How to access email Instructions for students using school email

The following is a step by step guide for all staff and students on how to use email at Cardinal

Newman School. It will cover the following basics:

o Accessing school email outside of school

o Sending an email with attachment

o Receiving and opening an email

o Accessing email from a mobile/tablet

o E-mail etiquette

Accessing school email outside of school

1. On your computer, go onto the school website using the following address:

www.cncs.school

2. On the top right-hand corner of the website, click on EMAIL.

3. This will direct you to a sign in screen. You will need to enter your full email address.

This is your P number with the school’s domain of “@cardinalnewman.coventry.sch.uk at

the end e.g. if you P number is P9999

[email protected]

Click Next.

4. The next screen will prompt you for your password. This is your normal password

you use at school to log into the school network. Type this in and press Next.

5. You should now be presented with your email inbox.

Sending an email with an attachment

If you wish to send an email, then you need to do the following:

1. Click on the green box that says New message in the top left-hand corner

2. In the To box, start typing the teachers surname into the blank box. A drop down should

appear with suggestions, click on the teacher you wish to send an email to. If their name

does not appear in the dropdown, select Search Directory.

3. Once you have selected the teacher, write the subject of the email in the Add a subject

box e.g. Computer Science Binary Worksheet – Year 7

4. To attach a worksheet, document or homework file to the email, click on Attach at the

top next to the paperclip. Click browse this computer and locate where the file is saved.

5. Once you have selected the teachers name in the To field, added a subject name and

attached the work, you will need to write a short message to your teacher explaining that

you have attached the work ready for them to look at.

6. Press the green Send button to send the email.

Receiving and opening an email

When you are logged into your email, you should receive a notification that a new email has

arrived. Your inbox should indicate whether you have a new email. To open a new email:

1. Double click on the email to open it.

2. Click the reply button in the top left-hand corner to reply

3. If the email has an attachment, click on the attachment to download.

Accessing email from a mobile/tablet

If you wish to access email from either a mobile phone or tablet, you will need to download the

Microsoft Outlook app or you can open up email using the browser on your mobile/tablet

exactly the same way as above.

The app is available on both iOS and Android. The app icon looks like:

Email etiquette

When sending an email to a teacher, please ensure you do the following:

o Use formal salutation e.g. Dear Mr Timmins, Dear Ms Caherty, Dear Sir

o Ensure you include a subject line so the teacher knows what the email is about

o Only use your school email to email teachers, do not use a personal one

o Be clear, polite and succinct with your emails

o Sign off with a thank you and your name

o Don’t forget to add an attachment if you are referring to one
