Updated March Correspondence Committee Report

Committee Chair: Mekasha Brown

Summary of Committee Activities: THANK YOU CARDS/LETTERS: 1. Thank you. Two small words for such a big feeling. To the Sorors of FWAC, Thank you so very much for your generous out pouring of love shown to me. The flowers, calls, texts and cards will help to comfort me in the days to come. Continue to lift me in prayers as I travel a road never traveled by me before. I love you all and hope to be with you all again soon. Loving always, Bonnie Cheatham 2. On behalf of the entire McGee family, I would like to thank you for the beautiful plant in the passing of my mother. They say there is nothing like a mother’s love; and mine was the best. Thank you all so much for thinking of us in our time of sorrow. Yours always, Tomeka McGee

3. My dearest Sorors, Thank you, thank you my sisters, for your thoughts, prayers, phone calls and heart warming cards. I’ve received them all, and it has truly made the difference. Though I will miss my beloved big brother, I find rest and peace, knowing that he is now in the loving arms of our Lord. He no longer has to live with the aches and pain of the natural body, and for this I can rejoice, for heaven is our home. Thank you again Sorors and may God’s love, peace and joy, forever be yours! In His Love, Soror S. Machell Denson

4. With Sincere Appreciation Thank you so much. I cannot begin to express how elated I was to have so many of my FWA Sorors at my final State Meeting as your State Coordinator. God has blessed me with an amazing chapter where I have had opportunities to expand my Delta knowledge and enhance my leadership skills. Dues Payments

2018-2019 dues payments are payable January 1, 2018 through March 31,

2018 without incurring a late or reinstatement fee. Anything between now and March

31st should be paid by money order or cashier’s check.

Official notice was posted regarding any soror that was sanctioned between July 1,

2001 through June 30, 2013 and has not satisfied her fine or financial obligation, that a

complete audit of the sorority’s files with regards to fine payments will be conducted

on June 30, 2018. If the sanction is unpaid by the designated deadline, her membership

will be revoked, and she will be expelled from the sorority. To become a soror in good

standing, you must submit the entire fine payment by June 30, 2018, then she can

nominations process for future elections.

An on-site verification of membership process has been devised and is mandatory to be

used by all chapters before granting admittance to chapter meetings and to determine if

a soror is in good standing with the organization. Without proper verification

(membership card, membership certificate, verification via the Red Zone, or letter of

verification from National Headquarters), vouching by a chapter member, and

verification of good standing by reviewing the list of Sorors/members who have been

placed on suspension, probation or have been expelled from the organization, a visitor

should not be admitted. Sorors on probation may be admitted only if part of a

Rehabilitation Plan prescribed by the Regional Director.

As a reminder, it is the policy of Delta Sigma Theta Sorority, Incorporated (“Delta”)

that no organization or group shall be identified or recognized as a committee or

affiliate of or within the structure of any chapter of Delta if the organization

(hereinafter “independent organization”) meets any of the following criteria:

operates pursuant to established policies and procedures, of any kind;

is governed by an elected or appointed Board of Directors and/or elected or

appointed officers;

has standing or ad hoc committees;

holds in its name a checking, savings, investment, or other account at a bank or

other financial institution;

is registered to do business in a state or as a tax exempt organization;

has a mailing or delivery address in the name of the entity; or

collects or assesses membership dues, fees, or assessments.

Any affiliation or association with any such independent organization is inappropriate

and is prohibited because of potential legal, fiscal and/or fiduciary ramifications.

The audit is listed below: Detailed Audit Report The Internal Audit Committee completed a review of the financial records of the Fort Worth Alumnae Chapter of Delta Sigma Theta Sorority, Inc. for the second quarter period of October 1, 2017 to December 31, 2017. The review included a random sampling of disbursements, receipts, deposits and 100% of membership dues collected during the period. The initial review was completed on January 30, 2018. A summary of the major findings, details and recommendations are listed below: Finding #1: The testing of disbursements showed that 2 checks out of 41 tested (less than 1% of the sample tested), showed the person receiving the check also signed the voucher. a. Check #1046 to Soror LaMetra Curry - Soror Curry signed the voucher and the request for reimbursement was payable to her. b. Check #8780 to Soror Shavon Cormick - Soror Cormick signed the voucher and the request for reimbursement was payable to her. Recommendation #1: The chapter policies and procedures dictate that Committee Chairs should bring all vouchers with required signatures to Executive Board or chapter meeting to obtain President’s signature, prior to giving to Treasurer. The voucher recipient should not be the same as the committee person signing the voucher. After review by the Chapter Internal Audit Committee or their designee, it has been determined that the chapter has satisfactory financial internal controls and the review supports the existence and utilization of these controls. **As a note concerning responsibilities, it is the responsibility of the Treasurer and the Finance Committee to provide the Audit Committee with all required and necessary documents. The Audit Committee does not always have electronic access, so moving forward please provide all documentation on paper. The Committee will begin the search for CPAs to solicit bids for the chapter's upcoming audit. If anyone knows of a CPA please notify myself or a member of the committee with contact information Upcoming Activities: Next meeting to be announced Recommendation: This report is for information only and shall be filed with chapter records.
