This document is an Integration Guide that is part of the Infor Integration for Microsoft Project with ERP Enterprise Project and describes the Infor Integration-based integration of Microsoft Project with ERP Enterprise Project. The integration provides a cost and scheduling system, in which ERP Enterprise Project budgets are time-phased as a result of scheduling the work in Microsoft Project.

1 Chapter 1 Introduction

This chapter briefly describes the integration and the transfer of data between ERP Enterprise Project and Microsoft Project.

Introduction The integration with Microsoft Project is offered to time-phase the activities, milestones, and budget lines. The integration enables you to do the following:

Time-phase your budget and perform the financial analysis.

Determine order dates for the requirements planning.

Time-phase revenues from the installment invoicing.

You can use the Microsoft Project to:

Set up tasks to create a plan.

Assign ERP Enterprise resources to tasks.

Perform network planning.

Perform resource leveling.

Create a resource pool project.

All the above functions do not require a permanent connection to ERP Enterprise. These functions use graphical user interface and the specialist reporting capabilities of Microsoft Project.

Note: The hours spent and other actual project costs are not transferred from ERP Enterprise Project to Microsoft Project, or vice versa.

Data flow Basic data such as cost objects, resources, and calendars are transferred between ERP Enterprise and Microsoft Project. Microsoft Project tasks are linked to activities and budget lines in ERP Enterprise Project. The scheduled start and finish dates are transferred to ERP Enterprise.

Workflow steps All the actions to connect projects and to synchronize data are initiated from Microsoft Project. To start the Microsoft Project integration, connect a new project to a selected ERP Enterprise project. Optionally, calendars, cost objects, resources, the activity structure, and their budget lines are transferred to Microsoft Project. You can now add tasks, schedule tasks, and assign resources. The resultant start dates and finish dates can be transferred back into ERP Enterprise to the linked activities and budget lines. You can change the ownership of the structure and budget lines in Microsoft Project and ERP Enterprise.

ERP Enterprise Common Data features a Central Calendar (CCP) module that contains calendars used throughout the ERP Enterprise packages. Microsoft Project must have a copy of these ERP Enterprise calendars.

ERP Enterprise enables the selection and transfer of calendars used in Microsoft Project.

The following figure provides an overview of the calendar hierarchy:

In the Calendar Selection for External Scheduling Packages (tcccp0181m000) session, you can specify the calendar that needs to be transferred to Microsoft Project as the base calendar .You can define a calendar for availability types that is a work-time type, for example, you can define a calendar in which, the workday starts at 8:00 A.M. and ends at 5:00 P.M., in ERP Enterprise Calendars (tcccp). You can use the availability type to differentiate, for example, availability for projects from availability for service, or maintenance, activities for the same period. One resource can have one calendar but multiple availability types. Because multiple availability types can be defined as part of the same calendar, the user must select the most relevant type to be used in a linked external scheduling package, such as Microsoft Project. For the selected availability type, a base calendar is created and the standard calendar details for this availability type are transferred.

ERP Enterprise calendars

In ERP Enterprise calendars, you can have a multiple-level-calendar hierarchy. As you move down in the hierarchy, you see that the exceptions to the derived-from calendar are maintained.

In Microsoft Project, you can transfer only the base calendars and any resource calendar transferred is set as derived-from these base calendars. However, exceptions in the complete derivation path are transferred to the resource calendars. By default, the resource calendars are defined with the name of the resource itself.

To retain the hierarchy information, the base calendar codes contain the complete derivation path with the correct punctuation, a dot between every level.

To access the calendars, in Microsoft Project, on the Tools menu, click Change Working Time.

Projects

For planning purposes, a Microsoft Project can be considered as part of an ERP Enterprise project or as a work breakdown structure.

You can either link a Microsoft Project to a ERP Enterprise Project or link multiple Microsoft Projects to the ERP Enterprise project. This, for example, enables various organizational elements to handle various project parts.

You can make use of resource pools. A resource pool enables you to share resources among multiple projects. You can use any other existing project file as a resource pool. However, Microsoft recommends that you create a new project file. You must begin with a normal Microsoft Project file in which you enter only the resource information, and save the file with a name to denote the file as the resource pool file.

To use a resource pool, on the Tools menu ResourcesUse Resources, Now select the resources from the pool. If you use a resource pool, do not transfer resources from ERP Enterprise after you create that resource pool. In case you transfer resources, your resource pool will not contain a selection, but all the resources from ERP Enterprise.

To connect Microsoft Project to ERP Enterprise Project, link a Microsoft Project project to an activity in the activity structure. This connection information is stored in Microsoft Project, as well as in ERP

Enterprise Project. In case, Microsoft Project is disconnected from an ERP Enterprise project, the information is cleared. You can establish the connection in one of the following ways:

Scenario 1

The complete activity structure, including the budget and activity relationships is maintained on the ERP Enterprise and Microsoft Project is used only for planning and simulation purposes.

When you connect the project, the ownership is set to ERP Enterprise, as shown in the following figure:

Connection to the ERP Enterprise project plan with one of the selected activities as the connection node is made. To make this connection, click Select Node. Choose the node from which you want to download the activity structure for scheduling purposes in Microsoft Project.

