IMG Associations’ organizational structure is unique among association management companies. As the
organization chart below illustrates, each of our full-service association partners benefits from the
dedicated attention of the executive director and, in most cases, a dedicated core staff. We do not share
executive directors and core staff among association clients.
Staffing is customized around the client’s needs and budgets, which results in cost efficiencies and
superior service levels. The number of core staff varies depending on each client’s project plan, but the
core staff positions generally consist of executive director and assistant executive director, event
professionals, sales staff, marketing/communications professionals and similar positions.
Essential service professionals support the core staff in a shared-service capacity. Shared functions
include financial management, technology, member service and data management, event management,
production and sales support, and research.
Internal committees, such as the Client Success Team and client On-boarding Team, are charged with
ensuring smooth transitions and client satisfaction, as well as creating new innovations for our clients’
benefit.

You’ve already read about our unique service model and menu of capabilities we’d also like you to
know that IMG is a specialist in transitioning new clients in a smooth, stress-free way that is invisible to
association members. IMG has the expertise, infrastructure, and processes to be ready on day one for our
association clients.
Among our first steps is to create a detailed, customized transition plan, which
will detail specific development points, due dates and assignments. To create
your plan, we bring together our Onboarding Team, comprised of a subject
matter expert from each functional area technology, events, member
services, sales, operations, etc. plus your project manager and client
success representative, who remains part of the process from start to finish.
IMG Associations does not charge a new-client fee or transition fees.
Management fees begin on the date indicated in the jointly agreed-to management agreement. If there
are concerns about transition expenses from your current structure, IMG will work with you to develop a
plan to minimize overlapping expenses.

At IMG Associations, we ensure that our management fees, like our services and staffing, position our
association partners for success. For this reason, we work with our clients to develop performance–
based compensation in our management agreements. Together, we identify
areas where IMG’s capabilities could bring powerful change to the organization
such as through membership growth, conference attendance or member
satisfaction and then create metrics and compensation plans around
achieving your key goals. Your success is our success, and vice versa. That’s
what makes the relationship a true partnership.
IMG Associations charges for services through an annual management fee, paid
on a monthly basis. We base our fee quotes on the resources anticipated to fulfill
your customized service and staffing plan. The management fee covers all staff
salaries and benefits as well as overhead expenses (rent, computer equipment,
office furniture, utilities, etc.) and the software and technology needed. Fees are
disclosed from the onset and spelled out in a written management agreement.
We do not charge by the hour or have any undisclosed fees or commissions. IMG
Associations only employs the best people with the best work ethic, and we
encourage our staff members to invest all the hours needed to get the job done right.
Our method compares very favorably cost-wise for our clients and creates a service-
oriented culture.

and conference room space on three floors. We provide toll-free telephone lines, fax lines and
customized email and voicemail dedicated to each association. IMG’s conference rooms can
accommodate meetings as large as 15 people and available for our association clients’ use at no cost.
Our Lexington facility has onsite storage space for records and collateral materials and offsite
storage for volume and long-term storage needs.
