Foundation Stage Booklet
This HelpCard is about using the EYFS records in School PUPIL TRACKER
The Foundation Stage record can be used to make judgements about a child’s attainment through the
Early Years Foundation Stage.

INTRODUCTION: How to use the Foundation Stage Record
You may use School PUPIL TRACKER to maintain records of your children’s progression through the Foundation Stage curriculum and then use a specially designed EYFS Summer Profile in the summer term to record the summative assessment for your children. You have two options to maintain records - DETAILED TRACKING and BROAD TRACKING. Please look through the following guidance to make a decision on whether you wish to use DETAILED TRACKING and BROAD TRACKING for EYFS tracking in your school. Further information can be found by logging in to SPTO and clicking on

Build up judgements in
EYFS Record Auto-fill SHORT TERM Explore data

You build up a detailed record of each child, including the ability to upload evidence and photographs.
SPTO will estimate which Development Band each child is working in for you. I can amend these judgements if I wish.
SPTO will track each child for you. I can see graphs and charts of pupil
progress over time. SPTO will write a detailed report
automatically at the end of the year, including all the judgements I have made through the year.
SPTO will create a Learning Journey and Target Walls for your children.
I have to maintain a large number of judgements through the year.

I can enter judgements about a child’s progress through the Development Bands quickly and easily.
I can see graphs and charts of pupil progress over time.
A simple report will be available for each child at the end of the year, but it will not contain a great deal of detail or depth. I will have to write any detailed comments myself.
I may need to keep other more detailed records of evidence and observations outside of School PUPIL TRACKER to demonstrate my judgements to moderators.
I do not receive a detailed report filled with auto-comments at the end of the year.
-My Local Authority has recommended I do not make judgements on every objective. You may choose BROAD TRACKING which is explained in Section 2. -Can I use a mixture of BROAD TRACKING and DETAILED TRACKING? No - we do not recommend that you mix the use of BROAD TRACKING and DETAILED TRACKING to record judgements for your children, as this can become confusing for your own records. -How do I complete the EYFS Summer Profile in the summer term? Section 1.1: Ongoing records - recording judgements for a class or group
You may use the Web App instead - see www.spto.co.uk/documents/webapp.pdf
To record judgements about a group or class of children
in the EYFS records, please go to the EYFS menu by
clicking on the leaf icon shown on the right.
Choose the class or year group using Quick Search. This
will locate the children you require.
Alternatively, use INVESTIGATE to locate a more specific
group of children.
Choose the Aspect you
require to edit the records
in, such as Making
Relationships and click on
the link.
This will open a list of children down the
left of the page and a set of columns
across the page showing the objectives
in your chosen Aspect, grouped into
Bands.

Hovering your mouse over the top row of text will show
more detail and the child-speak target.
Clicking on the Excel icon will export the page into Excel
for you.
You may choose to order the pupils as you wish using
this drop down:
The grid is organised into a maximum of 35 children.
Choose to view a different page of children by using the
page drop down.
Each child’s record is set out as a row. Clicking on the
blue person icon next to a child’s name takes you straight
to their individual record.
QuickClick™: How to make and change your pupil assessment judgements
Recording and updating judgements in School PUPIL TRACKER Online is
quick and easy with our QuickClick™ system. Simply hover your mouse
cursor over the required box on the grid and you will see a set of buttons
appear in the judgement box (shown on the right).
Each of these buttons corresponds to either delete (cross button), Set a Target, Working Toward,
Mostly Achieved, Achieved or Exceeding (+).
You can click on any of these buttons in any order – you are not fixed to clicking through from W to
M to A – you can click on A straight away of you wish.

Type of Record What it means / how to use it
BIN Blank or delete
The child has not achieved any part of this objective. No record exists about this child and this objective.
Set Target
You can set a target for a child in this grid. NOTE: This will be saved as a target for a child only if they have a
blank target available for them. You cannot set targets in Spoken
Language.
If a child already has this objective set as a target, clicking T will remove the target – it will not appear with a star and will not appear in the Target Grid.
Working Toward The child has achieved some of this objective and is working towards achieving it.
If a child already has this objective set as a target, clicking W will keep the target – you can still see the star. Click T to delete the target if required.
Mostly Achieved The child has achieved MOST of this objective.
If a child already has this objective set as a target, clicking M will keep the target – you can still see the star. Click T to delete the target if required.
Achieved
The child has fully achieved this objective.
If a child already has this objective set as a target, clicking A will remove the target as they have now achieved it.
Exceeding
The child's attainment exceeds this objective.
Real-time Saving
Our record also saves your judgements whilst you are working with real-time saving.
You will see this in action after you have made a change to a box - will appear in the box
immediately and the change will be saved straight away!
If the continues for a long time, please try re-entering your judgement again.
You can tell that your change has saved successfully when the no longer appears.

