GETTING READY

Are you ready for the summer? First, you need to read the information in this booklet. It will answer many of your questions about what to expect and how to prepare for a successful experience at Germantown Academy Summer Programs. We find that children (and parents!) who come prepared for camp on the first day feel less anxious about their new adventure. We suggest you use a highlighter to mark the areas of this book that are relevant for your family. If you have any questions, please don’t hesitate to call us at (267) 405-7321 or email your questions to [email protected].

Checklist for GETTING READY FOR CAMP:

If your child is taking any medication at camp, download and return the “Physician Medication

Form” found on the “Forms” page at www.gacamp.org.

Check over the “what to bring” list and make sure you have everything you need, including:

Water Bottle Sunscreen Backpack Comfortable, weather-appropriate clothes Special sports equipment, if applicable

Label your child’s belongings.

Review the drop off and pick up procedures for your child’s camp(s). Schedule a tour if de-

sired. See chart at the end of this packet for drop off and pick up location. Turn to the Table of Contents and read the sections of this booklet that pertain to your child’s spe-

cific program(s).

GENERAL INFORMATION

Emergencies How will I know if camp is unexpectedly closed for the day? In the event of an emergency camp closing, we will send an email to all camp families and post information on the GA Summer Programs website home page. If the closing occurs after camp is in session for the day, we will contact all camper families by telephone to make necessary dismissal arrangements. What if there is an emergency involving my child? We will use the emergency contact information you provided when you registered for camp to contact you. Please check your online account for accuracy and inform us of changes during the summer. Camp Rules Campers are expected to demonstrate respect and good behavior. Failure to follow the rules may result in dis-missal from camp without a refund. Please read and review the following rules with your child before camp starts! Listen to staff and follow directions. Respect others’ property—Stealing and vandalism are not allowed. Use polite language—Profanity is not allowed. Respect others’ space—Hitting and pushing are not allowed. Also, please be aware of the following campus policies: Smoking is not allowed anywhere on the Germantown Academy campus. Firearms are not allowed. The speed limit on campus is 5 miles per hour. Cell phone use while driving is not allowed on our campus. Visitors must check in at a Welcome Center or at the Summer Programs Office. Clothing Please check the page for your child’s program for specific clothing and equipment needed. Every camper should wear clothes that are comfortable and appropriate for their program, including shoes that are comfort-able and safe for walking. In most cases, flip-flops, sandals, and “crocs” are not recommended. Campers wearing this type of foot-wear are not allowed to participate in many of our outdoor activities. “Wheelies”, or shoes with wheels in the soles, are not allowed at camp. Electronic devices at camp We believe friendship and interactive activities are important components of the camp experience. Therefore, campers are discouraged from bringing cell phones, iPods, and electronic games to camp, unless the parent believes it is necessary for the time period after camp is over. Campers are expected to keep all electronic devices turned off until camp is dismissed. Our staff are not responsible in the event personal elec-tronic devices become lost or stolen at camp.

Lunch and Snacks Children expend a great deal of energy at camp, regardless of the program they are attending. Please be sure your child starts the day with a nutritious breakfast. Campers staying for a full day may bring their lunch, or you may order a sack lunch for your child by logging into your camper’s online account. Pizza is also available. Check with your child’s camp director for snack policies pertaining to his or her program. Most campers eat their lunch outside, picnic-style. Some combo campers eat lunch in the dining room at 12:00 during the transition between their morning and afternoon programs. Lunch time is always supervised. In order to assure that everyone stays hydrated and healthy, every camper should bring a labeled water bottle to camp every day. Water coolers are located throughout the campus. In the interest of conserving natural resources, we generally do not provide cups for water; campers are expected to use their water bottles. Lost and Found Please label your child’s belongings. When we find misplaced items, we return them to the rightful owner if they are labeled. Check with your child’s camp director as soon as you discover something missing. We will hold lost and found items at the Summer Programs office. After the close of camp every Friday, we donate the lost and found items to a worthy cause. Counselor Gratuities Our high school and college-age staff choose to work at summer programs for the joy of being with chil-dren and the love of sharing their skills with others. They perform this work because they enjoy the re-wards inherent with developing relationships and fostering growth in children. We welcome you to ex-press your appreciation for your child’s care givers by presenting them with gifts or monetary tips at the end of your child’s program. Communication Our #1 priority is assuring a safe and enriching experience for children. If you need to speak to someone regarding your child, kindly leave a message in the summer programs office and someone will return your call. Sending an email to your child’s camp director is also a good way to communicate. Please keep in mind that counselors and coaches who are responsible for the direct care of children generally do not have time to speak with parents during the camp day. However, we will be happy to arrange a conversation with the appropriate administrator or make a phone appointment for a more convenient time. To assure our email messages are delivered properly to your inbox (not bulk or junk folders), add [email protected] to your Address Book or Safe List.

