OUR EVENTFlorida Health Care Association hosts the premier conference for long term care professionals in the state. It has been determined that the 2020 Annual Conference & Tradeshow’s host hotel, The Diplomat Beach Resort in Hollywood, will not be able host FHCA’s Conference in September due to the coronavirus. As our attendees continue to serve on the frontline of the COVID-19 pandemic, our priority remains on keeping everyone safe while still providing vital information and education on emerging long term care topics and trends. As a result, FHCA has pivoted to a fully virtual conference. The FHCA 2020 Virtual Conference will provide both live and on-demand sessions featuring exceptional speakers as well as a platform for exhibitors to showcase their products and services for the long term care market.

WHO WE ARE

FHCA is a federation representing over 82% of the state’s 690 nursing centers. Our membership includes more than 1,000 individuals and nearly 600 long term care centers that provide skilled nursing, post-acute and sub-acute care, short-term rehabilitation, assisted living and other services to the frail elderly and individuals with disabilities in Florida. FHCA also has more than 400 associate members/companies that provide valuable products and services to long term care providers.

Typically this annual event brings together approximately 1,000 nursing center and assisted living professionals – purchasing decision-makers who include chief executives, owners, administrators, regional managers, clinical directors, directors of nursing, social workers, dietary managers, and other employees who provide quality long term care all across Florida. Since this is the first time FHCA has hosted a virtual only conference, we do not have historical attendance data. We are anticipating over 250 attendees with the similar job title breakdown that is seen at the in person conference.

RULES & POLICIES

PAYMENT, REFUND & CANCELLATION

The total amount for the virtual exhibit booth is due upon the reserving of space and signing of the contract. If an exhibitor finds it impossible to attend, and a letter (email is acceptable) is sent to the Show Management main contact (Jenny Early at [email protected]) to that effect by 5 p.m. July 31, 2020, the exhibitor will be charged an administrative fee of $200 and the balance of the virtual booth price will be refunded. No refunds for any portion of the booth fee will be made after July 31; exhibitors who purchase booths after July 31 are not entitled to any refund. *Please note, membership dues are nonrefundable.

All sponsorship fees can be refunded until July 31, 2020, without penalty unless any expenses have been incurred up to the effective date of the postponement or cancellation. The expenses will then be withheld from the refund including, without limitation, any marketing collateral that has been purchased as part of the sponsorship agreement. After July 31, 2020, all sponsorships are nonrefundable.

Members of the FHCA AMSC who have purchased a virtual booth for the 2020 Virtual Conference will be included in the Scavenger Hunt. The game will offer high point codes for attendee participation that will be counted towards the overall leaderboard. To be included in the Scavenger Hunt, virtual booth payment, Associate Member Dues, and AMSC dues must be received by Friday, July 31, 2020.

ATTORNEY’S FEES & COSTS

Should any litigation arise out of this contract, both parties agree to binding arbitration; the exhibitor shall pay all costs and reasonable attorney’s fees incurred by Show Management, and/or the sponsoring organization, and/or the co-sponsoring associations as the prevailing parties.

ELIGIBLE EXHIBITS & RESTRICTIONS

Show Management reserves the right to accept or reject without reason any Exhibit Contract received. Show Management also reserves the right to cancel this contract, whenever it discovers that exhibitor’s product is not as described in this contract or is incompatible with the purposes of the FHCA 2020 Virtual Conference. Contract for the virtual exhibit space may also be cancelled if Show Management deems the exhibitor’s demeanor inappropriate or disruptive.

Florida Health Care Association (Show Management) shall have sole authority to promulgate, interpret, and enforce all rules and regulations, and make any amendments to the regulations as shall be necessary for the orderly conduct of the Virtual Conference. All matters and questions not covered by these regulations are subject to the decision of Show Management.

EXHIBITING VITUALLY: HOW IT WORKS

Each exhibitor will be sent an invitation to set up their own virtual booth through the ‘Hootie’ exhibitor platform. The company description, main contact email, phone number and website will already be loaded with the information that was submitted on the Exhibitor Contract.

In the Exhibitor Platform, the exhibitor will be able to: • Upload company logo • Upload any social media channel links• Change main contact information

BEFORE CONFERENCE

INSTRUCTIONS

A step-by-step tutorial will be sent to help walk the exhibitors through the process of setting up their virtual booth. The exhibitors will also receive instructions and suggestion on maximizing attendee engagement.