The following figure provides an example of this type of selection screen. The connection node becomes the top summary task in Microsoft Project and the activity structure in ERP Enterprise. The activities below this node appear as child tasks in Microsoft Project.

During synchronization of the activity structure, the latest structure from ERP Enterprise is sent to Microsoft Project. Activities that are no longer found in ERP Enterprise are either relocated or removed in Microsoft Project, based on the Connection Details option.

Scenario 2

The complete activity structure, including the budget and activity relationship, is maintained on the Microsoft Project client to use the graphic functionality provided by Microsoft Project. The standard activities are transferred to Microsoft Project and are used to define tasks.

If you connect the project, the ownership is set to Microsoft Project. The ERP Enterprise Project plan with no activities is chosen. The top summary task in Microsoft Project becomes the top activity in ERP Enterprise, and also becomes the connection node. The structure below the top summary task in Microsoft Project is built up as the activity structure in ERP Enterprise.

At the time of the activity structure synchronization, the latest structure from Microsoft Project is sent to ERP Enterprise. Activities that are no longer found in Microsoft Project are deleted on the ERP Enterprise side.

Scenario 3

On the ERP Enterprise, the project structure is created up to the Project Cost Account level. The lower-level structure, which consists of work packages and planning packages, is worked on the client side. This detailing can follow either of the previous scenarios.

As a cost account manager, you can assign an organization breakdown structure (OBS) element to each of the project cost accounts (CAs) on the ERP Enterprise.

You can now connect the same ERP Enterprise project at multiple levels, to various Microsoft Projects. Individual cost account managers can track or monitor only that part of the project's activity structure for which they are accountable, irrespective of the progress of the other activities.

In ERP Enterprise, you can see the updated progress of all the cost account managers’ domains. Here, you can manage the complete project.

When you connect the project, the ownership is set to Microsoft Project. A connection is made to the ERP Enterprise Project plan with activities. One of the activities, usually a cost account, is chosen as the connection node.

The activity code and type must be the same as that of the top summary task in Microsoft Project. The structure below the top summary task in Microsoft Project is built up as the activity structure in ERP Enterprise.

During the structure synchronization, the latest structure from Microsoft Project is sent to ERP Enterprise. Activities, which no longer exist in Microsoft Project, are deleted from the ERP Enterprise.

when you click Synchronize Structure/Budget/Schedule, the schedule information is placed at the top of the project structure in ERP Enterprise.

Scenario 4: (Workaround to retain activity relationships)

Define a template in Microsoft Project that contains an activity structure, budget, activity relationships, cost object, and so on. You can use this to create project structure and budget lines for the new project in ERP.

A completed project’s schedule which includes an activity structure, the budget, and activity relationships, is saved as a Microsoft Project Template (.mpt). A new Microsoft Project (.mpp) is created from the saved template.

Click Reset Connection. This enables the Connect Project button, which allows you to connect the derived Microsoft Project to a new project in ERP.

When you connect the project, the ownership is set to Microsoft Project. A connection is made to the new ERP Enterprise Project plan, which is without activities. The top summary task in Microsoft Project becomes the top activity in ERP. It also becomes the connection node. The structure below the top summary task in Microsoft Project is made the activity structure in ERP.

Along with the activity structure, the schedule information, which includes subtasks and resource assignments, is transferred as budget lines to ERP. The major advantage of this approach to schedule development is the reuse of the activity relationships.

To modify the derived Microsoft Project project, you can add, delete, and modify activity and budget information before you connect to a new project.

Note: The original Microsoft Project Template file can still retain the connection to the corresponding ERP Enterprise Project. Any changes made in the ERP can be transferred to the template file, and vice versa, depending on the ownership. You can handle the file as any other file specified in Scenarios 1, 2, and 3

Activity Relationship:

Previously the activity relationship between activities and budget lines were only maintained in Microsoft Project, but now the activity relationship can also be defined in ERP Enterprise and the relationship data can be transferred to Microsoft Project as task dependencies.

The status of the ownership for the project’s activity and budget line relationships can be set to either Microsoft Project or ERP Enterprise. The ownership of activity relationships depends on the ownership of activity structure/budget lines. Following scenarios are possible:

Activity Structure and Budget Line owned by ERP Enterprise and Activity Relationship owned by ERP Enterprise

The complete activity structure and the budget lines, including the activity relationships, are maintained in ERP Enterprise and Microsoft Project is used for resource planning. This option is useful when the activity structure and the budget lines, which include the relationships, are part of the ERP Enterprise template project. The option is used to create projects from templates.

Activity Structure and Budget Line owned by ERP Enterprise and Activity Relationship owned by Microsoft Project

The complete activity structure, and the budget lines are maintained in ERP Enterprise and the activity/budget lines relationship (task dependencies) is maintained in Microsoft Project client to use the graphical functionality provided in Microsoft Project. Helps in checking the circular relationship (Circular relationship is not checked in ERP Enterprise). While establishing the connection, the default activity relationships, if present, in the ERP Enterprise, are transferred as default dependencies and Microsoft Project owns the task dependencies. This option is useful to create project templates.