What time is arrival? Staff will be ready to greet children 15 minutes prior to the scheduled start time for the camp, and continue to be available to greet children until 15 minutes past the scheduled start time. (From 8:45 a.m. until 9:15 a.m. for camps starting at 9:00 a.m.) What if I need to drop off my child early or pick up my child late? Extended hours occur from 7:00 a.m. until 8:45 a.m. and from 3:30 p.m. until 6:00 p.m. Advanced registra-tion is available and we also accept drop-ins for an additional fee. If you need to drop off your child more than 15 minutes before the start of a morning program or pick up your child more than 15 minutes late at the end of an afternoon program, you must enroll your child in Extended Hours that day. Extended Hours is lo-cated at the playground behind McLean Hall. Drop-off and Pick-up is from the McLean Hall parking lot. What if I need to drop off my child late? If you arrive at camp to drop off your child after 9:15 a.m. for a morning camp, or after 1:15 p.m. for the start of an afternoon program, then you must take your child to the Welcome Center for security and attendance purposes. The staff will take your child to his or her camp location. The Welcome Center is located in the bus lane. How do I know where to drop off and pick up my child? We have many simultaneous programs, and it’s important to drop off your child at the designated location. Please refer to the back of this booklet for program locations. A map of campus will be sent home with car tags in June. If you’ve never been to our campus before, our staff will be happy to give you a tour before your child’s first day. If your child is attending a different program in the afternoon, please be sure to take note of the pick-up location for the afternoon program. What if I have more than one child? It is in your children’s best interest for you to drop off each child at his or her camp location. If this is not fea-sible for you, please call the summer programs office, and we will make special accommodations for you to drop off your children in one location. What if I need to pick up my child early from camp? If on occasion you must pick up your child early, please send a note with your camper and call the Summer Programs office so we can arrange the early dismissal of your child from the welcome center. We politely ask that families, except for in an emergency, do not request an early pick up that is within a 15 minute win-dow of their scheduled dismissal time.

ARRIVAL AND DEPARTURE

What if my child will be absent or late?

Please call our Absent/Tardy Hotline at (267) 405-7521 before 9:30 a.m. if your child will be absent or more than 15 minutes late to camp in the morning. If you know your child will be absent at least one day in advance, please notify us by sending a note to the child’s camp director or an email to [email protected]. If your child typically arrives at camp in the afternoon, please call the Absent/Tardy Hotline before 1:30 p.m.

What happens on Rainy Days? If there is light rain, we often operate as usual, especially if the weather forecast is good. If there is heavy rain or other dangerous weather, we do not use the bus lane. RAINY DAY signs will be posted at the entrances of our campus, and we post an announcement of the home page when we are following rainy day procedures for camper arrival and departure. If you are unsure about where to go in the event of a rainy day please contract summer programs.

Remember: We often continue activities as scheduled if there is light rain and weather conditions that are not dangerous. Please be sure your child comes to camp dressed for the weather.

ARRIVAL AND DEPARTURE - RAINY DAYS

Car Tags

REMINDER! Car tags must be used by parents or anyone else who will be pick-ing your child up from camp each time you pick up a camper not matter what time of day. Hang the tag on the rear-view mirror of the vehicle used for picking up your child. It is essential for the safety of your child that we observe this procedure for pick-up. Anyone picking up a camper must display the car tag. No camper will be released without the tag. Additional car tags are available by calling the camp office.

