INDUCTION DAYS

Your child is invited to spend two days at Collingwood where he/she will participate in a number of curricular activities. We hope that this introduction to Collingwood will help ease the transition process.

Please bring children to the Main Reception, Kingston Road by 8.45 am but no earlier than 8.30 am.

UNDER NO CIRCUMSTANCES CAN CHILDREN BE DROPPED OFF EARLIER THAN 8.30 AM.

Car parking is available on the campus and will be signposted.

For health and safety reasons please do not drive vehicles into the main College entrance to

drop off/pick up children.

If you choose to park outside the College grounds, please do so considerately.

At the end of the day children will congregate in Kingston Theatre. If you are collecting your child, please leave your car either in the car parking space available on the campus or outside the College grounds and make your way to the grass area in front of the Kingston Building reception area where you can wait until your child is ready to be dismissed. IMPORTANT If you are intending for your child to return home unaccompanied at the end of each day he/she will need A LETTER SIGNED BY YOU GIVING PERMISSION. This should be handed to a member of staff in Kingston Reception at the beginning of the day. In a small number of cases arrangements will be made by individual primary schools for the transport of the children to and from Collingwood for both induction days. During the two days, we intend to provide an introduction to most aspects of College life. A timetable is outlined on Page 5. Lessons will cover various subjects, for example, English, Mathematics, Science, Geography, History, Languages, Art and Music. We will also be working with the local police on a Citizenship project which will involve short workshops on road safety, internet safety and bullying. All children will also have their photographs taken to enable the College to produce their Photo ID cards (see Page 11) ready for the start of September. They will also complete a short computer based assessment, but this is not one they can prepare for or should worry about. This will aid our progress monitoring capacity during their time here. Children should wear their primary school’s full uniform and bring:

Lunch

Lunch will be available for the children on both days. They will be accompanied to the food outlets by

their Form Tutors and shown how to use the system. Menus and prices are given on Page 6.

We ask that you encourage your child to experience the food on offer at the College. However, if you

wish your child to bring a packed lunch he/she can eat this with the children who buy a meal.

If your son/daughter is entitled to a free school meal he/she will be provided with a free meal slip each

day, by their Form Tutor, which should be handed into the catering staff at the till.

IMPORTANT We prefer that all students stay on site for lunch on these two days. If it is essential that your child goes home for lunch, we will need a letter signed by you giving permission. This should be handed to a member of staff in Kingston reception at the beginning of the day. Medication If your child has medication, this should be deposited with a member of staff at Kingston reception for safe keeping. It should be clearly marked with your child’s name and directions for use. If he/she needs their medication at any time, they should go to Kingston reception. Please ensure that all medication is collected at the end of the second day. MEETING FOR PARENTS As detailed in the Co-Principal’s letter, a meeting for parents only will be held on Wednesday 2 July at 7 pm in Kingston Theatre. We hope that you will be able to attend. During the evening, there will be a slideshow showing some of the amazing work they will have completed during their two days at Collingwood. If you have any objections to your son/daughter being photographed or videoed, please inform us prior to the induction days.

Collingwood can be reached by car via Caesar’s Camp Road which leaves the A30 about ¼ mile on the Camberley side of the American Golf Shop roundabout. At the end of Caesar’s Camp Road follow the one-way system to the right into Kingston Road. The Upper College (Kingston Road Building) is on the right hand side of the road.

Collingwood operates Cashless Catering. As a result students use their ID Cards to pay for their lunch. The cards are ‘topped-up’ via ParentPay (see section on ParentPay) or by the Self-service Account Loaders. An Account Loader is located in each main building.

For students in receipt of Free School Meals, their ID cards are automatically credited with their daily allowance by the College’s Caterers. If they wish, they can also top up their ID cards with money to enable them to purchase additional items. When a student ‘pays’ for their lunch, the card is swiped at the till and the cost is then debited from their balance. The cashless system ensures that EVERY student uses their ID card to purchase lunch and therefore those students receiving Free School Meals remain anonymous. Picture identification is displayed on the till when a card is swiped so that the catering staff can see that the cards are being used by the correct person. Students must not lend their cards to anyone.

