Even though they may look the same, it is the

surface type that determines the overall longevity

of the whiteboard. To choose the right surface

Brainstorming Made EasierTips for More Effective Meetings

1. Write everything down Write everything down when brainstorming. It’s often best to use 2 tools, like a whiteboard and an

easel/fl ipchart, to help keep everything in sight. This way everyone can see what territory has already been covered and what topics you will cover. Not only that, seeing everything posted might trigger some fresh ideas!

2. Create questions to keep ideas fl owing Develop a list of questions that you can pose to provoke the team to think in new ways if things slow

down. A few examples: If we had an unlimited budget, what would we do fi rst? If you were one of our customers, what would your priority be? What is the best customer service experience you’ve ever had, and how can we match that?

3. Prepare your participants Try to invite a diverse group of people to get many perspectives (both males and females, both

managers and directors, both accountants and engineers). Send background reading to the group ahead so they’ll be prepared to think out loud.

4. Appoint multiple note takers Have at least two people writing on a whiteboard or easel, and two people writing everything down to

send out as notes later. That way, even the note takers can participate without slowing down to wait for someone to fi nish writing.

5. Moderate to keep things positive It doesn’t help the fl ow of the meeting for someone to shoot ideas down, even ideas that seem far out,

so keep the tone light. Create different areas of the whiteboard (you can even get a whiteboard with a pre-printed grid pattern), or use different easel fl ipchart pads/pages, for ideas that are defi nitely do-able, possible, and “we can always hope”.

1. Make sure you need to meet If the objective is a one-way communication, sending an email or memo is faster and more effi cient. Meetings

are only required for two-way information sharing or for sharing sensitive information. They are best when your group needs to brainstorm, problem solve, discuss, debate and align on action steps.

2. Have a defi ned agenda and objectives Unclear objectives and lack of focus often means the meeting will wander in as many directions as there are

participants. Send out your agenda and list of expected outcomes to the participants ahead of time so everyone comes prepared to discuss the topic at hand. Use your whiteboard or easel to keep the agenda in sight to help focus the conversation.

3. Choose attendees carefully At times, lengthy meeting attendee lists can’t be avoided. When inviting participants, ensure your focus is on

who needs to be part of the discussion and decision-making process, and not on avoiding excluding anyone. Instead, use the “optional” setting in your meeting scheduling software for those participants and let them choose if they wish to be part of the dialogue. Participants who are invited for their information only should be copied on the meeting notes when they are distributed after the meeting so they are aware of decisions and action steps.

4. Share information in advance A leading drawback of meetings is using time to share information from previous meetings or to review

information with the group. Provide any relevant background information to your participants prior to the meeting so everyone comes prepared with the same knowledge and ready to discuss new ideas or information.

5. Start and end on time (or sooner) Habitually starting and ending meetings late sets an expectation for social dialogue and diminishes focus on

what needs to be accomplished in the time allotted. Ensure all meeting tools and supplies are set up and easily accessible prior to the meeting time. Hosting prompt, productive meetings shows respect for your participants’ time and they are more likely to attend meetings if you make them as short as possible. Keep a clock visible close by to assist.

6. Keep the conversation focused Begin the meeting by reviewing the priorities and agenda. Using your whiteboard or easel to post your agenda

and refer back to it will help focus the conversation. Ask participants to cooperate by setting aside their phones and other work to help accomplish the meeting objectives as quickly as possible. If other important topics arise that threaten to sidetrack your priorities, use a “parking lot” to record those issues for a future discussion.

7. Summarize and assign action steps Use your meeting room tools to record key points and action steps along the way. Too often meetings are

unproductive because attendees leave with different understandings of what was discussed and agreed upon, leading to rehashing the conversation another day. Always end your meetings with a summary of what was discussed, assign action steps and responsibilities to gain alignment, and distribute notes within 1 day of holding the meeting.

8. Evaluate and improve Periodically evaluate the effectiveness of your meetings and make a plan for further improvements. Seek advice

from your participants to give you feedback for continual improvement.