Simply clicking on , for example, will assign a judgement of Achieved to
this box – the child’s year group and the current month will be automatically
calculated.
If you wish to choose the child's year group to be recorded manually (for
example, to back-fill some historic assessments), please change the drop
down shown on the right to the required year group.
If you wish to choose the month the objective is recorded manually, please
change the drop down shown on the right to the required month - it will always
appear with the current month showing (for example, September or
December).
You can review and change judgements at any time, for example clicking to set a target, then
clicking a few weeks later when they have achieved the target.
Completing lots of records at once
Use the T, W, M, A and BIN boxes at the top of each column to
‘flood fill’ the column with your choice.
For example, clicking on the W will cause any blank boxes on
each row in the column to be marked as ‘W’ or Working Towards.
The cross button will CLEAR all boxes in a column.

What do I do if I want to fill in some historic records?
When this page loads, the current month and each pupil’s
year group is chosen automatically for you so that entering
judgements is more efficient (shown in a red box, right).
If you wish to choose a different month (to enter historic
data, for example) simply choose a different month from the
drop down and then click to record
judgements as explained above.
The Early Learning Goals
On the far right of the record you will see a column of Early Learning Goals –
these boxes are slightly different to the other boxes as they contain leaves.
The Early Learning Goals are the objectives used in the EYFS Summer
Profile to create a summative record of a child’s attainment at the end of the
Foundation Stage. Please see the Help Card at

Section 1.2 Ongoing records - recording judgements for an individual child
You may use the Web App instead - see www.spto.co.uk/documents/webapp.pdf
To record judgements about one child in the EYFS records, please go to
the EYFS menu by clicking on the leaf icon shown on the right.
Choose the child's name from the drop down shown on the
right. If a child does not appear in the list, try choosing
WHOLE SCHOOL from the Quick Search... drop down.
The individual record for the chosen child will appear (example shown below). Individual records let
you see the record of a child at a glance, exploring records more deeply.
Please note that the EYFS records for each child is separated on to more than one page - click on the
button beneath the header to access each page:

Clicking on the Excel icon will export the page into Excel for you.
You may choose to view a different pupil's record by choosing their
name from the pupil drop down.
Click on the orange View Evidence File button to examine a graph of this child's
evidence and explore all the comments and files that have been uploaded in
each subject.
Recording and updating judgements in School PUPIL TRACKER Online is
quick and easy with our QuickClick™ system. Simply hover your mouse cursor
over the required box on the grid and you will see a set of buttons appear in the
judgement box (shown on the right).
Please see the QuickClick™ section above for details of how to change your pupil records.
Using the QuickClick™ system and clicking on , for example, will
assign a judgement of Achieved to this box – the child’s year group and
the current month will be automatically calculated.
To access the drop downs to record year group and month settings based
on your own choices (and not the default current month and pupil year
group), please click on the orange Back fill Options button.
If you wish to choose the child's year group to be recorded manually (for
example, to back-fill some historic assessments), please change the drop
down shown on the right to the required year group.
If you wish to choose the month the objective is recorded manually,
please change the drop down shown on the right to the required month - it
will always appear with the current month showing (for example,
September or December).

How do I complete lots of records at once?
It is easy to fill in the judgements for a whole Band or mini-column in a Band.
Look at the top of any column to see a row of white buttons or look at the left
side to see buttons that fill the whole band.
Use the W, M, A and bin boxes at the top of each mini-column to ‘flood fill’ the
mini-column below with your choice.

Section 1.3: Ongoing records - how do I flood fill?

Many teachers wish to create groups of children which they assess and record together as a group.
This can be completed within School PUPIL TRACKER - but you must first build or set up a class
group.
To create a set of groups
go to the CLASS MENU and click on the Class Groups button
Choose the EYFS Aspect from
Enter the names of the groups you
require in the boxes in the required
subject column - for example, the
names of colours in writing.
Click

To search for and locate a group
Go to the EYFS menu and click on the INVESTIGATE icon.
Locate the Class groups pod and choose your class from the Choose a
CLASS drop down.
Now choose the group (for example, writing red group) you require from
the new drop down with the class name on that appears.
Click on the green SEARCH button to locate the group you require.
This will locate the children you require.

Completing lots of records at once
Use the T, W, M, A and BIN boxes at the top of each column to
‘flood fill’ the column with your choice.
For example, clicking on the W will cause any blank boxes on
each row in the column to be marked as ‘W’ or Working Towards.
The BIN button will CLEAR all boxes in a column.
Using the column flood fill will fill in the data for all the children on
the page in the column you require - for example, click A to flood
fill the whole column with Achieved.
You can also click on the clip button at the top of each column to
open the Evidence Information box and add comments or files to
every child (or a selection of children) on the page – see the
HelpCard at

Section 1.4: How do I set targets?