STEPS TO TAKE TO MAXIMIZE ENGAGEMENT DURING CONFERENCE

DOOR PRIZES

A Google Doc will be available to submit door prize information. All submissions must be completed by July 24. A standard template box will be created on the exhibitor’s behalf with their door prize information as well as their door prize unique code. This graphic will then be preloaded into their digital booth prior to the event. Attendees will then be encouraged to visit the exhibitors during specific times throughout the week to retrieve and enter the door prize codes.

VIRTUAL SWAG BAGS

Each exhibitor will be able to create their own personal swag bag that may consist of discounts, Lunch & Learns, etc. that could entice attendees to interact further than the standard public booth code. There are plenty of paid services available on the market, but a free way to accomplish similar results is to create a Google Drive or Dropbox folder with documents and special offers. Remember, this is different from the door prize and cannot be individualized. Every attendee could potentially download these offers so this is not the place for gift cards as once a gift card code is redeemed, it is no longer valid.

VIDEOS, LIVE OFFICE HOURS, WEBINARS & MORE

Each exhibitor will have the ability to have videos, webinars, demos and resouce documents displayed on their virtual booth page.

A resource template will be available via Google Doc with instructions on uploading these assets. All customized asset forms must be submitted by July 24. After July 24, asset customizations cannot be added.

*This schedule is subject to change. FHCA reserves the right to amend the layout and schedule of the FHCA 2020 Virtual Conference.

Scheduled times with the exhibitors will be posted for the attendees. While we are encouraging traffic during these times, the exhibitors should be prepared for engagement outside of the scheduled windows since on-demand sessions will be available. Points can be redeemed at any time throughout the Virtual Conference unless it applies to a specific deadline that is established by the exhibitor or Show Management.

LEADERBOARD & POINTS

Attendees will be encouraged to visit all of the virtual exhibitor booths to retrieve codes that can be redeemed for points. These points will be cumulated on a leaderboard that will be open throughout the

week and will close on Thursday at 2:00 p.m. The top leaders will win different prizes varying from gift cards to large sums of cash!

Different levels of points will also be available. The first code that will be displayed on each exhibitor virtual booth will be the standard basic booth code. This code will award the attendees a small point value (10 points) for just visiting the virtual booth.

Higher point codes will be assigned to each virtual booth to be distributed at the exhibitor’s discretion. These codes are reserved for more meaningful interactions either cultivated through the attendee/exhibitor

chat feature, direct email exchange, product webinar attendance, product demonstration attendance, etc. The attendee will be sent the higher point code by the exhibitor when the action is completed or fulfilled.

DOOR PRIZES

A separate prize code will be posted with the door prize description. The attendees will have until the end of Thursday’s Break with Exhibitors to enter the exhibitor’s prize code. The exhibitor can then view their lead retrieval list that captured every attendee who entered the prize drawing code. The exhibitor will then select at random their winner from their prize drawing list. The exhibitors are encouraged to use a free randomizer website to select their winner to keep the process fair and allow an equal chance of winning for all who entered the exhibitor’s unique prize code. The exhibitor will then be responsible for communicating with the winner either through the platform’s chat feature or by direct email communication to arrange for delivery of the prize. FHCA will not be responsible for notification or distribution of any prizes. An exhibitor can select to give away multiple prizes per day. This must be communicated in the Door Prize Google Doc by the July 24 deadline so that multiple prize codes can be assigned. The door prize code will then be changed within the exhibitor’s virtual booth display at the end of each day to apply for the following day.

CHAT FEATURE

LEAD RETRIEVAL

Exhibitors will be able to chat with the attendees who have entered any of their exhibitor codes. Through the chat feature, exhibitors can engage in more meaningful conversations and reward those exchanges with the larger value point codes. Exhibitors can also communicate prize drawing winners through this feature as well.

On Hootie, the exhibitor platform, the exhibitor can view and export their lead lists that are generated from their exhibitor codes. The exhibitor is also able to record notes on specific attendees within the lead entry on the exhibitor platform. During the export of the lead list, the notes will be exported into the same .csv file within the attendee record. This will help streamline follow up interactions with the attendees on specific conversation topics that were discussed.
