Proposal to Purchase a Laser Color Copier/Printer

Presented By:Hattie Foreman

Page 2: Foreman Presentation

ABSTRACTThis proposal was presented to the pastor and the church administrators to show the need to purchase a color laser printer/copier for the church, to produce and distribute color professional brochures for direct mailing advertisement. This would increase visibility of the church and inform the community of all the programs and activities the church offers for every age group in the surrounding community. The brochures would also help to bring in new and younger members. This would help promote the Before and After School program and the Summer Enrichment Camp that started with funds received from a grant. These programs give families in the community a safe and educational environment for their children. The community and the church would benefit from these programs being made visible to the community.

This would make all the programs visible to families in the community such as the Before and After School program, Summer Enrichment Camp, the church also offers Vacation Bible School, Christian Education, Children’s Sermons, New Members Classes, Training Workshops, Praise Ministries, and Growth Literature, along with other programs available at the Church Community Outreach Ministries, Adult Organizations, Youth Organizations, and Youth Enrichment Programs.

The church would be able to produce and distribute, an appealing and cost efficient brochure, this will help the church become a part of the community and help the two grantprograms continue to stay open, as stated by “Kori Rodley Irons” in the article, “Does Direct Mail Marketing Still Work”, in Associated Content, “you’ll want to make sure that your advertising stands out amidst the other pieces. Colorful pieces that can be scanned quickly are the norm”. This would keep the church up to date to be able to send the brochures to homes in the surrounding community.

This is one of the best ways to inform the community of how special our church is, the article “Direct Mail Marketing Techniques: Making your Products Sell” by Francois Baptiste, states that “direct mail marketing is an effective means of marketing products and services. This strategy makes use of a direct to market approach allowing you to communicate the objectives of your marketing campaign to a more focused audience, in this case the community surrounding the church. In order to do this we need a brochure that will stand out.

Page 6: Foreman Presentation

When the church sent out the first mailing of brochures, done in black and white with little information and not many pictures, there was not a lot of response. The secretary designed a brochure that gives more information and looks better in color. The printing of special occasion’s flyers and bulletins for Sunday service would benefit from the use of color printing as well.

Page 7: Foreman Presentation

The church secretary printed some programs for a special occasion and some brochures on her inkjet printer at home, the quality was not as good as a Laser printer, and was not time and cost efficient because it took too long to do them and the ink cost too much to do on the Inkjet printer. The church members like the color aspect so investing in a color laser copier/printer would be a good idea.

The Before and After School program and the Summer Enrichment Camp are self supporting programs that depend on participation from the community, so the need to get the word out about these programs can be done by producing a brochure that will be notice and this is critical to the continuation of these programs.

RESULTS:

The Pastor divided the task between the two secretaries for the church the secretary completed the task of conducting research to find the best prices on equipment. The cost of supplies (paper, ink cartridge, etc.) by going to such web sites as Office Depot and Printer Showcase.com for printers and toner, and OfficeDepot for paper, the research on the amount of time and cost to have the church secretaries do the job was also complete. Table I show from the research that investing in the purchase of a color laser copier/printer would be cost effective and a good investment now and in the future for the church.

ConclusionAfter obtaining the needed information, the pastor agreed to take this proposal along with the secretaries took the proposal to the church conference to present the need for the church to purchase a laser color printer/copier for the church. To show how creating a visually interesting brochure for the church for the least amount of money and time it would take to produce and distribute in the surrounding community. This would make the church stand out in the community, and will also help get the information out about the programs offered at the church. This will also make the Before and After School program and the Summer Enrichment Camp visible to families in the community with children that will benefit from these types of programs; and to attract new members.