Activity Structure and Budget Line owned by Microsoft Project and Activity Relationship owned by Microsoft Project

The complete activity structure, the budget lines and task dependencies are maintained in the Microsoft Project client in order to use the planning functionality provided by Microsoft Project. While establishing the connection, the ownership is set to Microsoft Project and a connection is made to an ERP Enterprise Project plan with no activities. The top summary task in Microsoft Project becomes the top activity in ERP Enterprise and the connection node. The structure under the top summary task in Microsoft Project is transferred as the activity structure in ERP Enterprise. All the budget lines are transferred to ERP Enterprise with the External Schedule Link field set to Linked. After the activity structure and the activity budget lines are created, the activity/budget line relationship is created, in ERP Enterprise from Microsoft Project.

You must select the Create Activities Based on Activity Structure and Budget Lines check box on the Budget tab of the Connect Microsoft Project to ERP Enterprise Projects screen, to transfer the activity structure and the budget lines to Microsoft Project as tasks.

You must select the Transfer Activity and Budget Line Relationships check box on the Budget tab in the Connect Microsoft Project to ERP Enterprise Projects screen, to transfer the relationship data as task dependencies.

Cost objects/resources The following illustration provides an overview of the transfer of cost types from ERP Enterprise to Microsoft Project.

ERP Enterprise distinguishes all the five cost types of cost objects, employees and trade groups, but Microsoft Project can identify only those objects that are utilized in time units, as resources and/or tasks.

To use this feature, you must transfer all the cost types, with the exception of Labor, as internal resources to Microsoft Project. The cost objects and employees for which the Used in Schedule check box is selected are transferred. All the cost objects are available for reference when you create a budget line task or a resource assignment in Microsoft Project. You can create a corresponding budget in ERP Enterprise Project from each of these budget line tasks or resource assignments.

The labor budget lines are represented with the resource assignment of either an employee or a trade group, depending on who actually performs the work and how specifically you must define that. To choose not to transfer, for example, administration employees or senior management, do not select the Used in Schedule check box for these employees.

In Microsoft Project, each resource is classified as either of type Work or Material. ERP Enterprise cost objects of type Material, subcontracting with cost determination type Quantity, and sundry are transferred as Material, while subcontracting of type Amount of Time, Employees, and Trade Groups are transferred as Work.

Activity structures The following illustration provides an overview of the activity decomposition for Microsoft Project.

The activity structure of an ERP Enterprise project can be made up of WBS elements, cost accounts, planning packages (PP), and work packages (WP). The ownership setting defines how this structure is handled in the integration.

The start/finish dates are preloaded in Microsoft Project when the structure is transferred from ERP Enterprise to Microsoft Project.

After you change the schedule information of the activities/budget lines/tasks/resource assignments, the start and finish dates with the duration and percentage completed, are rolled up to the summary activity in Microsoft Project. The summary activity is linked to an ERP Enterprise activity.

The user can now update schedule information for these activities on the ERP Enterprise.

When the scheduling information of activities is completed, this information is rolled up to the top of the activity structure. When Microsoft Project is the owner of the structure, the actual start and finish dates, and the percentage completed, is also transferred to ERP Enterprise Project. Empty fields in Microsoft Project are ignored and values set in ERP Enterprise Project itself, are retained.

In Microsoft Project 2002 and newer versions, a new feature is added to generate WBS code automatically while you maintain the tasks. You can use this feature to report schedules and to track costs in Microsoft Project.

In ERP Enterprise Project, you can define the work breakdown structure. The same structure is now mapped to WBS in Microsoft Project. The WBS code in Microsoft Project is filled with activity code of activities of type WBS in ERP Enterprise. For all other activity types, the WBS code is set as blank.

Activity Relationship

You can maintain relationships between activities, between budget lines and between an activity and a budget line in ERP. The relationships can be transferred to Microsoft Project for schedule development.

To transfer the data, you must select the Transfer Activity and Budget Line Relationships check box in the Budget tab in the Connect Microsoft Project to ERP Enterprise Projects screen. The Activities/Budget lines relationship data is transferred to Microsoft Project as Task dependencies. The transfer of relationship data is optional. However, by default, the data gets transferred. The data does not get transferred when you uncheck the Transfer Activity and Budget Line Relationships

check box. When the check box is not selected, the Ownership of Activity and Budget Line Relationship field in the Connection tab of the Connect Microsoft Project to ERP Enterprise Projects screen, is set to Not Applicable.

Note: You can select the Transfer Activity and Budget Line Relationships check box only when the Create Tasks Based on Activity Structure and Budget Lines check box is selected.

It is possible to update the relationships in ERP Enterprise Project from Microsoft Project and vice-versa.

You can synchronize the relationship data at the time of synchronization. You must select the Synchronize Activity/Budget Line Relationship check box to synchronize the relationship data. This option is enabled only when the Transfer Activity and Budget Line Relationships check box is selected.

Budget lines The following figure shows an overview of the activity budget-line transfer to Microsoft Project:

The ERP Enterprise budget is built bottom-up, starting with the budget lines. Each budget line represents a cost object that belongs to one of the five cost types, budgeted in terms of both quantity and time for a particular project/activity. This data is also transferred to Microsoft Project.

The activity budget lines in ERP Enterprise are transferred as budget line tasks or resource assignments in Microsoft Project. The corresponding activity task is then set as a summary task of all the related budget line tasks.

If Microsoft Project is the owner of the activity planning and the resource assignments, you can transfer or create the activity budget lines in ERP Enterprise as budget line tasks or resource assignments in Microsoft Project, along with the complete activity structure, starting from the connection node.

