General Event Information 1. FUNCTION ROOMS The Hilton Garden Inn Toronto Airport reserves the right to change allocated function space should the final number of guests exceed the maximum capacity of a room or not meet the minimum requirements for a room, an increased rental charge may apply. Function space is booked only for the time specified. Setup and dismantle times, if necessary, are not included and must be specified at the time of booking. Function room rental charges include setup. A labour charge will apply for setup changes required on site which differ from the banquet event order. 2. ASSIGNMENT/CONFIRMATION OF FUNCTION SPACE If for any reason the function space reserved is not available for your event, you agree that we may substitute space of appropriate size and comparable quality for your event. If you plan to print or publish the assigned space, please contact us first to confirm the room assignment. 3. SETUP CHARGES Should extensive meeting room setups or elaborate staging be required, there will be a setup charge to cover hotel costs and additional labour. If equipment is necessary that exceeds the hotel’s inventory, then you agree to pay for the cost of renting this additional equipment. 4. CONDUCT OF EVENT Group agrees to comply with all applicable federal and provincial laws including health and safety codes and federal anti-terrorism laws and regulations. Group agrees to cooperate with hotel and any relevant governmental authority to ensure compliance with such laws. You assume full responsibility for the conduct of all persons in attendance at your event and for any damage done to any part of our premises during the time of your event. 5. SIGNAGE & DECORATIONS Promotional materials, signage or decorations must be of a professional nature and Hilton Garden Inn Toronto Airport reserves the right to assess and grant any advertisements or promotional materials in connection with your function which specifically reference the Hilton Garden Inn name or logo. Promotional materials, signage, and decorations shall not be nailed or screwed to the walls, floors, or other parts of the building or furniture. The Hilton Garden Inn Toronto Airport reserves the right to charge the client for any damages or required cleaning caused accordingly.

General Event Information

6. DELIVERY & STORAGE Due to limited storage space, delivery of materials will be accepted no more than 5 days prior to the event date. The following information must be clearly marked on any materials: Name of department & hotel contact Name & address of sender Event name/convenor name Date of event Meeting room name Materials must be removed from the hotel on the final day of the event. The Hilton Garden Inn Toronto Airport will not be responsible for damage or loss of any items left on the premises prior to, during or following the event. 7. DAMAGE & LOSS The Hilton Garden Inn Toronto Airport shall not be responsible for the damage or loss of any personal property and equipment, displays, supplies, written materials, or other valuable items left in the banquet rooms or public areas prior to, during or following any event. For that reason, the client is responsible for security for such materials and assumes full responsibility for any damage or loss. The client is also accountable for any damages to the hotel premises by their guests, agents, or independent contractors acting on their behalf. The hotel will charge the client for all such damages caused to furniture, surfaces, and doors. 8. OVERTIME You agree to begin your event promptly at the scheduled start time and agree to have your guests, invitees and other persons vacated the designated event space at the end time indicated on the final Banquet Event Order (BEO). You further agree to reimburse us for any overtime wage payments or other expense incurred by us because of your failure to comply with these regulations.

General Event Information 9. AUXILIARY AIDS The hotel represents and you acknowledge that the hotel facilities being rented for you including guestrooms, common areas and transportation services will be in compliance with our public accommodation requirements under accessibility for Ontarians with disabilities act. You agree that you will furnish to us a list of any auxiliary aids needed by your attendees in meeting or function space at least 2 weeks prior to your event date. You agree to pay all charges associated with the provision of such aids by the hotel. 10. GUARANTEE OF ANTICIPATED REVENUE At least 5 business days before your event, you must inform us in writing, of the exact number of people who will attend your event. The arrangements set forth on your BEO will serve as the final arrangements for your event. The services, products, fees, etc., as noted will be provided at the time of your event and you will be charged based on the event guarantee that you give us or the number of people indicated at the time you signed the sales agreement or BEO whichever is greater. We will not undertake to serve more than 3% more than this guaranteed minimum. 11. DEPOSIT/PAYMENT A 25% deposit is required prior to your event date. In addition, a credit card must be provided to secure the banquet room. In order to setup direct billing, an application for credit must be completed and returned to the Hilton Garden Inn Toronto Airport for approval at least four weeks prior to your event date. 12. CANCELLATION If cancellation occurs within 30 days prior to the date of the official function, other than the reasons of fire, catastrophe or act of God, the party cancelling the function and catering requirements is liable for the sum of 50% of the dollar value. If cancellation occurs less than 30 days prior to the event date other than the reasons stated above, the party cancelling the function and catering is liable for 100% of the dollar value. All cancellations must be received in writing. 13. PRICE INCREASES There may be increases in prices due to unforeseen changes in market conditions at the time of your event. We will communicate these price increases to you in advance. We will require written confirmation that you agree to pay these increased prices. Alternatively, we, at our option, may in such event make reasonable substitutions in menus and you agree to accept such substitutions.

14. TAXES AND SERVICE CHARGES All prices are exclusive of applicable taxes, gratuities and service charges. 15. FOOD, BEVERAGE & ALCOHOL The Hilton Garden Inn Toronto Airport requests that banquet menus, meeting room arrangements and other details pertinent to your event be submitted to your catering & event sales manager no later than 7 business days prior to your event date. We are happy to custom design menu proposals for your group and assist in selecting the proper menu items and program arrangements to ensure a successful event. The Hilton Garden Inn Toronto Airport is pleased to offer alternative meals for those guests with special dietary requirements. Requests must be made at least 5 business days prior to the event date. In accordance with Ontario liquor laws, all alcoholic beverage sales will begin at 11:00am and conclude at 1:00am. Ontario liquor laws oblige that beverages are only to be dispensed by hotel employees or bartenders. All guests must be 19 years of age or older to be served and/or consume alcoholic beverages. The staff of the hotel also reserves the right to reject the service of alcoholic beverages to any person who appears to be intoxicated. Service of alcohol is not permitted after 1am. 16. OUTSIDE FOOD & BEVERAGE Due to hotel policy you may not bring in any outside food or beverage in any of our banquet rooms. All food and beverage must be solely provided by the Hilton Garden Inn Toronto Airport. Any excess food or beverage may not be removed from the hotel premises. A labour charge may apply for a bartender on a host bar. Please ask your catering & event sales manager for clarification. 17. AUDIO VISUAL All audio visual requirements must be submitted to the hotel no later than 7 business days prior to the first day of the event. Audio visual is based on availability and applicable charges will be posted to your final bill.
