IntroductionThank you for downloading the ‘Energy Matters’ Energy Saving Behaviour Change Event Package, it is your guide to running a Behaviour Change Energy Saving/Switch-Off Event within your Faculty or Department. The pack will hopefully provide you with all the information and resources you need to run a successful event and have a tangible energy reduction. The pack will guide you through the whole event process, outlining the resources and how to get the most out of them.

About this pack

This pack was created off the back of a successful event run within the Faculty of Engineering in early 2013. The event was created and set up by me, Jon Gregg, a Graduate Intern tasked with implementing behavioural change initiatives to reduce the faculty’s Carbon Footprint. I am also a University of Sheffield Graduate that studied Mechanical Engineering.

I created the event to launch the initiatives I had been working on and to test their effects. I have created the Infographic included as part of this pack, which provided information to Engineers and non technical staff members of how their action would really affect the Faculty. This information and the form it was presented in was very successful and has received many positive comments. To try and ensure the event was a success I added the positive motivation of Student Scholarships for the Faculty. The aim was to provide a motivation for everyone to adopt the behaviours for the weekend as they would be helping students of the future; with the long term aim that they would continue these behaviours. As a result the Faculty reduced their electricity usage by 6.2%, over 20% in some buildings, this saved £1500 which created 3 Scholarships for future students. I feel that the initiative of Scholarships was integral to the success of the event.

Event OutlineIn this section I will detail the main aspects of the event and how to run it. It will guide you step by step through the resources and stages of the event whilst also provide reasoning and meaning behind the actions. The event was carefully planned and executed after months of research, of which the majority was gained from University staff and students. The research involved, gauging their opinions and ideas enabling me to create a model that fits the majority of people.

Resources ExplainedThis section will explain all of the resources this pack provides and the reasons for their inclusion.

- Energy Matters Infographic

The Energy Matters Infographic is a visual tool to display a large amount and varied array of information regarding energy saving. The purpose of the Infographic is to pique the interest of a participant at the time of the event but also to act as a long term reminder of energy saving. The Infographic shows how a single action can have a large effect over a whole year and what affect that can have on the University.

The Infographic can be distributed both electronically and in hard copy, as it was designed for print media. This means that if you wish, you can print copies to place within your Faculty/Department/Building or it can be just attached to an email. You may also want to encourage people to print off their own copy and display it within their office.

A PDF version of the Infographic has been added for printing and distribution. The JPEG version has been added as it can be used as a desktop background image for people. This is an idea that was given to me by an event participant.

- Results Spreadsheet Template

The Results Spreadsheet Template is formatted as an Excel spreadsheet that will provide you with the results from your event with minimal effort. The spreadsheet will automatically calculate your results and means you only need you to paste in the raw data. In combination with the Schneider Electric ERM User guide the process of generating the results of average kWh usage, kWhs saved per building and £s saved will be very easy.

The Spreadsheet has two parts, generating your average term time usage and usage over the event weekend. These will automatically calculate the saving generated, making the process simple and quick for you. If you have issues with the Spreadsheet for any reason, download a new copy and paste in your data again. If the issues persist please contact the EFM Energy team.

- Event Example Month Calendar

The calendar of events is a visual representation of the event planning, implementing and results feedback. The calendar maps out when tasks should be completed and the time frames involved. Each action will be explained in more detail further in this pack.

The Schneider Electric ERM User Guide is an easy to follow guide specifically produced for this pack to help in guiding you to download only the energy data you need. The guide will take you step by step, by logging in, navigating the menus and downloading your data.

Event PlanIn this section all of the parts of the planning, running and results process of the event will be explained. Each part of the event will be explained and suggestions of how it can be completed will be given. The parts all correspond to the calendar. The event can be set up and run from start to finish within one month. For example purposes of this section the event will run from the 19th – 21st of the month on the event plan calendar, all dates mentioned will correspond to this date. Please note the event can be run on any weekend and the 19th was just picked as an arbitrary value for explanation purposes; all other dates are therefore relatable to the 19th.

Word of Mouth Advertising (network with associated parties)Date: 1st – 5th Time: 5 Days for 30 minutes per dayThis part is about spreading the word to influential people within your Faculty/Department/Building. The aim is to get the word out that later in the month the event will take place; this can be done face to face or over email. Contact connected people that you know, whether that is: Academics, PAs to HODs, Administrative and Technical Managers, the cleaners and porters or just the office chatterbox. Tell people what the aim is and how simple it is to get involved.