The resources, which were already transferred to Microsoft Project, are assigned to these tasks. As a result, a one-to-one correspondence exists between the budget lines in ERP Enterprise Project and the budget line task or resource assignment in Microsoft Project.

After you create the budget lines, Microsoft Project updates the start and end dates for ERP Enterprise budget lines, if changes take place in scheduling.

Quantities on Microsoft Project’s budget line tasks or resource assignments are updated from ERP Enterprise to Microsoft Project or from Microsoft Project to ERP Enterprise, depending on the ownership.

Budget information is synchronized between ERP Enterprise and Microsoft Project.

In ERP Enterprise Project, you can define budget adjustment as modification to frozen bottom up budget. You can transfer budget adjustments from, and perform scheduling on, ERP Enterprise Project to Microsoft Project. However, you cannot create a new budget adjustment task in Microsoft Project and send the task to ERP Enterprise Project.

Note: If you already created an element/activity or element/element budget for an ERP Enterprise project, you can still use Microsoft Project for scheduling purposes. In Microsoft Project, a plan is created from the activity structure and budget lines in ERP Enterprise. You can only update schedule information in ERP Enterprise from Microsoft Project. You can no longer perform the third and fourth actions.

Schedule information After you transfer all the ERP Enterprise Project information to Microsoft Project, you can start the planning using the scheduling features provided by Microsoft Project. You can also insert new tasks in Microsoft Project that represent new budget lines in ERP Enterprise. The schedule information can be transferred to ERP Enterprise Project.

Baselines You can use the scheduling information in Microsoft Project to create baselines in ERP Enterprise Project and in Microsoft Project.

ERP Enterprise owns the baselines. From Microsoft Project, you can create a new baseline or update an existing baseline for the connected ERP Enterprise project.

A list of all baseline numbers from ERP Enterprise Project is available, from which you can select a baseline to update an existing baseline, or you can derive a new baseline.

You can update the baselines with the most recent schedule information of the activity structure from the Microsoft Project. After you update the baselines, the schedule information is aggregated to the top in ERP Enterprise.

During initial planning or schedule development, the planned schedule dates (start/finish) from Microsoft Project are updated to ERP Enterprise Project. As the project progresses some customer update the actual information in Microsoft Project, because of which the planned information is changed/set to actual dates. On synchronization the planned information is updated with actual dates in ERP Enterprise Project. This can be avoided with the option to update the planned dates with the baselines information. As Microsoft Project does provide the possibility define/save multiple baselines, user can select from the list of baseline with which the planned dates needs to be updated.

This chapter describes the ERP Enterprise menu options you can use in Microsoft Project.

To start Microsoft Project, on the File menu, click Infor ERP LN Project:

Introduction The user can initiate all the integration actions from the menu options and toolbars that are added to the Microsoft Project application during the integration setup.

In ERP Enterprise, the user must set the following parameters in the PSS Parameters (tppss0100s000) session:

Select the Integration External Scheduling Package check box.

The ESP currency defined in the parameters is used in Microsoft Project, because Microsoft Project does not support multicurrency. If the cost rates of a cost object defined in ERP Enterprise is in a currency other than the ESP currency, the rate in the ESP currency is calculated with the exchange rate type of the project definition.

The ESP time unit defined in the parameters session is the unit to which budget lines labor, equipment, and subcontracting, as well those budget lines that use time units for scheduling, are assigned. As a result, even if the user allocates 100 days, in which, in ERP Enterprise, days is a unit of work to a particular budget line, Microsoft Project understands this as 100 hours when the ERP Enterprise ESP time unit is defined as hours.

The physical quantity in Microsoft Project is entered as follows:

For labor, the budget line quantity expressed in the budget line unit.

For material, the budget line quantity expressed in the cost object unit.

For equipment, the budget line quantity expressed in the cost object unit.

For subcontracting, the budget line quantity expressed in the cost object unit. Note that the unit can be a time-unit or another unit, depending on the indicator Quantity/Amount of Time. For subcontracting, the Time column is not filled in Microsoft Project.

For sundry costs, the budget line quantity expressed in the budget line unit.

If quantities are sent back to ERP Enterprise, when Microsoft Project is the owner, the labor and equipment time (work) is sent. For material, subcontracting, and sundry costs, the units are sent to ERP Enterprise.

The ESP Preferences tab in the PSS parameters specifies the cost object types that must be transferred to ESP. However, the parameters selected only appear as default in the Connect Project dialog box. You can choose to change these parameters at the time of connection, or afterwards in the Connection Details dialog box.

You must also set the CCP Parameters (tcccp0100s000) session.

Projects operate with a project plan, activity and budget lines framework. The activity framework, or the work breakdown structure (WBS) in ERP Enterprise, is a list of activities that are classified as WBS elements, project cost accounts, planning packages, and work packages. However, Microsoft Project identifies with the terminology tasks and subtasks. The budget lines together with the entire WBS fit into the task_sub-task structure of Microsoft Project.

ERP Enterprise offers more extensive calendar functionality, which Microsoft Project does not support. Therefore, you must transfer calendars from ERP Enterprise to Microsoft Project to ensure that no scheduling-related data is lost or is unavailable to the user.

