2. Introduction and accessing Translator Portal Translator Portal is a platform where freelancers can see available jobs, pick them up from Self-Service*

themselves and also manage the jobs that are assigned to them manually by an OPM.

You can access Translator Portal by opening URL below in Chrome and then logging in with your ATMS

credentials.

3. Downloading Style Guides UPDATED As a freelancer you are kindly expected to follow the style guide that apply to the job you claimed from

Self-Service. In the past we used to send the style guides to you manually by email, however with Self-

Service, it is freelancer’s responsibility to download the correct style guide.

Kindly follow the instructions below to find and download the correct style guides. Please note that the

style guide you need to follow will differ based the type of job you are claiming from Self-Service.

1. Open the job in the ATMS Web Editor.

2. In the ATMS Web Editor, click the References tab from the bottom of the window. Either you’ll

be able to (a)download the style guides in pdf or (b)open a link containing the style guides to be

downloaded.

The section “References” within the job ATMS web editor contains the indication to find the style guides

3. Download the style guides - Usually you will have one core style guide and a language appendix

but, you might sometimes have additional files too. These are the style guides to be followed to

completed the job you have claimed.

4. Job Offers/Claiming Jobs A job offer can be sent to you manually by an OPM (Manually assigned jobs), or Translator

Portal can automatically offer you jobs (Self-Service). They will both appear under the Job Offers page. You

can distinguish manual assignments by the label “Exclusive Offer” on them. A freelancer has 24 hours to

accept a manually assigned job (marked with Exclusive Offer), whereas they have 10 minutes to accept a job

offered by Self-Service. Self-Service offers are created only when you log in to Translator Portal and click on

Job Offers. Please see the image below.

Definitions:

Due Date – the date by which we expect the job to be delivered once you claim it

Media Type – the type of media that the content to translate is located on, such as product

description, software/user interface, etc.

Subject – the subject matter of the translation, such as finance, legal, general, etc.

Skill – the type of skill required for this job, such as Human Translation or Machine Translation Post-

Editing (Light MTPE), etc.

Scoping Report – this is the breakdown of the TM matches. You can see it by hovering over

the number under “Raw Wordcount” with your cursor. Please see picture above.

Resources – this is where you can go to for useful resources, guidelines, etc.

Exclusive Offer – An offer sent manually by an OPM. These offers usually have priority over

the jobs offered by Self-Service.

4.1 Manually assigned jobs Please use the following guidelines to accept jobs that an OPM assigns to you manually.

1. Enter Translator Portal using the following URL: https://portal.atms.a2z.com/

2. Log in with your ATMS/Translator Portal username and password

3. Go to Job Offers to see jobs that have been assigned to you

4. If new jobs have been assigned to you, you will find them here. Please note that you will no longer

receive automatic notifications from the Portal – your Outsourcing Partner Manager will send you the

regular assignment email whenever we have a manual assignment for you. This is a temporary

solution, subject to change.

5. Each offer includes three options:

• Preview – click to preview the job in Web Editor; opens in a separate tab

• Claim – click to claim (accept) the job; once claimed, the job will be moved from the

Job Offers page to the Current Jobs page

• Reject/Skip – click to reject an Exclusive offer, or click Skip in case of Self-Service offers

Note: Please note that manually assigned job offers that are not claimed within 24

hours will expire and you will no longer be able to claim them.

6. Whenever you click Claim or Reject, please remember to inform your OPM accordingly via

email. This applies only for manual assignments (Exclusive Offer). For the jobs without the Exclusive

Offer label, you don’t need to notify OPM whether or not you claimed them.

4.2 Self-Service Self-Service is a feature that automatically offers you jobs. When a freelancer logs in to Translator

Portal and clicks on Job Offers, Self-Service checks if there are any jobs available that match with the

freelancer’s skill set (subject, media type and skill). If there are jobs available for you, Self-Service will

offer five of them to you under Job Offers. You can claim a maximum of five jobs from Self-Service.

Basic principles of Self-Service

• When you claim a job from Self-Service, or complete a job that you have claimed from Self-Service

you do not need to notify your OPM via email. You need to notify them only if you received the

assignment via email (manual assignment).

• Self-Service offers five jobs at a time. You are free to claim the ones you want and skip the others.

Once you did so, click the “Skip All Offers” button at the bottom of the page to see more offers.

• Self-Service will show you new job offers only if the number of your on-going Self-Service jobs is less

than 5 and if there are jobs available.

• Self-Service will not offer you any jobs if you have 5 ongoing Self-Service jobs, but your OPM can still

manually assign you more jobs (Exclusive Offers).

• Once Self-Service creates an offer, you have 10 minutes to accept it. Otherwise, the offer will expire

and Self-Service will offer you the next available job if there are any.

• If you skip all jobs that Self-Service found for you, it will cycle back and start offering the same jobs

again.

• Please feel free to preview a job within the allocated 10 minutes. You can also close the browser and

come back within 10 minutes, and you would still be able to accept the job offer.

