Abstract

The Kaua'i Historical Society Organizational Records consist of records produced by the Society from 1914 to the present. Kaua'i Historical Society is a not-for-profit organi- zation founded on Kaua'i in 1914 by a group of residents interested in preserving Kaua'i's historic sites and the memories of long time residents. Its purpose is to collect, preserve and disseminate the history of Kaua'i and Ni'ihau for the benefit of the public. After incorporation in 1969, the Society began to offer history related programs, field trips and newsletters to keep its members informed, and was an advocate for preservation of Kaua'i's historic sites. Current activities include maintenance of historical archives, library, video and photograph collections, public programs on historical topics, publication and distribution of historic information, and special projects to collect and preserve historic information.

Until 1990, the Society was operated largely by volunteers, often board members. KHS accepted the donation of Grace Guslander Museum in 1990, and with it the came the responsibility of keeping the collections open to the public. A professional staff was hired and record keeping changed. Filing systems were reorganized due to the increase in volume of records.

The Society's records were first archived in 1995. A second archival project, completed in 2011, brought the collection up to date. Several large groups of records, which were not addressed in the first project, were added in the second: personnel records, grants and library collections. In addition, the expansion of projects into new areas, fund raising efforts, and publications added greatly to the size of the archive - from 17 boxes to 65.

Originally arranged in 12 series, and expanded in 2011 to 15, most of which are ongoing series that will be added to yearly. They are founding documents and historical records, minutes, committee records, annual reports, personnel, correspondence, newsletters, programs and publicity, publications, projects, fund raising and donations, financial records, insurance records, grants, and library collections.

The records were created or collected by KHS officers, Board members and staff. They provide an interesting and fairly complete record of the organization's meetings, functions, and activities. While the earliest records date from 1914, the bulk of the collection is from 1990 to the present. Through this broad time span, the records reflect the growth and development of the Society's interests and activities, and changes in the Kaua'i community. While there were periods of inactivity in the early years, 1918, 1931, 1942-1943, 1958, 1960-1951, and 1963-1968 lacking minutes, after acquiring the Guslander Collection and maintaining a regular staff, the level of records grew dramatically as did the organization's need for income to support its functions.

Annual reports provide summaries of each year's accomplishments, financial statements, lists of officers, and often of members. Format varies, from more formal documents in earlier years, to a state-of-the-society format in more recent reports.

Committee records show the changes in the direction of the organization as well, as emphasis shifts from historic site preservation, to publications, projects, and programs.

Personnel, a new series archived in 2011, reflects the change from a volunteer-based organization to a professionally staffed business. Paid staff is supplemented by contractors and volunteers who assist staff on an on-going basis.

Correspondence files reflect the changing times, with inquiries and responses covering a wide range of topics in the earlier years giving way to business correspondence being more prevalent as information is shared via the telephone, and more recently, electronically.

Material in the Programs files illustrates the growth of activities and lectures offered to KHS members and the public. Closely related are the newsletters that provide an overview of projects and activities, and provide information about Kaua'i historic sites. Additional newer files involve the development of the web site and its maintenance.

The Publications series begin with the historical sites survey, and the publication of the Kauai Album, documenting the architectural development of Kaua'i from the 1800s to 1980s. After publishing four additional books by early 1980s, KHS surged into the 1990s with 10 new publications by 2008. Projects took on a varying role, as historic preservation gave way to providing history tours, recording history lectures, and producing the Backyard Music series, documenting the unique contributions of local musicians.

With regular staff, and to support the Society's expanding activity level, Fund raising grew, and the need for Grants to assist in funding the growth is evident in the growth of records in these categories.

First archived in 2011, the Library collections category outlines the contributions and donations the Society received in the early days, through it's growth with the Guslander Collection, and into the electronic age with library catalogs, digitalization of the photograph collection, and the continuing processing of the manuscripts and map collections.

Most early records of the collection are in fragile condition, with later records in relatively good condition. During the 2011 archival project, larger files were divided, and fragile materials where encased in archival sleeves.

