This manual provides all necessary information about (re-)enrolment as a student at Hanze University of Applied Sciences, Groningen (Hanze UAS). (Re-)enrolment in a degree programme at Hanze UAS takes place through Studielink. Studielink makes enrolment easier and you can monitor the progress of your enrolment on your personal page in Studielink. Please go to www.hanze.studielink.nl for self-explanatory information.

We have incorporated all information regarding (re-)enrolment, termination of enrolment and payment of tuition fee(s) in this manual. Furthermore, you will also find information which may come in useful in the course of the academic year, such as information about termination of enrolment, the student card and useful addresses.

No rights may be derived from the text in this manual, since the rules are subject to possible changes in legislation and regulations. This text was drawn up in the Spring of 2017.

1. Enrolment (first enrolment in a degree programme)

1.1 StudielinkIf you want to enrol in a programme at Hanze (UAS) for the academic year 2017-2018, you need to use Studielink. Please go to www.hanze.studielink.nl. You are allowed to enrol in two (or more) degree programmes at the same time. You can apply for maximum four programmes per study-year. A maximum of two selection attempts per numerus fixus programme are permitted, with an exemption for Dental Hygiene and Physiotherapy, for these programmes a candidate can apply for one study by one University a year. Chapter 3 contains more information about enrolment in a second degree programme. The academic year starts on 01 September 2017 and lasts until 31 August 2018.

All citizens of the Netherlands have a personal DigiD code, with which they can log in to government websites to arrange matters, such as a permit, an extract or tax return. Have your DigiD code ready when logging in to Studielink. If you live outside the Netherlands and you do not have a personal DigiD code, than Studielink offers the possibility to log in with a username and password.

1.2 Enrolment Conditions In order to be enrolled in Hanze (UAS) you have to have met the enrolment conditions no later than 01 September 2017. These enrolment conditions are listed on the checklist, which you will find in the next section. As soon as you have met the enrolment conditions, you are officially enrolled and you will receive a student card with a proof of enrolment, which is stated in Dutch and English. You can monitor the progress of you enrolment application by your personal page in Studielink.

1.3 Checklist• Verification of your identity. When you submit an

application for enrolment by DigiD and you give permission to verify your identity in the municipal personal records database of the Netherlands, this process is started automatically.

If this verification cannot be completed by your enrolment application in Studielink, for instance because you have a foreign address and you are not able to apply for a DigiD code, or because you have not given permission to verify your identity in the municipal personal records database, Hanze (UAS) will request you to upload a clearly legible copy of your passport or identity card, which has to be valid on the date at which the degree programme starts. Please send your copy on A4 paper.

• Verification of your previous education. Proof that you have the diploma required for acceptance, with the associated list of marks with the results you have obtained. When you cannot submit this proof based on the verification by your enrolment application in Studielink, Hanze (UAS) will request you to upload a clearly legible copy of your diploma and list of marks. This applies to students with a foreign diploma.

• If you have a non-Dutch diploma and are starting a Dutch-language degree programme, you will also be asked to upload a document that demonstrates you have sufficient knowledge of the Dutch language, level NT-II.

• Hanze (UAS) also offers study programmes for which you need to send a document that demonstrates you have sufficient knowledge of the English language. Please check for further explanation the following website: https://www.hanze.nl/eng/study-at-hanze/application/language-requirements

• The payment of the tuition fees (please also read chapter 4).

• A digital passport photograph for your student card. Hanze (UAS) will send you an email with instructions on how to upload and send your digital passport photograph.

• Registration in the municipal personal records database: all foreign students of Hanze (UAS) who have settled in the Netherlands have to be registered in the municipal personal records database on 01 September 2017.

1.4 Studycheck(This chapter only applies to Dutch students).

1.5 Lawful residency: Additional enrolment condition for non-Dutch students

Students from a non-EU/EEA* countryStudents from a non EU/EEA country, who enroll in a degree programme for the first time, have to prove, as additional requirement for enrollment, that they are in the possession of a proof of legal residency valid on 1 September 2017. Those students for whom Hanze UAS has done an immigration procedure, do not need to hand in such a proof because it has already been provided for.

A proof of legal residency in the Netherlands must be handed in at the student administration by the student him/herself, if the proof of legal residency has been obtained in another way than through the Hanze UAS.