5. Current Jobs 1. All ongoing jobs that you have claimed appear under the Current Jobs page

2. To open a job, go to Current Jobs and click Open. The job will open in Web Editor

3. Note that completed jobs are removed from this page

Note: If a job you’ve already completed reappears in this page, it means there are

missing tags in one or more target segments. Please open the job in Web Editor, run the

QA checker to identify any tag issues and fix them.

6. Completing Jobs 1. When you are done with a job, go to the Current Jobs page and click Complete

2. If you are completing a job you claimed via Self-Service yourself, there is no need to

notify the OPM. If the job was assigned to you manually by an OPM, please notify them

via email

3. To set the job to completed, all segments in it must be confirmed. For exceptions, please

refer to the Web Editor Linguist Guide

4. Please remember to use the latest version of Chrome for both Translator Portal and Web

Editor

Note: We are still working on the Completed Jobs page, in which you will find the jobs

you completed and delivered to us. However, as the Completed Jobs page is not finished

yet, we highly recommend that you hold a record (by taking screenshots or making an

Excel list) of the jobs you picked up.

7. Perform Revision and Scoring Jobs on Translator Portal and ATMS NEW 1. Open the claimed file from Job Offers on TraPort.

2. For a full overview on how to review, score, and navigate this workflow step as a proofreader, please

view the training tutorial available here. You can also find the video inside the user interface by

clicking on the "?" icon (see screenshot below).

/!\ All linguists must view the full tutorial video before scoring in ATMS for the first time. /!\

3. Edit the target text to correct errors and record corresponding MQM error categories and severity levels

on a per segment basis in the scoring panel by clicking on "Add Error".

A dropdown menu with error categories will show and, if you hover your mouse over a specific category, you

will be able to see its definition and examples. You can add several errors to a single segment. You can also

add comments where appropriate by clicking on "Add Note" in the scoring panel. You will be able to choose a

severity level once you have selected a category level.

If you are not sure the error belongs to which category, move your cursor above the question mark besides

the error category for a definition.

4. Do not forget to confirm segments once you have proofread them, recorded error categories and severity levels. Unconfirmed segments will not be taken into account in the wordcount and the score will be impacted. 5. Once done, return to "Current Jobs" and click on "Complete". 6. Notify your PM by email including the job name.

8. Solving frequent errors when Completing Jobs You may encounter problems while trying to Completing a project. Sometimes you will see the error

message “JobAssuranceControlUnresolved:null”, simply not be able to change the project status as

Complete, or seeing the project back as Accepted after you have completed.

That issue may be caused by one or more of the errors below:

- False positive QA warnings not marked as “ignored” after the QA check

- Empty or not confirmed segments

- Tag-related errors (missing tags, misplaced tags or wrong tags)

8.1 False positive QA warnings not marked as “ignored” after the QA check

To ensure that there are no false positives QA warnings left in the file. Run a QA check (F9) and click on the

squared cell on the right side to mark them as Ignored. You can mark as ignore several warnings at the

same time with the Shift key.

After clicking all of them, you can tick the box “Hide Ignored”. If then the list of warnings is empty it means

you have successfully ignored all false positive QA warnings/errors.

8.2 Empty or not confirmed segments

Apply the below filters to look for empty segments and unconfirmed segments:

- Segment Status > Empty

- Segment Status > Not Confirmed

*You can leave target segments completely empty only if the source segment is also completely empty.

8.3 Tag-related errors (missing tags, misplaced tags or wrong tags)

IMPORTANT: When entering tags on the target segment in order to fix any of the errors explained below,

do NOT copy-paste the tag.

Please ALWAYS use the key F8 to make sure you enter the correct tag in the correct format.

- Wrong tag (the tag colour is orange, instead of blue):

- Missing tags:

Even if the segment does not need to be translated and only a “-“ should be entered in the target text, the

tags still need to be kept in the target segment.

- Misplaced tag:

In the example below the tag on the second segment should be [2] not [1].

In the example below the target should have a closing tag not an opening tag (pay special attention to

where the “pointy” part of the tag is facing to).

In the example below the target should not have an opening tag, but a plain tag as the source segment.

In the example below the tags in the target segment are pointing at the opposite direction than the

source tags.

9. Frequently Asked Questions: ➔ How will I know that Self-Service is enabled for me?

Your Outsourcing Partner Manager will inform you when Self Service is enabled for you.

Until then your OPM will keep sending manual assignments to you as usual. ➔ How often do I have to log into the Portal to check if there is any offer available for me?

This depends on your schedule and availability. We encourage you to have a look

whenever you are free to take new jobs and to try your own frequency and see what

works best for you.

➔ How many jobs will I be able to accept?

You can accept 5 Self-Service job at a time.

➔ When I am in the 10 minutes claim time, is another translator able to claim the same

job from me?

No, this 10 minutes claim time is the time when you are the only freelancer seeing the offer.

This is the time for you to consider the offer and claim it or skip it.
