• Request assistance from Grocery Department Manager for Signature SELECT Heat & Serve Nuts and refreshe ICE from back stock as you may use up to 10 packages of Signature SELECT Heat & Serve Nuts and up to 24 bottles of refreshe ICE and want to have ample on store shelf for sell through. SET UP: • Obtain ice from Meat/Deli department or via ROWSAP if needed. • Select ROWSAP items to start •Set up by an electrical outlet at or near the end of the aisle where the Signature SELECT Heat & Serve Nuts or refreshe ICE are located. • Place ice in your bowl to chill your refreshe ICE bottles and the remainder of the ice in the cooler. CREATE A DISPLAY: • Place table cloth on table and then your Table Runner. • Set your microwave up at the back of table with several packages of Signature SELECT Heat & Serve Nuts in front of that side of your table. You will be placing samples towards the front of the table. • Fold and display NUT Allergy Sign toward the side of the displayed Nut product. • On the other side of the table towards the middle, please display several bottles of refreshe ICE flavors from the store shelf. • Keep area neat, clean and make sure that trash never overflows.
EVENT INSTRUCTIONS
SAMPLE PREPARATION / EVENT TIPS
To SAMPLE: • Prepare Signature SELECT Heat & Serve Nuts according to the directions on the package. Be careful to follow directions to avoid scorching and burning. Be sure to allow bag to cool in microwave for 30 seconds before removing. CAUTION: Bag will be HOT! • Carefully open bag at top and pour into heat resistant bowl. Use spoon to serve approximately 4-5 nuts per soufflé cup. • Be sure to remind shoppers that samples are HOT. Alternate sampling the different flavors. • If you do not have a microwave, you may still serve the Signature SELECT Heat & Serve Nuts not heated, cold. • For refreshe ICE, pour 2 fz. chilled product into drinking cup. • Offer napkin as needed. WHEN YOU ARE UNABLE TO SAMPLE the Signature SELECT HEAT & SERVE NUTS or refreshe ICE due to NO Product, you will be serving the Lucerne Eggnog. Shake and pour 2 fz. in a drinking cup. Limit number of samples served if traffic is slow as product should be served chilled. Discard any warm samples.

PRIOR TO EVENT
Read and understand all the information in this packet.
Review your kit contents for accuracy.
Conduct your pre-call to the store 24 hours before your event and verify with the receiving clerk that the product would be available the day of the event. If you receive a negative response contact your supervisor to possibly reschedule the event.
If event requires a debit card / gift card purchase, please activate your debit card the day before your event.

EXECUTING THE EVENT
Check in with the retailer required manager (e.g. Customer Service Manager/Store or Department Manager) describing your event and ask to set up in a high traffic area near your product.
Verify there is adequate inventory of the product(s) involved in your project and, if applicable, report beginning inventory on your PromoReports Form.
Look for a secondary display of refreshe ICE, Signature SELECT Heat & Serve Nuts. If located, please set up your table near this display, with manager approval.
If Extension Cord is in the Customer Traffic area, tape cords to the floor to prevent tripping.
POST EVENT
Clean up, breakdown your table and leave your area as you found it.
Discard any manuals or POS material in a trash or recycling (if available and appropriate) receptacle and destroy any remaining coupons or leave with a Store Manager (pending the retailer requirements).
Do not leave the store with coupons or sample product. Store Management may check your cooler/box/cart before you leave the store.
Complete PromoReports Form and obtain a store stamp and a manager's signature.
Verify the ending inventory of the product(s) sampled and, if applicable, please report this number on your PromoReports Form.
Enter your event results once you have completed your event. Follow the instructions on your PromoReports Form for call in or on-line entry.
Keep your paperwork for 1 year after reporting your results. You will be keeping the following:
Original event PromoReports Form
Additional report forms (i.e. Learning Center Form, Client Reports Forms, etc.) if applicable to your program
Original time invoice (must have original signature)
Make copies of your receipt on an 8 1/2 by 11 piece of paper and submit the entire page with your paperwork. Retain the original for your records.

To: Safeway Store Managers From: Safeway Sampling Team Location: In-Store Sampling Date: January 9, 2014 SUBJECT: Consumer Brands Product Sampling Reimbursement When conducting any Safeway Consumer Brand programs, the stores will receive a credit for the product that is used during the sampling event. Promoworks demonstrators will use the product at the store level to support the demo at no cost. Promoworks will keep track of all products pulled off the shelf for the sampling event. The total number of units will be credited back to each store, based on the number of units taken from the shelves and the average cost of goods for that particular Division. This is calculated using the summary detail provided by Promoworks from their automated system. These units should also be verified by the store Manager or inventory personnel. Promoworks verifies the total amount of units used at each store before submitting a final report to the CB Finance Team at Safeway. CB Finance will then calculate the credit to each of the stores and send to NASC to book the entries. The credit will be booked 5-6 weeks after the sampling event. The “Consumer Brands Sampling” form also needs to be filled out in order to help validate the Promoworks amounts. Each demonstrator will have the form that needs to be filled out and signed by store personal and the demonstrator. The form has three copies, White = Store Copy, Yellow = Vendor Copy, Pink needs to be sent to CB Finance (address below). This form does not need to be sent to NASC, a form 120 does not need to be created. The stores can use the sampling form to match the sampled units up with the ROWSAP report. If there is any discrepancy please contact David Kinkead, Consumer Brands Finance, for resolution. Form 120’s do not need to be created, the credits will be calculated back stage.
ROWSAP: Credit for the product sampled at an in-store demo is calculated based upon the actual product usage for that particular item. The extended amount will be forwarded to accounting and appear on each of the store’s ROWSAP report. Product cost and retail information is obtained through the UPCfin system. Store manager/clerk must verify that the total number of units credited on the ROWSAP report reflect the total number of units used for sampling by using the CB sampling form. If there is a discrepancy please contact David Kinkead (see below) to be resolved.