Acceptable proves of legal residency are:• a copy of the MVV visa sticker in your passport

(type D) which is valid on 1 September 2017;• a copy of the letter from the Immigration and

Naturalization Service (IND), which states that you are eligible for a residence permit for study purposes, stating that it will be valid on 1 September 2017;

• a copy of the definitive residence permit for the purpose of ‘studying in professionally oriented higher education in Groningen’ (see reverse side of the residence card), which is valid on 1 September 2017;

• a copy of a residence permit for the purpose of ‘continued residence...’, which is valid on 1 September 2017

Upon re-enrollment, Dutch law stipulates that students from a non-EU/EEA country who want to (temporarily) terminate their enrolment in a degree programme have to meet all of the above-mentioned conditions. Please make sure to contact the International Service Desk (ISD) before (temporarily) terminating your enrolment in a degree programme. Please check chapter 15 for contact details of the ISD.

Students from a EU/EEA country:Students from a EU/EEA country do not have to meet the residence permit condition. They have to prove they are from a EU/EEA country by submitting a copy of a passport or identity card that is valid on 01 September 2017.

* The EU/EEA countries are: Belgium, Bulgaria, Croatia, Cyprus, Denmark, Germany, Estonia, Finland, France, Greece, Hungary, Ireland, Iceland, Italy, Latvia, Liechtenstein, Lithuania, Luxembourg, , Malta, the Netherlands, Norway, Austria, Poland, Portugal, Romania, Slovenia, Slovak Republic, Spain, Czech Republic, United Kingdom, Sweden, Switzerland.

1.6 Rules and Regulations for students with a residence permit for the purpose ‘study’

Students who received a residence permit for the purpose of study in the Netherlands have to abide to certain rules and regulations as described in the brochure made by the IND: Coming to study in the Netherlands.

The most important rules and regulations are:• The IND will be informed within one month of time

after a student is no longer enrolled. The IND will revoke the permission to reside in the Netherlands as a student.

• If a student has failed to achieve 50% of the yearly nominal study load, the IND will be notified, unless he/she has suffered serious delay in his/her studies due to: illness, special family circumstances, he/she is a recognized top athlete or an active student officer and representative of a recognized organization. The IND will revoke the residence permit;

• When the IND concludes that the student does not have enough financial means, they will revoke the residence permit.

• If the student is not insured for medical healthcare and/or aid- and treatment in a psychiatric centre, the residence permit can be revoked. We therefore strongly advise students to take out insurance for this. Contact the ISD.

The student is allowed to object against the decision of the IND to revoke the permission to reside in the Netherlands within a specific period of time.

Please report to the student counsellors as soon as your study progress is suffering a serious delay.Contact the International Service Desk when you receive a letter from the IND and you don’t understand the contents of the letter or disagree with it.

1.7 Decentralised selection (for a numerus fixus programme)

Prospective students who have received an offer for a numerus fixus programme have to accept or refuse the offer within 14 days. If the prospective candidate fails to respond within 14 days, or rejects the offer, it will be given to another prospective student.

This process is done through Studielink. Places will be offered:• As long as places are available;• Until the moment that all candidates have been

offered a place or:• Until the date set by the university/degree

programme.

2. Re-enrolment (continuation of enrolment in 2017-2018)

If you want to continue your current degree programme in the academic year 2017-2018, you have to re-enrol before 01 September 2017; re-enrolment does not take place automatically. If you are not enrolled, you are not allowed to take classes or make use of the facilities of the Hanze (UAS). Also, you are not allowed to use the facilities from the Dienst Uitvoering Onderwijs (DUO). The academic year starts on 1 September 2017 and lasts until 31 August 2018. Re-enrolment is possible from 1 June 2017. You are allowed to enrol in two (or more) degree programmes at the same time, Chapter 3 contains more information about enrolment in a second degree programme.

2.1 How do I re-enrol in the same degree programme?

Arrange your re-enrolment by Studielink. This you can do by opening your current enrolment and click on “re-enrol”. Because of the administrative process, we ask you to arrange your re-enrolment before 1 August 2017. Stap 1: Log in on www.hanze.studielink.nl. Follow the

instructions on the website. Stap 2: Click on ‘arrange re-enrolment’ in your to-do

list. When there is nothing in your to-do list, click on “My degree programmes”. You will see an overview of your degree programme details registered by Student Administration. Check if these data are correct and click on “re-enrolment” there.

