phone call or call back request). You can adjust
this over time as you learn to gauge your response rates.

List Entries
When you click on the name of a list on the Distribution Lists screen you will see all
the numbers in that list. You then have the following options...
1. Add new entry: add another number manually
2. Edit list: change the settings you chose when creating your list
3. Import entries: upload multiple list entries in a csv file
4. Clean list: remove any entries that appear on your blacklist
5. View entry details, you can send them an individual message, edit or de-
lete them.
6. Apply bulk actions to selected entries (e.g. Send message, Delete)
7. Export entries: download list entries as a csv file

Blacklisted Numbers
Contacts on a distribution list may request that you send them no further messages.
Blacklisting is a quick and easy way to prevent those contacts’ numbers being includ-
ed in any imported distribution lists and removes them from existing distribution lists.
Numbers can be added manually to the blacklist or imported from a csv file. This
screen has a few options, including...
1. Import Numbers: upload a list of blacklisted numbers as a csv file
2. Search numbers: find a number that you would like to remove from the
blacklist
3. Choose which blacklisted numbers you would like displayed on this page
4. Choose whether your blacklisted numbers should take effect with your
sub-users
5. Blacklist Number: add a new number to the blacklist
6. View an individual entry, you can also delete it from the list
7. Apply bulk actions to selected entries (e.g. Delete)
8. Export Entries: download your blacklisted numbers as a csv file

Reports
The Reports section allows you to generate reports based on your account usage.
Just select the type of report you would like to generate and decide whether you
would like to view it online or download it as a csv file before selecting a date range.

Manage Users
As an admin (or 'parent') user you are able to create and manage sub-users (or 'child'
accounts). The Manage Users screen gives you several options, including...
Administration
1. Add a User: create a new sub-user (more information below)
2. Import Users: upload details for multiple sub-users as a csv file
3. Search Users: find a specific sub-user by name
4. Select which types of sub-user to view based on their status
5. Advanced Search: find a specific sub-user by criteria other than name
6. View sub-user details, this also allows you to:
Manage: take control of this sub-user. Click 'Logout' to return to the ad-
min level
Report: view reports based on this sub-users activity (more information
below)
Edit: change the settings selected when creating the sub-user
Suspend: temporarily revoke this sub-users access
Archive: deactivate but do not delete a sub-user
Delete: permanently remove a sub-user
7. Apply bulk actions to the selected sub-users (e.g. suspend, delete, ar-
chive)

Add A User When creating a new sub-user you should first add all of their contact details, this is
done in the same format as your own details. When you click 'Continue' you will go to
the 'Settings' screen. These include much of the same settings you have on your ad-
min account as well as some designed to control sub-user usage, including...
1. Username: choose an identifiable username for your new sub-user that
they can use to Login
2. Password: assign a password for your new sub-user to Login. Click
'Generate' to assign a random alphanumeric password
3. Access Level: choose what type of permissions this sub-user will have,
Admins will have the ability to create sub-users of their own
4. Credits, Use: choose whether this sub-user will use their own credits or
have access to the credits pool at your admin level
5. Credits: assign this sub-user an amount of credits to start with
6. Low Credits Reminder: Here you can choose at what point you would
like notifications to be sent indicating that your sub-users balance is run-
ning low. You can also choose who gets this notification.
7. Undelivered Message Alert: Here you can choose to be notified when a
message has failed to reach it's destination, this could signify a number
that is no longer in use. You can also choose who gets this notification.