Arts Center– BLUE

Parents should enter the campus from Morris Road using the Arts Center entrance and drive in the LEFT lane. Once you are on campus, follow signs on the two-lane one-way road to your campers individual camp. Pro-gram staff will be there both to greet and dismiss the children.

The Bus Lane-PURPLE

Parents should enter the campus from the Lafayette Connector at GA’s new entrance. Once you are on cam-pus, turn left following signs to the bus lane. Campers should exit and enter their cars using the sidewalk. Pro-gram staff will be there both to greet and dismiss the children. NOTE: In the event of a rainy day, Bus lane drop off and/or pick up is moved to the Field house!

McLean Hall– ORANGE

Parents should enter the campus from Morris Road using the Art Center entrance and drive in the LEFT lane. Once you are on campus, follow signs on the two– lane one-way road to your campers individual camp. Pro-gram staff will be there both to greet and dismiss the children.

Pick- up and Drop- off Procedures and Locations

It is very important to maintain the flow of traffic during arrival and dismissal. Please remain in the driver seat and allow our staff to assist your child out of/into your vehicle. If you plan to exit your vehicle, please park in a parking lot and walk to the program location. Please note: If your child attends a combination of programs throughout the day, your drop off loca-tion will be different from your morning pick up location. (For example, Academics in the morning and Day Camp in the afternoon)

Stadium– GREEN

Parents should enter the GA athletic fields from Morris Road at the Stadium parking lot. Please make sure to follow staff directions as you begin to cue the length of the parking lot. Program staff will be there both to greet and dismiss the children.

Field House-YELLOW

Parents should enter the campus from Morris Road using the Arts Center entrance and merge into the LEFT lane. Once you are on campus, follow signs on the two-lane one-way road to your campers individual camp. Program staff will be there both to greet and dismiss the children.

Patriot Village-RED

Parents should enter the campus from Morris Road using the Arts Center entrance and drive in the RIGHT lane.Once you are on campus, follow signs on the two– lane one-way road to your campers individual camp. Program staff will be there both to greet and dismiss the children.

Dear Parents: We are pleased that your child will be joining us at Germantown Academy to experience an Academic, En-richment or Technology course. We are certain that the weeks here will be both interesting and rewarding. Check the chart in at the end of this packet to see a list of classes and their related drop off areas. Camp employees are available for questions in all drop-off locations. If your child is also enrolled in Day Camp after Academics, Afternoon Art Quest, or a Sports Camp After Academics he/she will be met by a counselor at the appropriate time and escorted and driven to the appropriate camp, class or field. If your child is enrolled in Day Camp before an afternoon class, she/he will be escorted to class from Day Camp as well.

Campers enrolled in the courses to the right need to purchase the text required for the class. Campers should purchase texts prior to the first day of camp.

EXPLORER CAMP

Dear Explorer Camp Families, Thank you for choosing Germantown Academy’s Explorer Camp. At Explorer Camp, we will be going on field trips every day. On most days, campers should arrive at camp at 9:00 a.m. and we will typically return by 4:30 p.m. for pick-up. There are some days we need to depart before 9:00 a.m. and we will not be able to accommodate late arri-vals on those days, due to the distance and nature of the trip. Pick-up time can vary from the anticipated time due to traffic, speed of the river when applicable, and the time required for all campers to complete an activity. Should pick-up and drop-off times change, campers and their families will be notified. At the conclusion of each day’s activity, the director will pass a cell phone among the campers and ask that they contact their ride to alert them of the expected arrival time. (You are also welcome to send a cell phone with your child, but please be aware that campers are expected to leave their cell phones in the van during our activities. We cannot be responsible for lost, damaged or stolen cell phones.) On each day of camp please give your camper the phone number that you want used to contact you. In the event that you are unable to pick your child up at this time, Extended Hours is available and you can arrange to pick up your child there. Campers participating in Afternoon Explorer Camp will eat lunch together as a group and depart for a trip each af-ternoon. You should have received an Explorer Camp Welcome Letter and Packet of Waivers in the mail. Please sign and return all waivers to the Summer Programs Office before your child’s first week of camp. These waivers can also be found on the “Forms” section of our website. Campers will not be allowed to participate in certain activities without these completed release forms. It is our intention to stay with the schedule but in the event of inclement weather, we will shift activities to accommo-date the weather. While each day’s activities are different, there is some generic information that will help you to prepare for the activities. Each camper should have with them:

*Please see the website for the Explorer Camp weekly schedules. Closed Toed shoes with socks are required every day with the exception of trips to the beach and water parks. Campers should bring water shoes for rafting and tubing. Note: A cooler will be available to store lunches and drinks. If you have any questions, please do not hesitate to contact me. ART QUEST

Dear Parents, Thank you for enrolling your child in ART QUEST 2011! We are looking forward to a wonderful summer filled with lots of art and creative projects. We have a terrific staff of experienced and dedicated teachers and energetic assistants who are busy planning the curriculum and who are looking forward to working with your children. We have an excellent ratio of staff to students to insure that each child will be well supervised and will receive all the assistance and guidance that is needed. In addition to our classroom work with hands-on art, students will be working periodically on lessons that will enhance knowledge and appreciation of art through stories, discussion, games, and other activities. Reminder: All late arrivals and early dismissals must take place through the Welcome Center. Each morning we will have a supervised recess from 10:00AM to 10:30AM. During this time, children can use the playground area, play games, or sketch in the garden. We will provide a light snack. Chil-dren may also bring snacks from home if they prefer. At 10:30AM, the children will return to classrooms where they will continue working on their artwork until “cleanup” at 11:45 AM. Dismissal is at 12:00PM at which time the children who go home will be escorted back to the Field House for pickup. Students who will be joining Day Camp for the afternoon will be es-corted to the dining room for lunch and to the Grove to begin their afternoon activities. Those students who will be having lunch and staying for Art Quest Afternoon or another afternoon program will have a 45-minute supervised lunch period before we begin afternoon classes at 1:00PM. Afternoon art classes end at 4PM. Pick up will be at the Bus Lane. All materials for Art Quest classes are included in the price of tuition. Students will each get a sketchbook to use during free time and in their classes. On the final day of Art Quest, Friday July 29th, we will have a special reception and art exhibit of the work created by students who have attended our program during the summer of 2011. Parents and friends will be invited to come to this exhibit/reception. An invitation will be sent home. COUNSELOR-IN-TRAINING

Dear CITs and Parents, Summer is finally here and it’s time to begin our camp season! Welcome to the 2011 Counselor-in-Training program! You will have an exciting summer filled with a variety of learning experiences. You will be working with our Day Camp Staff and their younger campers to develop counselor skills and to gain a sense of responsibility. In addition to your hands-on training you will also take part in many team-building activities that will enhance your CIT experience. CITs should arrive promptly at 8:45AM each day and pick-up is at 4:00PM. All late arri-vals and early dismissals must take place at the Welcome Center. A note from a parent is required if:

Your child will be picked up early. Your child will be picked up by someone other than their regular ride home. Your child will be missing a day of camp

These rules are for your child’s safety, so we appreciate your cooperation with this procedure. Most of our day will be spent outdoors so please dress appropriately and remember sunscreen and water bottles. Bring a swim suit and your lunch daily, unless you have ordered lunch through Summer Program’s lunch service. CITs are required to wear the supplied CIT camp shirt at all times. By wearing your shirt, you will be identified as someone who can assist campers and visitors. The shirts and all other necessary CIT materials will be given to you.