These materials are part of the Kaua'i Historical Society archives, and are available for research upon prior approval of the Executive Director. Personnel, and financial records pertaining to personnel, are restricted, and closed to research.

History

The Kaua'i Historical Society was founded on May 7, 1914 by a small group of people dedicated to the preservation of Kaua'i County history. The first meeting was called by Rev. J.M. Lydgate and was held at the Lihue Union Church. Regular meetings were held quarterly, with annual meetings held in May, when annual reports were presented and officers elected. Meetings included the presentation of papers or programs on Kaua'i history topics. 1960-1961 and 1963-1968 were inactive years, but KHS reactivated in 1969, with incorporation on November 25, 1969. Meetings were held monthly at the Kaua'i Public Library where KHS collections were housed. History-related programs and field trips were offered on a regular basis.

In 1971 the Society entered into an agreement with the Kaua'i Library and Museum Association for space in the new Kaua'i Museum complex which would house KHS books, records, and papers. Services were provided by Museum staff in return for a percentage of KHS membership dues; and meetings were held in the facility. By 1986, the Museum's need for expansion resulted in the KHS collection relocating to the former Hawaiian Telephone Building in Hanalei. Meetings were held in various Lihue locations, including Grove Farm, Kaua'i Community College, and the Kaua'i Library. In 1990 the Society accepted the donation of the Guslander Collection, located in the Coco Palms Resort Hotel in Wailua, moving KHS collections and staff to that location.

After Hurricane Iniki severely damaged the Coco Palms Hotel, the Society obtained a long-term lease for space in the historic Kaua'i County Building, which houses the County Council members' offices and staff, as well as Council chambers. Due to the growth of the collections over the years, part of the archive is housed off-site.Continual growth of valuable manuscripts over the years have increased the use of the collection, and enhanced its usefulness as a public resource. Most noted in this group would be the Lihue Plantation Map Collection, obtained when the Mill closed in 2000, as well as the Isenberg Collection, processed in 2008 with both photographs and letters from the mid-1800s to the mid-1900s. Still awaiting processing is an extremely large Coco Palms collection, obtained when the resort closed, the Kekaha map and manuscript collection, Mayor Eduardo Enabore Malapit and Frances Frazier collections, as well as a number of smaller collections donated by local residents relating their memories and stories of Kaua'i.

In 1914 the Hon. William Hyde Rice was elected the Society's first president, and served until 1925. Miss Elsie Wilcox, a founding member, was secretary and treasurer for forty years. The minutes she recorded demonstrate the accomplishments of the members who preserved Kaua'i historic sites and recorded the stories and memories of old-tie residents. Early Society members shared a common belief that they lived in important and changing times that should be recorded. Between 1914 and 1957, KHS members and invited guests presented 115 papers to the Society. Topics ranged from scholarly and detailed research to personal accounts from journals and diaries. These papers are located in a separate collection (MS2) entitled "Kaua'i Papers". An early compilation of materials gathered in response to research questions is also archived, as Kaua'i History Files (MS6).

With the use of modern movie equipment, and later video camcorders, the Society recorded history lectures and events, and then updated those as technology changed to disks. These materials are available for research use, and include the question and answer sessions at the end of the formal presentations. Additionally, many are aired on local television.

During the early years the Society was concerned with the preservation of historic sites and rallied to protect them. Long time president Eric Knudsen, and vice president Rev. J.M. Lydgate, were instrumental in gathering historical information on ancient Hawaiian sites, with the Society attaching bronze identification markers at some locations. The society was pivotal in preserving the caves at Ha'ena, the Menehune Ditch and Russian Fort (Hipo) at Waimea, the Alekoko Fishpond at Niumalu, and the original Koloa Sugar Mill site. Lydgate Park was named for the Rev. J.M. Lydgate for his determination to save the area containing Hau'ola City of Refuge and Hikina A Ka La Heiau. His efforts on behalf of the Society also led to the preservation of upper Wailua's Poliahu Heiau as well as the surrounding park. In 1928, the Society led a drive to raise the Captain Cook Monument in Waimea, and in the 1950s was instrumental in the founding of the Koke'e and Kaua'i Museums.

