1 Introduction

This document provides the feature details and expectations for FreeFlow® Express to Print, software version 7.0. It is intended to help Customers understand the capabilities, requirements, and limitations of the current release.

Express to Print is the cost-effective workflow solution that increases a customer's productivity. With its intuitive visual interface, customers can perform job ticketing and prepress functions with a simple click of the mouse while reducing the time required to set-up even the most cumbersome jobs - automatically. Key applications include the production of business cards, brochures, books, manuals, and more —so that customers can keep their production pipeline filled. It’s so easy to use, even novice users become experts, quickly.

Product Overview Simplified job preparation An intuitive and highly visual interface lets you view and prepare jobs at the desktop, ensuring their accuracy before you submit them to print. Automatically combine multiple files into one and perform tasks such as adding page inserts, tabs, and covers, as well as bar coding, page numbering, watermarks, Bates stamping, and more with drag-and-drop simplicity. Convert TIFF, JPEG, PostScript®, EPS, and RDO files to true Adobe® PDFs, on the fly. This tool is not only fast, it’s smart—select your Xerox printer and Express to Print displays only the ticketing options available for that printer.

Streamlined job ticketing Point and click to preview every page as you prepare your jobs with tabs, covers, chapter starts, and more. View your job in page view, printer spreads, or reader spreads. You’ll reduce errors while maximizing print quality and consistency. Thanks to its logical, intuitive operations, Express to Print is ideal for walk-up jobs and less-skilled operators. It reduces training time, number of software applications, and steps required to perform simple prepress activities.

Template-based automation Take the guesswork and manual labor out of job preparation with over 50 predefined templates. They automate frequently repeated jobs, time-consuming setups, and routine prepress tasks such as imposition and finishing options. You’ll be able to see a soft proof prior to submitting your job to print, so you can produce books, manuals, newsletters, postcards, posters, and more with greater ease and accuracy. If the built-in templates don’t fit your needs, template customization is available.

It can boost the productivity of your color and monochrome workflows, working in tandem with the Xerox® 700 Digital Color Printer, Xerox® DocuColor® 242/252/262, Xerox®

DocuColor®

5000/7000AP/8000AP Digital Presses, Xerox® iGen3® and Xerox® iGen4™ Digital Production Presses, Xerox® 4112™/4127™ Copier/Printers, Xerox® Nuvera® Digital Production Systems, Xerox® DocuTech® HighLight Color Systems, Xerox® DocuPrint® Continuous Feed printers, and other Xerox digital print engines. Refer to the Appendix: Print Server Compatibility Matrix, for a complete list of supported Xerox printers.

NOTE Support is limited for “bustled” or on-board Digital Front-End (DFE) controllers.

2System Technical Requirements

Performance and Capacities Guidelines FreeFlow Express to Print is designed to address many of the needs of our customers in helping them to better prepare and automate their job preparation and prepress bottlenecks. However, the performance of the application is dependent on a number of variables, including network traffic, system configuration, as well as the number and type of operations being performed simultaneously.

Regardless of PC platform capability, the system performance may decrease with the introduction of color reprographic images. Scanned color files may easily attain several MB in size. The associated FreeFlow operations acting upon these large color images may, therefore, be slower. Although every effort is explored to achieve optimum performance with the FreeFlow software, reduced performance may be experienced with some operations.

The performance criteria for Express to Print cited below are guidelines for satisfactory system performance. They are not meant to be defining limits. Actual performance results will vary among different customer environments and applications.

Guidelines • Server connection to the local area network (i.e. intranet) should be on 100 Mbps / Full

Duplex or faster • The customer should have in-house IT support to certify and maintain the network • The customer should have a qualified, trained in-house System Administrator

By following the above guidelines the overall operation can be optimized.

PC Platform Support The Xerox escalation process, including SPAR (Software Problem Action Report) support, is available for compliant hardware and software configurations only. Compliant PC platform(s) specifications and software configurations are tested by Xerox to ensure product stability; that such products have supported upgrade and migration paths, and can be maintained by trained service and support organizations.