To ‘top up’ by cash:

The student swipes his/her card on the Account Loader

The unit displays the student’s name and current balance

The student inserts their money into the Account Loader which automatically credits it

to the student’s account

The student swipes the card again to clear the Account Loader

To ‘top up’ by ParentPay:

Log into ParentPay using your Username and Password

Go to the ‘My Payment Items’ tab across the top of the page

Find the item ‘Dinner Money’ and insert the amount of money you wish to top up with

in the box provided

Click continue at the bottom of the page

Check the amount is correct and then continue to the payment page to insert Credit Card details

ELECTRONIC COMMUNICATION

Collingwood is paperless which means that ALL communication is sent to parents electronically. Every Wednesday during term time, you will receive an email that will contain, as pdf attachments, any relevant letters issued for your child’s Year Group. The email will also contain other important information and a link to the College’s weekly e-Newsletter. These letters and the newsletter are also uploaded onto the Parent Portal enabling you to access them at all times.

It is therefore important to ensure that we always have your correct email address. You can check this and all your contact details on the Parent Portal. Instructions on how to do this will be included in the Parent Portal User Guide, which will be issued to you with your password.

Please note that the log on and password for the Parent Portal is not the same as that for ParentPay.

LOCKERS

There are a limited number of lockers available to students in Year 7. These are sufficient for books, packed lunches, small bags etc. Each has its own key. There is a non-refundable rental charge of £5 per annum, payable in advance, together with a £20 deposit which will be refunded at the end of the academic year when the key is returned. A charge of £5 will be made for each lost key. Keys will be issued during the first week of the new academic year by administration staff in Barossa office. Keys must be returned at the end of Year 7 when the deposit will be refunded. Keys can be ordered through the Uniform Shop and paid for on ParentPay.

The system is regularly monitored and ensures that all communications received are responded to in a timely manner. It also enables us to analyse the feedback, which we receive from parents, which in turn allows us to improve the service we provide.

This is another important reason to sign up to the Parent Portal.

ParentPay is a web payment service allowing you to pay online, whenever and wherever you like, by credit or debit card, for many College services, including:-

topping up your child's ID card for dinner money

paying for College trips

ordering College uniform There will be some items that your child will need when he/she starts in September and you may use ParentPay to purchase these (uniform, a locker etc). Please visit our website at www.collingwoodcollege.com and follow the Parent Portal link and then access the ParentPay/Uniform section on the left hand side. ParentPay may also be accessed via www.parentpay.com

Collingwood will issue you with a secure online account, by post, during the Summer holidays, which can be accessed with your unique user ID and password that will be included in the letter. IMPORTANT – please note that the ID and password for ParentPay is not the same as that for the Parent Portal. If you forget your ID and/or password they can be reset by the Finance Office, who will need your email address, child’s name and Form group. The main benefit of using ParentPay is that it:

reduces the need for your child to bring money into College to top up their ID card for dinner money

allows you to pay for items securely

is available 24/7 The College is unable to accept cash payments for trips, activities etc. Students may however use cash to top up their ID cards for dinner money in the machine located in Barossa foyer. All queries regarding dinner money should be referred to the Catering Manager.

PARENT PORTAL

The Parent Portal is Collingwood’s main means of communication with parents. The Portal is an internet based information and communication tool that gives you, as a parent, secure access to your child’s data directly from the College’s Management System. It improves home / college communication and allows you as the parent to take a more informed view of your child’s progress at College.

How to access the Parent Portal?

The Portal is accessible through the College website - www.collingwoodcollege.com. During the Summer break, you will receive a letter with your username, together with a password request form which should be completed and returned to the College. Upon receipt of this, your password will be posted to you along with a Parent Portal User Guide.