Calculate Average Energy Usage Date: 1st – 5th Time: An hour to an hour and a halfWithin the first week you need to start thinking about how much energy the area you are working in uses on a regular basis. You can use the results spreadsheet and ERM to find this out and the results will act as a benchmark for the energy usage over the event. The benchmark will be used to show how much has been saved by the event. The process of downloading the results may seem daunting to start with but it is really very easy after you get the hang of it. The spreadsheet will do most of the work for you and will calculate the average weekday and weekend energy costs of your Building, Department or Faculty. These figures will then need to be quoted in communications to ensure people are aware of the targets they need to beat. The task can be spread out over a couple of days and shouldn’t take too long.

Email Technical and Administrative MangersDate: 8th

Time: 30 minutes to an hourIf you haven’t already talked to them by this point this is the time to send them an email to give them a heads up of the plans and to highlight any issues that may arise in the process of the event. The email has already been written in the ‘Suggested email copy’ section.

Hand out Infographic (if using hard copy)Date: 10th – 12th

Time: 3 days - 30 minutes to an hour per dayNow is the time to hand out the Infographic to all participants involved with the event if you are printing hard copies. This can be done either in pigeon holes, face to face or leaving piles in communal areas with signs. This will give them all ample time to absorb the information and start acting on it.

Email all Dept/Faculty ParticipantsDate: 15th

Time: 30 minutes to an hourNow is the time to inform everyone of the event, the email has already been written in the ‘Suggested email copy’ section. This should be sent to all staff members, PHD students and any other people who will be in for large periods of time and have ownership over a desk or area. This should be done through the lists function rather than UAnnounce, as many staff members consider UAnnounce spam, and should be sent from a HOD or Head of Operations to emphasise the buy in from high level management. If you are choosing to send the Infographic electronically now is the time to do so. Also include instructions of its purpose and that keeping it for longer than just the event is advised.

Call to Action on Social MediaDate: 17th

Time: 30 minutes to an hourSocial media is a powerful tool to get a message out to a large number of people quickly. The purpose of this task is to get the word out that the event is taking place in your Faculty/Dept/Building. This isn’t so much to advertise the event to the participants but to have the added pressure that ‘outsiders’ know of the event and that should hopefully spur them on to succeed. Doing this ensures the event isn’t just seen as an internal venture and it has some weight behind it. The email has already been written in the ‘Suggested Social Media Copy’ section. You can use several accounts to publicise the event, the more accounts involved the better. There may be several accounts associated with your Faculty, also use the University wide account and finally the Green Impact accounts. Your Communications teams will have this information and should be able to guide you in the direction of the account managers.

Final Reminder EmailDate: 18th

Time: 30 minutes to an hourThis is a final reminder to all participants that the event will be happening tomorrow and that it the results will start being taken from midnight tonight, so to switch things off when they leave today. The email has already been written in the ‘Suggested email copy’ section.

Call to Action on Social MediaDate: 19th

Time: 30 minutes to an hourThis is a final call for everyone to get involved with the event and to reinforce the idea to the wider world. This will be done as the event is currently happening. If you wish to focus your attention on this area you could create a #, Hash tag, associated to the event and actively tweet participants. This is not in any way essential but if focussed on could create a real buzz around the event. This kind

of action would be most appropriate to a larger event spread over a Faculty rather than a building.

Run Switch-Off EventDate: 19th – 21st

Time: An hour to an hour and a halfOn the day of the event it is up to you wish you would wish to do with regards to promoting or helping the event. You could walk around and remind people to switch things off both during the day and when they leave the office or you could go around switching this off in communal areas yourself. This is entirely up to you but every little helps and a walk around could have a very large effect on the results. If you can’t do this yourself it may be worth using Green Impact teams and dedicated members of staff to do this in areas they work in.

Also encourage technical and workshop based staff to think about what equipment could be switched off at the end of the day as these areas can waste large amounts of energy over the weekend if left on. This will most likely only occur on the Friday as you may not be in University over the weekend.

Collate ResultsDate: 22nd – 23rd

Time: An hour to 2 hoursNow the event is over and it is time to find out how you did. Using the Results Spreadsheet Template and the Schneider Electric ERM User Guide you will have to download the data and input it into the spreadsheet. There are instructions on the spread sheet on what data to download and where to input it. Sometimes the data may not appear on the ERM, this can be because of a delay, if this happens wait a day and try again then. The spreadsheet and guide will show you how to download half hourly data points from the whole weekend and also previous dates to show a comparison. The results will be shown in £s, % decrease and Tonnes of Carbon saved.

Publish Results (Email, Social Media and/or Website)Date: 24th – 26th

Time: 30 minutes to an hour Now that you have the results it is time to publish the £s saved, % decrease and Tonnes of Carbon saved. This can be done through multiple channels to varying groups of people. Firstly it is important to email all the participants, the email has already been written in the ‘Suggested Social Media Copy’ section. To target external parties and the rest of the University you can use Social Media, i.e. Twitter and Facebook. This can get the positive message out about your success and hopefully it will get picked up my other accounts. This action can be done any time over the 3 day period.

Contact Media TeamDate: 29th

Time: 30 minutesAfter everything else is done you may want to contact the University media team to create a press release or internal news story. This is a great way to get the word out to the rest of the University and traditional news outlets and spread the environmental message.

Getting Buy in from Parties and Stakeholders The event has one primary focus, to reduce energy usage but to encourage and incentive participation a strong motivation was needed. This is where the scholarships for faculty students came in, the scholarship incentive ensured that any member of staff or student involved would be happy to contribute. The incentive made the event about more than just energy saving. I believe this was imperative to its success as it encouraged anybody, regardless of their green persuasion, to get involved.

To get the buy in from the participants it was important that I got agreement from your Faculty Director of Operations. I predicted that we could have up to £1500, which was just over 10% of the energy usage for the three day period. Your average energy usage can be calculated using the spreadsheet provided in this pack and you should be looking for a minimum of a £500 saving. Be up front with your Director of Operations and ask if they would promise to give any saving towards scholarships. This is really a no lose situation as energy is being saved, scholarships for students will be created and a positive news story can be generated as a result.

If for whatever reason you cannot agree to create a scholarship fund with the energy savings try to generate a new idea that you believe no one could object to. For example a green pot that will fund environmental projects in the future,

something associated to widening participation in schools or just adding extra funding for minor works, e.g. planting trees. One important point is that due to the Charity status of the university no money can leave the university, which rules out Donations to external charities.

FAQsWho do I organise the event with? On my Own or in a group?The event can be run both by an individual or in a group but it really depends on how large an area you plan to cover. If it is one building then that is feasible for a single person. If you are planning to run the event within a dept or faculty then a group is advised. If you cannot find a group but still wish to run the event over a Dept or Faculty then use motivated individuals to help out, Green Impact groups or environmentally conscious individuals can be very useful at putting up posters or spreading the word.

I am having difficulty defining what the event was to people and the objectivesThis can be an issue as there are many parts to the event and several objectives. The event’s primary focus is to highlight ways for the average staff member to reduce his or her daily energy use. The incentive for them to do this in the short term (over the event weekend) is the scholarship scheme and the long term incentive (over the next year) is the money saved over the faculty and knock on effects this has, which are highlighted in the Infographic. How to maintain interest over the planning and feedback periods?The event has been planned out to ensure that interest does not drop over the planning and feedback periods. The timings set out in the calendar will ensure that the event is fresh in people minds whilst also giving them long enough to absorb the information and plan their action. Using small and incremental updates/pieces of information regarding the event, participants should stay interested and be anxious for feedback from the event.

What is the best way to communicate to people within your Faculty/Department/Building?Everyone is different and everyone prefers to be communicated to in different ways, this is why a full mix of communication tools is suggested. Using both a hard copy of the poster/Infographic and emailing was found to be successful. If you feel a different method of communication is suitable feel free to utilise it, for example Department plasma screens and news ages.

What are the practicalities of running this event and can I really run it in a month?The event is really very simply and boils down to just spreading the word around. All the resources have been created for you and no editing is required. The event plan is very simple to follow and minimal time and effort is needed for each task. The event is easily feasible to run within a month and with a group it will take even less time.

Where should I run my event, in my Building, Department or Faculty? The event can be run over any size area in the University that you wish but for the best results a larger area is more suitable, for example a whole Faculty. A small area can mean you can focus on creating a deep impact, hopefully having a longer lasting effect. The only drawback is that a small area may not generate substantial savings to create a scholarship for example. A large area does reduce your risk and increases the likelihood of savings but is more work; this is why a group is suggested as well as several green Impact teams involved within each specific building.

What do I do if I am having trouble getting people to be interested in the event? This may be a common problem but one that is not too difficult to overcome. Many people see energy saving as ineffectual or a waste of their time so you may need to reiterate to them that energy saving is an important issue and behavioural change can be responsible for saving up to 10% of your energy use.

You then has two avenues for motivation, the first being the long term positive effect this can have on the universities budgets, less money spent on energy means more money for learning and teaching, research and building management. If people still aren’t interested then encourage them just to take part for the Friday they may be in the office. Every little action they can take will have a larger knock on effect and if a large number of people make a small difference then a even larger impact can be made. Finally remind them that the money will go towards students and worthwhile cause for very little effort on their part. Finally If they still aren’t interested after everything you have just told them, then they are a lost cause and not worth spending the time and effort to persuade them otherwise. Remember the event is focussed on the majority of people not the vocal minority so as long as you are affecting most people the event is sure to be a success.

I am not a technical person, will I be able to analyse the data?The data analysis is very simple and the spread sheet will do most of the work for you. After you input the data the spread sheet will auto calculate the results and display them to you in a simple form. Graphs will also be created which you can easily edit if you wish.

Is the feedback and results really that important?The feedback is a very important part of the process, everyone wants to know what effect they are really having and that is why the event was created in the way it is, to provide people with that. The Infographic is focussed around the impact of your actions and the event should be too. Providing people with the results from the event reinforces the energy saving ethos and has proven to have long lasting effects.

What happens if I can’t get funding for the scholarships?If for whatever reason you cannot agree to create a scholarship fund with the energy savings try to generate a new idea that you believe no one could object to. What do I do if there is negligible impact or an increase in a certain Building or area?This could likely occur especially if you are running the event in areas with workshops and heavy machinery, one experiment could skew the results. If you have had an increase in energy usage try to focus on the overall success and not highlighting the failures. Also is there a specific reason for the increase? Try to find out what it may have occurred and can it be measured? If so can it then be excluded from the results if applicable?

If you do alter the results due to an issue then do communicate that to the participants; the event is a about facts and real impact, so the communication is key to prolonged success. You do not want to give people the wrong impression that they are saving energy when they are really not, as hopefully they will step up their game and improve further.

How to measure success?This is a difficult question and does not really have a definitive answer and all depends on your initial objectives. The event can be used for many reasons from just raising awareness to giving people an extra push or even just to raise some money. Even if you feel the event its self wasn’t a huge success then monitor the energy use in the longer term as the event may have a slower or lagged effect on energy use. If you still don’t think you have been successful then contact the energy team in EFM as they will hopefully be able to spread some light on the issues and come up with potential new ideas for you to run.

Green ImpactYou may be aware of the Green Impact scheme or already a member of a team, if not then this section will explain what it is and how to get involved. The Energy Matters event will contribute heavily to any level of your Green Impact Award, so it may be a good way to launch your team.

What is Green Impact?Green Impact is an environmental accreditation scheme that runs in over 60 universities across the UK. It helps staff and students improve their impact on the environment by providing a workbook of well-explained and straightforward actions to implement in their departments. Departments can form teams and complete the workbook to gain awards. See here for more information: http://www.greenimpact.group.shef.ac.uk/

The University of Sheffield has taken part since 2009/2010, as part of our behaviour change strategy to reduce our carbon emissions. We have committed to a 43% carbon emission reduction by 2020 (see the EFM pages for more details on our work towards this).

How does it work?By forming a Green Impact team within your department, or joining the pre-existing team, you gain access to the online workbook, which details actions that help improve your impact on the environment. All actions are straightforward to implement, but get more challenging as you work towards higher awards. Quotes from current team members show that these actions don't just exist at work, but start to become habit at home as well.

This is designed to highlight to people the potential energy savings to be had from diligently turning off electrical equipment on a Friday and then measuring any reduction in energy consumption throughout the weekend.

The event will start at midnight on ……………... staff and researchers will be encouraged to conduct energy saving practices among their daily routine. As an incentive any money saved on our energy bills for these days will be set aside and put towards scholarships for under-represented undergraduate students studying …………. in the …….. I am asking you to please spread the word within your departments and colleagues about the event to maximise the savings achieved. There is a particularly large opportunity for technical staff as a big impact can be created for minimal work in labs and workshops, so please ask all lab supervisors to take special interest. Please keep your eye out for any marketing materials and please get involved. Also be aware that you may have several queries from staff

regarding whether they can switch certain pieces of equipment off or confusion why items are switched off. Please be patient and do what you can to save energy but obviously do not compromise safety or your department’s objectives.

Posters will be distributed to all staff both in hard copy and electronically (delete appropriate). Due to the event involving the whole(Insert Your Faculty/Dept/Building) it is important to interact and engage with all members of staff, we understand staff members have different ways they prefer to be contacted but to ensure the widest coverage across the whole Faculty multiple marketing methods will be used.

So please save energy in every way possible, as long as it is safe to do so; switching off lights, reducing your electric heater usage, turning off every appliance you have when it’s not in use. Please reduce your electricity use today and over the weekend, in any way possible, as any money saved bills during these days will be put towards scholarships for under-represented undergraduate students studying……... Any longer term savings will have a positive effect on faculty budget; means there is more money for Teaching, Research and Building maintenance.

Please reduce your usage in office hours as this is when the peak usage is.

Switch off whatever you can tonight to have a large knock-on effect over the weekend.