Customers who purchase FreeFlow Express to Print are responsible for obtaining a PC platform that meets (or exceeds) the set of minimum required system specifications defined by Xerox outlined below.

System Settings

The following are the required system settings for Express to Print 7.0:

1. Disable Indexing Service: – Microsoft Vista: [Control Panel > Programs and Features > Turn Windows Features Off – Microsoft Windows XP: [Control Panel > Administrative Tools > Services]

2. Disable Hyper-threading in the PC BIOS (if option exists). 3. To enable and configure the Windows Firewall or for other recommended security settings,

please refer to the Xerox FreeFlow 7.0 Security Document 701P48730. A copy of this document may be obtained from your local Xerox Rep, or downloaded from the Support & Drivers section on xerox.com.

Protecting Against Power Issues Changes in power can effect computer equipment and cause software/hardware damage and file corruption requiring a service call and possibility of the need to reload system software that can result in downtime.

Note We strongly recommended that the FreeFlow product hardware be kept on a dedicated electrical line with an Uninterruptible Power Supply (UPS), Surge Protection, and Power Fluctuation Protection.

System Software Requirements

Software License Permissions Several FreeFlow software products are available for purchase from Xerox including: FreeFlow Makeready, FreeFlow Process Manager, FreeFlow Web Services, FreeFlow Output Manager, FreeFlow Print Manager, and the FreeFlow VI Suite. Each software product is sold with install permissions conveyed as part of the purchase price.

The purchase of each Express to Print software product grants the purchaser the right to install one instance of the software, meaning the software may only be installed on a single PC platform at any given time for each license purchased. The FreeFlow license is not transferable.

The customer is solely responsible for obtaining and complying with all appropriate licenses for the Microsoft Vista or Windows XP Professional Operating Systems, and Microsoft Office 2007. Additionally, the customer is solely responsible for obtaining and complying with all appropriate licenses for any third-party components used by the customer in conjunction with the FreeFlow software, including but not limited to QuarkXPress, Adobe Photoshop, InDesign and/or Illustrator.

Mixed Environments Support For customers who have purchased multiple FreeFlow products it is imperative that all of the products are at the same software level to minimize compatibility issues. Unique characteristics may be created with document generation relative to file format, file contents and system compatibility with differing versions of FreeFlow software. Keeping the FreeFlow software at the same release levels will also facilitate efficient problem escalation and resolution.

If possible, this constraint should also be adhered to when sharing files across environments.

Xerox and Third Party Application Software Support FreeFlow Express to Print is supported by Xerox through a Field Service Maintenance Agreement (FSMA). The intent is to provide our customers with the most reliable and productive software for the Print Center marketplace. To this end, the system is extensively tested from a hardware and software perspective to ensure system reliability. The FreeFlow Product Support Organization is trained to perform diagnostic routines that help isolate problems. These routines are designed with the total system philosophy to quickly isolate any issues that may arise. However, they rely on a known system environment to establish an initial starting point and third-party software cannot be comprehended by the diagnostics. Also, to isolate software problems effectively, the FreeFlow product support organization will attempt to recreate any issues on standard supported systems. The introduction of software outside of the standard FreeFlow product configuration poses obstacles to effective problem isolation and/or diagnosis and cannot be supported. The PC platform should only be used for operation of FreeFlow Express to Print.

FreeFlow Express to Print supports the conversion of native Microsoft Office and Adobe file types to PDF. In addition, conversion of the following files types are also supported, but the source applications are not required for Express to Print to convert these files to PDF:

Note The Customer is responsible for obtaining and installing an appropriately licensed version of the originating source document application(s) if PDF conversion of native files types is required.

Specifics

Customers may assume the responsibility of loading additional software on the FreeFlow product at their own risk. Xerox service and support cannot be held accountable for the additional application software or the data files that may be created with them. In the event of software or hardware problems, to effectively diagnose and isolate the problem, the service/support engineer may require that the third-party software be removed from the FreeFlow product. The customer is responsible for this activity.

