Industrial Training Placement Guidelines for Students and Organizations for B.Eng. (Hons.) Electrical (EE220)
Description
As part of the Bachelor of Engineering (Honours) Electrical course requirement, all seventh semester students have to complete three months of compulsory industrial attachment in either government or private sector organizations. The Malaysian Engineering Accreditation Council (EAC) has stated that an undergraduate has to undergo at least eight weeks of industrial training as part of their course.
It provides an opportunity for the students to experience real working environment first hand whilst at the same time benefit them in terms of their personal and professional development. Furthermore feedbacks gathered from the participating organizations help the students as well as the faculty in improving the character and professional skills of the graduate. The training will start immediately upon completion of the final examination in semester 6 or 7. The students should have passed their compulsory elective modules so that they are more prepared and have acquired necessary information/knowledge to do the training. In the event of failure to secure a placement the students are allowed to do the training upon completion of the final examinations in semester 8. The students who have had at least one (1) year of working experience in areas related to Electrical Engineering are allowed to apply for an exemption subjected to approval from the Head of Degree Programme. Objectives
• Acquaint with the structure of an organization and its management system • Acquaint with the various equipments used in working environment • Understanding of the organization work ethical in terms of interpersonal
interaction, discipline, rules/regulations and methods of performing assigned tasks
• Promote symbiotic environment that will encourage interaction • Improve self-confidence through acquired hard skill and soft skill
Student Role
• Learn from the observation, experience gained and supervision • Corporate with the organization and work colleagues • Form good interaction between all parties including work colleagues,
management and visiting lecturers involved • Be prepared to contribute in any way deemed necessary • Abide by and adhered to any terms and regulations set upon by the organization

Contribution by the Participating Organization
• Prepare a suitable training program for the students in accordance with the objectives outlined above
• Provide a suitable training staff to supervise and assist in giving a proper guidance as well as assessing the progress of the trainees
• Encourage the trainees to be involved in tasks that require responsibility • Guide the trainees as to the health and safety issues
Placement Duration
• Minimum requirement set forth by the Malaysian Engineering Accreditation Council (EAC) is eight (8) weeks in a single session.
• Industrial training must be performed only once within the duration of the study preferably during the semester break between the sixth (6th) semester, seventh (7th) semester or eight (8th) semester.
• During the industrial training, students who take medical leave more than six (6) days are required to repeat the training on other sessions.
Guidelines for Organizations and Training Supervisors
Organizations interested in offering a placement can send details of their particular requirements to the Faculty Industrial Training Coordinator who will then advertise the placement opportunity to the students. Usually a particular field of interest and proposed date of placement are to be provided. The faculty will provide the following forms to the students:
a) Application form (Appendix A) b) Reply form (Appendix B) c) Letter of Indemnity / Letter of Assurance (Appendix C)
Students who applied to do industrial training are asked to provide their resumes along with the above forms (Appendix A – C). All the documents must be forwarded by the students directly to the organizations. In order to secure placement, the students are advised to make contact/email and get verbal/written confirmation from the respective organization.
The organizations must ensure that the students under their supervision should be briefed and aware of the health, safety and welfare issues at the work premises. Insurance coverage will also be provided to each trainee/student by the University. The University will also pay for the medical cost incurred due to any accidents at work/training place provided that the trainees seek medical treatment at the government hospitals.

The organizations have the responsibility to provide for the training supervisor at the training place. The supervisors will help the student to plan their work and review their performance using the logbook (Appendix D) and Industrial Supervisor’s Evaluation Form (Appendix E) respectively.
The students should be assigned related tasks to his / her field of study such as (but not limited to) the followings:
a) Broadcasting b) Installation work c) Maintenance d) Management e) Testing, calibration and commissioning f) Assembling and Manufacturing g) Electrical wiring / layout design h) Process control and instrumentation i) Microprocessor / microcontroller based j) Software, networking
At least two weeks after the start of the training, the faculty will inform the students of a visit by the faculty lecturers to assess the progress of the training and meet the student accompanied by the industrial supervisor. The students must inform the organization / industrial supervisor of the visit. During the visit, the industrial supervisor is required to assess the student by using the Industrial Supervisor’s Evaluation Form (Appendix E). The form will be collected by the visiting lecturer. Guidelines for visiting lecturers The visit is carried out with the intention of getting the response/feedbacks required to further improve the training. It is also done in view of strengthening the link between the University and participating organizations. Visiting lecturers are nominated to visit the students undergoing the placement only once during the training period normally towards the middle of the training duration. The lecturers must be in grade DM45 or above. A letter appointing them for the visit will be given together with the list of students and list of organizations to be visited. A visiting guideline (Appendix H), a Visiting Lecturer’s Evaluation Form (Appendix F) and a Supervisor’s Evaluation Form (Appendix E) will also be distributed to them. The faculty expects the visiting lecturers to make necessary arrangement with the respective organizations to allocate a suitable time for the visit. During the visit the student(s) has to be present accompanied by his/her training supervisor. The visiting lecturers are also expected to demonstrate a high degree of professionalism while on the visit. The visiting lecturers are advised to convey the faculty appreciation to the participating organizations with regards to their willingness to accept our students and ask for