It is essential that you sign up to the Parent Portal as this is the College’s main form of communication with parents and allows you a greater insight into your child’s education and progress at Collingwood. After you have logged in you will be able to access your child's attendance, assessment, behaviour, timetable and reports from within the Parent Portal. The system pulls information directly from the College’s information management system and is updated in near real time throughout the day so you can check your child’s attendance. As well as this you can, amongst many other things, see College policy documents, contribute views in parental surveys and access information about the curriculum. All general correspondence issued to parents is loaded onto the Portal and can therefore be accessed at any time. When the College holds a Parents’ Evening, you will need to access the online Parents’ Evening Booking System via the Parent Portal to make your appointments with your child’s teachers. Important Information Only you (as the parent of a child), your child and authorised College staff can access this data about your child. A parent or carer cannot see any contact information (eg home address, phone number, email address etc) about another parent or carer, or any child. Your data and that of all children who attend Collingwood is managed by the College and is held securely on servers at Collingwood. We take the security of this data very seriously and all sensible measures have been taken to safeguard this information. When you connect to the Collingwood Parent Portal, data is transmitted across the Internet securely using security encryption.

SECURITY / ID CARDS

Security at Collingwood College All security doors are managed from a single, secure, central database, providing different levels of access for staff and students by the issuing of proximity MiFare ID Cards. All staff, students, contractors and visitors MUST wear their ID cards at all times. Students will be issued with their photo ID card on their first day in September via their Form Tutor. This ID card is also used to pay for food at the canteen (see section on Cashless Catering). Benefits

Prevents students misusing communal facilities

Encourages punctuality

Access To enter a building or room where an access control unit has been installed, students merely have to pass their ID card across the unit. To exit a building or room where an access control unit has been installed, students merely have to push the exit button by the door. The doors will automatically open or click and the students will be allowed to enter or exit. The door will automatically lock behind them. What if the fire alarm rings? In the event of a fire alarm, all access control devices at fire exits and routes to fire exits automatically switch to open to ensure safe exit from all areas of the building. Lost or Damaged Cards If a student loses their card it can be disabled immediately and a temporary replacement issued. Lost cards must be reported to reception immediately. If someone attempts to use a disabled card, the system rejects it as an invalid card. There will be a £5 charge made to replace the lost or damaged card.

If electronic devices are brought into College the following rules apply:

Electronic devices may be used at breaks and lunch times but NOT INSIDE BUILDINGS

Electronic devices must be turned off during lessons, assemblies and registrations

Electronic devices, wires and headphones must not be seen or used in lessons, assemblies and registration or

within corridors or buildings Failure to follow these rules will result in the items being confiscated.

The following is taken from Surrey County Council‘s Home to School Transport Policy for 4-16 year olds 2014/15:

The legal responsibility for ensuring a child’s attendance at school rests with the child’s parent. Generally, parents are expected to make their own arrangements for ensuring that their child travels to and from school. 1.1 A local authority is only under a statutory duty to provide transport if the nearest qualifying school is not within

statutory walking distance of the child’s home by the nearest available route (section 444(5) of the Education Act) or to certain children whose families are on a low income (Schedule 35B to the 1996 Education Act). Otherwise the provision of transport is at the local authority’s discretion.

1.2 Only where children meet the criteria in this policy will they be entitled to free transport between their home and

school. 1.3 This policy does not apply to children with statements of special educational needs or to children who are over

compulsory school age and who are in sixth form or college. Separate policies apply in these cases.

Transport to Collingwood

Parents of new Year 7 students in September 2014, who have applied through the normal admission procedures and have received a place at Collingwood, are assessed by the Admissions and Transport Team for eligibility to receive free transport. Those who qualify for free transport are sent a letter before the end of the summer term which will ask them to confirm they require the free transport. New passes will be sent to home addresses. If parents do not receive a letter, they will not be entitled to free transport.

Further Information

There are a large number of bus companies that serve the College. To find the local bus services serving Collingwood and to access timetables please go to the A-Z of bus services at www.surreycc.gov.uk.