In the event of catastrophic events where hardware and/or software failure may erase or otherwise destroy application software and/or hardware, the Xerox support team is only responsible for the Xerox-supplied components.

Recommendation

Customers wishing to incorporate third-party software applications with the FreeFlow product should consult with their local support team to define the best backup and support strategy that will protect their investment and information.

FreeFlow Product Security Considerations Computer / Information Security is a journey and not a destination. Even the most secure systems are vulnerable given someone who has the right knowledge, access, and enough time. Threats include physical damage at the system, over networks, or as well as damage caused by viruses. The goal is to minimize the security risks, as much as possible, and have policies in place to detect and reduce the negative impact of a security incident. Examples of things that can be done to reduce risks include proper use of logins and passwords, restricting network access, and use of virus detection software.

Xerox’s Role

Xerox will strive to provide the most secure software product possible based on the information and technologies available while maintaining the products performance, value, functionality, and productivity.

Xerox will:

• Run industry standard security diagnostics test to determine any vulnerability. If found, the vulnerabilities will either be fixed, minimized, or documented

• Monitor, notify, and supply (when necessary) security patches provided by third party software vendors used with the FreeFlow products (i.e. Microsoft Service Packs)

Customer’s Role

Although the FreeFlow product support team will try to provide software that is secure, the customer is ultimately responsible for securing their environment to meet their specific security needs. Depending on the customer needs, the customer can increase security by installing a firewall, implementing a private network, and/or physically securing the hardware to a limited access area. The customer, depending on their needs, should use tools to monitor and log physical and network access to the FreeFlow hardware and software to determine if and when a security incident has occurred. The customer should also back-up their data to ensure that is can be recovered in case of deletion or corruption.

In implementing a security strategy, customers must keep in mind that they should not modify the FreeFlow product system or its environment in any way that will prevent it from functioning properly. If the customer performs such modifications, Xerox will not be able to support the product should problems occur. The customer may be responsible for returning the FreeFlow product back to the original installed state. This may include uninstalling unsupported software, resetting configuration settings, or possibly reinstalling the FreeFlow software product.

Backing Up Your FreeFlow Product Customer performed backup procedures for FreeFlow Express to Print are an important and necessary function. The customer is responsible for scheduling and performing this important function to ensure all data integrity of the backup process.

In the event the FreeFlow product experiences an internal hard disk failure, accidental file deletion, or other catastrophic events, a successful backup of data minimizes the amount of lost data and work. Using a successful and efficient backup strategy also reduces the amount of time required to restore the system to a fully operational state once the necessary hardware repairs have been made.

Customers should explore the use of external storage devices as part of an effective overall back up strategy.

FreeFlow Product Backup Specifics

With the hardware and software solution available, it is recommended that the customer perform a full backup at least once a week, or more often as their data integrity needs demand. The scheduling of incremental or differential backups may also be employed within the full backup cycle. The more critical the data stored on the FreeFlow product is, the more frequently the customer should back up the system.

Xerox recommends that you use multiple backup media sets for each device. Having multiple backup sets provides additional security in the event that one set is corrupted or damaged. You may also want keep an updated media set stored in a separate location and possibly in a fire/water proof safe to protect against fire and water damage.

Note: The customer must perform a full backup prior to any system upgrades.

Protecting Against Virus Attacks A virus is a software program that replicates itself, trying to infect as many files and computers as possible. A virus may spread through the sharing of files between computers, through e-mail, or through exposed network connections. Viruses may damage data, cause the computer to crash, display messages, impose performance implications, expose security holes, or lie dormant.

Xerox’s Role

Xerox takes special precautions to ensure the software is shipped free from computer virus contamination. Xerox Customer Support Engineers also take care when performing service on the equipment so software viruses are not introduced into the system.