Stap 3: When you have done this, a wizard for digital payment of your tuition fee will open. Follow the steps in the wizard and do not forget to confirm.

Stap 4: After filling out your payment details, please log off and on at Studielink.

Stap 5: Then you will see the last step to make your payment definite and complete.

Your enrolment in the new academic year will not be completed until you have met your obligations with respect to the tuition fee. When you do not arrange your re-enrolment in Studielink, you will not be able to arrange the payment of the tuition fee and without payment, you are not enrolled.

Your re-enrolment for the academic year 2017-2018 is final when you have met all payment obligations . You can make a proof of enrolment for the academic year 2017-2018 at Osiris. The student card you received last year remains valid until the end of your enrolment in degree programme concerned.

2.2 How do I enrol in another degree programme? You want to remain a student at Hanze (UAS), but want to change degree programmes? Submit your request for re-enrolment by Studielink. You can monitor the progress of your request in Studielink. Please follow the steps below:Step 1: Log on www.hanze.studielink.nl. Follow the

instructions on the website. Step 2: Click on “My degree programmes”. You will see

an overview of your degree programme details registered by Student Administration. Check if these data are correct.

Step 3: Click on the degree programme for which you wish to terminate your enrolment. You will now see the details of your enrolment in this degree programme.

Step 4: Click on “Request for deregistration” if you wish to terminate your enrolment in this degree programme.

Step 5: Go to “Home” and click on “New enrolment request” and follow the steps to submit a new enrolment request for the degree programme you wish to enrol for starting in September. Student Administration will send you a confirmation of receipt and take your enrolment in consideration.

Step 6: Please pay the tuition fee before 01 September 2017.

Chapter 1 contains more information about the enrolment conditions.Check in www.studielink.nl whether you are fully enrolled.

2.3 Graduation in July, August and September 2018

If you will graduate before 01 September 2017, please click on the “re-enrolment” button and tick the box for “do not want to enrol”. However, if you will graduate in September, you do need to activate the “re-enrolment” button and pay tuition fee. As soon as you have graduated, you are eligible for a partial refund of your tuition fee. Please go to www.hanze.studielink.nl and submit your request for deregistration by Studielink.

2.4 Binding study advicePaying the tuition fee is completely independent of the process regarding a binding study advice. In other words: no rights may be derived from it. If you are a first-year student, you may receive a negatively binding study advice (BSA) no later than 31 August 2017, which means that you are obliged to terminate your study programme. If you have already paid the tuition fee and you receive a negatively binding study advice, we will cancel the authorisation. For more information, please consult the Student Charter and the Study Programme Course Regulations of your degree programme. Both documents can be found on www.MijnHanze.nl.

2.5 Terminating your degree programmeShould you decide to terminate your current degree programme per September, please submit your request for deregistration by Studielink before 31 August. Studielink forwards your request for deregistration to Student Administration at Hanze (UAS) online. Please follow these steps: Step 1: Log in on www.hanze.studielink.nl. Follow the

instructions on the website.Step 2: Click on “My degree programmes”. You will see

an overview of your degree programme details registered by Student Administration. Check if these data are correct.

Step 3: Click on the degree programme for which you wish to terminate your enrolment. You will now see the details of your enrolment in this degree programme.

Step 4: Click on “Request for deregistration”. Student Administration will then process your request.

Please note! Terminating your enrolment and cancelling your student finance and student travel product from DUO are two separate processes!

We advise you to consult DUO website and student counsellors for more information about the consequences related to student finance. We advise you to contact the ISD for more information about the consequences for your residence permit. The addresses and telephone numbers are listed in chapter 15.If you have already paid the full amount of tuition fee and we have received your termination before 01 September 2017, we will refund you the full amount. After this date, you have to pay at least one month of tuition fee, depending on the moment we receive your request for deregistration. You can find more information about this subject in chapter 9.

2.6 Hanze Media CentreBefore you go on holiday or terminate your enrolment, we would like to remind you to return loaned materials to the Hanze Media Centre. This is to prevent you receiving a fine (plus any default and bailiff ’s charges) or replacement costs for non-returned materials. If you are unsure if you have materials in your name, please ask at the desk or consult the catalogue.

3. Second enrolment

You may enrol in two (or more) degree programmes at the same time. In this case, you also have to have paid the tuition fee for the second degree programme before 01 September 2017. The different options of enrolment in a second degree programme are listed below.

3.1 First and second enrolment in degree programmes at Hanze (UAS)

You have to have paid the full amount of the tuition fee for the first degree programme no later than 01 September 2017. The enrolment process for the second degree programme at Hanze (UAS) is the same as for the first degree programme, namely by Studielink. You do not have to take action regarding the financial settlement for your second degree programme. Student Administration and Financial Department will handle this internally after receiving your enrolment in the second degree programme. If the amount of tuition fee for the first degree programme is lower than the amount for the second degree programme (for instance, in the case of full-time and part-time study programmes), you may need to pay an additional fee. You will receive an additional invoice for the extra amount of tuition fee.

3.2 First enrolment elsewhere, second enrolment at Hanze (UAS)

If you are enrolled in a degree programme at another university or university of applied sciences, you have to pay that institution the full amount of the tuition fee. You can be registered as a student at Hanze (UAS) in a second degree programme per 01 September 2017 if you have paid the tuition fee to the institution of your first degree programme. You have to request a Certificate of Tuition Fees Paid from the university or university of applied sciences of your first enrolment. Please send the certificate to the Student Administration of Hanze (UAS), latest 01 September 2017. If the amount of tuition fee for the first degree programme is lower than the amount for your second enrolment at Hanze (UAS) (for instance, in the case of full-time and part-time study programmes), you may have to pay an additional fee. You will receive an additional invoice for the extra amount of tuition fee.If you pay the institutional amount of tuition fee at another university or university of applied sciences, you always need to pay tuition fee at Hanze (UAS) too.

3.3 First enrolment in a degree programme at Hanze (UAS), second enrolment elsewhere

It is also possible that you have enrolled in a degree programme at Hanze (UAS) and in a second degree programme elsewhere. When you pay the statutory amount tuition fee at Hanze (UAS) and need to pay the same amount tuition fee elsewhere, you can request a Certificate of Tuition Fees Paid from the Student Administration of Hanze (UAS) and submit it to the other university or university of applied sciences. Please consult chapter 15 for the address and telephone numbers.Are you paying the statutory amount tuition fee at Hanze (UAS) en do you need to pay the institutional amount tuition fee elsewhere, the Certificate Tuition Fees Paid is not sufficient. You need to pay (a part of ) the tuition fee elsewhere too. Are you paying the institutional amount tuition fee at Hanze (UAS), then you always need to pay tuition fee elsewhere too.

4. Tuition fee

Every student who wants to study at Hanze (UAS) per 01 September 2017 in the academic year 2017-2018 has pay the tuition fee before 01 September 2017.

4.1 Tuition fee payment optionsa. via a direct debit mandate (in Studielink);b. by bank transfer ( Choose “payment method via

institution of higher education” in Studielink);c. by PIN (Choose “payment method via institution of

higher education” in Studielink).

Please note : No invoices are issued to employers or other third parties. The authorisation form may be used as a payment document.

Ad. a. Direct debit mandateIn order to be able to authorise a direct debit mandate you must be an official resident of the Netherlands or one of the other SEPA countries.1 In the Studielink payment module, you can indicate that you would like to pay via a direct debit mandate. This is possible once Hanze University of Applied Sciences Groningen (Hanze UAS) has provided access to the payment module. Print the direct debit mandate so you can check the amount. You will then receive instructions in your mailbox and in your Studielink account on completing and confirming the direct debit mandate. With the direct debit mandate you will be authorising Hanze UAS to debit the tuition fees from your bank account as a lump sum or in six instalments. If someone else is paying your tuition fees for you, they must have your DigiD login details. If circumstances exist inf luencing the amount of tuition fees owed, signing the direct debit mandate will automatically grant permission for debiting the adjusted amount. Students in question will be informed about this in advance.

For detailed information on the way you can pay via Studielink, see the Studielink website (www.studielink.nl). Make sure to confirm the direct debit mandate well before the degree programme begins!

Direct debit mandate in a single instalmentOn or around 25 September 2017 the tuition fees will be debited from the bank accounts of students who gave a direct debit mandate of a single instalment. Ensure that there are sufficient funds in the bank account (please note that this in no case can be a savings account or a frozen bank account) that the tuition fees will be debited from, as otherwise they will not be paid! If the instalment cannot be debited, you will receive a reminder/warning. The instalment payable will not be debited automatically, so you must then ensure that payment is made on time. If it transpires that the amount has not been paid after a warning/default notice, the decision may be taken to terminate your enrolment. The amount owed will then have to be referred to a collection agency. The related costs will all have to be borne by you. This is why it is important to remember the date of the direct debit and to ensure sufficient funds are available in your bank account.

Direct debit mandate for several instalmentsThe dates for direct debits in six (6) instalments for the academic year 2017-2018 are on or around: 25 September, 25 October, 25 November, 25 January, 25 February and 25 March. If payment is made in several instalments, an administration fee of €24.00 is due which will be added to the first instalment for payment. If you choose to pay by direct debit in several instalments, please remember the following.

• You will have to ensure that there are sufficient funds in your bank account (please note that this in no case can be a savings account or a frozen bank account) when an instalment is being debited.

• If the instalment cannot be debited, you will receive a reminder/warning. The instalment payable will not be debited automatically, so you must then ensure that payment is made on time. If it transpires that the amount has not been paid after a warning/default notice, the decision may be taken to terminate your enrolment. The amount owed will then have to be referred to a collection agency. The related costs will all have to be borne by you. This is why it is important to remember the date of the direct debit and to ensure sufficient funds are available in your bank account.

• The direct debit mandate cannot be withdrawn prematurely.

• If it transpires that the tuition fees have not been paid or an instalment or instalments could not be debited, you will not be enrolled. If you have nevertheless received tuition or participated in examinations, you will owe compensation equal to the applicable tuition fees.

• In keeping with the Studielink deregistration regulation, your direct debit mandate may be blocked by Hanze UAS and any restitution of part of the tuition fees may be set off against any instalments payable. See Chapter 9 for further details.

Re b. Bank transferA second option is to pay the tuition fee through a bank transfer. In this case you have to pay the full amount in one instalment. The tuition fee must be transferred to and received in the bank account of Hanze UAS before 01 September 2017. When you make use of this option, please state your student number and/or date of birth. Transfer the full tuition fee to IBAN-code NL84 RABO 0180 5477 47, BIC-code RABONL2U; in the name of Hanzehogeschool Groningen. Important: Choose “payment method via institution of higher education” in Studielink. Without filling in your payment method in Studielink, your payment of tuition fee is not completed or final!

Re c. PINA third payment option is to pay the tuition fee by PIN at the desk of the Student Administration. You will have to pay the full amount in one instalment and Hanze UAS has to have received the tuition fee before 01 September 2017. Important: Choose “payment method via institution of higher education” in Studielink.

Without filling in your payment method in Studielink, your payment of tuition fee is not completed or final!

5. Change of address

Informing of a change in address is important for your student card, which will be sent to you by regular post.

You can change your address in Studielink.

Step 1: Log on at www.hanze.studielink.nl. Follow the instructions on the website.

Step 2: Click on ‘My details’ and change your correspondence address as registered by Hanze UAS.

Studielink digitally passes on your change in address to the system of the Student Administration of Hanze UAS. Please do not send an address change form by post, because the Student Administration cannot process these.

6. Student card

6.1 GeneralIf you are enrolled at Hanze UAS for the academic year 2017-2018 you can always print a proof of enrolment stated in Dutch and English. If this is the first year for your study programme, you will also receive a proof of enrolment with your student card . The student card remains valid until the end of your enrolment in the degree programme. Your student card is valid throughout the course of your degree programme in which you are enrolled. Please check if the data are correct. The card can be used for different purposes. You have to identify yourself if you want to do an exam. Furthermore, the card is your library pass for the Hanze Library and you can use it in the sports centre ACLO.

If you switch to a different programme within Hanze UAS without a pause, you do not receive a new student card.

You can use the proof of enrolment, stated in Dutch and English, at third parties such as health insurance companies, the Social Insurance Bank or the Education Executive Agency to prove that you are enrolled at Hanze UAS. The proof of enrolment is only valid for the current academic year. When you re-enrol in the same degree programme for a subsequent academic year, you will not receive a new student card, but only a proof of enrolment. The rights derived from enrolment, as referred to in article 7.33 paragraph 2 of the Higher Education and Research Act, have been described in the Student Charter of Hanze UAS.

6.2 Sending of student card and statement of enrolment

Please take into account that a timely payment of the tuition fee is necessary to get your student card and statement of enrolment quickly. They will be sent from 01 August 2017 onwards. If Hanze UAS has sent you your student card before 01 October and you inform us before 15 November that you have not yet received it, you can apply for a new student card with the Student Administration free of charge. If Hanze UAS has sent your student card after 01 October and you have not received it within 6 weeks after we have sent it, please contact us for a new student card. Please take into account that if you have met the enrolment requirements, including payment of the tuition fee, it will take approximately 2 weeks before you receive your student card.

6.3 Duplicate of the student cardIf you have lost your student card, you can apply for a new one with the Student Administration at a fee of € 25.00. Once you have applied for a new student card, you cannot cancel the application.

6.4 Student card and adaptations for examsIf you are entitled adaptations for your exams, a new student card will be arranged automatically. After receiving a confirmation e-mail you can pick up your student card at the student information desk. After the end of the academic year, student cards that have not been picked up will be destroyed.

7. Email address

Hanze University of Applied Sciences Groningen (Hanze UAS) provides all new students with an email address. Information about this will be sent to you by email with effect from 15 August 2017, once your enrolment application has been received by Hanze UAS via Studielink. It is important that you do not change your email address in Studielink into your Hanze UAS email address, but that you continue to use your private email address.

This is necessary to prevent you not being able to receive information from Hanze UAS and Studielink when you end your degree programme. In addition, all communication regarding invoices, reminders, warnings and default notices will be sent to the email address provided in Studielink.

8. Cancellation of (re-)enrolment

After meeting all enrolment and payment conditions, you can still cancel your enrolment for the academic year 2017-2018. In that case, please cancel your enrolment before 01 September 2017 in Studielink (www.hanze.studielink.nl). Studielink digitally forwards your cancellation of (re-)enrolment to the university’s Student Administration.

Have you re-enrolled? Please follow these steps to cancel your re-enrolment. Step 1: Log on at www.hanze.studielink.nl. Follow the

instructions on the website.Step 2: Click on “My study programmes”. You will see

an overview of your degree programme details as registered by the Student Administration. Check if these data are correct.

Step 3: Click on the degree programme for which you wish to terminate your enrolment. You will now see the details of your enrolment in this degree programme.

Step 4: Click on “Request for termination of enrolment”. The Student Administration will process your termination.

Have you enrolled in a degree programme for the first time? Please follow these steps to cancel your enrolmentStep 1: Log on at www.hanze.studielink.nl. Follow the

instructions on the website.Step 2: Click on “My study programmes”. You will see

an overview of your degree programme details as registered by the Student Administration. Check if these data are correct.

Step 3: Click on the degree programme for which you wish to cancel your enrolment. You will see an overview of the details of your enrolment in this degree programme.

Step 4: Click on “Cancel application for enrolment”. If you have already paid your tuition fee, please click on “Cancel enrolment application”.

If you have already paid the full tuition fee and we have received your termination before 01 September 2017, we will refund you the full amount. After this date, you have to pay at least one month of tuition fee, depending on the moment we receive your request for termination of enrolment. More information about this can be found in paragraph 9.

If you want to enrol at another institution, we can provide you with a Proof of Tuition Fees Paid. You need this document for your second enrolment at the other institution. More information about this can be found in paragraph 3.Termination of your enrolment could have huge consequences for your entitlement to student financing, your student travel products or your residence permit. We strongly urge you to ask for information from the student counsellors, the International Service Desk (foreign students) or DUO. If you want to terminate your enrolment in the degree programme after your enrolment has been processed, you are subject to the regulations as described in paragraph 9.

9. Terminating enrolment

The academic year in higher education runs from 1 September until 31 August. Your enrolment is valid for the entire year. At your request, your enrolment can be terminated during the academic year starting from the month following the month in which you have submitted your request for termination of enrolment in Studielink. You are entitled to a refund of the tuition fee for the months in which you are not enrolled, with the exception of the months of July and August. This means that the date on which you submit your request for termination of enrolment in Studielink determines the refund.

You can only terminate per month. A refund is not granted if you are enrolled in another degree programme. Your enrolment is terminated from the month following the month in which you have submitted your request for termination of enrolment in Studielink. Make sure to submit your request for termination of enrolment in Studielink on time! You cannot terminate retroactively. It is not allowed for Hanze UAS to terminate and refund tuition fees retroactively. Please note that you have to complete the entire wizard for termination of your enrolment in Studielink!

9.1 Request for termination of enrolment and termination date after graduation

Students who terminate enrolment after graduation are entitled to a partial refund of tuition fees paid.

Refunds are calculated based on the number of months the student was enrolled (the monthly fee is 1/12 of the entire tuition fee). No refund is granted for the months of July and August. When students terminate enrolment in June, they are not entitled to a refund for these two months.

Example: You have obtained your final result on 8 March. This

means that you can terminate enrolment as per 31 March and you are entitled to a partial refund of tuition fee for the remaining months of the academic year. The only condition is that you have to have submitted your request for termination of enrolment no later than 31 March.

Your request for termination of enrolment in Studielink is leading in your termination process, not your graduation date. There is no possibility to do a termination request retroactively.

Example: You graduated on 16 February and submit your

request for termination of enrolment in mid-April. In this example, your enrolment will be terminated as per 1 May.

You can also choose not to terminate enrolment after graduation, which means you will stay enrolled until 31 August, with all the associated rights, such being entitled to student finance, if applicable. Please inform DUO via a change form that the end date of your degree programme is 31 August. Obviously, in this case you are not entitled to a refund of your tuition fee.

Termination of enrolment in the months of June, July and August means that you will not receive a refund of your tuition fee.

Please note: In processing your request for termination of enrolment, we will check if you have met all payment obligations. Any outstanding amounts will be deducted from your refund. You will receive your diploma if all your financial commitments are met.

Please note! Terminating your degree programme and terminating student finance and the student travel product from DUO are two separate processes!

Not graduated?If you have not graduated before or at your requested termination date, the termination process will be postponed until you have graduated. Your enrolment will be terminated starting from the month following the month of your graduation date. If you have not graduated in the current academic year, your termination request will be rejected. You will be enrolled until the end of the academic year.

9.2 Request for termination of enrolment and termination date (reasons other than graduation)

Students who terminate their enrolment for reasons other than graduation are entitled to a refund of part of the tuition fee paid.Refunds are calculated based on the number of months the students was registered (the monthly fee is 1/12 of the entire tuition fee). No refund is granted for the months of July and August. Students who terminate their enrolment in June are not entitled to a refund for these months.

Your enrolment is terminated from the month following the month in which you terminated your enrolment in Studielink.

Make sure to submit your request for termination of enrolment in Studielink on time! You cannot terminate enrolment retroactively. It is not allowed for Hanze UAS to terminate enrolment and refund tuition fee retroactively.

Please note: In processing your request for termination of enrolment, we will check if you have met all payment obligations. Any outstanding amounts will be deducted from your refund.

Example: You decide to terminate your enrolment in March.

If you submit your request for termination of enrolment later than the end of the month following the month in which you want to quit your programme, your enrolment will be terminated starting from the month following the month, in which you have submitted your request for termination.

Example: You want to terminate your enrolment in February,

but you do not submit your request for termination of enrolment until mid-April. In this example, your enrolment will be terminated as per 1 May.

Termination of enrolment in the months of June, July and August means that you will not receive a refund of your tuition fee.

You have to submit your request for termination of enrolment via Studielink, via your Home page, under “My study programmes”.

Please take into account that you have to terminate student financing from DUO yourself and deactivate your student travel product.

10. Interim intake

Some degree programmes at Hanze UAS have a February intake. The Hanze Study advisors have all information regarding which degree programmes have a February intake this year. If you have terminated your enrolment in a degree programme, or if you want to transfer from another degree programme or institution, make sure to consult the degree programme of your choice first on how to enter. Retroactive enrolment is not possible.

10.1 Enrolment ConditionsThe same conditions apply to students who enter mid-year as to those who start in September: the enrolment and payment requirements have to be met before the start of the degree programme. There is a checklist in paragraph 1.3.

When you have met all enrolment and payment requirements, you will receive a student card and a proof of enrolment as soon as possible. Chapter 6 contains more information about the enrolment conditions. Hanze UAS also issues email addresses to new students. More information about the email addresses is available in chapter 7.

10.2 Tuition fee payment options for students who enter after 1 September 2017

The tuition fee for that year depends on the month in which you start your degree programme. You pay 1/12 for each month you are enrolled. For instance, if you start in February, you pay 7/12 of the tuition fee. In this case, the payment options are the same as for students who start per 01 September 2017 (see paragraph 4.2), except for one difference: Please take into account that the amount of the first instalment will be much higher than the other instalments, if you pay in instalments. We refer you to the link in paragraph 11.3 for the amounts. If you enter from upper secondary vocational education, please read chapter 11 carefully.PLEASE NOTE: The enrolment requirements of Hanze UAS have to be met before the start of the degree programme, otherwise your enrolment is not valid.

10.3 Overview of tuition fee amounts for students who enter a degree programme after 01 September 2017:

10.4 Second enrolmentIf you are also enrolled at another higher education institution, sending Proof of Tuition Fees Paid in time also suffices. Please consult chapter 3 for the address and telephone numbers. If you were enrolled in an institution for upper secondary vocational education, please be advised to also read chapter 11. If you are enrolled in another degree programme at Hanze UAS, you do not have to take action regarding the financial settlement for your second degree programme.

10.5 Cancellation of enrolment per 01 February 2018 (February intake students)

After meeting the enrolment and payment requirements, you can still cancel your enrolment. Please submit your cancellation in Studielink no later than 01 February 2018. After this date, you have to pay at least one month of tuition fee, depending on the moment we receive your request for termination. More information about this subject is available in chapter 9. If you want to enroll at another institution, you can request a Proof of Tuition Fees Paid. You need it to enroll in a second degree programme at the other institution. Cancellation may have huge consequences for your entitlement to student financing and a student travel product. We strongly urge you to request information from the student counsellors, the Education Executive Agency (DUO) or the International Service Desk (international students) first.

11. Transferring from senior secondary vocational education to professionally oriented higher education in February 2018

(This chapter only applies to Dutch students).

If a student with a diploma from senior secondary vocational education wishes to transfer to a degree program at Hanze UAS per February 2018, the University of Applied Sciences takes the tuition fees paid into account.

11.1 What do you have to do to receive a discount on the tuition fee you have to pay?

You need to submit a written request for a partial refund of the tuition fees paid to the Education Executive Agency. Please enclose a copy of your diploma from the senior secondary vocational education as well as a copy of your proof of deregistration from the institution of senior secondary vocational education. Please state your personal details (name, address, date of birth) in your request, as well as your correspondence number (O&W number, which is stated on all DUO student finance overviews).

11.2 If a request for restitution of school fees is denied

The school fees for a senior secondary vocational education (MBO) programme for the academic year 2017-2018 are €1137 (1 August 2017 - 31 July 2018). The tuition fees for a full-time higher professional education (HBO) programme for the academic year 2017-2018 are €2006 (1 September 2017 - 31 August 2018). Suppose you receive your MBO certificate in January 2018 and submit a request to DUO for restitution of part of the school fees paid. Your request is denied by DUO, which means that you will have to pay school fees for the entire academic year.For the period from 1 February 2018 until the end of the academic year (on 31 July 2018), the school fees amount to €568.50 (which is 6/12 of €1137). You would like to enrol in a full-time degree programme at Hanze University of Applied Sciences Groningen as at 1 February 2018. In principle, you owe seven months of tuition fees (which is €1170.17, equal to 7/12 of €2006.00) until the end of the academic year (on 31 August 2018). You thus still owe the amount of €1170.17 minus €568.50, which comes to €601.67.

11.3 If a request for restitution of school fees is awarded

The school fees for a senior secondary vocational education (MBO) programme for the academic year 2017-2018 are €1137. The tuition fees for a higher professional education (HBO) programme for the academic year 2017-2018 are €2006. Suppose you receive your MBO certificate in January 2018 and submit a request to DUO for restitution of part of the school fees paid. Your request to DUO is awarded: you now only need to pay school fees up until 31 January 2018.For the period between 1 February 2018 until the end of the academic year (on 31 August 2018) you thus will not have to pay school fees. You would like to enrol in a full-time degree programme at Hanze University of Applied Sciences Groningen as at 1 February 2018. Because you have not paid school fees for the period 1 February 2018 up until 31 August 2018 you owe seven months of tuition fees (which is €1170.17, equal to 7/12 of €2006).If you have any other questions about payment of the tuition fees, please get in touch with the Student Administration of Hanze University of Applied Sciences.

The Higher Education and Research Act (WHW) applies to all universities of applied sciences and research universities. This act consists of legislation about, among other things, the organisation of education, the rights and duties of students and the enrolment procedure. Enrolment as a student in a full-time or dual degree programme is one of the conditions to be eligible for student finance. Other conditions apply as well.
