Attend United Way Employee Campaign Leader Training.

One-on-one presentations can be very effective in encouraging people to participate in the campaign. These presentations should be conversational, with no pressure. Peer to peer presentations work best, so ask steering committee members and/or team leaders to make presentations, as well. Make copies of this sheet for team members to help them prepare for their one-on-one presentations. 1. Plan

Make your own donation before asking others to give.

Schedule 5 to 10 minute appointments.

When scheduling meetings, explain the purpose of the meeting and how long you expect it to take.

Schedule meetings in person or on the phone. Confirm by e-mail.

Meet first with employees you know well. Promote the campaign before you meet with employees. 2. Organize

Personalize the pledge form and don’t forget to bring extra pens to the meeting.

Bring the United Way brochure and pledge form.

Prepare your presentation, but keep notes to a minimum. Do not read a statement to the employee. Refer to notes only to keep you on track; speak personally to the employee and use a lot of eye contact. Plan for no more than 2-3 minutes for your presentation. Use the remaining time to discuss concerns and answer questions. 3. Meet

Review the purpose of the meeting.

Explain the purpose of the employee campaign and the role it plays in supporting United Way.

Describe what United Way does and how it impacts the community.

Tell the story – describe your personal experiences observing the impact of United Way and its Community Partners (tours or fairs, volunteering, people you know who have been helped).

Mention the four impact areas; Education, Income, Health and Basic Needs to the person you’re meeting with. The point you’re making by explaining the needs is the necessity for continued support. Ask questions and listen for clues that tell you about the interests, activities and motivators of the employee you are meeting with. Find ways to tie giving to things that motivate the employee.

Note: Do not utilize questions or wording that could imply judgment. For example, to probe for areas of interest in community service, ask which community needs are of most concern to the employee, not whether he or she currently gives or volunteers to any charities. Remember that the decision to give is highly personal.

Watch for signals that the employee is connecting with the message. Signals can include frequent

nodding, smiling, becoming enthusiastic, interjecting personal stories, offering to help or providing suggestions for the campaign. Be flexible in your presentation so that you can move in a direction

that the employee responds to whenever you see these signals.

Ask for the pledge. Here are some ways:

“If you contributed last year, please consider increasing your pledge.” “If you haven’t participated in a workplace campaign before, please consider doing so

this year.” “Remember that payroll deduction makes giving convenient, and also allows you to

spread your giving over the course of a year.”

4. Follow Up

Thank the employee for his or her time. Encourage the employee to fill out the pledge card during the meeting. If the employee chooses not to fill out the pledge card during the meeting, but indicates a willingness to

contribute, set up a time when you can pick up the pledge card, and confirm with an e-mail when you return to your desk.

THE RETURN ON YOUR INVESTMENT (listed on back of pledge form) When you give to United Way of Brazoria County, we are able to multiply the value of your gift to our com-munity by leveraging additional funding from local community partners and national funding sources. Your gift, partnered with others, makes a tremendous impact in our community. Some examples of this are:

$2 per week provides the training materials needed to help a person with disabilities get the skills needed to become employed;

$5 per week provides a screening mammogram for an uninsured, low-income woman; $10 per week provides 24 hourly sessions of therapy for a victim of child abuse; $20 per week provides 72 hours of case management for clients ready for life-change; $50 per week provides one-on-one services for 438 students in academics through goal setting,

tutoring and mentoring.

Giving is a personal matter involving a decision by the individual to give or not to give. Likewise, the amount of the gift is a personal decision. All campaign volunteers have a responsibility to tell those who ask the reason they are being requested to give—to assure that services are available to those who need help—and to ask for contributions in support of those services. The most responsive contributions are those who have the opportunity to become informed and involved. Well-planned campaigns with effective communication programs will result in responsive contributions. In support of voluntary giving, organizational goals should not be based on 100% participation. When asked why people do not donate to United Way, 70% say they were never asked. Make personal contact. People give to people. Set up a face to face meeting to ask for a pledge. Don’t leave pledge forms on desks. When you start, call the people you know best. This will build your pattern of success.

No matter how hard you try, you may not be able to reach everyone with group meetings or large-scale events. Keep in mind that some employees get sick at the last minute, some eat lunch at their desk and others work flexible schedules. Seek out those last minute pledge cards with a personal solicitation:

Post “wanted” posters offering a small reward for a completed pledge card. Have a mobile “bake sale” by filling a cart with baked goods and juices and exchanging a

snack for a completed pledge form. Host a continental breakfast or offer a free snack at break time for anyone who hasn’t

turned in their pledge form. Consider incorporating an email element to campaign events that ask employees to guess

about photos (Who’s Baby Picture is This?) to allow those who work from home an op-portunity to be asked to participate.

Although this activity is designed to attract last-minute contributions and provide an incentive for employees to complete a pledge form before the end of your campaign, remember to have fun with it. Plan such an event with your campaign’s theme in mind. If your campaign is to be held over a holiday, save an exciting activity for your campaign’s final days (Costume contest, gift wrap-ping marathon, pumpkin throwing contest, etc.).