Apart from those using public service routes, students board the coaches at the end of the College day under staff supervision and will be told the procedure on their first day at Collingwood.

Students must always carry their coach passes with them as periodic checks are made of those travelling by this means.

The good behaviour of students on home to school transport is the responsibility of parents. Failure to behave may lead to the students being unable to use home to school transport. If you have any further questions please phone the Schools and Childcare Service on 0300 200 1004 (calls are charged at local rate).

TECHNOLOGY DEPARTMENT

In Year 7 a number of different subject modules will be followed in Technology. These will include most, or all, of the following:

Resistant Materials

Systems and Control

Graphics/CAD (Computer Aided Design)

Food

Textiles Many schools now ask for a contribution to the materials used by students in Technology lessons and Collingwood is no exception. We are therefore asking for a donation of £5.00 to help cover the costs of materials, excluding food, for all the modules covered during Year 7. Please use ParentPay online via the College website. Alternatively, once your child has started Collingwood you can make payments via the Parent Portal. To ensure that all work relating to Technology is kept safely and neatly, we recommend the purchase of a strong plastic folder. For Food Technology and Resistant Materials/Electronic lessons an apron will be provided.

Where do I go on my first day in September?

You go straight to Kingston Theatre in the Kingston Building at 8.20a.m. and await instructions from staff. You will then be taken to your Form room.

Where should I meet my parents at the end of the first day in

September?

Make sure that, before you are dropped off, you and your parents, or whoever will be meeting you, have agreed where to meet at the end of the day.

Where do I go on my second day in September?

On your second day you should go directly to the Barossa building and when the bells sound, go straight to your Form room.

Do I have to bring PE kit on the first day?

No, because you won’t know what your timetable will be until you get here.

I have to take regular medication - what do I do with

it?

Your parent should hand any medication into reception at the beginning of term, named and with directions for use. This will then be passed to the College Nurse. You can then go to the Medical Centre to take it at the correct times.

What equipment do I need to bring in on my first day in

September

Pen, pencil, eraser, ruler, notebook, packed lunch (if you are not going to buy lunch).

What about my locker key? If you have ordered and paid for a key, it will be given to you during the first week of term.

Where do I get on the bus to come to College and where do

I get off?

Your parents will have arranged, either with the Local Authority or the bus company, where and what time you get your bus to come to College. All the buses, apart from public buses, stop outside Barossa. This is where you get off at the start and on at the end of the day.

How do I know where to get my bus home?

All Lower College students (which includes Year 7) go to the area between the Barossa building and the Sixth Form Centre. Staff on duty will tell you which line to join for your bus. You will then be called to board the bus when it arrives.

Where do I get my ID card?

UNIFORM

Our intention is that students should look smart without involving parents in heavy extra expenses. The wearing of uniform also avoids competitiveness in dress. The College Governors and the vast majority of parents support us in our determination that uniform should be worn and we ask all parents to cooperate fully. College Uniform, with the exception of trousers and skirts, which can only be purchased from Brenda’s Schoolwear (details on next page) is only available to buy from the College Uniform Shop. The Shop is located in Barossa foyer. However, for the two Induction Days on 1st and 2nd July, a temporary shop will be set up in the Conference Room in Kingston Building which is accessed via the main foyer. From 8.00 - 8.45 am sample uniform will be available for your child to try on prior to purchase. Uniform can be ordered in the following way:

wishing to have their ears pierced

should do so at the beginning of the

summer holiday, so as to avoid the

need for spacers and / or additional

piercings to close up.

No other style of earring is permitted. No other body jewellery piercings is permitted. No spacers, belly button or visible body piercings, nose

studs, tongue piercings or any other facial piercings are

allowed to be worn. During PE all jewellery must be removed for safety

reasons. Failure to adhere to this policy will result in the student

having to remove the piercing, being isolated or sent

home. Please note it is not allowed for students to cover

new piercings with a plaster.