ERP Enterprise differentiates cost objects into the following five cost types:

Material

Labor

Subcontracting

Equipment

Sundry costs

Microsoft Project only identifies resources. With the exception of Labor, all the cost types are transferred as resources to Microsoft Project. The cost type that is critical to scheduling is equipment. Equipment is mostly rented and you want to schedule equipment closely.

You can associate a labor budget line with either a trade group or an employee or both. A resource assignment of Employee or Trade Group is used in Microsoft Project to represent a labor budget line.

Trade groups and employees are critical in any schedule, because the cost incurred on them is always proportional to the amount of time for which they are utilized.

OpenWorld Server Manager (tmboaserver) The user must start the default back-end component in the OpenWorld Adapter Configuration and keep the component running in the back end ERP Enterprise server to work with the integration. You can start the component from the OpenWorld Server Manager (tmboaserver) session. The user can run this session in either Free mode or in Check-User mode. If the user runs this session in the check-user mode, the user must provide valid ERP Enterprise user login details. Without this information, the data from ERP Enterprise will not be fetched. Click ERP Enterprise Login Details.

The following window appears in which the user can provide the required information. When the tmboaserver (OpenWorldX Server Manager) runs in Free mode, these details need not be provided. After the user starts the component, the company number is automatically picked from the BusComponent.

If the ERP Enterprise server is present on Windows NT for the check user authentication, the user must enable the ERP Enterprise Login protocol.

To enable this protocol, take the following steps:

1 Start the ERP Enterprise NT manager.

2 Right-click the ERP Enterprise daemon and, on the shortcut menu, click Properties.

3 Enable the ERP Enterprise Login protocol.

4 Restart the ERP Enterprise Login daemon

Connect the project After you define a proper project structure in ERP Enterprise, you can schedule the project in a Microsoft Project. You must, however, save the current project on the Microsoft Project before you attempt the connection.

Use the Save As option to save the file with a name that identifies the file with the project in ERP Enterprise. This Microsoft Project name is written in a record that is inserted in the ERP Enterprise External Schedule Links (tppss230) table. The same name appears for all the connected budget lines near the ESP Link field.

Example

You connect an ERP Enterprise Project Microsoft Project test for the plan A1 to Microsoft Project. You must save this connected project to a file in Microsoft Project, for example, Connection 1. This file name appears in the External Schedule Links (tppss2530m000) session and is added to the records of all the budget lines that are linked to this project in Microsoft Project. If you click the Connect Project option, the following message appears:

Log files

Microsoft Project creates log files during connection to ERP Enterprise in which you can see if the connection is successful, or check what went wrong during the connection. The log files are saved in the directory where you save your Microsoft Project file. The naming convention used is: <project name>.log.

When you connect a project the following Log file is generated. The file displays the data transferred and alerts you to problems, if any.

The log file displays the errors that can occur when Microsoft Project integrates with ERP. For example, if the log file says, “Labor is not transferred,” you can conclude that the Labor Cost Object Link with the External Package check box is not selected.

Connect Microsoft Project to ERP Enterprise Project

The ERP Enterprise data is transferred to the saved project. If you have entered data in this file, the ERP Enterprise data replaces this data.

The following data is transferred while the project is connected to ERP Enterprise:

Calendar data

Resources, which includes standard types/project types

Activity structure

Activity/Budget Line relationship data

When you connect the project in Microsoft Project to the project in ERP Enterprise, the scheduled start and finish dates in ERP Enterprise, if any, are transferred to Microsoft Project. This only happens when you establish the connection for the first time, after which, the ownership of the scheduled dates rests with Microsoft Project.

Note: The connection you make is logical, which you must carry out only once for every project.

To connect to the ERP Enterprise Project, go to File Infor ERP LN ProjectConnect Project. The following screen appears:

The Connection tab contains the following fields:

Company: The default back component maintained in the OpenWorldX Adapter Configuration provides the company.

Projects: From this list, select the ERP Enterprise project code. The project information is retrieved from ERP Enterprise and entered automatically in this form.

Start Date and Finish date: These fields display the start date and finish date of the ERP Enterprise Project, for information purposes only.

Plan: The activity structure from the plan is used. By default, the leading plan is displayed, but you can choose another plan. You cannot connect a plan that meets any of the following criteria:

Already has a live link to a Microsoft Project on the highest level.

Has a project with the Active status.

Connection node: The activity node taken from the activity structure to which the connection is made. The activities connected to the node are used in Microsoft Project. You cannot link an activity to Microsoft Project if the node either above or below this element is already used for another project.

Select Node: Click this button to make the activity structure available as a tree. You can select an activity for connection, which is then filled in the Connection Node field. The button is available only if activities are defined under the selected ERP Enterprise Project plan.

Ownership: Set the ownership of activity structure, budget line quantities and activity/budget line relationship data. You can set the ownership to Microsoft Project.

The Resources tab contains the following fields:

Transfer Resources/Cost Objects to Project: If this check box is selected, you can choose cost object types from the ERP Enterprise source data. These cost object types are transferred as resources to Microsoft Project.

Labor cost objects are transferred to an external file, <Microsoft Project file name>.lco, which receive a reference to Microsoft Project if you define budget lines.

You must transfer the cost objects required for budget lines. If you do not transfer the resource, you will not be able to create budget lines in Microsoft Project.