MINI CAMP/ PRESCHOOL CAMP

Dear Parents and Campers, Welcome to GA Preschool Camp. We are very happy you will be joining us. We have an exciting and rewarding summer planned for your child. Our very talented teachers and counselors are ready to make your child’s summer experience fun and memorable. To help you get started on the right foot, we have included a list of items your child will need for the first day of camp. Sneakers or sandals with a back (NO flip flops) Water shoes for the pool 2 FULL changes of clothes Towel for quiet time Sunscreen A labeled water bottle 2 plastic grocery bags Label all clothing Lunch and Snack for the morning Please bring your child to camp every day wearing a bathing suit and a layer of sunscreen already applied. Your child should wear clothes over his or her swim suit. Please send in a bag with fresh underwear. The wet bathing suit will be put into the bag at the end of swim and sent home daily. Swim gear (goggles, swim shirt, etc.) may be brought to camp, but please label all items. Towel is provided in the pool. We will reapply the sunscreen throughout the day as needed. Here is a sample of our schedule for your reference:

Any changes from your child’s standard dismissal will require a note. Campers arriving late must be brought to the Welcome Center. We do have a refrigerator available to store your child’s lunch if you pack one. If you have purchased a lunch from the camp, it will be delivered to our area. Drop off and pick up occurs at the Bus Lane. If you have another camper in Day Camp or Sports Camps we would be happy to arrange an earlier pick up time for your convenience. We are looking forward to meeting you and your child at your car door every morning. You are also welcome to park your car and walk with your child to the Bus Lane. DAY CAMP

Dear Campers and Parents, Welcome to another exciting summer at Germantown Academy Day Camp! Our dedicated and caring staff is commit-ted to making sure your child has an enjoyable and safe summer of fun at GA Day Camp. Our staff will be ready to greet your child at the Stadium every morning beginning at 8:45 a.m. If your camper will be dropped off at a different location in the morning, to join us later at Day Camp, make sure he/she knows you will be at the Stadium at the end of the day. The counselors will explain the pick-up procedures to the campers, but it also helps for them to hear it from you. Important Information for safe arrival and departure:

When dropping off please stay in your car. Staff will assist your camper out of the car. Any morning you

would like to walk your camper to their counselors, please park in a parking lot.

When picking up your child in the afternoon, please stay in your car and our staff will bring your child to you. It is important that you do this for security and safety reasons. Again, if you want to speak to someone at the end of the day, please park in a parking lot and walk over.

All early pick-ups and late drop-offs take place through a Welcome Center. Please send a note with your child to inform the counselor of any change. Please call the summer programs office at 267.405.7321 for verification. We will escort your child to the Welcome Center.

If you do not purchase a lunch for your child, please be sure to pack your child’s lunch in a labeled plastic con-tainer or lunch kit. Please send a labeled water bottle to camp with your child. This will enable him or her to have continual access to a cold drink at any time during the day. No paper or plastic bags, please.

Please be sure that all clothing is labeled with your child’s name (and troop letter if known), especially swisuits, goggles, and water shoes.

Please have your child leave his/her cell phone at home, or turned off and in his or her backpack during the day. Also, please ask that your son or daughter to leave any other electronic devices at home, or in their bag for use after or before Day Camp. Day Camp is not an environment friendly to electronic devices and we do not want anyone to experience loss or damage to expensive electronic equipment. Our day is very busy, and we believe campers do not need these distractions to keep them happy.

When Day Camp is in session, (June 20-July 29), between the hours of 9 am-4 pm, the best way to contact us is by calling the Day Camp Office. This number will be available on our website prior to the start of camp. ( Note: for early dismissal please contact Summer Programs at 267.405.7321. For absences please call the Absentee Hotline at 267.405.521)

