Until very recently, enterprise file shares were easily overlooked by the organizations that made them. These environments were extremely disorganized, and companies neglected addressing these problems largely due to the time and effort it would take to clean up and manage these file shares. But organizations are realizing that there are significant risks in amassing huge amounts of unmanaged data, and are now looking for technology to help them regain control of this data.

The massive data volumes companies are responsible for are expanding, and expanding quickly. 90% of the world’s data has been created in the last two years, and companies are now overflowing with information. This has put tremendous stress on enterprise file systems, to the point that many organizations can’t tell what exactly they’re storing. This massive and unwieldly data environment that enterprises face creates numerous problems like escalating storage costs, data security risks, and a file management system that inhibits organizational productivity.

ZL File Analysis and Management (ZL FAM) gives companies the ability to regain control of their data. Whether the company wants to simply understand what they have or if they want to apply complex governance policies to their files, ZL FAM can be tailored to fit their specific needs.

ZL File Analysis and Management ProcessWhether a company wants to focus solely on metadata or index their entire file share or both, ZL FAM offers advanced technology that enables customers to fully customize their solution to fit their specific needs.

Metadata-Based AnalysisZL provides a powerful and efficient metadata scan of the customer’s entire file share, to gain insight into the files environment. Once complete, ZL FAM generates user-friendly reports and visualizations to give the customer a clear view into their system. Based on these metadata reports, the company can use this information to make immediate decisions on their existing data. Customers can choose to locate and remediate any “ROT” (redundant, obsolete, trivial) data, search for and preserve legal hold data, or make other metadata-based decisions.

At this stage, ZL FAM gives the customer the option to create forward-looking file governance policies that take action on data as it enters or is created within the system. These move-forward policies ensure that the cleanup on the existing file share is applied to the environment as it grows, ensuring the file shares remain managed into the future.

Content-Based AnalysisZL FAM gives clients the ability to go beyond metadata and analyze the full content of each file through accelerated analysis, ZL FAM analysis provides an overview of where various information types like sensitive information (PII, PHI, PCI), potential records etc. most likely reside. This analysis is done quickly and intelligently through our proprietary sampling technology, providing the customer with anoverview of their file share while saving valuable time and resources. This allows them to confidently prioritize content-based decisions without having to index the entire environment.

Once the customer has determined their content-based policies, ZL FAM allows the customer to apply these moving forward, to data as it is created. Being able to apply policies moving forward gives customers peace of mind that their file share will remain managed as new data enters their system, and therefore will not have to regularly repeat the file analysis process.

Use CasesFile analysis projects have a multitude of drivers depending on the customer’s industry, size, data preferences, regulatory environment, and dozens of other characteristics. But frequently, one of the following three drivers is the primary impetus for an organization undergo a file cleanup project.

Storage EfficiencyTHE PROBLEM: An estimated 80% of company data is unstructured data, with a large portion of that being files. As this content grows, the enterprise systems struggle to keep up with the burgeoning data, leading to strained and inefficient storage systems that in turn trigger quickly escalating storage costs and lowered worker productivity.

THE SOLUTION: ZL FAM gives detailed statistical reports on the entire corpus of enterprise data, allowing the customer to identify and remediate “ROT” data as well as other custom data categories. This combination of a complete view of the file environment and the ability to seamlessly delete data within the same platform makes storage cleanup a straightforward process.

Information GovernanceTHE PROBLEM: Enterprises face the challenge of having to integrate various data platforms like ECMs, file shares, and SharePoint sites while compensating for massive increases in data volumes. These systems often get overwhelmed, creating stores of dark data and an unmanageable file environment.

THE SOLUTION: A single file cleanup project does not solve the problem of an overwhelmed data environment. It may solve the short-term problem, but it does nothing to prevent a recurrence of the same issues. Information governance allows companies to identify, create and apply move-forward policies to their data not just once, but in an ongoing basis to ensure that enterprise information stays efficiently and safely managed.

Data SecurityTHE PROBLEM: A lack of visibility into enterprise file shares has risk guardians concerned about what data is accessible; specifically confidential data like personally identifiable information (PII), payment card information (PCI), and protected health information (PHI). In the event of a breach, companies want to be sure that they not only know what was lost, but can be reasonably sure any risky information they have is safeguarded.

THE SOLUTION: Through advanced metadata and content-based analysis, ZL FAM can identify any risky data or files that are sitting on the file share without the correct access privileges. Subsequently, any data the company no longer needs to keep will be remediated, protected accordingly, or classified to the specification of the customer, ensuring the security of the enterprise. Additionally, ZL uses audit trails to keep a detailed of list of who and when has accessed each and every file.