As mentioned above, the EYFS Record can be used to set targets for your children using the
button in the QuickClick™ system.
To see each child's targets in detail, you should visit the Target Grid by clicking
Choose the Aspect you require using
Clicking on in the Target Grid gives you access to the TARGET BANK – here you will find
a mirror record of the EYFS objectives – using greens for achieved and blues for objectives already
set as targets (please note that the working toward aspects and mostly achieved aspects do not show
up in TARGET BANK).
A child's TARGET BANK record may looks like this with green for achieved objectives and blue for
current targets:

Section 1.5: How do I add evidence or comments?
You may use the Web App instead - see www.spto.co.uk/documents/webapp.pdf
You can add evidence or comments to every assessment. Try
clicking on the clip button to open the Evidence box for this child and
assessment box.
A box will appear showing any linked evidence.
If there is no linked evidence, the box will
appear blank.
Click to upload a file.
Click to add a comment.
Advice on how to use the Evidence pop up, can be found on the Learning Journey HelpCard.
The HelpCard can be found in the Help Centre or downloaded at
www.spto.co.uk/documents/LearningJourney.pdf
You can add a comments and photographs and a clip will appear to
show evidence has been attached. The number below the clip tells
you how many pieces of evidence have been linked.
Using the clip button at the top of a column will add a comment or
link uploaded evidence to more than one child – see the HelpCard at
www.spto.co.uk/documents/LearningJourney.pdf

Section 1.6: Auto-fill and Estimated Bands
School PUPIL TRACKER will calculate an Estimated Band for your children if you make judgements
in each child’s records as explained in the pages above. The Estimated Band is calculated based on
the judgements entered in each child's record.
The automatic Estimated Band judgements for each child is a guide to help support a teacher in
‘banding’ a child. School PUPIL TRACKER will try its best to calculate an accurate band judgement –
but this is no replacement for the professionalism and skill of teachers and practitioners. The
Estimated Band judgement is a feature to guide you – School PUPIL TRACKER Ltd takes no
responsibility for the accuracy or dependency of this feature – it is every school’s responsibility to
ensure banding of each child is done so professionally and consistently across your school.
School PUPIL TRACKER Online will calculate Estimated Band judgements for each child across
each of the separate Areas of Learning and Development.
An Estimated Band judgement will appear next to a child’s name when in
parts of the Foundation Stage records.
If there is a '?' then there is not yet enough data (or the data is conflicting)
and a judgement cannot yet be made.
You must use the Auto-fill tool several times per year to fill in the Estimated Bands into the SHORT
TERM grid. How often you wish to do this is decided by your school.

Using the Auto-fill tool
Choose the class or year group from the Quick Search
option. This will locate the children you require.
Alternatively, use INVESTIGATE to locate a more specific
group of children.
Go to the EYFS Class Menu
Click on the EYFS Auto-fill Tool button
Read the pop up instructions that appear.
Please take care to ensure you choose the correct column in [1].
Once you are happy, click on
After a few moments, a page with all your pupils and all your Estimated Bands (in orange) will appear
(see below).

You must check the Estimated Bands carefully and then click to save the bands.
Take note about the Estimated Band
1. Although you do not have to ‘back fill’ assessments for the system to begin working, more
accurate Estimated Band judgements will be created for a child if you do fill in as much historical
ACHIEVED information as possible. We would recommend filling in the entire previous Band
for a child (i.e. the Band you know a child has fully completed) using one of the flood fill
tools show in Section 1.3
2. When calculating an Estimated Band, School PUPIL TRACKER looks mostly at the aspects that
have been ACHIEVED. Those aspects judged to be WORKING TOWARDS, or MOSTLY
ACHIEVED count very little in an overall judgement.
3. There must be enough information inputted for a child for an Estimated Band judgement to
appear.
4. The maximum Estimated Band a child can be given by SPTO automatically is
ELG Almost Met. A practitioner must make a judgement in the EYFS Summer
Profile for an ELG to progress further.
5. If a child is recorded as having met the ELG and a practitioner has recorded
'expected' in the EYFS Summer Profile, SPTO will give a child an Estimated Band
of ELG Met.
6. If a child is recorded as having exceeded the ELG and a practitioner has recorded
'exceeding' in the EYFS Summer Profile, SPTO will give a child an Estimated
Band of EYFS Exceeding.

Section 2: BROAD TRACKING
Section 2.1: Tracking by entering my own Development Band judgements
You should go to the Foundation Stage Menu by clicking on the
leaf button at the top of the screen:
You may use the Planning and Resources tools to support you
in making judgements about which Band a child is currently
working within.
You must use your professional judgement to decided whether a child is working within (for example)
40-60 High, 40-60 Mid, 40-60 Low, 30-50 High, 30-50 Mid, 30-50 Low etc.
You may find the Observation Forms or Learning Walls useful when making these judgements.
Once per term (this is only an example of frequency - your school must decide on the assessment
pattern) you would record your judgements for each child across all the Aspects of the EYFS
curriculum by entering and saving your judgements on the SHORT TERM grid.
Before entering or editing your records, please ensure you have
the correct group of children ready to explore. Choose the class
or year group you wish to examine from the Quick Search drop
down.
Click on the SHORT TERM icon.
Choose the Aspect you require from the drop down shown on
the right:
Fill in the EYFS judgements for each child in the correct column and save your choices.
