Admin Training/Site Review: This meeting occurs after receipt of a completed getting started guide. We will set timelines and answer any questions.

All decision makers should attend to ensure site is ready for launch.

4-6 weeks prior to Platform Launch

Native App Review: Make sure you complete a review of the downloadable native applications for those packages including this option.

3-4 weeks prior to Platform Launch

Platform Launch: Platform launched to end users. 4 weeks prior to event.

Final Project Review: Reviewing statistics and sharing experiences. Within 4 weeks after the event.

Short name of the event for apps and website URLs; up to 11 characters.

Note: Clients often preface the name with “my” to personalize the site or app. For example, myAMM and myExpo. Please note, this name must be unique so you may want to provide a secondary choice.

You can control who sees information on your site.• Open: Anyone can sign up to use the platform.• Semi-Private: Anyone can see the home page and agenda, but they are unable to

Making ConnectionsItem Info Needed

You can help your users make the connections that are relevant to them through interest tags.

Interest tags apply to exhibitors, people, and sessions; they should not be specific to only one of these groups.

We suggest having 15 or less interest tags to encourage use by attendees.

If you ask for interest tag information during your registration process, consider prepopulating attendees with tags they selected during the registration process in the Zerista system.

MapsContract specific. Check with your Zerista contact.

There are 2 types of maps: Exhibition and Venue. Maps can be images (great for session-based events) or interactive images (awesome for large expo halls).

What Zerista needs:• Maps provided 2 weeks in advance before expected

availability.

Please do not send the map until the floor plan is final; all locations on the map are known. Assignment of locations can change after the map is provided.

• A clean PDF of each map.

Zerista uses the maps as they are provided. We do not remove or add objects to the maps. We suggest removing any unneeded information, such as locations of power outlets.

Invitations & RemindersYou invite attendees to use the Zerista platform through an invitation sent from the system.

We HIGHLY suggest using plain text emails to minimize spam filter issues.

After sending invitations to attendees, you can send reminders every 2 days. We will use the same text for the reminders as in the invitation.

PRO TIP: Our clients find integrating messages about the platform with their other marketing collateral increases the adoption and usage of the platform.

List data fields to populate in the Zerista platform via the API.

Basic Integrations contain the following:• Attendee integration: first name, last name, email, company, profile, and interest tags. • Session integrations: start date, start time, end date, end time , title, session description, and speaker (first name, last name,

email, bio). • Exhibitor integration: company name, exhibitor description, and exhibitor contact (first name, last name, email). • Mapping integration: Speak with your Zerista consultant for details.If you have other fields needed or integration needs, talk with your Zerista sales representative.

By default, users will be able to update all fields within the Zerista system, overriding data pulled in through an integration.

Getting Info on the Platform

For attendees:• The minimum information needed for each user is a first

name, last name, and email.• The unique identifier for users is their email; only one

user can be associated with an email in the Zerista system. Consider communicating and enforcing this rule during registration.

For exhibitors:• You can add exhibitor contacts to an exhibitor listing. To

include an exhibitor contact, first load the contact in the system then add them as a contact.

• Contacts can update exhibitor information, including logos. Consider uploading logos as a service for your premium sponsors.

There are multiple ways you can get information into the Zerista system. Your Zerista consultant will show you how to upload data into the system during admin training.

Broadcast MessagesAs a moderator, you can send additional emails, called broadcast messages, to attendees, exhibitors, and speakers. Please consider integrating these broadcast messages into your overall marketing plan.

You can use broadcast messages to thank sponsors, communicate changes in schedule, or to promote a specific session at your event. These emails can be text or html and can target attendees based on attendee type (attendee, speaker, exhibitor), interest tags, and account status.

Your Zerista Project Consultant will review how to send broadcast messages during your Admin training.