Resource Calendars/Availability Type: You must select the resource calendars’ availability type. If the exceptions to the resource calendar are defined in ERP Enterprise, the availability type is used. Additionally, a base calendar is created in Microsoft Project with this availability type.

The default calendar is used as a base calendar in the following two cases:

When a calendar is not specified for a resource in ERP Enterprise.

When the specified calendar is not selected for transfer to Microsoft Project.

Note: All availability types set to Available are present. The integration verifies whether or not the availability type already exists as a base calendar in Microsoft Project. In case the availability type

does not exist, a base calendar is created and the standard calendar template details are transferred.

If the availability type is present in Microsoft Project, Microsoft Project checks whether the latest calendar changes are updated, using a temporary collection of details.

The standard calendar template details comprise of weekdays, such as Monday, Tuesday, and so on, and do not permit exceptions for specific dates. The use of the standard calendar template details can be compared to the three types of calendars that, by default, exist in Microsoft Project: 24 hours, night shift, and standard. If no parent calendar exists, the code will be C.<Availability type>.<calendar code>. If a parent exists, this parent will be added before the calendar code. With multiple levels, the derivation path will be used. For every calendar, a check is carried out to see if the calendar is present in Microsoft Project.

Note: The actual calendar must be up to date. By default, Microsoft Project sets the project calendar for the integrated ERP Enterprise project. To access the ERP Enterprise calendar, in Microsoft Project, on the Tools menu, click Change Working Time.

Create Tasks Based on Activity Structure and Budget Lines: If you select this check box, the activity structure, starting from the connection node, and the budget line are transferred to Microsoft Project as tasks.

Transfer Activity and Budget Line Relationship: Select this check box to transfer the activity and budget line relationship to Microsoft Project as task dependencies. You can select this check box only when the Create Activities Based on Activity Structure and Budget Lines check box is selected. By default, the check box is selected for all new projects. If this check box is not selected, the Ownership of Activity and Budget Line Relationship field in the Connection tab is set to Not Applicable.

Transfer Budget Lines: In this group, you can specify whether a budget line must be transferred as a resource assignment or a task. If you transfer the budget lines with the External Schedule Link field set to Create Link on the Connected Data tab, to Microsoft Project as budget-line tasks, the budget lines are outlined under the task that represents the corresponding activity in ERP Enterprise. When the equipment budget line is transferred as a resource assignment, the corresponding equipment resource is also assigned for scheduling purposes. The employee linked to the budget line is also assigned as a resource for scheduling purposes.

Note: If a resource is used more than once as part of the same activity (task), a subtask is created, irrespective of the Resource Assignment setting, because Microsoft Project does not permit the same resource to be used more than once for the same task.

All the milestones linked to an activity in ERP Enterprise are transferred as tasks linked as predecessors to the activity task. The link relationship can be either Start-to-Start or Finish-to-Finish, depending on the milestone date’s proximity to the activity’s start/finish date in Microsoft Project.

All the milestones that are not linked to an activity in ERP Enterprise are transferred to the top of the Microsoft Project tasks as stand-alone milestones. The milestones are transferred to all Microsoft Project projects linked to the same ERP Enterprise Project.

Connect Project: Click this button to start the process of connecting ERP Enterprise to a Microsoft Project. The button is available only if valid data is entered in the Connect Microsoft Project to ERP Enterprise Project form.

While you connect the Microsoft Project to a project in ERP Enterprise, the scheduled start and finish dates of activities in ERP Enterprise, if any, are transferred to Microsoft Project. This transfer occurs when you start the project in Microsoft Project to the project in ERP Enterprise for the first time, after which Microsoft Project is the owner of the scheduled dates.

Any changes you make in this dialog box will take effect during the Synchronize Master Data process or the Synchronize Structure/Budget/Schedule processes in Microsoft Project. Transfer Resources/Cost Objects to Project: The selection you make while you connect the project appears in this field. If you change the data, the setting takes effect during the synchronization of the master data. As a result, resource types that were not selected previously on the Connection tab and are now selected are transferred. Resources that are no longer selected will not be synchronized. However, these resources are not deleted from the resource sheet in Microsoft Project:

The Budget/Schedule tab:

Create Budget Line As: The purpose of this option is the same as that of the Connect Project check box. However, the selection is applicable only to those budget lines that are newly transferred to the Microsoft Project client from ERP Enterprise.

Schedule/Schedule Based On: Select Early Dates to update the ERP Enterprise Project plan with the early dates for the tasks from Microsoft Project. Select Schedule Dates to update the ERP Enterprise Project plan with the scheduled dates for the tasks from Microsoft Project.

Process Options/Create Tasks Based on Activity Structure and Budget Lines: If this check box is not selected in the Connect Project dialog box, no structure is transferred from ERP Enterprise to Microsoft Project. You are free to define your own structure in Microsoft Project, but the user must select each task that represents an activity in ERP Enterprise in the appropriate column. If you set ERP Enterprise as the owner of the activity structure, the outline structure in Microsoft Project is modified to comply with the activity structure in ERP Enterprise Project when you synchronize the structure/budget/schedule.

If the Create Tasks from Activity Structure and Budget Lines check box is selected in the Connect Project dialog box in Microsoft Project then, during Connect Project, the activity structure and the milestones are transferred to Microsoft Project.