SCIENCE CAMP

Dear Science Camp Parent: Welcome to Science Camp! We are excited to have your child spend time with us this summer. Here is some infor-mation to get you started thinking about the program... Drop off and pick up is in Patriot Village. The sooner everyone arrives, the sooner we can begin experimenting, so we appreciate it when everyone arrives by 9:00 a.m. Staff will greet the campers and assist them as they exit the cars. The experimental activities take place in five laboratories located in Patriot Village. The students will be placed in age appropriate groups and escorted to the laboratories. Your child’s efforts produce a project daily. Most children look forward to bringing the projects home and sharing their scientific work with parents and siblings. For those children departing after Science Camp, the projects will be sent home following the activity. Please send a backpack daily if your child is staying for an afternoon program such as Day Camp, so we can send the projects home in his or her backpack. Occasionally the project is of a delicate or per-ishable nature and we may need to make arrangements for you to pick it up the following morning. In order to practice preserving the environment, we ask that you send a reusable water bottle to camp each day. The children will ex-plore the campus, and bring the water bottle along on their quest each day. Notes from the parent will be needed for the following reasons: · your child will be picked up early from Science Camp · your child will not go on to their scheduled Day Camp after Science Camp · your child will be picked up by a neighbor or the parent of another camper · your child will not be at camp The notes should be given to the teacher, whenever possible. He/she will coordinate the change. All late arrivals and early dismissals must take place through the Welcome Center. Late arrivals will be escorted to the appropri-ate lab. There may be times when the teachers will ask that certain easily acquired items be brought from home. Although some extra items will be available to use, we hope you will be able to accommodate our request. We will attempt to give you as much lead-time as possible. Dear Parents, It’s almost time for Belfry Theater Camp 2011. Aladdin is a family favorite. I hope you are looking forward to it as much as I am! Mainstage and Junior Theater Camp begin Monday, June 20. Please try to arrive on time so we can get your camper checked in and settled in with fellow campers. Scheduled programming starts every day at 9:00 a.m. Please arrive on time for your camper to put their things away, check-in and be ready to begin promptly at 9:00. This year there will be three performances of Aladdin They are Thursday, July 21st at 7:00 p.m. and Friday July 22nd at 10:00 a.m. and 7:00 p.m. Please mark your calendars for these important dates and remember to encourage all of our actors and actresses to get plenty of rest that week. Tickets may be purchased now online on the Belfry Theatre section of our Home Page at www.gacamp.org. They may also be purchased at the door. Keep an eye out for a letter from the costumers in the first few weeks of camp, asking our campers to bring in simple items from home to augment their costumes. Each day, we take a break for a snack. In preparing your child’s snack, please be mindful of the fact that there are often children present with serious peanut allergies. Please bring healthy snacks (fruit, vegetables, cold-cuts, etc). Campers who eat junk food for snack, often do not have the energy and concentration they need to keep up with our demanding schedule. Theater Camp is an active pursuit. Please make sure your camper wears clothes and shoes that enable them to dance and move comfortably. Sandals and flip-flops are great for the beach, but dangerous for dance. Your camper may not be allowed to participate in the day’s rehearsals if they are not wearing appropriate footwear. On a final note, we will be taking most of the first few days of the Mainstage camp to evaluate where best to use every-one’s talents. While some campers will be asked to formally ‘audition,’ many more will be placed through more casual workshop- type formats. Experience has shown that most children are more comfortable and perform better in these set-tings. Rest assured, every child is seen by our staff. This can be a stressful time for campers, and we do everything we can to make it easier. A trainer and nurse are on site during camp hours. The overall player-coach ratio is seven to one. Players should be dropped off at the Field House between 8:45 and 9:00 a.m., where coaches will greet them. Players will be picked up from the same location. TENNIS

Dear Parents and Campers, We are looking forward to having your child participate in our summer Tennis Camp at Germantown Academy. The following is some helpful information prior to your first day of camp. Drop-off and pick-up will be at the Field House. All late arrivals and early dismissals will take place through the Welcome Center. Bring the following with you to camp each day: Tennis racquet (we do not provide equipment) Sneakers Bathing suit, towels are provided Snack Sunscreen and hat Water If you do not choose to purchase lunch, please bring one in an insulated lunch bag or cooler Morning Program Campers: Your dismissal time is at 12:00 from the Stadium. The camp is designed for the beginner to intermediate player. Campers are grouped by age and abil-ity. An experienced counselor will oversee 6-10 players per court. The day is divided into two tennis sessions, one in the morning and one after lunch and free swim. Each session will be divided into tennis units of 15-30 minutes in length. Each unit is designed to teach a specific skill. There will be instruction for forehands, backhands, serves, volleys and specialty shots, (e.g. lobs and drop shots). Every Friday there is a small tournament (primarily for the intermediate level) as well as the tennis Olympics for everyone. In the event of rain, we will follow a modified schedule of activities indoors. Again, thank you for your interest in the Tennis Camp at Germantown Academy Summer Programs.