Hair

Conventional hair styles only of a

natural colour (i.e. blonde, black, brown)

and should be uniform in nature.

No other colour other than that stated can be applied.

No bright colours. Students are not permitted to have any markings or

tramlines shaved into their hair cut. No extreme haircuts permitted e.g. Mohicans or less than

a Grade 2. If in doubt please consult the College before committing

to a specific hair cut style. Failure to adhere to this policy will result in the student

either being isolated or sent home. Long hair must be tied back in Technology and Science

lessons for safety reasons.

Nails No nail varnish, acrylic or gel nails are

permitted

Failure to adhere to this policy will result in the student

being asked to remove the nail varnish/nails and

sanctioned.

Jewellery

Watches are allowed and encouraged

in College. Medical bracelets are permitted to be

worn. One ring per hand is permitted.

No other jewellery is permitted to be worn, even if for

sentimental reasons. Failure to adhere to this policy will result in the items

being confiscated.

Tattoos

It is a criminal offence to tattoo anyone

under 18 unless a qualified medical

practitioner does it for medical reasons.

Any incidences of tattoos will be investigated by the

College as an issue of child protection.

Make-up

Make-up is not permitted to be worn at

any time in Years 7 and 8. In Years 9-11 the discreet use of make-

up is permitted.

Failure to adhere to this policy will result in the student

having to remove all traces of make-up. Persistent

wearing of make-up will result in a higher sanction.

DATA PROTECTION ACT Collingwood College processes personal data about its pupils and is a “data controller” in respect of this for the purposes of the Data Protection Act 1998. It processes this data to:

support its pupils’ teaching and learning;

monitor and report on their progress;

provide appropriate pastoral care, and

assess how well the school as a whole is doing.

This data includes contact details, national curriculum assessment results, attendance information, characteristics such as ethnic group, special educational needs and any relevant medical information. This data may only be used or passed on for specific purposes allowed by law. If a student withdraws without giving notice half a term’s fees will be payable.

4. Whilst on the premises waiting for an instrumental lesson, students must abide by the College rules.

Parents are responsible for the safety of their child at all times when attending after College lessons at Collingwood and should arrange to collect students promptly.

5. All instruments brought into the College are left at the owner’s risk and must be left in the instrument

cupboard in M2. Instruments should be collected immediately at the end of the College day as this room is not locked after College. The College will not accept any responsibility for loss of, or damage to, instruments. It is advisable to include the instrument on a household “All Risk Policy”.

6. If the College is closed for an INSET day teachers will advise if lessons are to be rescheduled. 7. Collingwood College expects all students who learn an instrument at Collingwood to participate in

extra-curricular musical activities.

UNIFORM PRICE LIST AND ORDER FORM NEW YEAR 7

There are 3 ways to order uniform:

1) ONLINE using ParentPay – www.collingwoodcollege.com – click on the Parent Portal link and then select Parent Pay/Uniform on the left of the screen. Orders will be available to collect at the Parents’ Evening on Wednesday 2 July or at the Uniform Shop (please see opening times). When collecting your order, the ParentPay email confirmation will be required.

2) ORDER FORM – Complete this form and return it to Kingston reception. You can collect your uniform at the Parents’ Evening on Wednesday 2 July or at the Uniform Shop (please see opening times). Payment should be made by cash or cheque (made payable to Collingwood College). We apologise but we do not have the facilities to accept debit or credit cards.

3) IN PERSON AT THE UNIFORM SHOP – Please see opening times. The Uniform Shop only accepts cash and cheques. Cheques should be made payable to Collingwood College. We apologise but the Uniform Shop does not have the facilities to accept debit or credit cards.

PLEASE NOTE: WE MUST HAVE RECEIVED YOUR ORDER BY 3 PM ON WEDNESDAY 2 JULY TO GUARANTEE THAT IT WILL BE READY FOR COLLECTION AT THE PARENTS’ EVENING.