The activity structure and the milestones are transferred to Microsoft Project when you connect the project. During synchronization of the structure/budget/schedule, the outline structure in Microsoft Project is left untouched. This functionality enables the user to retain the outline structure in Microsoft Project for scheduling purposes.

Delete Task when Activity is deleted in ERP Enterprise: If this check box is selected, during the synchronization process, the activity tasks that correspond to the activities deleted in ERP Enterprise are removed in Microsoft Project. If this check box is cleared, tasks and subsequent child tasks are relocated at the end of the actual connected activity tasks.

Transfer Activity and Budget Line Relationships: If this check box is selected, activity and budget line relationship data is transferred from ERP Enterprise to Microsoft Project as task dependencies.

Delete Budget Line when task is Deleted in Microsoft Project: If this check box is selected, the budget lines in ERP Enterprise is deleted during the synchronization process, if the corresponding linked tasks in Microsoft Project is deleted. Otherwise, on the ERP Enterprise, the budget line External Schedule Link field is set to No link and the connection information for the budget line is cleared.

Save Baseline: This option is a feature of the integration application. The following are the two important points you must bear in mind:

You must have a synchronized structure/budget/schedule once you are sure that you can freeze the structure/budget/schedule with a baseline. The process is similar to running the Save Baseline session on the ERP Enterprise side, in which the user either creates a new baseline, possibly derived from an approved baseline, or updates an existing baseline.

The baseline plan must be the leading plan of the project.

The Save Baseline option includes the standard functionality of Microsoft Project, which enables you to save a baseline or an interim plan, extended with the possibility to save a baseline in ERP Enterprise Project, as in the Save Baseline (tppss2220m000) session in ERP Enterprise.

Synchronize structure/budget/schedule The core of the integration lies in this synchronization where the budget and schedule information flows to and from Microsoft Project to ERP Enterprise. If Microsoft Project is the owner, the user has the option of adding a new activity or a new budget line to an activity. You can always modify the dates. However, the budgeted amount of work for the resource can be changed from the Microsoft Project side only if Microsoft Project is the owner.

Example

If a piece of equipment is scheduled for 25 hours of work (budget line quantity = 25 hours), you can allocate this work of 25 hours over five days (five hours per day), or you can choose to do the work in 10 days (2.5 hours per day).

The user can perform this allocation through transfer to Microsoft Project. Microsoft Project offers you the possibility to fix your duration, work, or units. To set the duration, work, or units, on the Tools menu, click Options and click the Schedule tab. The formula for duration is as follows:

duration = work/allocation

If the Synchronize option is selected, a dialog box appears, which enables you to indicate whether to synchronize the structures, schedule information, and budget lines

The Net Change option is available only if a small part of the project’s scheduled dates are changed. Using the most relevant combination can save time.

Update Schedule With: You can update the schedule from Microsoft Project to ERP Enterprise based on the following three option:

Early Dates: Select Early Dates to update the ERP Enterprise Project planned dates with the early dates for the tasks from Microsoft Project.

Schedule Dates: Select Schedule Dates to update the ERP Enterprise Project planned dates with the scheduled dates for the tasks from Microsoft Project.

Baseline Dates: Select Baseline Dates to update the ERP Enterprise Project planned dates with the baseline dates defined in Microsoft Project. This option prevents the overwriting of planning data in ERP Enterprise with the actual data in Microsoft Project during the synchronization process which was the earlier case

Select Schedule Dates to update the ERP Enterprise Project plan with the scheduled dates for the tasks from Microsoft Project.

Synchronize Activity/Budget Line Relationship: Select this check box to synchronize the Activity/Budget Line Relationship data.

Get Newly Created Activity/Budget Line Relationship from ERP Enterprise: Select this check box to synchronize the changes in ERP Enterprise with Microsoft Project. This check box is enabled when you set the ownership to “MsProject”.

Send Actual Dates to ERP Enterprise: Select this check box to update the scheduled dates in ERP Enterprise with the actual dates in Microsoft Project. You can send actual dates to ERP Enterprise, irrespective of the ownership.

Net Change: Select this check box to synchronize the changes to a small part of the project’s scheduled dates.

The ownership determines how the update is performed during the Synchronization process.

Ownership Use the Net Change option to synchronize activities and budget lines updates in ERP Enterprise and Microsoft Project. The ownership decides how the update is carried out.

Disconnect project Usually, you do not disconnect a project. If you work offline, you can simply synchronize when you are online again and update your project. The only reason to disconnect your project is if you discover that you linked to the wrong project, or if you decide to link to a different node of the ERP Enterprise project.

If you disconnect a project, the connection information stored in the External Schedule Link (tppss2530m000) session is deleted. On the budget lines, the link mode is also reset to No Link.

Note: To connect another Microsoft Project to the ERP Enterprise project, ERP Enterprise recommends that you reset the links on the budget lines to Create Link. You must reset these values line by line, or you can use the Global Update of Schedule Link (tpptc2202m000) session.

Reset Connection This option enables you to connect a Microsoft Project derived from a template to a new project on the ERP Enterprise side. You must only use this button for projects of type .mpp that have been derived from a pre-integrated template file .mpt. For more information, refer to "Scenario 4".