Over the years the Society collected a valuable library of Hawaiiana, continued to collect historical information, memoirs and photographs, and acted as curator for some historic sites. During the 1970s and 1980s the Society's activities included support for the restoration of the Haraguchi Rice Mill, lobbying for repair of the Hanalei Pier preservation of North Shore bridges, providing ideas for an update of the Kaua'i County General Plan, advising the group renovating downtown Koloa, and working with the Mayor's committee on renovating the Kaua'i County Building. In 1983, the Historic Hawaii Foundation presented KHS with a Preservation Award for "exceptional

interpretation and preservation of historic resources on Kaua'i". In 1989 the Society's 75th anniversary, the Mayor presented a proclamation to KHS, making September and October Kaua'i Historical Society months.

The Society's commitment to preserve and disseminate Kaua'i County history developed into several publications and films over the years. In 1970 KHS produced a small booklet entitled Queen Emma and Lawai, a brief history of her travels on Kaua'i. In 1975, a documentary film on the salt-making process at Hanapepe Salt Ponds was produced. That same year the Society began a photographic survey of 110 historic and significant buildings on Kaua'i, and in 1981 published the photos in The Kauai Album. In 1985, to celebrate the 150th anniversary of the founding of the sugar industry in Hawaii, the Society republished the book Koloa Plantation 1835-1935 by Arthur C. Alexander. The Kaua'i Papers followed in 1991, a selection of 16 papers read to the Society in the earlier years. In 1993 Cook 'Em Up Kaua'i highlighting unique local foods, was published as a fund raiser for the Society. The oral history film Remembering Kalihiwai followed in 1995.

The late 1990s saw the Society's "touring" publications: Touring Waimea in 1997, followed by Touring the Legends of Koke'e, and Walking Tour of Kapaa in 2006. During the same period, the Society also published the Kaua'i History Map, a poster entitled Legends of Wailua-Nui-Ho'ano, and two books, Frances Frazier's translation of The True Story of Kaluaikoolau, which also includes text in the original Hawaiian; and Kaua'i As It Was in the 1940s and 1950s by Mike Ashman.

Entering into preservation of musical history and icons on the island, Backyard Music v.1 and v.2, were released in 2007 and 2009 using DVD format.

As the Kaua'i Historical Society approaches it's 100th anniversary in 2014, KHS provides research assistance - delivered either in person, via phone or email; maintains the library, historic archives, DVD, and photograph collections; offers public programs on a variety of history topics; produces a regular newsletter; publishes and distributes historical information in a variety of formats; maintains a website which lists upcoming events, and provides access to the finding aids to its manuscripts; advocates for historic preservation; and works on special projects which enhance the knowledge and experience of the people of Kaua'i and Ni'ihau.

The Kaua'i Historical Society Organizational Records are arranged in 15 series which reflect the organization's meetings, functions, and activities that primarily focus on the preservation of Kaua'i County history, historic sites and the dissemination of historic information. The collection illustrates the interaction of KHS with local and state legislative departments and it's influence on preserving historic sites and areas that are now state and county parks on Kaua'i. The broad time span of the records reveals much about the growth and development of the Society, it's interests and activities, and changes in the Kaua'i community.

KHS underwent an organizational change in 1990 with the acquisition of the Guslander Collection, which is reflected in the organization of the KHS records. Prior to that time, the Society's records were small in volume; with the increased activity, a larger collection, and a more visible presence, the need to organize the KHS records became a necessity.

While the earliest records date from 1914, the bulk of the collection dates from 1970 to the present. The society was inactive and no meetings were held in the following years: 1918, 1931, 1942-1943, 1958, 1960-1961, and 1963-1968.

The series are arranged by type of record, and files are arranged in chronological order. Most materials are in good condition, with those fragile items placed in protective sleeves. The collection is housed in archival folders in archival boxes.

Series Descriptions

Founding documents and historical records

Included are the Constitution of KHS from 1914, amended 1927 and 1955; articles of incorporation from 1969; bylaws from 1955 with revisions 1969-2003 each foldered separately. Information on the 1997 business plan and board retreats held in 2001 and 2007 complete this section.

The KHS history folder contains a summary of minutes from 1914-1984, list and brief description of the papers read before the Society 1914-1945, a 1952 document describing the activities and projects of the Society, and the KHS mission statement from 1991. Documents that follow the Society into the 1980s include long-term goals, a more recent recap of the minutes, and several presidents' reports, and state of the society reports for 1994, 1999 and 2001. A list of KHS officers and board of directors from 1914 to present completes the group. Materials will be added to this series as they are produced.

Additional folders follow the Society's moves from one location to another, hold the present lease in the Kaua'i County Building and other options for space which KHS has explored.

A separate file contains membership information and lists from 1914 to present.

Minutes

Minutes include the minutes and agenda of the Society's regular and special board meetings and annual membership meetings from 1914 to the present. Attachments include financial statements, budgets and other materials discussed or distributed at the meetings. During years of inactivity,as already noted, there are no minutes.

Committee reports

Committees represent the interest and concerns of the Society. They are arranged alphabetically, and materials within files are chronological. Committees are: collections, disaster preparedness, executive, finance, fund raising, historic sites, membership, publication, and restoration. Not all committees are presently active.

Annual reports began in 1974 and continue through to the present. Of note is that the 1989 annual report, on the Society's 75th anniversary, lists all members in chronological order from 1914.

These reports review the Society's highlights for each year, and supply members with financial data, as well as the slate for board members for the upcoming year.

Personnel

Archived for the first time in 2011, these restricted files list employees, contractors, and volunteers. Information varies, often listing employment dates and assignments.

Correspondence

These records consist of both incoming and outgoing general correspondence, KHS officer, board, staff and member correspondence. There are inquiry and response letters on a wide range of subjects, as well as day-to-day business correspondence. Contents include interactions with state, county, and legislative departments, as well as trusts, foundations, speakers and writers, and research on land and buildings. As email became a more integral part of daily communication, a drop in the volume of written correspondence is noticeable.

Newsletters

KHS newsletters produced from 1973 to the present help inform members of upcoming events and highlight recent field trips, lectures, workshops and projects of the Society. The name of the publication has changed several times, as well as the frequency. No newsletters were published in 1999 or 2002. They are arranged in chronological order, with a folder for each year.

Programs and publicity

Covering the period 1969 to the present, this series of records contains announcements, fliers, and information on the numerous events sponsored by the Society. Also included are newspaper clippings of KHS involvement in the community, and items on other history related events in which the Society participated.

Starting in 1990, publicity and history programs are arranged separately, as the number of history programs increased, while the volume of newspaper publicity declined.

During the 2011 archival project, new folders for logos, logo wear, and web site development were added to this category.

Publications

Records in this section follow the Society's involvement in preparing publications for printing and distribution, from beginning to end.

Since a great deal of the process involves monetary support, some formation regarding each publication may be found in financial and/or grants folders, as well as preliminary and interim items relating to the specific publication in the Publication committee minutes.

Publications are listed below, and brief descriptions follow. Information varies greatly from one item to the next--some having very little or no correspondence, others having layout, design, original text, etc.

Heiau at Wailua (Ka Lae O Ka Manu Heiau) published in 1934, describing a restoration project performed by a KHS committee to reclaim a historic site. Recently found in the Society's files, it provides an example of pro-active participation by KHS.

The Kauai Album, first published in 1982, reprinted in 1986. This is a photographic survey of architecture from around the island, which grew out of the 1976 project "Historic Building Preservation, a Photographic Survey".

Koloa Plantation, first published in 1935, the Society arranged for a reprint of the Arthur C. Alexander book in 1985 to mark 150 years of sugar production on Kaua'i.

Kauai Papers, a compilation of 16 history lectures that had been presented to the Kaua'i Historical Society members during the early years of the Society. Published in 1991, a variety of topics is represented by this collection.

World War II on Kauai published in 1971. Mentioned in the minutes for that year, very little additional data on this publication is available.

Queen Emma and Lawai outlines the Queen's travels on Kaua'i. Documentation includes information on the 2d printing (1984) and the third (1997).

Cook 'Em up Kaua'i the Society's fund raiser cookbook, highlighting local favorites. Documentation includes reprints through 2004.

Touring Waimea information from 1996-1997, including layout and design.

Legends of Wailua-Nui-Ho'ano a poster produced in 1997.

Kaua'i History Map which debuted in 2000, and has been well received by local schools, the general public, and visitors.

Touring the Legends of Koke'e covers the development and publishing from 1998 to 2001.

Kaua'i in History, a Guide to the Resources was conceived and directed by the State Foundation for Culture and the Arts, and lists resources in various categories and where to find them. Published in 2000.

The True Story of Kaluaikoolau, as Told by His Wife Pi'ilani as written in Hawaiian, with a translation by Frances Frazier, published in 2001.

Walking Tour of Kapaa, developed by our former guide, Marie Fifield, as a alternative to those who would like to take the tour on their own. Published in 2007.

Kaua'i as it Was in the 1940s and 1950s, author Mike Ashman remembers Kaua'i during his time as a radio personality, published in 2004 the original manuscript was developed from stories which the author had written over time, and is illustrated with many photographs.

Projects

Records are separated by project and in chronological order. Often projects resulted in publications, as noted above. In addition, some projects required funding from grants and/or donations, and in some cases, additional information is located in those folders.

Historic building preservation: a photographic survey 1975-76In 1975, the Koloa Courthouse and jail were bulldozed. Hours before, Bob Schleck, president of KHS, called John Wehrheim to photograph the buildings. The idea of the survey grew out of that action. Besides the photographs, each building was researched

KHS Records, p.13by Julia Neal, and the resulting information is kept in the KHS Historic Sites files in the archives. An outgrowth of the project was the publication Kaua'i Album.

Preservation of the Kalihiwai to Haena roadways and bridges With the State proposing to improve the road and build new bridges to serve the north shore, KHS helped research the significance of the roadway and its 11 bridges, then lobbied to preserve the bridges and have them placed on the National Register of Historic Places, as well as designation as a rural scenic highway. Covers 1976 to 1980.

Salt-making at Hanapepe Utilizing film to show the salt-making process passed down from generation to generation, this 1973 production enlisted Christine Kali, the oldest salt maker at Hanapepe to show how the process was accomplished. The salt flats in Hanapepe are one of a kind, and the only place where salt is made this way.

Hikina a kala Protective measures where needed when legislation was introduced that could have impacted the heiau in this complex. Information in this folder supplies the specifics of the bills, and the Society's reaction and lobbying resources to secure the heiau.

County building restoration The County Building Restoration Advisory Committee was formed in 1973 to bring the oldest still-operating Council chambers back to its 1914 glory - a long and tedious procedure requiring many grants, and years of committee work from many interested parties from the island. The outcome removed the coke machine from the lobby, restored floors, walls and ceilings, as well as the exterior of the building to its original paint and patina. Work was done in phases, with the Mayor's office, and conference room acquiring original furniture. An ongoing project that lasted well into the mid-1980s.

Koloa sugar monument A project designed for completion in 1985, the 150th anniversary of the Koloa Sugar Mill, the monument to be placed at the site of the first mill, along with the last of the 1,000 trees project. Folders include information on the design of the monument itself and the support of the Koloa community and the sugar industry of Kaua'i.

Kauai Historical Society - conservation survey report The Society's collections, including the Guslander Collection, books, serials, films, photographs and manuscripts, were examined for conservation purposes, and the best case procedures are described in detail to prevent loss. This 1991 document includes photographs and appendices.

Elderhostel The Society, along with Grove Farm and the Kaua'i Museum, formed a consortia during the 1990s to participate in a Elderhostel offering on Kaua'i.

Iki Moir scholarship fund Established in 1991, the donated funds provide the basis for a small scholarship for educational programs here on Kaua'i, honoring Iki Moir, a Kaua'i Community College professor, long-time Society board member and activist.

Japanese Stone Lantern Buried to protect it during the early days of World War II, the 1915 lantern is unearthed in 1985, and is situated near its resting place in Kapaa County Beach Park near the Kapaa Library. In 1991, the Society agrees to act as the umbrella agency to oversee funds for the restoration of the monument. With Hurricane Iniki less than a year later, the project is put on hold for years, until the Kapa'a Business Association revives the plan in 1996. Still, many years pass before the project is completed. Kapaa History Shop & Kapaa Walking Tour A KHS project to establish a base shop in downtown Kapaa, and operate a walking history lecture through the centuries of culture from the past into the present. The Shop operated during 1999-2001, but failed to provide adequate income to support itself. The Tour survived much longer, using the KHS office to coordinate tours and tour guides for those interested in the long, varied history of this early east-side town. Closing of the Lihue Mill With the closing of the Lihue Plantation Mill in 2000, the opportunity arose to use videotape to record the last production runs, and capture what the process and the people were all about. Backyard Music v.1 & v.2 (2007, 2009) Capturing the songs and sounds of the our island musicians, as well as hearing snippets of their lives, makes these two video volumes speak more than just words. Highlighting the best of the Kaua'i traditional vocalists, bands, and songs was the project's intent, and an overwhelming enjoyment for those who participated, as well as a lasting contribution to this musical era.

Fund raising and donations

Prior to the 1990 gala for Grace Guslander's 80th birthday, the Society was funded mainly by membership dues, donations and a few grants received for special projects, publications or activities.

Folders reflect the donations from various sources, and the annual dinners - often incorporating the annual meeting of members - through the mid-1990s.

Using the Grace Guslander Gala as a guide, KHS embarked on a yearly series of "Royal Pa'inas", each with a special topic, starting with "Legacy of Ke Ali'i Deborah Kapule"

in 1997, used as fund raisers with original, scripted entertainment, offering silent auctions and elaborate meals at local hotels. Each totally different in scope and entertainment styles, they have helped to support the Society's various activities.

There were 12 Royal Pa'inas from 1997 through 2008, each has its own folder; all have been videotaped as well.

Another folder describes the County Building Restoration Fund, and covers the years 1998-2001, described in more detail under the Projects series.

Financial records

From 1914 through 1969, the Society's financial records are maintained in the correspondence files. After incorporation in 1969 these records were separated into their own series. The series includes investment fund statements, financial summaries, budgets, tax returns and records, safety deposit box information, and business registrations. They are arranged chronologically. Current files will be archived after seven years.

Insurance records

Records in this series consist of Workman’s compensation, temporary disability, and unemployment insurance policies, beginning in 1973.

Liability insurance for the gift shop covers the years 1996-1999. General liability insurance was in effect 1973-1979, 1991-1992, 1997 to the present, and director and officer insurance was added in 2000.

Grants

Grants were first archived in 2011, and are divided into two sub-series for ease in use. The first series is in alphabetical order by grantor or foundation name. The earliest grant is from the Hawaii Bicentennial Commission 1776-1976. Any grants received before this time will retain their place in the correspondence files.

The second sub-series is for the State Foundation for Culture and the Arts (SFCA) who has been a continuing supporter of the Kaua'i Historical Society since 1984. Due to the volume of the files generated by their help, they are separately boxed to ease archival processing.

Grant information files will be moved to the archive each year, the last three years will be maintained in the active KHS files. Library collections

Archived for the first time in 2011, these records date back to the donation of the Kaua'i Department of Health records from 1912, including their return in 1971, and include the Elsie & Mabel Wilcox donation in 1926, the Mahelona Hospital and Lihue Library donations of 1995. There are holdings lists dating from 1924.

Visitor rosters and information request logs through 2010 are also housed in this collection.

Another group of folders outline and record the original database cataloging of books, serials, subject files, and the Guslander collection materials; and a later group converts those earlier records into a computer file.

There are accession records for materials found in our collections, as well as donations from 1994 to the present. A section relating to photograph cataloging in the mid-1990s (prior to the digitalization now standard practice at KHS). Finally, copies of cataloging records for books, serials, maps, and videos/disks complete the series.