Customer’s Role

We strongly recommend that customers invest in a virus detection software application to continue to protect their FreeFlow products from viruses. The customer is responsible to validate that the virus software does not interfere with the normal operation of the FreeFlow software product.

Open Printer Support Open Printing Overview

Open Printing allows the FreeFlow software to print to any network Postscript printer. Open Printing enablement is accomplished by selecting the Generic Postscript Printer option for the Production printer device.

Recommended Minimum Requirements

To use the Generic Postscript Printer type, the printer must meet the following minimal requirements:

• Raster Image Processor (RIP) is Postscript Level 2 compliant • The print device accepts print data via the LPR printing protocol • The RIP on the printer must be robust enough to handle print jobs that are typical from

the FreeFlow software. Typically these are comprised of a Postscript file with embedded TIFF or other images. Most production class devices will not see any issues with this type of data stream. Some smaller office or older networked laser printers may not be able to handle the print stream reliably

Limited Job Ticketing

The Generic Postscript Printer type only supports a limited set of job ticketing attributes: copy count, collate/uncollate, simplex/duplex, paper size, and portrait staple. The print device must be able to interpret the setpagedevice Postscript command in the Postscript data stream to understand these job ticketing attributes.

Limited Level of Support

The FreeFlow products have not been tested with every printer sold in the production environment. Validation for the FreeFlow software and every Generic Postscript Printer type cannot be accomplished. FreeFlow products will not provide any support for the Generic Postscript Printer type against any specific printer. FreeFlow products will provide the standard high level of support for common problems associated with the Generic Postscript Printer type.

4Customer Implementation and Training

Xerox offers comprehensive services including customer training, implementation and Document Type (template) customization, which are designed to address a variety of individual Customer requirements and experience levels.

Basic Training and User Configuration

Although FreeFlow Express to Print is designed to be customer-installable and easy to learn, there may be specific Customer needs for basic product training in order to establish system and printer configuration.

The Express to Print Basic Training and User Configuration service is designed to supplement the existing training aids and online help system in order to help.

Advanced Training and User Configuration

The FreeFlow Express to Print Advanced Training and User Configuration service goes beyond the basics to establish a comprehensive understanding of a Customer’s operations.

Beyond the ability to use basic print processes within Express to Print, advanced configurations for end-to-end operations can streamline the overall workflow for job submission. The establishment of ‘hot folders’ and printer queue attributes can greatly minimize – if not eliminate operator intervention for particular types of jobs. In addition, Document Type (template) customization can be utilized to create workflows that are unique to a Customer’s specific application types. The Xerox Support Analyst will consult with the Customer to define the best approaches for configuring workflows that meet their specific requirements.

5Customer Software Support

Depending upon how the product was purchased, FreeFlow Express to Print is fully maintained and supported through a Field Service Maintenance Agreement (FSMA) or Annual Support Fee (ASF). The agreement(s) covers software support for a given product or solution. As part of the FSMA or ASF, FreeFlow software and operational assistance is available through hotline support via the Xerox Customer Support Center (XCSC). This group works closely with various software development organizations to resolve software issues that inevitably arise with any software application. The process with which to address these problems is referred to as the Software Problem Action and Resolution (SPAR) process and enables a closed-loop communication between the customer and the development organizations.

PC platforms acquired through Xerox are not covered under the software FSMA and come with the standard PC vendor warranty.

Support is available via the Xerox support center Monday through Friday, 8:00 AM to 5:00 PM (local time). Xerox shall have no responsibility for identifying or correcting deficiencies in non-Xerox products connected to, or used with the FreeFlow software, or for otherwise providing service or support for such non-Xerox products.

7Hints & Tips

The Hints and Tips in this section have been written to support the launch of FreeFlow Express to Print. The information contained in this section is subject to change as new releases of software become available. Contact your Xerox representative for the latest Hints and Tips pertaining to your FreeFlow system.