continual support of the University industrial training placement. The organization will be presented with a Certificate of Appreciation during the visit. Guidelines for Students In the beginning of the semester, all sixth and/or seventh semester students are required to fill-up a form (Appendix A) to apply for a place of training. A list of trusted organizations to be contacted will be posted to the faculty’s facebook and the industrial training notice board prior to the issuance of the form. Students are asked to provide their resumes along with the above forms (Appendix A – C). All the documents must be forwarded by the students directly to the organizations. In order to secure placement, the students are advised to make contact/email and get verbal/written confirmation from the respective organization. Students are advised to apply to more than one organizations. If more than one application is successful, the student is required to decide which one to accept. All the organizations offering placement must be acknowledged of accepting or turning down the offer either verbally or in writing. The reply forms are received by the faculty indicating whether the applications are successful or unsuccessful. Successful and unsuccessful applications are then communicated to the students either by phone or through social media.
A briefing to the successful applicants will be given before they leave for their respective training places. Guidelines (Appendix L) to the successful students together with a log book template (Appendix D) will be given to each student. Insurance coverage will also be provided to each trainee/student. The University will also pay for the medical cost incurred due to any accidents at work/training place provided that the trainees seek medical treatment at the government hospitals only. The student should on his/her own accord apply the relevant letter from the HEP department. The faculty expects the students to demonstrate a high degree of professionalism and observe the highest discipline while on placement. They should also give due consideration to the social and ethical implications of employment as well as health and safety issues. Towards the middle of the training duration, the faculty will inform the students of a visit by the faculty lecturer to assess the progress of the training and meet the student with his / her industrial supervisor. The visiting lecturer and the industrial supervisor will assess the student’s performance by using the Visiting Lecturer’s Evaluation Form (Appendix F) and Industrial Supervisor’s Evaluation Form . Six (6) weeks after completion of the training duration, the students are required to submit their log book together with the Industrial Training Report to the respective visiting lecturers. The lecturer will assess the students’ works and submit the marks to the faculty. The Logbook and Industrial Training Report Guidelines can be referred in Appendix D and Appendix I respectively.

Students who had fulfilled the followings are considered to be successfully completed their industrial training:
a) Perform the industrial training for a duration not less than 8 consecutive weeks or 40 days including medical leave and public holidays.
b) Did not take more than six (6) days medical leave throughout the training c) Submit the industrial training log book and the industrial training report to the
faculty d) Obtain a total marks of more than 50% based on the following evaluations:
(i) Industrial Training Supervisor’s Evaluation Form (Appendix E) – 40% (ii) Visiting Lecturer’s Evaluation Form (Appendix F) – 15% (iii) Industrial Training Report and Logbook Evaluation Form (Appendix G) –
45% Students can refer to the Flowchart of Industrial Training Process (Appendix K) for a more clearer picture of the overall process. Grievance Procedure In the unlikely event of disputes, the student or the organization should, in the first instance, contact the Faculty Industrial Training Coordinator, the Head of the Degree Program or the Head of Faculty. Where this approach does not result in a satisfactory resolution, the matter should be referred to the Rector, UiTM Pulau Pinang, Jalan Permatang Pauh, 13500 Permatang Pauh, Pulau Pinang.

Instructions The log book is for you to provide a history of the training and to act as a weekly record by the work on which you are engaged. It is the student’s responsibilities for making the main entries of the log book and keeping it up-to-date. You also must ensure that: (i) It is available at your place of work during your training. You may print a hardcopy
of it or store it in a digital media where appropriate. (ii) It is written using MS Word using Arial 11 font. Pictures / tables with captions may
be attached, if any. (iii) Entries are made within a week of the work to which they refer. (iv) If there is a national / state holiday, it must also be written in the log book. (v) If students take medical leave on a particular working day, the entry must also be
written with an image of the medical certificate. (vi) Entries must be regularly commented and initialed / signed by your training
supervisor. (vii) At the end of training, the log book must be submitted in comb bounded to the
visiting lecturer for grading. Recording The log book may contain the following information: (i) A neat concise description of the work on which you are engaged (ii) Relevant pictures, sketches, data and / or circuit diagrams (iii) References to textbooks, standards and other technical information related to the
work being under taken. (iv) Constructive comments on the work being under taken and your considered
opinion as to its value to training.

GENERAL GUIDELINES FOR VISITING LECTURERS
All visiting lecturers are advised to follow the guidelines listed below through out the allowable visiting period. a) Maximum allowable number of staff to visit the specified organization is limited to
two (2) at any given time. The visiting lecturers must be in grade DM45 or above.
b) The visit has to be done during the office hours only. c) Visiting at least two (2) organizations per day. However this rule is subjected to the
circumstances and places of visit. d) The visit has to be completed within four days where the visiting lecturers are
entitled to mileage claim according to their respective categories. Only one claim per visit will be allowed.
e) The visiting lecturers are entitled to mileage and other allowances claims according
to their respective categories. However only one mileage claim per visit will be allowed.
f) Adhered to existing circular/regulation regarding industrial training visit
issued/specified by the University/Faculty.

• Written in simple and concise English.

sheet cards. Both covers must also be covered by transparent plastic sheets.
• The report must have a Table of Contents.

GENERAL GUIDELINES FOR STUDENTS
a) Focus your attention and utmost energy and capacity towards this programme b) Set your priorities to complete the training successfully c) Abide by and adhered to any terms and regulations set upon by the organization d) Be present and available through out the duration of the placement except under
certain circumstances such as sick leave, accident or any other approved situations
e) Strictly prohibitive for the trainees to reveal or provide any information pertaining to the participating organization or its clients or its undertaking contracts/business during the placement period or otherwise
f) Strictly prohibitive for the trainees to abuse or damage any properties of the organization
g) Those who are paid any allowances by the organization should inform the visiting lecturer
h) Six (6) weeks after completion of the training the students are required to submit their log book and industrial training report to the faculty
i) Strictly prohibitive for the trainees to change or stop their training placement without approval from the Head of Degree Program.
j) In the event of breach of discipline act during the placement the students are liable to be charged under the disciplinary act of the University
k) Any other rules and regulations set upon by the University to all students are also applicable to the trainees through out the training duration