Education– Everyone wins when our children and youth achieve their full potential. Education is essential to getting and keeping a job with a livable wage and wealth benefits. One example where United Way is making a difference in education is our volunteer reader, tutor, mentor initiative. Volunteer readers can help ensure children can read well by 4th grade, when they will start using their reading skills to learn. Volunteer Tutors can help prepare high school students for college work. We are seeking people just like you to join us to help school children succeed in school. Anyone with passion and commitment can help a young person achieve greater academic success. An income adequate to pay for today’s necessities and save for the future provides families a sense of financial stability. An example of a key focus area is a partnership United Way has with local financial institutions, business, government agencies and community partners. These partnerships all our community to provide free tax preparation services for low income people and as well as free financial stability classes. These classes educate individuals and provide them with tools needed to make financially responsible decisions with their income.

Health– Everyone wins when people make healthy choices. Access to counseling and social services keep children on track and adults healthyand engaged. United Way supports mental health counseling for youth & adults. United Way also helps low income seniors have a healthy meal and companionship and individuals get their lives back on track after alcohol and drug treatment. Through a partnership with FamilyWize Prescription Discount Program, Brazoria County residents have had 40,031 claims totaling over $631,249 saved on prescription costs. How do I know United Way is efficient with my donation? United Way of Brazoria County exceeds the highest standards of nonprofit excellence of watchdog organizations such as the Better Business Bureau’s Wise Giving Alliance and Charity Navigator, which has given United Way its highest rating-Four Stars! United Way’s operating costs of 15% support fundraising, management, our work in the community and general expenses How can I give to United Way? Payroll deduction is our most popular form of payment. It’s efficient: lower fundraising costs means more money is invested in our community. It’s convenient: you decide what to contribute and it comes right out of your paycheck a little at a time. It’s secure and confidential: your payroll deduction is handled by your employer and automatically ends should you leave your job for any reason. Contributors may write a check, give cash, or use a credit card with no additional charge to make their gift to United Way. Donations of securities, property or other gifts are also accepted. Online donations are available at uwbc.org. What kind of tax documents for my charitable contribution will I receive from United Way? For payroll deduction gifts, retain your pay stub, W-2, or other document furnished by employer that indicates the amount withheld during the tax year for payment to United Way of Brazoria County. A copy of contributor’s pledge form for also serves as documentation. How can I get involved with United Way as a volunteer? United Way connects people to a variety of community volunteer opportunities. An online database is available at uwbc.volunteermatch.org - just click on Volunteer. This will give you access to a current list of volunteer opportunities available in our community. United Way also engages volunteers in support of its various activities– including assisting with our campaign, tax preparation, financial stability classes, community impact committee who decide funding for parnters and various board committees. We also organize group volunteer projects for your business or organization. Simply call Haley Follett, Community Outreach Manager at United Way at 979-849-9402. Where do people turn for assistance if they have a personal or family problem? For people who need help but don’t where to turn, a simple call to United Way of Brazoria County office at 979-849-9402 or 800-971-6677 during normal office hours. For after hour’s calls, you can call 2-1-1 to get connected and get assistance. All calls to 2-1-1 are confidential. Trained, local specialists are available to help you find a number of services.

Who decides how the money is distributed? It could be one of your business colleagues, friends, peers or neighbors. Yes, each year local Brazoria County citizens become Community Impact Committee volunteers who make the difficult and thoughtful decisions about distributing the funds you contribute. How? The volunteers are trained to assess budgets, audits and other financial reports. The volunteers are divided into panels that have varied backgrounds and skills. The volunteer panels review applications and hear presentations from the organizations. The panels review budget requests and provide funding recommendations for each program. The Community Impact Committee adjusts funding recommendations as necessary. Which

is determined by the campaign’s final results. The funding recommendation is approved by the Board of Directors and distributed to the

community partners to provide services to those in need. What is the result? Fairness—through a broad cross section of volunteers—middle managers, laborers,

independent business owners, retirees, etc. Assurance—to you, the contributor, that your gift is being used to provide the most effective

and needed services. Unsurpassed Accountability—United way requires budget reviews, annual audited financial

statements, bi-annual financial and beneficiary reports.

The Big Shot As a variation on the standard thermometer graph to monitor campaign progress, use a hypodermic needle design. Great for hospital themes.

Raiders of the Lost Heart Using a heart thermometer, each department represents a piece of the heart. You have met your goal when the entire heart is filled in.

United Way Cookie Caper Each pledge form is passed out with a cookie and the slogan “United Way Cookie Caper—Help Us Bring in the Dough”

Hawaiian Theme Each person turning in a pledge form gets a plastic lei. At the end of the campaign, have a Hawaiian potluck where employees wear their leis and dress in Hawaiian shirts. Have a limbo contest. Use a palm tree as your thermometer.

1960’s Theme Dress up in 60’s garb. Sell headbands, smiley face pins, tie-dyed shirts.

Holidays Tying your campaign to a holiday (i.e. Labor Day, Halloween, etc) is an easy way to make United Way relevant to employees. Get them involved in a project such as a pumpkin carving contest or hold a Halloween costume contest. For Labor Day serve a picnic style lunch and charge admission.

Mardi Gras Everyone loves a party, so why not model your campaign after the biggest party in the world—Mardi Gras. Invite a jazz band to play at your kickoff event. Hold a parade, float contest or sell bead-o-grams (beads with thoughtful messages attached). Host a Cajun potluck.