Install / Uninstall • All templates; system default and custom templates, are stored in the

<Drive>\Xerox\FreeFlow\EZTemplates\ directory. During the uninstall process, the user will receive the following warning message: “Removing the software will delete all user Document Type (templates) and data stored in “D:\Xerox\FreeFlow.” To save Document Types, press No and backup all user Document Types before removing the software.” When restoring Document Types after a new installation of the software, users should ensure that they do not overwrite Document Types when prompted.

Working with Source Files • Source third-party program applications must be installed on the Express to Print

workstation if automatic conversion of the source files to PDF is desired. • Several minutes may be required to convert and render the images of certain files types, or

files that contain large number of pages. • When using the Automatic Image Enhancement (AIE) node options in the System

preferences menu, there are some JPEG images that when processed by the AIE will result in the image changing sizes. These JPEGs have an Exit markup format within them which the AIE node does not currently support. The markup is discarded when generating the output, causing JPEG readers to interrupt the resolution differently than the original image file.

• The Automatic Image Enhancement (AIE) options only support images that are 8 or 24 bits per pixel depth. The image must be converted to conform to this limitation prior to using the image in FreeFlow Express to Print.

• QuarkXPress Design (.QXD) and QuarkXPress Project (.QXP) files must be manually converted to PDF before they can be processed in Express to Print.

• Adobe CS3 components services Identity (tab) must be set to “Launching user” in order to have a transparent CS3 file format conversion.

• Microsoft Office suite (Word, Excel, PowerPoint, and Publisher) must be launched as XDL_ADMIN user only once, else Microsoft Office conversion will hang or time out.

Visual Page Programming • When programming both Covers and Sheet Inserts within a single job, program the Covers

first followed by the Tab, Sheet and/or Chapter Start inserts. • Special Page Attributes for Barcodes, Text and Image Watermarks, Bates Stamping and

Page Numbering are only available when a Document Template is selected. • Tab, Sheet and Chapter Start Inserts are prohibited when Signature or Imposition of any

form is selected. Covers programming is supported with Signature Book and Signature Calendar.

Hints & Tips FreeFlow® Express to Print

• Drag-and-Drop Stock attribute operations may be applied to individual pages or to sheets. A yellow selection box will designate the selected operation for pages. Dragging the Stock attribute to the gray box will apply the Stock attribute to both sides of a page (i.e. the Sheet).

• FreeFlow Express to Print may only assign printing attributes to pages of jobs displayed in the Document Directory. The application cannot change, edit or in any way modify the original content of the job and its pages.

• Odd size paper stocks will display as a generic icon in the various stock dialogs and menus and the icon will not display color attributes.

Finished Document Viewing • PDF jobs with color page content will display as color pages when a color printer is

selected, and grayscale when a monochrome printer is selected. Black and white and grayscale page content will always display in grayscale.

• Standard and Signature jobs using Head-to-Toe page alignment will display counterclockwise 90° in the Reader Spread View.

Working with Templates • Template creation and/or deletion operations should not be considered if multiple

instances of the Express application are executed. • A job with the same name cannot be added to the Express to Print Document directory

more than once. This will generate an error message to the user and the iterative file will not be added.

• It is expected behavior that the Express to Print application session must be ended and re-executed to comprehend changes to printer definitions made in Printer Administration.

• When using any of the Business Card Document Type (templates), there will be a difference between what is displayed in the View window and the printed output. The Business Card templates will cluster the cells on the N-Up page and center them on the sheet. The template will also add crop marks to the sheet based upon the PDF Trim Box. These parameters will appear in the printed output but will not be displayed in the View window. If the user does not want the cells clustered and centered, and crop marks added, they should begin with the “Blank” template; create a new custom template with the type of Custom-Up job they require, and save the template as a new Document Type.

Working with Files • The Save Associated Job Instructions command is not available from the System menu

The PDF will have the Signature, Imposition or Cover attributes applied to it, so when brought back into Express To Print the job ticket will cause the attribute to be applied again and thus it will not look correct.