Transfer Standard Activities This option transfers the standard activities defined in the Standard Activities (tppss2500m000) session in ERP Enterprise to a Microsoft Project file.

Convert Resource Assignments to Subtask This option converts the resource assignments as subtasks for the selected activity task. Before you click this button, you must select an activity task in Microsoft Project.

You cannot convert a specific resource assignment to a task. You can only indicate cost types for which the conversion must be performed. If more than one resource assignment exists for a task, all of these assignments are converted to subtasks.

The cost types for which the conversion is to be carried out is suitable in situations where the initial schedule is made with budget lines represented as resource assignments, using the task representation in a later stage to micro-manage the project.

Parent Activity ID: When you select the parent, you must consider the following conditions:

The parent of a WBS element is always a WBS element, unless the parent is from the top of the activity structure.

The parent of a project cost-account is always a WBS element, unless the project cost-account is on the top of the activity structure.

The parent of a planning package is a project cost-account or a planning package. If you do not use an organization breakdown structure, the parent of the planning package is either a WBS element, or a planning package that forms the top of the activity structure.

The parent of the work package can be a work package, a planning package, or a project cost-account. If you do not use an organizational breakdown-structure, the work package can have a WBS element, a planning package, or a work package as a parent. Alternatively, the work package can itself form the top of the activity structure.

Derive from Standard Activity of Company: Select this check box to derive the activity from a standard activity. If you choose to derive the activity, in other words, if you select the check box, the list box to the right of the Derived from check box is available and a list of the standard activities

appears. The first part of the code of an activity indicates the Activity Type. The abbreviations are the following:

WBS: Work breakdown structure element

PCS: Project cost account

WP: Work package

PP: Planning package

Mil: Milestone.

After you select a standard activity, the corresponding Activity Type and Activity description are entered.

The Activity Type field must be entered. If you choose to derive an activity from a standard activity, a value is already entered, which you can modify.

If you select the Treat as Standalone Milestone check box, this indicates that the milestone is stand-alone. If you do not select this check box, you must link the milestone to an ERP Enterprise activity. The ERP Enterprise activity must be entered in the Parent Activity ID field.

The Standard Activity field can be manually entered or is automatically generated. If the Standard Activity is specified, the Activity ID field is left blank, and is filled from an automatically generated number in ERP Enterprise when the first synchronization occurs.

If the Standard Activity field is left blank, the Activity ID field is mandatory and must be unique among activity codes already present, which is ensured by appropriate checks.

If you open the ERP Enterprise Activity Details dialog box to insert a new activity, all the fields except the Standard Activity list are enabled.

If the ERP Enterprise Activity Details dialog box is opened to modify an existing activity, ERP Enterprise first checks whether the activity information is present.

A flag associated with each task indicates whether the activity information is present.

If the activity information is present, the check box and list box associated with the standard activity and the Activity ID field are disabled. The Activity Type field and the Description field are always enabled.

Each time you modify or insert data, checks are made to ensure the validity of the activity structure. If you use the ERP Activity Details dialog box to fit in the details, ERP checks the validity immediately after you click OK in the ERP Activity Details dialog box. The checks are also performed during the synchronization process.

Modify Activity: Click this icon to modify the activity you select.

ERP Enterprise Project is integrated with Microsoft Project Server. Through this integration, the user can access the various user-friendly features that Microsoft Project offers for scheduling, and at the same time avail the extensive functionality that ERP Enterprise Project provides.

To work with the project server integration, the integration must be installed to update the enterprise global template.

Note: For more details about the installation of the project server, refer to the Installation Guide.

During the synchronization of master data from ERP Enterprise, resources such as labor cost object, organization break down structure, and log files are stored as separate text files. With Project Server integration, you must store these resources in a shared location, preferably on a system on which the project server has been installed, that users who perform the integration can access.

While you connect the project, if the user is linked to the Microsoft Project Server, a screen appears, in which the user must specify the complete path of the shared folder as \\<system name>\<shared folder name>, where resource files can be stored.

A preliminary level check is carried out to see if the folder exists and if a file can be saved in the location. If the check fails, the process is stopped.

7 Chapter 7 Constraints

The changes made by the user in Microsoft Project, reflect in ERP Enterprise subject to the ownership of data.

If the ownership is with Microsoft Project, the budgeted quantity of a budget line can be changed from the Microsoft Project. The value is updated to ERP Enterprise when the synchronization is completed the next time. Synchronization is a process by which change in budget/schedule data is updated on both sides.

Master data and calendar information is transferred only one way: from ERP Enterprise to Microsoft Project. Other fields, such as Maximum Number of Units Available, Calendar/Availability Type for a resource, also flow in one way.

Note: To change the environment or the company number in the corresponding environment configuration, select the appropriate BusComponent in the Adapter Configuration Utility of the ERP Enterprise OpenWorldX application. You cannot change the company number when you work with the integration.

Note: The Time Unit field in the PSS parameters and the Work unit that is entered in Microsoft Project must be of the same unit value. The default work is entered on the Schedule tab of the Options session. To access this session, on the menu bar, click the Tools option in Microsoft Project.

Whenever processing exists in the background, for example, if data is collected from the ERP Enterprise database through OpenWorldX, the Microsoft Project window is not refreshed, which is comparable to the situation in which your main client waits for the server.

If you click the Microsoft Project window during background processing, the following message appears:
