Instructions Tab

1. If a down level version of the PCD is used by a supplier, it will not be accepted. Latest PCD version 4/15/16 Rev 001 is available for download from IBM website. : http://www.ibm.com/ibm/environment/products/ecpquest.shtml

2. Read and pay attention to special instructions (e.g. copy and paste, use of PCD for battery and multiple PN declarations) for each tab.3. Legal Notice is located at the lower portion of the Instructions tab.

Instructions Tab

1. All questions in the Instructions tab are required to be answered with a Yes or No.

2. When answering the Prohibited Substancesquestion refer to Table 1 of ES 46G3772 for the details of the restrictions for each substance category. If a prohibited substance is present, answer Yes using the dropdown list. Further guidance related to this question will be discussed later in a succeeding slide.

3. For RoHS Substance, Lead is declared separately from non-lead RoHS substances.

4. For the Battery section, you can only answer Yes to one of the questions. The part can either be a battery or an OEM/ODM assembly containing battery.

1. If you answer No to the Compliance with 46G3772 question, you need to notify your IBM Procurement representative and list the IBM ES 46G3772 section to which the product is non-compliant.

2. If you answered Yes to the Prohibited Substances question, you need to identify at least one prohibited substance and contact an IBM procurement representative.

When completing the questions on the Instruction tab, read the message(s) displayed in red font which identifies if further action is needed. The message will either be an error notification or an instruction requiring further action.

1. In this example, TDCPP CAS No. 13674-87-8 is used in the cable jacket of a cable assembly. The cable is not used with a mouse. 2. TDCPP is listed as a Prohibited Substances in the PCD. 3. Before selecting a response, a supplier should always consult Table 1 of IBM ES 46G3772 for the scope of the restriction. TDCPP or Tris (1,3-dichloro-2-propyl)

phosphate (CAS 13674-87-8) is prohibited above 0.1% by mass in any product component. Exempt from this requirement are cables (except cables for mice), adaptors and other similar connecting devices and storage media, such as compact discs, for interactive software, such as computer games. Since the cable in this example is exempted, the supplier should answer No to this question.

2. If you are an providing PCD for an ODM/OEM assembly for which you own the Bill of Materials, then 2nd item under Q6 Battery “Is this IBM PN an assembly that contains a battery(s), and Bill of Material is not owned by IBM?” should be answered with a Yes.

3. A single PCD can be completed for the OEM/ODM assembly PN. 4. Up to five batteries can be reported on the assembly battery tab.

• An IBM Part Number is used to identify a particular product design that is supplied to IBM and is used to reference the part being declared in the PCD.

• An IBM Part Number is consists of 7 to 12 alphanumeric characters. It can be written either in short form (without the leading zeroes) or in long form (with leading zeroes).

• The IBM Part Number(s) requiring PCD submission can be found on the PCD request email you will receive from WSP.

• A Supplier Part Number is a manufacturer designated part number used to identify the part being declared in the PCD in relation to an IBM part number. A supplier part number identifies the part that belongs to and is supplied by a given manufacturer.

• A Supplier Part Number can consists a maximum of 50 alphanumeric character. It should not contain any special characters ('<>\[]=@*?,\!&') and should only use English keyboard characters.

1. No more than 500 part numbers may be declared per PCD Form.2. The Part Number tab is used for declaring IBM part numbers and their corresponding supplier part numbers and part weights.3. Fill only one row for each IBM part number with corresponding supplier part number. If there is no supplier part number, use the IBM part number.4. For multiple IBM part numbers, fill in multiple rows and do not leave any blank rows. Fill rows sequentially.5. When pasting data, use the Values option of Paste Special and paste the data as text.

1. Always include the CAS Number of the substance to be reported.

2. If a substance is used in more than 10 locations, sum the weights in column D, and use columns C and E to provide individual CAS numbers and locations respectively.

3. Only enter a substance weight once to represent the declaration for a set of part numbers. All part numbers listed on the same PCD should have similar material declaration.

4. Do not use the symbols < > [ ] = @ * ? \ ! & : , "" ( ). For instance, use inches or in. instead of ' " '.

5. Lead usage inside lead acid batteries is exempt from RoHS restrictions. The lead usage must be reported in the PCD as a reportable substance and not as a RoHS substance. Lead usage on, or in, an assembly with a lead acid battery and outside of the battery is restricted by RoHS and must be reported as a RoHS substance with an allowable exemption.

1. Supplier should declare substance(s) when they occur above the reporting thresholds specified in Table 4 of IBM ES 46G3772.

2. The substances in this tab are color coded. If the substance is green, the reporting threshold is at homogenous material weight and not the part/product level.

3. Make sure that each substances is declared in the correct category. Some substances have a specific category where they should be declared (e.g. Antimony Trioxide should not be reported under Antimony/Antimony Compounds)

Summary and Key Takeaways

61

Complete a PCD using the current PCD form version. You can always find the current version of the PCD form at http://www.ibm.com/ibm/environment/products/ecpquest.shtml

Always refer to IBM Engineering Specification 463772 in completing the PCD form. It can be downloaded from: Baseline Environmental Requirements for Supplier Deliverables to IBM (E.S. 46G3772).

The PCD is an MS Excel-based sourcing template with 16 tabs. As a best practice, start with the Instructions tab and work your way through the required tabs based on the guidance provided in the Instructions tab. All 10 questions must be answered on the Instructions tab.

Read the Instructions on each tab when completing the PCD.

Data Summary is the last tab in the PCD. It summarizes all contents from earlier tabs. Suppliers are encouraged to check this tab after completing all information. It will any display error message(s) found in the PCD. Make sure that all errors have been corrected before submitting the PCD.

The battery tab in the PCD must be completed if the battery has an IBM PN. When reporting battery data, only one IBM PN can be reported on the Part Numbers tab of the PCD.

Supplier Questions tab is intended for any comments or clarifications that suppliers want to share with IBM regarding responses to the PCD. Images can be inserted here provided that the PCD file size will not exceed 5MB.

For PCD related questions, contact WSP via LiveHelp Support which is available from the IBM - PCD Supplier Help Portal. The site contains recordings of previous trainings, Calendar or events, FAQs, Useful links and Desktop Support.
